1.0 INTRODUCTION

AMC College is a Private Higher Learning Institution registered under the Ministry of
Education, Malaysia (Approval license: KP(JPS) 5195/IPTS/1077).

AMC is established in 1985 and wholly owned by Advanced Business System
Consultants Sdn. Bhd (ABSC), which is an ISO Certified company: ISO 9001:2015.
AMC offers a wide range of diplomas’ and certificate courses in the field of Business,
Accountancy, Marketing, Information Technology and Hotel Management.
AMC has earned a strong reputation throughout Sabah for its successful provisions of
trainings in ICT and Languages and over the years, AMC has trained over 466,000
trainees in our main campus in Likas Square and at 50 Approved Training Centers
located throughout Sabah.
AMC is an Approved Centre for the London Chamber of Commerce & Industry, UK
(LCCI) and an Authorized Test Centre for PEARSONS. The College offers professional
certifications which are recognized globally such as Microsoft Certified Solutions
Associates (MCSA), Cisco Certified Network Associate (CCNA) and CompTia
Security+. AMC is also an Approved Training Provider under the Ministry of Human
Resources.
AMC’s networks of collaboration partners include University of Sunderland (UK),
Oxford Brookes University (UK), Anglia Ruskin University (UK), University of
Wolverhampton (UK), University of Wollongong (Australia), Canberra University

4.0 COLLEGE POLICIES

All students registered in this College must abide the following Policies:

4.1 Finance Policies

4.1.1 AMC’s fee structure consists of 2 components:
(a) Course fee
(b) Application fee

(a) Course Fee
Cover only the subject or course enrolled. Course fee can be paid in lump sum or
semester basis.
i. Payments of fees must always be made at the counter and not through
anyone else, e.g. your fellow classmates or your lecturers etc.
ii. Original Receipts must be obtained upon payment of fees at the counter.
iii. Semester Course Fee must always be paid in the FIRST WEEK of the semester.
Fees paid will NOT BE REFUNDED AND ARE NOT TRANSFERABLE under any
circumstances.
iv. The course fee does not cover the cost of textbooks and external
examination fees.
v. Course fee may vary from time to time

(b) Application Fee
Application fee shall be paid by all NEW students enrolling full-time and part time
courses.

4.1.2 Payment Method
i. Payment by cash can only be made at the AMC Reception Office.
ii. Payments by cheque are to be made payable to ‘Advanced Business System

Consultants Sdn bhd’.
4.1.3 Late Payment Penalty Fee

i. If payment is not received by the due date, students will automatically be barred/
suspended from entering class and cannot sit for Final Semester Examination.

ii. The college reserves the right to impose penalty to lift the suspension on student
who fail to pay their Course fee by the due date.

iii. If payment is not received within 3 weeks of the start of the semester, the student
will automatically be placed on ‘defer’ status for that semester.

4.1.4 Examination Re-sit Fee
i. An amount of RM 50.00 must be paid within the first week of the new semester
before the student is allowed to re-sit for the failed subject.
ii. The exam will be conducted in the first week of the new semester.

4.1.5 Inter-Programme Transfer Fee
i. An Administrative Fee of RM 100.00 will be imposed for Inter-Programme transfer

except when the transfer is carried out before the semester commences.

ii. The amount of fees transferable to the new programme is subject to the following:
• If the transfer is carried out within one month after the commencement of the
first semester, all fees paid are transferable to the new programme
• If the transfer is carried out after the first month of the first semester, only 50%
of all fees paid are transferable.

4.1.6 Refund Policy
Under the following circumstances, the amount of fees refundable is subject to the
following:
i. Cancellation of class: The course in which the student has registered is cancelled

due to insufficient number of students, 100% of course fee are Refundable.
ii. Illness or injuries (prior to the commencement of classes): The registered student

having suffered serious illness or injuries is physically unfit to attend class. The
student or his/her next of kin must produce a medical report or other related
statements to prove his/her illness or injuries, 100% of course fee are Refundable.
4.1.7 Refund Procedures
i. The approval for a refund is subject to the final decision of the Chief Executive
ii. Student wishing to claim a refund must fill in the Fee Refund Application Form
(ABSC-ACA-F011) and submit to Student Admission and Affairs Department.
iii. All refunds will be made in cheque form only.

4.2 Admission Policies

Terms and Conditions on Admission.

Definition

Unless otherwise defined herein, the following expressions shall have the definitions

set out below:

Programme Any programme or course of whatever duration

offered by and delivered at AMC College.

AMC AMC College or Management of AMC College
Programme subject
Working days The courses or subject within a programme

All references to working days herein mean a day
on which banks are open for business in the
relevant state in Malaysia.

4.2.1 Fees
1. All fees and/or charges payable with respect to the programme undertaken must

be paid in full by the due date. No fees should be paid to anyone except to AMC.
No agent has been authorized to collect fees on AMC’s behalf and AMC will not
be responsible to anyone for any monies paid to any other party other than AMC.

Fee payment can be made by cash and cheque. Students need to quote their
name and Student Number (where available) when making payment.

2. Refund of Tuition and/or Charges

All (A) Tuition Fees, (B) application, registration, administration, commitment (if
any), visa application and other fees/charges (e.g. insurance premiums) paid are
non-refundable and non-transferable, unless the Student’s written request for
refund (by completing and submitting the Refund Form) is approved by the AMC’s
and shall be subject to the following conditions (unless waived or varied by the
AMC College’s on a case by case basis):

2A. Where a Student wishes to withdraw from commencing his Programme or
discontinue studying his programme:

Tuition Fees

i. If the written notice requesting to withdraw is received from the Student
BEFORE the INTAKE DATE*, a full refund on the Tuition Fees shall be made,
free of any interest.

*Note: “Intake Date” refers to the programme commencement date of the
relevant intake which the Student has registered for e.g., Student has
registered for the June 2013 intake of Programme which is to commence on
1st June 2013, and hence the 1st June 2013 is the intake date.

ii. If the written notice requesting to withdraw from commencing the
Programme or to discontinue studying the Programme is received from the
Student at any time AFTER the Intake Date:

a. In relation to the Programmes Refundable based on Semesters*, there
shall be no refund of such portion of the Tuition fees allocated as the value
of the Tuition Fees for the running semester**. Only the balance***, if there
is any, not exceeding an amount equivalent to 50% of that academic
year’s value of Tuition Fees, is refundable.

Notes:
* “Programmes refundable based on Semesters” refers to programmes
where Programme Subjects/Course or numbers of Subjects/Courses are
fixed for each Semester. Refund will be apportioned according to
remaining semesters paid for.

** There shall be no refund for the whole of the running semester,
regardless at which stage of the semester the Student withdraws or
discontinues the Programme.

*** i.e. Tuition Fees allocated as the value (or part of the value) of the
Tuition Fees for the future semester.

b. In relation to Programmes Refundable based on Programme Subjects*,

there shall be no refund of Tuition Fees allocated as the value of the Tuition
Fees for Programme Subjects taken** by the Student in that running
semester. Only the balance***, if there is any, not exceeding an amount
equivalent to 50% of that academic year’s value of Tuition Fees, is
refundable.
Notes:
* “Programmes refundable based on Programme Subjects* refers to
programmes delivered based on Programme Subjects taken up by
Student each semester.
** A Programme Subject is regarded as taken by the Student if (i) the
Student has registered for the Programme Subject; and (ii) the semester in
which that programme Subject is to be taught has commenced; and (iii)
regardless of whether the teaching of the Programme Subject had in
actual fact commenced or whether Student attends any classes of that
Programme Subject.
*** i.e. Tuition Fees allocated as the value (or part of the value) of the
Tuition Fees for Programme Subjects to be taken in future semester(s).
c. In the event there shall be any shortfall between the Tuition Fees paid and
the actual amount in Tuition Fees utilized by the Student (calculated in the
manner set out in paragraph 2A (ii) above), there shall be no refund and
the Student shall be required to pay the shortfall notified to the Student.

2B. Where a Student wishes to defer his Programme:

i. Under special circumstances, the students may request in writing to defer the
programme, but subject to the following:

(a) (i) In the case of International Students, where class has not yet
commenced and student
has not yet arrived in Malaysia to undergo study; or
(ii) In the case of Local Students, where class has not yet commenced;

Approval of Principal/Registrar shall be required for the deferment and the
Student is not allowed to defer for more than one (1) year from when he first
registered for the programme.

(b) (i) In the case of International Students, where class has commenced but
student has yet
to join the class; or
(ii) In the case of Local Students, where class has commenced but
student has yet to join
the class;

Approval of Principal/Registrar shall be required for the deferment and the
Student is not allowed to defer for more than six (6) months from when he first
registered for the programme.

(c) (i) In the case of International Students, where the Student has arrived in
Malaysia, class
has commenced and has joined the class; or
(ii) In the case of Local Students, where class has commenced and has
joined the class;

Approval of the Head of School endorsed by the Principal/Registrar shall be
required, and the Student is not allowed to defer for more than two (2)
consecutive semesters.

If a Student defers for more than the stipulated duration, all fees paid may
be forfeited (unless waived by the Principal/Registrar.)

(ii) Where a deferment is approved in the manner stated at paragraph
2B (i) above, one hundred percent (100%) of the unutilized Tuition Fees,
so paid shall not be refunded but shall be held by AMC and will be
credited (without any interest accruing) towards the payments of the
fees and/or charges payable when the Student shall take the deferred
Programme.

(iii) AMC College may require the Student to top-up any shortfall in fees
and/or charges should the fees and/or charges have increased at the
point in the time when the Student commences or continues his
Programme at a later date.

(iv) During the period of a Student’s deferment of a Programme, AMC
College reserves the right to make any changes or modification to the
Programme including changes to the Programme design, structure,
content, and mode of delivery or even discontinuing parts of or the
entire Programme without incurring a liability against the Student. Where
changes to the programme do not differ materially from the Programme
offered to the Student prior to deferment, the Student shall agree to
take/continue the Programme in its modified state. In the event
changes to the Programme render the Programme materially different
from what was offered to the Student prior to deferment, or if the
Programme is discontinued entirely, AMC College shall be entitled to
discharge the Student from the Programme and refund monies paid in
accordance to the refund policies state in paragraph 3A.

3. In the event of non-payment or late payment of any fees or any part thereof
without prior written approval from the Principal/Registry, AMC has the right
without further notice,

i. to charge administrative charges on each day of default from the date
payment is due until date of settlement of the fees; and

ii. AMC reserves the right to bar the Student from using its facilities and/or
attending classes and/or withholding submission of answer
scripts/assignment for marking or withholding examination results,

transcripts or certificates and/or suspend provision of any services, and/or
take such action as it deems appropriate.
4. Published fees are based on a full load of subjects in a Programme taken on full
time study. Where a non-standard load of subjects is taken, the relevant
exemption rebate (in case of exemption of subjects or additional fee (in case of
addition of subjects may apply in calculating the total fees payable. The fees may
vary also if the mode of study is other than full time study.
5. In the event of a Student wishing to change the Programme, the Student shall be
required to make the request in writing to the Head of School /Centre of AMC. No
change of Programme will be allowed unless the prior approval by the Head of
School/Centre is obtained. The amount of Tuition Fees paid for the first Programme
shall be transferable to the second Programme subject to the following conditions:
i. If the written notice requesting to change the Programme was received
BEFORE Intake Date of the first Programme, one hundred percent (100%) of
the Tuition fees, so paid shall be credited towards the payment of the Tuition
fees, payable for the second Programme.

ii. If the written notice requesting to change the Programme was received
AFTER Intake Date of the first Programme the proportionate amount of the
Tuition Fees:
a. Consumed for the first Programme will be deducted and the balance
shall be transferred to the second Programme.

iii. The Student shall be required to top-up the Tuition Fees if there is a shortfall
for the second Programme.

4.2.2 Admission on Forecast Results

1. If a Student is accepted into a Programme with forecast/trial results and later the
actual results is below the forecast/trial results causing the Student not being able
to fulfill the entry requirements for his Programme, then the Student may be
required to leave the Programme, unless (if applicable) the Student is able to
satisfy other conditions stipulated to enable entry into the Programme.

2. If a Student is required to leave the Programme for the foregoing reasons, the
Student may enroll for another Programme with AMC with his qualification. If the
Student so enrolls, all Tuitions Fees paid shall be transferred to the new Programme.
The Student shall be required to top-up the Tuition Fees if there is a shortfall.

4.2.3 Non Commencement of Programmes

In the event AMC is of the opinion that it is not viable for whatever reasons (including
cohort size), to commence any proposed Programmes or Programme
subjects/courses, appropriate refund, free of interest, shall be made if a Programme
is discontinued.

4.2.4 Admission or Transfer

The completion of each year/level of the Programme does not necessarily give the
Student automatic progression in the same Programme or admission or transfer into
another Programme in AMC. The student shall be required to comply with the
enrollment, progression or transfer requirements and procedures stipulated by AMC
from time to time.

4.2.5 Notice

All letters, receipts, invoices, notices and other correspondences to the Student
(where applicable including to person(s) concerned over the Students’ wellbeing,
welfare, progress of Students’ studies such as parents, family members, embassies or
consulates of the Students’ home country (“Concern Person”) shall be sufficiently
served if delivered,

a. by hand to the Student (and, where applicable, to the Concern Person); or

b. by registered post to the Student (and, where applicable, to the Concern
person) at the last known correspondence address;

And shall be deemed to have been received by the Student (and, where applicable,
by the Concern Person) upon delivery if delivered by hand to the student (and, where
applicable, to the Concern Person) or within five (5) working days of postage if
delivered by post.

Where appropriate or deemed expeditious, AMC may correspond with Students
(and, where applicable, with the Concern Person) by way of electronic mail and may
follow up on important notices by sending the written notice by hand to the Student
or by registered post to the Student (and, where applicable, to the Concern Person).

4.2.6 Immigration

It is the duty and responsibility of the Student to obtain the relevant
pass/visa/permission from the immigration authorities to study in Malaysia (for
international students in Malaysia).

International Students studying in Malaysia must abide by the rules, directions and
advice provided by AMC (including by the department in charge of International
Student affairs) and AMC shall not be responsible for any breach by Students resulting
in immigration action being taken against the Student.

4.2.7 Rules and Regulations, Student Handbook, Terms and Condition, etc.

In addition to these Terms and Condition on Admission, the Student must comply with
and abide by the relevant laws and regulations, Student Handbook and other
directions, rulings and decisions of AMC, its lectures, tutors and administrators
(including rules of conduct and discipline, rules applicable to International Students,
rules on facility usage, e.g. hostel rules, car park rules, library rules, etc.) (“Student
Rules”). In the event of non-compliance by the Student of any relevant laws and
regulations, Student Rules or these Terms and Conditions on Admission, AMC shall
reserve the rights to take such action it deems necessary against the Student including
disciplinary action and/or barring the Student from using its facilities and/or attending
classes and/or withholding the submission of answer scripts/assignment for making , or

withholding examination results, transcripts, or certificates and/or suspend provision of
any service and/or take such action as it deems appropriate.
4.2.8 Variation
AMC reserves the right at its sole discretion to amend, vary or modify any or all fees
and/or charges including (and not limited to) the Examination Fees and Re-take/Re-
sit/Repeat Fees, certificate fees, transcripts fees, endorsement fees from time to time,
without notice. Any errors or omissions in fee schedules given to students (if any) are
accepted.
AMC reserves the right at its absolute discretion, to vary or display any of these Terms
and Conditions on Admission and the Student Rules without notice.

4.3 Administrative Procedures

1. Full Acceptance Offer Letter

The College will issue the Full Acceptance Offer Letter (FAOL) if your application study
at the College has been successful.

The FAOL issued by the College is an important document and should be kept with
due care. If you have lost or damaged your FAOL, it is your responsibility to report it to
the Student Affairs Department immediately for a replacement.

2. Student Identity Card

A student Identity Card will be issued upon the payment of all relevant fees, submission
of relevant documents to support the application for admission into the College and
fulfilling the entry requirements. All students are strongly advised to carry along their
Student Identity Card with them at all times in order to access the facilities available
at the Campus.

New students, who have not obtained their Student Identity Card within one month
after the commencement of the semester, must inform your Student Affairs
Department immediately for requisition of the card.

A Student Identity Card will be issued only once at the point of admission. If you have
lost or damaged your Student Identity Card, it is your responsibility to report it to your
Student Affairs Department immediately for a replacement. You can apply for
replacement using the Application for Replacement of Student Identity Card form
and an administrative fee will be levied.

In the event that the original Student Identity Card is found after submission of the
application, the replacement Student Identity Card fee will not be refunded.

3. Course Enrolment

A variety of courses is offered every semester. To maintain your status as an “active”
student and to benefit from the learning support services, you are required to enroll
for courses, as stipulated by the college, in each semester.

The College reserves the right, without prior notice, to change lecture, tutorial and
examination timetables, cancel the offering of courses and alter the academic

requirements of a course or programme when necessary and as deemed appropriate
by the authorities.

4. Prerequisites

Prerequisites are courses that you must undertake and pass to acquire the necessary
knowledge and skills prior to taking higher level courses.

For the latest prerequisites, you are advised to check with the College authorities.

5. Adding of Course(s)

Application to add course(s) will be considered on a case basis depending on your
academic performance and/or Advanced Standing status. You can apply to add
course(s) by using the Application for Adding of Course(s) form.

Students who are given exemption for certain courses due to Advanced Standing
may not be required to register for the entire block of courses originally scheduled for
that cohort in that semester. These students may apply to add course(s) in
replacement but the maximum number of courses enrolled must not exceed the total
number of courses originally scheduled for that cohort in that semester.

In normal circumstances, the application to add course(s) can be submitted from the
day the semester commences or within 7 days from the day examinations result is
released (whichever comes first) in each semester. For addition of course(s), student
is required to pay the fees accordingly.

Please take note that adding of course(s) is subject to the approval of the Academic
Board.

6. Dropping of Course(s)

Application to drop course(s) will be considered on a case to case basis depending
on your academic performance in each semester and/or Advanced Standing status.
You can apply to drop course(s) by using the Application for Dropping of Course(s)
form.

In normal circumstances, the application to drop course(s) can be submitted from the
day semester commences or within 7 days from the day the examination result is
released (whichever comes first) in each semester. Students are informed that they

may be required to drop courses if their academic performances have not fulfilled
the required criteria.
Please take note that dropping of course(s) is subject to the approval of the College.
7. Change of Personal Particulars
If you need to update your personal particulars, you may request the College to make
the necessary amendment by completing the Amendment of Personal Particulars
form.
All administrative forms are obtainable from the Student Affairs Department.
Completed forms should be submitted to the Registrar through the Student Affairs
Department. Telephone, email or fax requests are not accepted.
8. Plagiarism
A student shall not, when submitting an assignment/ project/ thesis/ dissertation,
present the work of others as his or her own work. This includes submitting an
assignment or part of an assignment which has been written jointly with other persons
or has been copied in its entirety or in part, without acknowledgement, from the work
of other persons, whether published or otherwise. Such actions or attempts are
considered as academic dishonesty (plagiarism). A student found to have violated
this regulation shall be liable to proceedings and other disciplinary action as may be
specified by the College.
9. Assignments
The College shall from time to time determine the number and nature of assignments
in each course and their contribution to the student’s course result. The College may
designate certain assignments or other activities in a course as ‘compulsory’.
Completion of such compulsory assignments or activities is required in order to obtain
a Pass result in the course.

The College shall inform the student of:

• the number of assignments to be completed for a particular course within the
period of study for the course;

• the number of assignments out of the total set which will be used in calculating
the student’s overall results;

• the manner in which the individual assignment scores will be combined.
The student shall submit each assignment in a course, in the numbers communicated
to the student. A student who does not submit a particular assignment by the specified
date shall be given a zero score for that assignment.
10. Submission dates
A student shall submit assignments for a course in accordance with the dates which
the College will communicate to the student. If an assignment is submitted after the
final submission date without prior permission, the Academic Department will have
the right to reject the assignment in which case a zero shall be given for that
assignment.
11. Resubmission of assignment
A student shall not be permitted to resubmit any assignment, in an attempt to improve
the score for that assignment.

4.4 Class Attendance Policies

4.4.1 Attendance for Lectures
i. Attendance is mandatory.
ii. Student attendance will be recorded in the attendance register on daily basis.
iii. Any student absent is to produce a Medical Certificate or a Formal Letter from

the parents/guardians to the form teacher.
iv. If a student is absent from lectures without sufficient explanation or proof for a

period exceeding 3 days, his/her name will be referred to their
parents/guardians by telephone. If a student requires leave of absence, a prior
written request by the parent or guardian must be produced to the form
teacher.
v. Transcript and testimonial will not be issued if student failed to attend 80% of the
classes.
vi. Attendance at graduation ceremonies is compulsory for all students involved in
such ceremonies.

4.4.2 Punctuality
Punctuality is also an important part of the academic discipline. Students are to
attend classes on time.

4.5 Academic Award and Recognition

4.5.1 Principal’s Award
This award is awarded to students who have achieved a Grade Point Average
(GPA) 3.60 or higher in their semester Final Examination.

4.6 Enrolment Status

4.6.1 Active
Attend class lectures, practical sessions at all times during the student duration of study
at AMC College.
4.6.2 Defer (With Approval)
i. A status where the student has requested and been granted approval to

postpone their study
ii. Deferment will only be allowed for two (2) semesters – refer 5.6
iii. If student fail to re-register their deferment, AMC College will consider them as

QUIT. Students will need to re-enroll as a new student.

4.6.3 Deferment of Subject in a course
Students are not allowed to defer subject(s) in their current semester; they will have to
sit all subjects in their exam.
4.6.4 Barred
A status where the student is prohibited from entering any class lectures and practical
sessions due to late payment of tuition fees.
4.6.5 Quit
i. A status where a student has quit from his or her studies by informing officially the

management of the college.
ii. If student fail to re-register their deferment after one (1) semester.

4.7 Discipline & Social Conduct

i. Students shall be punctual for lectures, tutorials, assemblies and all other College
functions.

ii. Students shall be polite and shall show respect to staff and officers of the College
and be courteous to visitors and their peers.

iii. Students shall obey all instruction of staff and officers of the rules and regulation
of the College, Clubs and societies.

iv. Under no circumstances shall any student curse, swear or threaten anybody.
v. During the conduct of any teaching, lecture or tutorial, no student is allowed to

leave the classroom, tutorial room or laboratory without the permission of the
lecturer.
vi. No student shall make any sound or noise where such noise or sound is likely to
cause annoyance or disturbance to any person.
vii. Eating is not permitted in the classrooms or anywhere else in the College premises
save for such places which are so designated by the College.
viii. No student shall in any manner use or consume of alcohol and any student who
is found in a state of drunkenness or in possession or control of any drug or poison
shall be guilty of a disciplinary offence. Nothing in this rule shall be deemed to
prevent a student from undergoing any treatment by or under the prescription
of a medical practitioner.
ix. No student shall give, supply, provide or offer or propose to give, supply, provide
or offer any alcoholic drink or poison to any person.
x. No student or organization, body or group if students shall in any way be involved
in any gaming wagering lottery or betting activities.
xi. Fans, lights and air-conditioners must be turned-off when not in use or when any
electrical fault on fans, lights and air-conditioners must be switched off
immediately. Taps must also be turned off after use to avoid any wastage.
Negligence or omission of any student will be claimed by the College from the
student community.
xii. Students must not smoke, use drugs, associate with undesirable people or join
secret societies.
xiii. No student shall have in his possession under his custody or control of any
obscene articles or be responsible for any form of graffiti.

xiv. No student or organization, body or group of students shall be in any manner
involved or concerned with the distribution, circulation or exhibition of any
xv. obscene articles.
xvi. No student shall have in his possession or under his custody or control any
weapons, arms ammunition, gun powder, kerosene or any explosive substance.
xvii. No student shall enter any part of the college or any part of the building within
xviii. the College the entry into which is prohibited to students generally or in particular
to the student or class of students concerned.
Smoking is strictly prohibited in the college premises.
No student shall commit sexual harassment (SH)* in whatever nature against
another student, staff and/or officer of the College. (the interpretation of SH will
be according the interpretation of SH in “the Code of Practice on the Prevention
and Eradication of Sexual Harassment at workplace”)

decently and properly dressed an all times within the College premises and at all
College functions.

4.9 Care for College Property

i. Students are responsible and accountable for the maintenance of chairs, tables
and whatever equipment /furniture /fittings /property in the college. Any
students found causing damage to any property of the college and of the staff
or officers of the college will have to make good the damage. Should the said

student not be identified, the cost of rectifying the damage or the replacement
thereof will have to be paid for by the student community of the college.
ii. The students and their sponsors shall indemnify and keep the college indemnified
against any loss or damage to property of the college or of the staff or officers
of the college and all costs and expenses in cured in respect of the rectification
and/or replacement of such losses or damages.
iii. Students shall not tamper, interfere with, move or in any manner deal with any
substance, object, article or property whatsoever of any person or knowingly do
any act or cause any act to be done in the college so as to cause or be likely to
cause any obstruction, inconvenience, annoyance, loss or damage to any
person.
iv. Students shall not do anything which may be prejudicial to the cleanliness and
neatness within the college or any lecture halls/rooms, laboratories, toilets or of
any part of the college or its immediate surroundings.

4.10 College Notices

Students must read all official notices issued by the College:

i. Such notices will be prominently displayed on all the relevant notice boards
around the College.

ii. All students wishing to display any notices or posters around the College must
seek permission from Student Affairs Department before displaying the same.

4.11 Students Property

i. All students must be responsible for the safety and security of their own
belongings and the College will not be responsible for any cash valuables or
other property lost in the College.

ii. Students are strongly discouraged from bringing expensive personal belongings
to the College Premises.

iii. Theft is a serious offence and any student involved in or participate in the theft
shall be expelled from the College unless otherwise decided by the College.

4.12 Do’s & Don’ts

1. Cleanliness
i. Every student is to keep the College premises clean at all time
ii. No littering is allowed
iii. No damaging college and public facilities will be tolerated
iv. Students are not allowed to bring food and drinks into the classrooms and

computer labs

1. Language
i. English Language shall be spoken and written at all times in the College premises

except during other language lessons.
ii. No foul languages are allowed to be spoken at all times in the College premises.

2. Students’ Personal Belongings
i. The College will NOT be responsible for any personal belongings of students lost

in the premises. Thus, students are advised NOT to come to college with
valuables, e.g. hand phones, jewelries, etc.
ii. Students should keep all personal items with them at all times.

3. School Property
i. Any damage to the College’s furniture, equipment, computers, other properties

or the belongings of other students must be reported immediately to the AMC
staff or lecturers.
ii. Any unintentional damage to the College’s property should be reported to the
Principal immediately. Any student intentionally damaging the College’s
property will be severely punished.
4. Smoking
Students are NOT allowed to smoke within designated NO SMOKING areas.
5. Reception Office & Lecturers’ Room
i. No students are allowed to enter the lecturers’ room without any valid
reason.
ii. Student are not allowed to stay at the Reception office.
iii. Any students who seek to see their respective lecturer must knock on the door
before entering the room.

4.13 Student Identification Card (“Student Id”)

Student ID card
Student MUST wear Student Identification Card at all times in the College compound.
i. All students are required to wear their student ID when entering the College’s

premises.
ii. Any students who are caught not wearing their ID will be barred from entering

the class.

5.0 ACADEMIC POLICIES

5.1 Course Results

Course grades will be released online via student portal approximately 6-8 weeks
after the examination period. The result notification slip indicating a student’s overall
performance in the course/s examined will be available online via the student portal
approximately two (2) weeks thereafter. Students are required to print their own copy
for retention/use.

5.2 Appeal on Course results

If a student’s believe that he or she has not been graded according to criteria
contained in the course syllabus, or has been graded unfairly or inaccurately, the
student may address a query in writing to the Registrar via the Student Affairs
Department.

In cases where an error has been made by the College in assessing or recording
academic performance (e.g., incorrect grade, calculation of GPA), the appropriate
adjustments will be made to the student’s official academic record. If warranted, a
student’s academic standing will be corrected and the academically suspended
student will be reinstated. Students lodging queries or appeals shall be required to pay
RM 100.00 per course. This fee will be refunded if the original result status is revised.

5.3 Attendance Policy

Student is expected to attend all class meetings of courses in which he or she is
enrolled. A student must attend minimum 80% of the classes in each semester.
Student who is absent from class, tests, and/or exams must contact the lecturer
beforehand (if possible) to reschedule any work or task given.

5.4 Course Retake

Student may retake a course if the grade earned does not meet admission or
progression requirements. Both grades received in the course are entered on the
transcript. The higher of the two grades will be used in calculating the grade point
average. Credit will be given only once. If, after taking the course a second time, a
student has not achieved the required grade, she/he should meet with his or her
academic faculty advisor to discuss implications. Students taking advantage of the
policy must register for the course and pay the tuition.

5.5 Course Re-sit

Student who fails a module/subject will be required to re-sit the examination on a date
scheduled by the Academic department. Student will be allowed to re-sit once to
pass the module/subject. If the student still fail to pass the module/subject after the
re-sit attempts, he/she will have to re-take the module/subject and pay the tuition fee
for the module/subject.

5.6 Deferment of Studies

Student may apply to defer studies due to valid reasons such as medical, etc. by using
the Application for Deferment of studies form. Deferment of studies is only applicable
during the study period in each semester. Study period refers to the duration from
Week 1 until Week 14 during long semester and Week 1 to Week 7 during short
semester in the academic calendar of each semester. With valid reasons and
approval, students can defer their studies for up to a maximum of two (2) semesters.

The last day to defer is by the 14th week of the long semester and by the 7th week of
the short semester. While applying for deferment student should continue with their
studies until formal approval is obtained from the College.

For approved deferment cases, the study grants and merit scholarship awards that
have been awarded to you in the deferred semester are only valid for the semester
in which it is offered and therefore, it cannot be deferred or transferred to subsequent
semesters.
Students returning to study after deferment period are required to pay the fees
accordingly.
Approval of deferment applications are subject to the discretion of the College.
However, any due fees subjected to the FEES SECTION (4.2.1 – 2B) if you wish to
proceed study deferment. (Important)

5.7 Withdrawal from College

Students who intend to discontinue their program of studies at the College have to
write in formally to withdraw from the College by using the Application for Withdrawal
from the College form. They are required to settle all financial obligations with the
College and return all College property in the process.
The refund for withdrawal from the College will be in accordance with the Refund
Policy of the College.

5.8 Grading System

The College adopts the Grade Point Average (GPA) as a measure of a student’s
academic performance in a particular semester and the Cumulative Grade Point
Average (CGPA) as a measure of the student’s overall academic performance
covering the total duration of study with the College. For UNDERGRADUATE programs,
the grading system is as follows:

The performance of students in assignments as well as the final examination is
indicated by the grade achieved. A, B & C indicate various “pass” grades while D &
F indicate a fail grade.

The overall academic performance of the student will be based on the student’s
attainment in the various courses taken at every level. Each course level carries a
certain weightage towards the determination of the final award. The respective
contribution of each level of course will influence the GPA and the CGPA.

The determination of the GPA and the CGPA will be computed on the basis of a
weighted average.

6.0 EXAMINATION POLICIES

6.1 Policies & Rules

Students are expected to:
a) arrive at the examination site on time;
b) refrain from any form of communication with other students upon

commencement of the examination, unless communication skills are being
evaluated;
c) bring into the examination location only those aids/resources that have been
specified by the course instructor;
d) refrain from bringing cellular phones, personal audio equipment, and other
electronic devices into the examination room unless specifically permitted by the
course instructor;
e) refrain from bringing food into the examination room, unless it is medically
necessary in which case consumption of food and beverage must be done in a
non-disruptive manner;
f) display a valid and relevant student photo-identification card during the course of
an examination;
g) inform an invigilator of their circumstance and request assistance or permission to
leave the exam in case of a personal emergency of any sort (e.g., illness);

h) ask an invigilator for clarification if aspects of the examination are unclear, but
should be aware that invigilators will not answer any question that is deemed to
infringe on exam integrity;

I) leave all exam materials in the exam room after the examination;

6.2 Examination Misconduct

Examination misconduct includes, but is not limited to, any of the following:
a) Taking into the examination room, or processing or consulting while in that room,

any books, memoranda, notes, electronic storage devices such as an electronic
organizer, hand phone, diary or electronic dictionary, smart watch or any other
similar material, except such as may have been supplied by the invigilator or
authorized by the examiner;
b) Aiding or attempting to aid another candidate, or obtaining or attempting to
obtain air from another candidate;
c) Consulting, or attempting to consult, any books, memoranda, notes, electronic
storage devices such as an electronic organizer, hand phone, a diary or electronic
dictionary or any other similar material while temporarily outside the examination
room during the period of an examination;
d) Written or printed notes found on the front/ back/ either side of the examination
notification slip;
e) Failure to adhere to the examination instructions as read out by the Chief
Invigilator.

A candidate found to have committed misconduct shall be liable to proceedings
and disciplinary action as may be specified by AMC College.

6.3 Absence from an Examination

Student who is absent from an examination needs to submit an appeal for special
consideration.

6.4 Barring from Examination

Student who has failed to fulfil 80% attendance in lectures and tutorials without valid
reasons will be barred from sitting the final examinations. Attendance calculation will
be completed by the 11th week of the study period.

Students who have not fulfilled their fee payment will similarly be barred from sitting
the final examination.

6.5 Examination Instruction to Candidates

a) Candidates must take note of details in the examination timetable such as date,
time and venue for their respective examination papers. Misreading of the
examination timetable cannot be accepted as a reason for failure to attend an
examination and candidates will be given a “FAIL” grade.

b) Candidates must be punctual for their examination and must bring their Student
Identity Card or Identity Card and Examination Notification Slip. Candidates
without an Examination Notification Slip (which must be printed on a clear sheet
of paper without any notes written/ typed on either side of the slip) will be not
admitted into the examination hall until their eligibility (full payment & attendance
record) to sit for the examination has been verified.

c) Candidates are required to dress appropriately according to the dress code
practices of the respective venues for examinations in order to avoid the risk of
being barred entry into the premises. Please be advised that informal attire such
as sleeveless top, shorts and slippers are not allowed. Candidates who fail to abide
by the above, risk being barred from entering the examination venues.

d) Candidates are NOT ALLOWED to enter the examination hall until the invigilator on
duty gives the signal to do so. Normally, candidates are allowed to enter 10
minutes before the examination commences. Upon entering the hall, candidates
are to proceed to their seats in a quiet and orderly manner.

e) Upon taking their respective seats, candidates are required to:
i. Complete the Attendance slip and place it at the top right hand corner of their
desk.

ii. Place their Student Identity Card or Identity Card and Examination Notification
Slip on top of the completed Attendance Slip. The Attendance Slip will be
collected by an invigilator.

f) Books, documents, notes or pictures, except materials authorized by the examiner,
cannot be brought into the examination hall. In the examination hall, candidates
may be supplied with books, papers, documents, pictures or any other material
authorized by the Academic Board upon advice by the Internal Examiner.

g) Candidates are NOT ALLOWED to smoke or eat in the examination hall.

h) Candidates are NOT ALLOWED to bring into the examination hall any food and
drinks, bags, hand phone, any electronic devices/gadgets, wallets/purses, pencil
cases, geometrical instrument cases or nay other containers/cases. Calculators
(without the casings) may be brought into the examination hall if authorized by
the invigilator. Candidates may only bring in pens, pencils and any authorized
writing materials.

The usage of mobile phones and electronic devices are STRICTLY PROHIBITED
during the examinations and is against the Examination Rules and Regulations. All
mobile phones and electronic devices must be switched off before you enter the
examination hall and kept in your bags at the designated area before proceeding
to the allocated desks.

Candidates found in possession of hand phones and electronic devices at their
desks or during the examinations are considered to have breached the
Examination Rules and Regulations, and shall be liable to proceedings and
disciplinary action as may be specified by the College.

i) Candidates are NOT ALLOWED to communicate with one another during the
examination, whether verbally or through any other means. Should a candidate
wish to communicate with the invigilator, he/she should raise his/her hand.

j) The chief invigilator/invigilator on duty will give a clear signal to indicate that the
examination had ended. As soon as this signal is given, all candidates must stop
writing.

k) Candidates are only ALLOWED to leave the examination hall upon notification by
the Chief Invigilator/Invigilator on duty.

l) Candidates are NOT ALLOWED to leave the examination hall in the first 30 minutes
and the last 15 minutes of the examination.

m) Candidates who fall ill during an examination must report their illness to the
invigilator on duty in the examination hall as soon as possible.

n) If a candidate is found to have copied/cheated or is found to be in possession of
unauthorized materials in the examination hall, disciplinary action will be taken
against the candidate. Candidates suspected of copying/cheating can be
expelled from the College.

o) Where candidates answer more than the required number of questions in an
examination, only the first required number will be marked by the examiner.

p) During the examinations, candidates are only permitted to use blue or black ink to
write their answers.

6.6 Cancellation of Examination

In the case of cancellation of exam(s) for any reason, students will write their final
exam on the alternate exam date, according to the alternate exam schedule. Where
possible, AMC will make every effort to advise students and instructors of the
cancellation.

7.0 COMPUTER LAB RULES AND REGULATIONS

i. The use of computers in the lab is strictly for the use of students who have enrolled
with the computer related courses, and must be accompanied with subject
lecturer at all time.

ii. Personal use of company facilities is strictly prohibited at all time.
iii. No software should be installed in any computer.
iv. Internet use – is intended for administrative, research and operational use

exclusively
v. Excessive games – strictly prohibited at all time.

8.1 Resources Center (Library)

Resource Centre is equipped with academic books, literatures and magazines for
students to make use as reference and for loans. Discussion rooms and reading area
are available for students to have group discussions or doing revision purposes.

8.2 Student Lounge

The Student Lounge is a comfortable area open to AMC students for gathering,
studying, and relaxing between classes. The lounge is currently equipped with furniture
(tables, chairs and beanbag). TV’s, game equipment and printing service for students.
The Student Lounge also be used to host student or staff events such as workshop, live
entertainment, and other departmental events.

8.3 Hostel

College provides male and female hostel which is located at Likas Square
Apartment, Kota Kinabalu.
