Business English PSRUIntroduction
• An airport is a location where aircraft such as fixed-wing aircraft, helicopters, and
blimps take off and land. Aircraft may be stored or maintained at an airport. An airport
consists of at least one surface such as a runway for a plane to take off and land, a
helipad, or water for takeoffs and landings, and often includes buildings such as
control towers, hangars and terminal buildings. Larger airports may have fixed base
operator services, seaplane docks and ramps, air traffic control, passenger facilities
such as restaurants and lounges, and emergency services.

Airport: Check-in
1. Nick and Lisa are going to Paris to study French. They have just arrived at the
airport.
Lisa : Let’s find the check-in counter. We’re flying Pan World Airlines.
Nick : I think it’s at this end of the terminal. Yes, I see the sign over there. Are you sure
you don’t want to go by boat?

Lisa : Come on, Nick! Here’s the economic-class check-in counter.
(To the clerk) Hi, we want to check in.
Airline Clerk : May I have your tickets and passports, please?
Lisa : Yes, here you are. And we’d like a window and an aisle seat, if possible.
Airline Clerk : Let’s see … OK. How many bags will you be checking in today?
Lisa : Um, four. Two each.
Airline Clerk : Please put them on the scale. Good. Uh-oh, your bags are too heavy. I’m afraid there
will be an overweight luggage charge of $30.
Nick : Oh no! I told you not to pack so many things.
Lisa : I’ll pay the overweight charge.
Airline Clerk : Here are your boarding cards. You can board at gate nine at seven thirty.
Nick : We could drive to Paris. There are no weight limits for luggage when you drive.
Lisa : Drive to Paris? There are no roads from Liveville to Paris, Nick!

Nick : I don’t mind. I hope they search everyone very thoroughly.
Security Officer : Please empty out your pockets and put all metal objects in this tray. OK. Step

Lisa : It’s your own fault. The cartoon character on tour T-shirt has metal eyes! That set
off the metal detector.
Nick : It was a present from my aunt. And it’s my lucky shirt.
Lisa : Anyway, have your boarding card and passport out. We have to go through
immigration now.

Directions: Read the passage below. Are the following statements true or false? Correct any
false statements.
BRITISH AIRWAYS CHECK-IN INFORMATION FOR PASSENGERS
For all domestic and European flights, check-in is one and a half hours before
departure. For international departures, check-in is two hours before departure. You
must check in within the recommended time before your departure.
1. Your baggage must be securely closed and locked.
2. Every piece of your checked baggage must be labeled with your name and
destination address. We suggest a label should always be put inside each piece
of baggage.
3. You must remove all old destination labels from previous trips. Old labels may
delay your baggage.
4. Do not carry unidentified objects for other people.
5. You must carry personal items as cabin baggage. British Airways recommend
passengers include important documents, cash, valuable items, medication and
laptops (portable computers) in their cabin baggage. Do not pack these in your
checked baggage.
6. British Airways recommend passengers do not carry items which are considered
a security risk in their cabin baggage (e.g. scissors, knives or similar items).
7. British Airways recommend that all software on lap-top computers is backed up
before travelling.
8. Each item of checked baggage will be given a destination tag showing your
flight number and a section will be attached to your ticket. Please check that the
tag shows the correct destination and flight number.
The departure gates for British Airways flights close ten minutes before the
aircraft departure time and late arrivals at the gate may not be allowed to board.

Business English PSRUEmail
Email, sometimes written as e-mail, is simply the shortened form of “electronic mail,” a system
for receiving, sending, and storing electronic messages. It has gained nearly universal popularity
around the world with the spread of the Internet. In many cases, email has become the preferred
method for both personal and business communication.
How It Is Used
Messages sent by electronic mail normally reach a recipient’s account within seconds. They
frequently include more than just text; images and numerous types of formatted documents are
now easily included as attached files. Moreover, it is no longer necessary to be sitting in front of
a PC to send or receive an email. A variety of mobile devices, such as tablet computers and smart
phones, make it possible manage correspondence on the go.
Parts of an E-mail Address
Every email user on the Internet has a unique e-mail address that identifies an electronic post
office box on a network where e-mail can be sent. Different types of networks have different
formats for e-mail addresses. On the Internet, all e-mail addresses have a similar form. It
consists of a user name followed by @ (=at) and a domain name, which is composed of the
computer location or server, code and country.
For Example,
[email protected]
User name at domain name code
1. Username : You set up the username with your Internet provider or e-mail service.
It might be a form of your name. It might be a nickname. <ESP114>
2. Symbol : The @ symbol <@>
85
3. Domain Name :

Business English PSRUParts of Email
Email messages, like other forms of correspondence, have the same general format regardless of
the email program you choose. Below is an image of an email message. There is a header, a
subject line, body of the message, and the signature line.
An email message consists of the following general components:
1. Headers
The message headers contain information concerning the sender and recipients. The exact
content of mail headers can vary depending on the email system that generated the message.
Generally, headers contain the following information:
1. To. is required in all email messages to alert the mail server to the message's
destination.
2. From. will give the recipient of the email an idea whom the message is from.
88
3. Subject line. Subject is a description of the topic of the message. Almost all
email messages have a subject line. This should be short and give some specific
information about the contents of your message.
Some other fields that you might see are:
4. Cc. stands for carbon copy. Allows you to send the same message to multiple
recipients. When you send a Cc: message, all recipients are aware of who
received copies of the message.
5. Bcc. allows you to send an identical message to multiple recipients, however,
those recipients whose addresses appear in the BCC cannot be seen by the other
recipients.
2. Body of Message
Business English PSRU
The body of a message contains text that is the actual content. The message body also may
include salutation followed by the message, and complimentary close .
2.1 Salutation is a greeting used in a letter or other written or non-written
communication. Salutations can be formal or informal, depending on how well
you know the person you are writing to. The most common form of salutation in
a letter is Dear followed by the recipient's given name or title.
• Dear Mr, Mrs,Ms…. : A formal form of address, also used when first
contacting a person.
• Dear John : Less formal. Either you have had contact with
this person before, or they have already addressed
you by your first name.
• Hi/Hello Mary : Informal, usually used with colleagues you often
(or just the name) work with.
2.2 Message : The email should be no more than 5 paragraphs long and each
paragraph should be no more than 5 sentences long. Insert a line break between
each paragraph. Be sure to get your point with the important details.
89
2.3 Complimentary close : Like the salutation, this can vary from formal to very
informal. These complimentary closes often appear at the end of professional
emails:
• Yours sincerely, : Very formal, rarely used in email correspondence.
• Regards, / Best wishes, : Most commonly used close, can be used in formal
and informal emails.
• Bye/All the Best/Best : Friendly, informal close.
Business English PSRU• James/Mary: Name only (or initials) is also common when
writing to close colleagues.
Note : If you open with “Dear Sir,” then you should close with “Your faithfully,” if you
open with the person’s name then you should close with “Yours sincerely,”
3. Signature Line
At the end of a message, you may see a block of information such as name, title, business
address, phone numbers, web addresses, and sometimes even quotes from famous (or
infamous) people.
How to write a formal email
Follow these five simple steps to make sure your English emails are perfectly professional.
1. Begin with a greeting
2. Thank the recipient
3. State your purpose
4. Add your closing remarks
5. End with a closing
1. Begin with a greeting
Always open your email with a greeting, such as “Dear Lillian”. If your relationship with
the reader is formal, use their family name (eg. “Dear Mrs. Price”). If the relationship is
more casual, you can simply say, “Hi Kelly”. If you don’t know the name of the person
you are writing to, use: “To whom it may concern” or “Dear Sir/Madam”.
90
2. Thank the recipient
If you are replying to a client’s inquiry, you should begin with a line of thanks. For
example, if someone has a question about your company, you can say, “Thank you for
contacting ABC Company”. If someone has replied to one of your emails, be sure to
say, “Thank you for your prompt reply” or “Thanks for getting back to
me”. Thanking the reader puts him or her at ease, and it will make you appear more polite.
3. State your purpose
If you are starting the email communication, it may be impossible to include a line of
thanks. Instead, begin by stating your purpose. For example, “I am writing to enquire
about …” or “I am writing in reference to …”.
Make your purpose clear early on in the email, and then move into the main text of your
email. Remember, people want to read emails quickly, so keep your sentences short and
clear. You’ll also need to pay careful attention to grammar, spelling and punctuation so
that you present a professional image of yourself and your company.
4. Add your closing remarks
Before you end your email, it’s polite to thank your reader one more time and add some
polite closing remarks. You might start with “Thank you for your patience and
cooperation” or “Thank you for your consideration” and then follow up with, “If you
have any questions or concerns, don’t hesitate to let me know” and “I look forward
to hearing from you”.
5. End with a closing
The last step is to include an appropriate closing with your name. “Best
regards”, “Sincerely”, and “Thank you” are all professional. Avoid closings such
as “Best wishes” or “Cheers” unless you are good friends with the reader. Finally, before
you hit the send button, review and spell check your email one more time to make sure
it’s truly perfect!
