Rotaract Club of University of Kelaniya | Annual Report 2023-24 52 04.03 Terminations Termination Process The club operates on a process where all members have to re-register for the new year if they wish to continue in the club. Therefore, there is an informal termination and re-registration process that happens for all members at the end of the RI year. Apart from that, as mentioned through messages to the Avenue and Main WhatsApp Groups and being further clarified during the Monthly General Meetings of July, we've mentioned 3 Criteria in which all members would be evaluated regarding their participation in Club Events and deciding whether he/she being labeled as an Inactive Member. The Criteria are: · Not Participating for 3 Consecutive General Meetings. · Not Participating for Avenue Meetings without submitting excuses to the Avenue Director. · Not participating for a minimum of 1 Club or other Club events. Terminations within the term 2023-24 Based on these criteria, the Sergeant-at-arms sends out a warning mail to all Inactive members informing them that they have been labeled as inactive members of the club. The members will be given a time period of one month after being labeled as inactive, to regain "Active Member" Status. If not their membership will be terminated. Furthermore, we always gave our members the chance to clarify any issues regarding this process. Not Participating for 3 Consecutive General Meetings. Rotaract Club of University of Kelaniya | Annual Report 2023-24 RotaTomorrow is an award-winning initiative organized by the Member Relations Avenue of the Rotaract Club of University of Kelaniya, now in its fourth consecutive year. This project with its impact extending well beyond the club itself, aims to serve the community by focusing on areas that have not been adequately addressed in the present, while simultaneously enhancing member retention and increasing engagement within the club. In previous years, each of the 12 teams was assigned one of the 12 Sustainable Development Goals, and they were challenged to develop projects based on their respective goals. However, for RotaTomorrow 4.0, a new approach was adopted by combining two SDGs and their sub-targets to create 12 unique topics for the teams. In selecting these SDGs, areas that have not been sufficiently addressed in Sri Lanka were taken into consideration. This change aimed to enhance the competition's dynamism, increase its competitiveness, and refresh the concept that had remained static for years. Additionally, beyond merely organizing the competition, it was needed to ensure that it yielded enough benefits for the country and the community. For this year's initiative, the club's 550+ member base was divided into 12 teams, each assigned a specific topic to focus on. Thus, a unique project aligned with their assigned topic was implemented by each team. Throughout the project's duration, the RotaTomorrow project committee provided continuous monitoring and guidance. This oversight was crucial in maintaining smooth progress and ensuring an unbiased evaluation of each team's efforts. The initiative served as an engagement activity where all members actively participated in organizing and executing their respective projects. These projects not only addressed the SDGs but also contributed to community service and professional development, highlighting the comprehensive approach of RotaTomorrow 4.0. At the end of RotaTomorrow 4.0 competition was an extravagant awards night held on the 20th of May 2024 at the Hotel Diamond Crown in Kelanimulla, celebrating the hard work and achievements of the participants. The ceremony honoured the winners with various awards, including several individual awards recognizing outstanding contributions and team awards celebrating collaborative success. This event not only recognized the hard work and dedication of the participants but also underscored the impact of their projects on community development. 82 Project Chairs Date of Completion – 20th of May 2024 Rtr.
