CHAPTER 10: ENVIRONMENTAL CONTROL
10.1 Lighting
Records must be protected from any light that been controlled by the temperature and humidity
equipment. This is because the light can oxidase the paper faster and cause deterioration.
Furthermore, the light also can bleach the material faster especially the paper-based materials
that can be fade and can change the color. It can also create a sense of hotness and
accelerate the resource scarcity process. Ultraviolet is the most dangerous light and more
radiation can be created.
The materials must be kept in boxes or containers to avoid light. It can be managed by putting
the curtains or blinds throughout the windows by installing the awnings outside the windows
or the area exposed to sunlight. Furthermore, visible light levels have been measured in lux.
The reasons why the materials should be covered from the lighting and the windows should
be closed by placing curtains are because it helps to minimize the temperature of heat and
limit it from sunlight during the day. The filters should be used to control the UV radiation. The
filters are made from special plastics. The named of filters is ultraviolet-filtering plastic films or
UV-filtering Plexiglas that can minor the quantity of UV radiation.
10.2 Temperature and Control
To preserve the collections inside the Alam Shah Royal Archives, temperature and relative
humidity should be working together. High temperatures and high relative humidity, based on
the International Archives Council, create a humid atmosphere that causes mold production,
warping, and deterioration. However, if the how temperature and low relative humidity happen,
it will dry the environment and then causing the material becoming brittle. The humid
environment also can happen if the temperature is low and high relative humidity.
Thus, the archive must do the perfect combination between these two to avoid damaging the
materials. The optimal temperature range is between 18-20°C and the relative humidity is
between 35% and 40%. The temperature should not exceed 20°C. It is the same as the
relative humidity that cannot exceed 50%.
However, different materials need different temperatures and relative humidity. For example,
the color photographs must be preserved in 24c, 50% RH to 1,000 years at 2c, 40% of RH.

CHAPTER 11: SECURITY AND CONTROL
To protect the safety of an archival building security control consideration, need to measure
for archival building external and internal. This is because to ensure archival collections
remain safe from unauthorized access, theft, unauthorized alteration, and any distortion that
may threaten the archival building and its collection. For the exterior of our archival building,
it is meant to be located near to the police station and emergency response so that we will
able to get a short-time response for any emergency case.
External security that provided for our building includes security guard and gates that are
located at the main entrance, loading dock and staff area plus it is equipped by bomb gate
so that visitor cannot simply access through inside the building. Other than that, storage area
building is being installed with security fences in order to have maximum protection for our
collections plus to strengthen our achieve install double wall. Moreover, our archival building
system also designed to minimize access by the maintenance staff, all the pipes system, air
conditioner, water and drain system is located outside the storage area to prevent threats to
the storage area. Besides, oil, gas and sewage are located at the back area within the
processing area and install with the locks for the master lighting and electrical panels in order
to prevent unauthorized persons to access it. Other external securities need that our archive
consider are the installation of the window. For our archive installation of the window only
located at the public area in washrooms, OH lab and library and processing area located at
washrooms and processing room. Windows that install also secure with double glazed and
filtered. Meanwhile, for loading lock, the doors that we used are a shutter door equip with
smart access and all of the external doors installed with CCTV. For doors installation,
emergency doors for our archive install doors that only can be open from inside and comply
with fire regulations that can be delayed the fire within 4 hours. Do not recommend installing
many emergencies in order to minimize unauthorized access. The door for the entrance
located in the public area is being monitored and it is not located near to storage to prevent
intruder and theft.

In the meantime, for internal security also need to be considered, especially storage area,
doors providing access to storage need to be locked either use smart access or electronic
access control like biometric identification because not all staff permitted to enter the storage.
It is not applied to the storage area only but also compulsory to other areas especially in the
public area which visitor and researcher in and out. For staff area also need doors security
installation for smart access which is for staff entrance door and also confidential staff room
like accountant room, CEO room and those consider important. Meanwhile, for processing
area also need such security smart access for archivist room, processing room such as
receiving, triage, treatment room and others that consider confidential.

Installation CCTVs in all area is must for the purpose of monitor time to time so that our archive
does have our own security investigation room which located in the pubic area. By having
CCTVs in all area security guards can monitor all areas from time to time and daily activities
and movement can be recorded.

Furthermore, another security that we consider is installation with fire risk assessment, it is
important in order to remain safe for our building and collections. It also because installation
and setup of building deal with electrical power so we need to come out with a solution in order
to prevent potential fire threats and potential impact on our facilities, collections and building.
So, we do install fire detection and alarm, it will detect fire once starts and the alarm will be
sounded.
Examples of devices include is smoke detector, it is located entirely the area in the building
especially in the storage area and it will be function sensitively for obscuration.

Besides, we do also install a fire alarm in our archive. By having this, we will be notified if
there are fire threats occur and the fire alarm also should be located at all area that potential
fire threats maybe occur. All fire detection and smoke detector devices in stacks must provide
annunciation at the fire alarm control panel and all supplement enunciator panel to indicate
the specific stack where smoke or fire has been detected.

Other than those devices fire suppression also need to take into consideration. All of our staff
need to have knowledge of how to deal with the fire at least they can handle small fire so that
it is necessary to have a manual firefighting system like a fire extinguisher. The fire
extinguisher is located in all areas in building especially areas that have potential fire threats.
Our archive also provided manually on how to evacuate during the fire and our emergency
exit doors clearly label. For the standpipe system and fire horses, it is not located near to
the storage.
