MEMBERSHIP STRATERGY
FOR THE YEAR 2021/22

The Rotaract Club of University of Colombo, Faculty of Arts believes that
membership is one of the key aspects of a club as we see it as the driving
force and the strength behind its functioning. Therefore, we follow a
strategy that consists of multiple activities in relation to membership
development and retention.

The Rotaract Club of University of Colombo, Faculty of Arts currently has 51
general members with 8 prospective members as reported on RMIS and RI
Portal. The club had faced many ups and downs in the past years which
made it difficult to maintain a high membership. During this Rotaract year,
we took several steps to make sure that our members feel welcome and that
they have many opportunities within the movement to learn and grow.
Following were the steps taken during this year;

Chairing Projects

First years of the club were given priority when choosing project chairs or
when volunteers were called to chair projects. As the majority, if not all
second-year students would have had the opportunity already, we believed
it was only appropriate that the first years were given the opportunity to
chair the majority of the projects. With that, we have been successful in
giving first years more than 90% of this year’s projects to chair while the
majority of these projects were co-chaired by two first years leading to even
a higher percentage of members chairing projects. However, we can confirm
that except for 2-3 first years in the club all other first years have chaired a
project that was organized within this Rotaract year. While making sure our
first years get priority, we also ensured that members in their second year
who showed enthusiasm and hadn’t had the opportunity to chair projects
were also given that opportunity to showcase their talents. By giving them
the responsibility to chair the project we ensure that they know that we have
faith in them to do well and that as the senior members of the club, they
could always approach us if needed. We make it a point to motivate our
members in a way that we boost their self-confidence while also
emphasizing that it is okay to make mistakes.

Rewarding through “Rotaractors of the Month”

Out of the 21 Rotaractors of the month we have announced so far, 18 of
them were first years while 19 of them were members who joined Rotaract
during the current Rotaract Year. The Rotaractor/s of the Month recognition
gave them a much-needed boost in enthusiasm and it also drove the
members to make sure they perform to the best of their ability within the
club.

Higher focus on Community Service initiatives

It was noted by the Executive committee at the start of the year that the
members show increased enthusiasm and engagement toward Community
Service initiatives. While we do understand that Rotaract at its core is a
professional movement, we aimed to organize more Community Service
initiatives through which our members were able to develop skills. During
the planning stages of the initiative “Seoul2Tokyo”, one of our members
completely handled the project including making sponsorship letters,
approaching sponsors and the full logistics handling of the competition
itself. She said that the experience it gave her really boosted her
confidence and that she learned the process of sponsorship letter making
for the first time.

Organizing creative Club Service initiatives

We also noted that the more creative the project we carry out, the more
willing they are to be part of it. As such, we made it a point that when
coming up with ideas for initiatives, they were new and creative concepts
or timely concerns. The Club Service initiatives also make it a perfect
opportunity for our members to engage with other members and to break
away from their usual routines which involve a large number of
assignments. At the beginning of the year, we organized a virtual club
picnic which helped us to get to know our members and also actively
engage in conversations, friendly arguments on whether Pineapple
belongs on Pizza, etc. which strengthened the bond between us and made
the rest of the year a lot more enjoyable and exciting.

Giving the opportunity to write articles for the blog

As part of post PR for the club initiatives, we publish articles on our blog
summarizing what took place in a particular initiative. From planning to
executing the project, the experiences gained are shared in these articles
which are more often than not written by the project chairs of the respective
projects. This year many of our first years and members who are not part of
the editorial team were given several opportunities to submit articles to the
blog on topics they are passionate about. While giving a platform for them to
express themselves we also aim to provide our support to them to improve
and polish their writing skills. • Carrying out initiatives throughout the year
By carrying out initiatives throughout the year (at least 1 project per month)
it was our intention to keep our members constantly engaged and to ensure
that the club doesn’t stay inactive for long periods of time which would
result in demotivation of the club members.

Training the Incoming Board Members

This year we took special care to provide training to the incoming board
with respect to organizing projects, report writing, people skills, etc. We
ensured that all of the board members were taught the important elements
in report writing so that they would be well aware and will be capable of
supporting the President and the Secretary as well as to guide the club
members. We also gave them the responsibility of organizing the Orientation
program for the year 2021/2022 which gave them the opportunity to
evaluate the initiatives that took place this year, learn more about their
respective avenues, and also to engage with the prospective members they
will be working with within the coming year.

Other steps taken to ensure Membership Retention

We organized several initiatives with the Leo Club of the University of
Colombo, Faculty of Arts in order to break the perception that
undergraduates have of Rotaract being a platform for the English
medium students. We were able to work closely with the Leo club and
build up and strengthen the bond with our fellow undergraduates. - We
also shared trilingual flyers and captions whenever possible in order to
cater to all undergraduates within the faculty which we hoped would
weaken the fear that certain undergraduates hold towards Rotaract.

The seniors of the club were instructed to help the first years with
whatever queries they might have with regard to their academics.
Throughout the course of this year, we have extended our support by
assisting and providing advice on writing, assignments, lecturers, course
units, interviews, etc. so that the bond within the club grows. We aim to
be more than just a club to our members but rather a support system they
can rely on. - We have also decided to provide customized service letters
to all the active members at the end of the year so that they can use that
as proof when needed to apply for interviews or for awards given at the
faculty.

Through initiatives such as Academic Writing 101, we managed to help
our undergraduates by giving proper guidance in writing research
papers, articles, assignments, citations, etc. as we are rarely given
instructions by our lecturers which leads to frustration and confusion. We
received many positive feedbacks from our members as well as other
undergraduates for conducting the session. Within the club, we have
come to be more than just members of the same club but to quote one of
our members, “close knit family” and we have strived to be just that
throughout the year, extending support whenever needed and sharing
tips and tricks. We also make it a point to constantly check on our
members and engage in conversation to ensure that they feel valued and
part of the club. Other than the members who leave the club as a result of
inactivity, we have observed a high rate of engagement from almost all
members of the club at a stable rate throughout the year.

INDUCTIONS 2021/22

In the Rotaract year 2021/22, the basic process which was carried out by the
club in the previous year was continued with regard to inductions.

The new members were first added to the system as prospective members,
and they were requested to follow the required process in order to be
recognized as a general member of the club.

All the new members were asked to be a part of a maximum of two avenues,
excluding the Editorial Team and the Public Relations Team as per their
interest, and they were asked to take part in the activities that take place in
the club, such as projects and general meetings.

In addition to the already maintained procedure, we added in an additional
requirement of ‘participating or being part of the organizing committee at
least in one project’. Moreover, depending on their participation in General
Meetings and club initiatives, the prospective members are inducted as
General Members.

Inductions took place throughout the year and were not limited to one part
of the year as we wanted to accommodate any interested individual to join
the club when they wished to. This year, however, the participation in
general meetings wasn’t considered as heavily as in previous years as we
noticed that most of the club members, due to their geographical location
and continuous power cuts, had network issues and were unable to join.

TERMINATIONS 2021/22

A member of the Rotaract Club of University of Colombo, Faculty of Arts is
subjected to the termination policy if they fall under the following criteria;

I. Upon failure to meet attendance requirements unless excused by the
board of directors of this club for good and sufficient reason or,
ii. By termination of the club or
iii. On 30 June of the Rotaract year in which the member leaves the Faculty
of Arts, University of Colombo upon successful completion of his/her
undergraduate degree programme or,
iv. On 30 June of the Rotaract year in which the member leaves the Faculty
of Arts, University of Colombo, for other reasons including premature
termination of his/ her degree programme or
v. Due to a disciplinary issue.

However, in the event the District Rotaract representative Elect for a
Rotaract year is a member of the Club, and has to terminate his/her
membership due to his/her degree programme being complete, he/she may
decide to continue his/her membership in the Club with special permission
of the Dean of the Faculty of Arts and the President and Secretary of the
Club until his/her term of office as District Rotaract Representative is over.

At the end of the previous Rotaract year (2020/21), there were 60 active
members and 5 prospective members reported on RMIS. But, most of those
members were not active and were members who were a part of the club
years before. As such, the actual number of active members of the club were
much less than what was reported on the system. Therefore, at the
beginning of this year (2021/22), we decided to make the majority of the
members inactive, in order to update and maintain a more accurate
membership database.

Before terminating the relevant members, a WhatsApp message was sent to
all the members of the club including both active and inactive members,
requesting them to confirm whether they are hoping to continue their
membership in the club or not. The reason why we chose the option was not
many were responsive towards emails. Based on the responses we
received, the members who are no longer a part of neither the university nor
the club, as well as the members who wanted to quit Rotaract even though
they are still at university, and also the members who did not respond to the
aforementioned email before the stipulated deadline for confirmation were
inactivated.

In case of a disciplinary issue, we would send a disciplinary action email
with a warning of a possible termination if the situation is not rectified. In an
occurrence where they continuously neglect the said warning, with the
consultation of the Senior Treasurer and Club Advisor, the Executive Board
will make the decision to terminate the member.

Team 07 - 'Water Benders'

The team was able to successfully complete
Project 'Dividara' under the TogetherSL
initiative on the 30th of January, 2022. The
project's main focus was to address goal 06 -
Clean water and sanitation of the Sustainable
Development Goals. The project also
addressed the Rotary Focus Area -
Community Economic Development and
other SDGs such as Good Health and
Wellbeing and Sustainable Communities.
Throughout the project, the team was able to
provide clean water, sanitation and hygiene to
the village folk of Iddagahapitiya,
Wathugahamulla by building a new tube well
and by installing a water storage tank. The
project also focused on providing the village
folk with knowledge on the importance of
clean water and sanitation and the
importance of Sustainable Development
Goals by placing a sign post adjoining the
tube well area and conducting a special
awareness prpgram and distributing
informative leaflets. Furthermore, a few plants
were planted to further ensure sustainability
and refreshments were given to all those who
joined the awareness program.

ROTARY FOCUS AREAS

SDG GOALS

Rotaract Sustainability Summit 2022 is a multi-
phased program to create awareness among the
youth regarding the concept of sustainability. The
initiative focused on highlighting the importance of
Sustainable Development Goals and Sustainable
Leadership to make a considerable impact on the
patterns of thinking. Through three distinctive
phases, various concepts of sustainability and its
practicality were brought forth to the audience. The
First Phase consisted of three-panel discussions
with emphasis on sustainability as well as the
practical aspects of sustainable development goals,
and the phase was concluded with a knowledge-
sharing session. The Second Phase of the initiative
is a PR Campaign exclusively directed toward
spreading awareness about the topic of
sustainability. The Third Phase of the initiative is a
Virtual Event which was held on the 21st of May
2022. The summit took the form of a knowledge
sharing session with the aim of enhancing the
knowledge and the capability of the youth on
numerous aspects of sustainability, providing the
participants with a comprehensive perception of
practical approaches in incorporating sustainability
to one’s environment.

SDG GOALS

‘Designercovery’ is the t-shirt designing
competition of the Rotaract Club of
University of Colombo Faculty of Arts. The
members of the club were given the chance
to design the club t-shirt for the year
2021/22. The competition commenced on
the 8th of July and designs were accepted
till the 18th of July, 2021.

The key objectives of this project were to
give the club members an opportunity to
showcase their designing skills and to
provide the newly joined members an
opening to engage in club activities. The t-
shirt design, submitted by the PR Team, was
chosen as the best design.

The members of the RACUOCFOA benifited
from this project as they got an opportunity
to test their designing skills, and the club
was able to find a fitting design for the year
2021/2022.

‘Sandwiches and Skittles’ is a virtual club
picnic organized by the Rotaract Club of
University of Colombo Faculty of Arts, held
on 11th September, 2021. This was an
interactive session filled with fun games and
entertainment segments.

The main objective of this project was to
enhance fellowship among club members
by creating a platform where our club
members could get to know each other and
bond over. Further, this project was
organized to provide our members with an
opportunity to have some fun and enjoy
themselves, especially during a time when
physical activities were restrained.

In terms of outcomes, the virtual club picnic
assisted in improving the bonds between
the club members of RACUOCFOA.

SDG GOALS

Tis The Season’, is a Club Service initiative
organized by the Rotaract Club of the
University of Colombo, Faculty of Arts, to
share the Christmas spirit across Sri Lankan
Rotaract Clubs. Eight of our members
handcrafted 130 Seasons greeting cards, and
sent them to the President or the Secretary
of each Rotaract Club, and to the members of
the District Steering Committee.

The main objective of this project was
spreading the Christmas spirit and
strengthening fellowship of the Rotaract
family. Further, the project aimed to enhance
the creativity of members and to emphasize
the value of empathy.

This initiative met our desired impact, as our
club received numerous positive responses
and gratitude from all of the clubs who
received the cards. Memebers of
RACUOCFOA benifited from this project as
they got an opportunity to showcase their
creativity, and were able to share the joy of
the season with fellow Rotaractors across the
country.

SDG GOALS

The 12th Installation Ceremony of the
Rotaract Club of University of Colombo,
Faculty of Arts was held on 9th February,
2022, at the New Arts Theater (NAT) of the
University of Colombo.

The appointment letters were handed over
to the newly appointed board by the
president for the year 2021/2022. In
addition, members who actively engaged
during the rotaract year 2020-2021 were
recognized for their effort with their service
letters.

When considering the outcomes of the
event, members of the Rotaract Club of the
University of Colombo, Faculty of Arts, were
recognized for their contributions to the
club's success.

SDG GOALS

In commemoration of the 12th Charter day
of the Rotaract club of University of
Colombo, Faculty of Arts, on 26th March
2022, a video of a selected number of the
members describing their experience at
Rotaract in one word was shared. In
addition, lunch packets were provided for
the cleaning staff of the University of
Colombo, Faculty of Arts, highliting our
slogan for the year; ‘Leading with Empathy
& Spirit’.

The main objectives of this initiative was to
provide the opportunity for the club
members to learn the club history and the
impact made by the projects initiated by the
club, as well as to reflect this year's slogan
of the club.

‘Metanoia’ was a project which focused on
mental health related issues faced by club
members as well as undergraduates of
University of Colombo, Faculty of Arts due
to online learning, and the COVID-19
pandemic.

The first phase of Metanoia was the
publication of a series of flyers on
testimonials sent by undergraduates. The
second phase was a webinar which was
held on 27th March, 2022. The main goal of
this project was to increase awareness
about mental health difficulties that
undergraduates experience. Furthermore, it
aimed to give undergraduates the
opportunity to discuss their difficulties with
university counselors and receive
appropriate, practical solutions.

Club members as well as Undergraduates
of the University of Colombo Faculty of Arts,
were greatly benefited from this project.

SDG GOALS

‘Seoul2Tokyo’ is a joint Club Service initiative
organized by Rotaract Clubs of Royal
Institute Colombo and University of
Colombo, Faculty of Arts. This was a virtual
elimination competition for fans of Korean
Pop, Korean Drama, Anime and Manga.

The main objectives of this project were, to
establish a long term bond with the
partnering Rotaract club, to showcase and
promote the clubs in a positive light to the
general public, and to give our participants
the opportunity to have a fun and
memorable evening.

The orientation 21/22 of the Rotaract Club
of University of Colombo Faculty of Arts was
held on 27th May 2022 via zoom. The newly
joined members base was welcomed to the
club. They were given a descriptive
understanding about the club, avenues and
role of the club within the university
premises.

We were able to secure a total of 80
enthusiastic individuals who were
interested in becoming part of the Rotaract
Club of University of Colombo, Faculty of
Arts.

SLAMM is a continued tradition shared by
the five Rotaract Clubs of the University of
Colombo. The title of the project stands for
Science, Law, Arts, Management and
Medicine which are the five faculties of the
University of Colombo.

This year's SLAMM storyline was developed
in a way in which the participants were
escorted around the university premises all
the while engaging in the fierce
competition. The teams had to pass
through an array of games and riddles to
reach the end of the scavenger hunt. The
storyline of this scavenger hunt draws
inspiration from the popular Spanish TV
series "Money heist". In order to
successfully complete the mission, the
teams were required to utilize knowledge of
each and every member which eventually
helps bring the Rotaractors of all five clubs,
closer.

Ministry of Magic Day Out’ is a Club Service
initiative by the Rotaract Clubs of University
of Colombo, Faculty of Arts and the
Rotaract Club of University of Peradeniya,
based on the Wizarding World of Harry
Potter.
The Main objectives of this project were to
give the Rotaractors an opportunity to meet
new Rotaractors, make connections and to
develop their communication skills, and an
opportunity to relax and have fun.

SDG GOALS

‘Enigma’ was a project spearheaded by the
Editorial. It consisted of two separate
phases, with the first phase being a series
of 10 articles published on the blog which
focused on unsolved mysteries across the
globe. This phase extended from October
14th, 2021 to November 16th, 2021. A
second phase was also conducted on 28th
May, where rotaractors took part in a series
of fun activities based on the unsolved
mysteries discussed through the articles.

The objectives of the project included
creating interest in the topics among the
readers, and the improvement of
researching and writing skills within the
members of the Editorial.

‘Forspoken’ was a project conducted by the
Editorial. This project was structured in two
phases. The first phase consisted of the
publication of a series of 6 articles on the
blog, which focused on historical landmarks
that were also famous for their mystical lore
and supernatural bearings. This phase
began on November 18th, 2021 and
extended to December 7th, 2021. The
second phase for the project launched on
28th May, where fellow Rotaractors came
together and took part in a series of
thematically designed games and fun
activities, with the main objective of
improving the team spirit within the club.

The main objectives of the project were
both educating and instilling an interest
within the readers about the locales that
were discussed, and also the subsequent
improvement in researching and writing
skills within the writers involved in the
project.

Mithudam 2.0 was conducted as a joint
project with the Leo Club of University of
Colombo, Faculty of Arts, with Hype Sri
Lanka as the outreach partner. This project
was conducted during the pandemic, when
schools were still closed and students were
studying through online means. Mithudam
2.0 aimed to provide smartphones to
students who did not have access to online
learning facilities. The project took place on
the 12th of September in 2021. ‘Mithudam
2.0’ saw that five mobile phones and other
stationery items were provided to students
of Meegammana Junior School, Wattala.

Furthermore, this project received the
award for the Winner (Gold Award) under
the project category ‘Best Joint Project with
an Outside Organization’ at the Annual Leo
District Conference and Award Ceremony of
Leo District 306 A.

Forget-Me-Not was an initiative conducted
in commemoration of World Children’s Day
2021. The aim of this project was to raise
awareness on the topic of child abuse and
to banish various myths surrounding it. The
first component of Forget-Me-Not took the
form of a poster campaign, in which flyers
on child abuse and the various myths
surrounding it were circulated on social
media. The second component was a
webinar on the topic of Child Sexual Abuse
(CSA), conducted on the 9th of September,
2021. Members of the Concrete Angels
Foundation joined the webinar as the
resource persons to provide awareness on
CSA and how it can be prevented and dealt
with.

This project allowed us to educate the
general public on the issue of child abuse,
provide insight on how prevalent it is in the
country, various myths regarding it, its long
term and short-term effects and more.

SDG GOALS

‘Athwal’ was conducted to provide essential
food rations to the students of Batawela
Kanishta Vidyala in Padukka, with the hope
of assisting them and their families to
obtain proper nutrition during a time of
financial difficulty brought on by the
pandemic. It took the form of a donation of
95 packs of dry rations to the students and
teachers of this school, conducted on the
16th of December in 2021. Batawela
Kanishta Vidyala has 83 students from
grades 1 to 5 and most of them were facing
severe financial difficulties.

Through ‘Athwal’, we hoped to provide
them, and their families some assistance
with household necessities, and in turn
creating a conducive environment for the
students to receive education unhindered
by financial difficulties.

SDG GOALS

Stop the Spread was conducted to help the
students of Batawela Kanishta Vidyalaya,
Padukka, to resume their school life safely
after online learning during the pandemic.
For this purpose, we provided sanitary
items such as masks, sanitizers, soap and
more to the students of this school, in
order to help them curb the spread of
COVID-19. In addition, an awareness
session was conducted with all the students
of the school, where we taught them social
distancing and hygiene practices such as
washing hands and maintaining distance
between them. As a part of this project, the
students of grade 5 of these schools were
also given past paper books to help them
prepare for their Grade 5 Scholarship
exams. Through this project, we were able
to give the students a thorough knowledge
of good health practices to follow during
the pandemic, as well as to ensure that they
are well-equipped to prevent COVID-19
from spreading within the school.

SDG GOALS

Beneath the Waves was an initiative
conducted under the topic of wildlife
conservation. This project was largely
focused on marine life conservation and
took the form of two phases. The first
phase consisted of circulating awareness
posters on the threats faced by marine life.
The second phase was a webinar on the
conservation of sea turtles. The awareness
posters were published over the month of
February. The webinar took place on the
28th of February 2022, and Miss Avishka
Senadanayake of Pearl Protectors was the
resource person for this session.

Through this project, we were able to raise
awareness on largely unknown threats that
are faced by marine life and educate the
audience on how we can contribute
towards healthier oceans and healthier
marine life.
