This document serves as a non-binding quote between Veronica Addison hereafter known as “Host”
and Level 3 Events hereafter known as “Service Provider”. For catering and day of coordination
only of event held on November 21, 2018. Type of event, Wedding Reception Celebration

The quote includes the following services rendered by the Service Provider and Provider’s team:

A. DAY OF COORDINATION PRE-RECEPTION MANAGEMENT
Greet vendors and instruct them as to where to set up (i.e. band/DJ, florist, baker and
caterer)
Make sure band, DJ or designated emcee can correctly pronounce the wedding party's
names (and in the right order) for the introductions
Make sure Cocktail Hour and Reception décor is set up according to plan
Make sure all flowers are set up according to floral order
Make sure reception décor is set up according to plan
For outdoor tents, make certain that lighting is arranged and working
appropriately (if applicable)
Meet with catering staff to confirm food timeline
Arrange escort cards (if applicable)
Set up guest book, cake cutting utensils, and champagne flutes
Set up table numbers and menu cards
Set up any amenities baskets in guest restrooms
Set up favor table or place favors at individual seats

Assist catering and/or venue staff with remaining setup needs
Look over guest tables and head table to confirm they are set up properly
Review final set up before guest arrival

B. DAY OF COORDINATION RECEPTION MANAGEMENT
Ensure proper flow of Cocktail Hour food and drinks
Encourage guests to take their seats at the appropriate time
Help guests locate their escort cards and dining tables
Locate Bride, Groom and wedding party and instruct them to stay to the side of main dining
room until they receive cue for their introduction
Cue band, DJ or designated emcee when the majority of guests have found their tables and
Bride and Groom are ready to be introduced
Cue band/DJ, photographer, videographer and immediate family members of the Bride and
Groom when important events take place at reception (i.e. first dance, parent dances, cake
cutting, and toasts)
Alert catering staff to pour champagne just before the toast
Cue Father of the Bride, Best Man and Maid of Honor when they are about to be announced
for toasts
Help ensure that guests are served at the appointed time
Remain easily accessible through the entire event in case there are any details the Bride &
Groom would like attended to
Collect gifts and personal décor items and ensure they reach the designated family member,
room and/or vehicle
Coordinate Reception departure and/or send off

The host is responsible for the following:
Provide Service Provider with date and time of Event
Provide Service Provider with location/venue name
Provide Service Provider with arrival time of guests
Provide Service Provider with start and end time of servicing the food
Provide Service Provider with color theme
Provide Service Provider with floor plan
Provide any decorations
Provide decoration set-up (exclude if select Day of Coordination Pre-Reception
Management)
Provide decoration breakdown (exclude if select Day of Coordination Pre-Reception
Management)

1) Compensation for Services
The host agrees to pay a non-refundable fee of $300.00 (20% of total feel) to retain Level 3
Events for Catering and Day of Coordination Only services. The retainer fee guarantees services
of Level 3 Events for specified Event. The retainer is payable upon signing of contract. The total
quote cost of planner providing “Catering and Day Of Coordination Only” services is $18,296.00.

2) Remaining Balance Payment Schedule
Total payment is due TBD weeks prior to event date. Payments are scheduled as follows:
Payment 2 due on or before TBD amount due $TDB
Payment 3 (final payment) due on or before TBD amount due $TBD

All payments may be made via credit or debit via invoice

3) Date Changes
In the event host is forced to change event date every effort will be made by Service Provider to
retain same items listed in paragraph 1. However, host agrees in the event of date change any
expenses including but not limited to deposits and fees, which are non-refundable and non-
transferrable are the sole responsibility of the host. There may also be additional charges above
and beyond those set forth in paragraph A -C above. The host further understands that last
minute changes can impact the quality and/or cost of food listed in paragraph B-C.
