CHAPTER COMMITTEES & DESCRIPTIONS
Executive Board: Responsible for providing leadership, strategic direction, and
operational excellence to the Chapter. Shall have the general supervision of the affairs
of the Chapter between business meetings, and perform such other duties as specified
in, but not limited to, the Chapter Bylaws.
Executive Committee: The Executive Committee shall help plan and execute the
Chapter Retreat and assist with the strategic development of the Chapter.
Audit Committee: Responsible for monitoring the integrity of the financial well-being
of the Chapter by ensuring that the Chapter is in full compliance with all local, Regional,
and National financial requirements.
Bylaws: Responsible for the development, review, and revision of the Chapter’s
Bylaws, Policies, and Procedures.
Finance: Responsible for preparing an annual budget for all operations of the
Chapter. Shall monitor and recommend changes to the budget to meet the Chapter’s
needs.
Foundation: Responsible for ensuring the Chapter supports Jack and Jill of America
Foundation. Shall recommend, organize, and implement a fundraising opportunity
each Program Year.
Health: Responsible for identifying and addressing health concerns affecting youth
and adults in our communities.
Hospitality: Responsible for coordinating activities which promote the good of the
order including extends courtesies to the membership for various life events including
illness, death, retirements, births, etc. ensuring that hostesses are in place for

Membership: Responsible for maintaining the membership roster and attendance.
Shall assess the needs of the members. Shall review member compliance and shall be
responsible for new member intake.
Nominating: Responsible for establishing procedures for the election process.
Program: Responsible for coordinating the activities and programs for the chapter.
Shall prepare and submit the Program Handbook. Shall determine Grade Group needs
based on the number and gender of children.
Protocol: Responsible for the execution of all ceremonial matters and shall assist the
President and serve as the lead hostess at all formal events.
Publicity/Communications: Responsible for preparing written articles of Chapter
Activities for inclusion in the Program Handbook, newspapers, and other viable media.
Shall prepare submission for Up the Hill and publish two chapter newsletters.
Technology: Responsible for ensuring that all technology needed for meetings and
events is available and
operational. Educates the membership on the use of current and new technology.
Oratorical: The Oratorical Committee is responsible for coordinating and
implementing the oratorical workshop and competition for the Chapter.
5-Star: Responsible for communicating the standards for obtaining 5-Star Chapter
status. This committee will also collect the necessary chapter data for the final
submission of the 5-Star application.

INTRODUCTION/PREAMBLE
The Chapter’s Policies and Procedures Manual is one of the series of governing documents created to
provide operational guidance to the members of the Greater Fort Lauderdale Chapter. The purpose of the
manual is to give notice and describe the Chapter operational policies and procedures. This manual
complements the National Constitution and Bylaws, National Policies and Procedures, National Financial
Handbook, National Member Handbook, and the Greater Fort Lauderdale Chapter Bylaws and intended to
be a living document.

The policy of this Chapter is to ensure that the name of this organization is identified correctly on all
correspondence both internally and externally.

C. PROCEDURE
Section 1………………………..Individual Classifications
A. Active Members
(i.)To maintain active membership, a mother and child(ren) must attend all meeting and activities as required
by the Chapter Bylaws and other governing documents. Active status must be maintain throughout the
Program Year (i.e. June 1st through May 31st), including all financial obligation as they arise with in the
Program Year.
(ii.) The active status of a mother graduating out of the Chapter terminates at the end of the membership
program year (which includes all conventions) when the youngest child completes high school or age twenty.
(iii.) In order for a mother to graduate in good standing pursuant to Art. 3, Sec. 1 A. (ii) a mother must have
met all of the meeting, activities and financial requirements of the Chapter and the National organization.
(iv.) A mother’s active status ends at the end of each Program Year (i.e. May 31st) and a mother is not active
for the next Program Year (i.e. June 1st) until she pays dues.
B. New Members
(i.)The Membership Committee should report the following to the membership:
i. The number of vacancies anticipated
ii. The projected distribution of children, by age group and gender
iii. The recommended number of new members
iv. Confirm that prospective members live within the chapter boundaries
(ii.) The membership should vote on the maximum number of members to be invited to join the Chapter in
accordance with the Chapter’s Bylaws.
(iii.) The recruitment process should include, but not be limited to, inviting the prospective mothers and their
children to attend Chapter or selected group activities, as identified by the Program Director and/or the
Membership Committee.
(iv.) A fact sheet should be distributed to the membership that details the prospective mothers’ family
information (children’s name, age, and age group) and their community involvement.
(v.) Before the election of new chapter members in March or April the Chapter may conduct a social activity
(i.e. Mothers’ Tea) for prospective mothers. The membership and associates are invited and encouraged to
attend the social activity to meet the prospective mothers. An overview of Jack and Jill of America, Inc. shall be
given to inform prospective mothers about the organization’s national, regional, and local structure, as well as
the Chapter’s community involvement.
(vi.)Elected candidates shall be invited to attend an orientation, which must occur prior to the initiation of new
members.
(vii.) Sponsors and Chapter Officers shall be invited to attend the Orientation. However, this does not
preclude other members from attending.
(viii.) At the orientation, the candidates will once again hear about the organization’s national, regional and
local structure. However, this orientation’s emphasis is placed on the Greater Fort Lauderdale Chapter.
Information presented should include membership and financial requirements, time commitment and
leadership expectations as well as children’s participation.

C. Legacy Members
A mother entering the Chapter through Legacy status is require to fulfill the obligations of the membership as
outline in this Policies and Procedures, Chapter Bylaws and the organization’s National Constitution and Bylaws.
Failure to comply with these obligations may result in termination. Once terminated, a mother cannot reapply
for membership under Legacy status.
D. Associate Members
The chair of the Membership Committee shall serve as the Chapter liaison to the Associate members. She shall
be responsible for ensuring communication between the Associate Chair and the Chapter.
Section 2………………………………Membership Responsibilities
(a.) Meetings/Grade Group/Chapter Activities Attendance
(i) The Vice President of Membership shall be responsible for maintaining the attendance roster for the
Chapter.
(ii.) The Program Director shall collect the attendance from the Grade Group and Chapter activities and
provide same to the Vice President of Membership monthly.
(iii.) The Teen Grade Group sponsor shall be responsible for maintaining attendance for teen meeting and
shall provide the attendance to the Vice President of Membership monthly.
(iv.) In order for a mother’s or child’s attendance to be counted, they must be in attendance for at least 50%
of the meeting or activity (i.e. If a mother or child comes to a meeting or activity at the beginning or end for a
short period of time in order to sign the attendance sheet, that attendance shall not be counted).
(b.) Hosting Responsibilities
(i.)Prior to the Chapter Retreat the Grade Group Chairs shall assign each mother in her group a host month
so that the host mother can be ready to present the date of their activity at the Chapter Retreat. This will
allow for planning the Chapter Calendar for the Program Year and ensure maximum participation.
(ii.)In planning a Grade Group Activity, a mother should take into consideration the National, Regional &
Chapter Program Thrusts as well as the age of the children and the availability of the mothers and children
in the group.
(iii.) The host mother should communicate the details and request responses (i.e. evites) at three weeks
prior to the date of the activity.
(iv.)Mothers shall be responsible for reimbursing the host for any cost associated with their child(ren)’s
participation in an activity. If a mother responds that the child will attend and they do not attend, the
mother is still responsible for the cost of that activity.
