2. SECURITY Procedures 1. QUALITY OF TEST PAPERS There must be a cover page according to the UASA or SPM format. Approved question papers submitted for printing will always remain with the Examination Unit. Teachers are not allowed to take out printed question papers from the Examination Unit for any reason. Printed question papers will be counted, bundled and labelled according to the number of students in each class by the setter at least three days before the actual examination. If there are any errata detected after question papers have been printed, the setter must fill up the Errata form and make copies of the Errata form and paste on each envelope. The original Errata Form will be kept by the Examination Unit. If there are any errata detected during the exam has started, the setter must fill up the Errata form after the exam and it will be kept by the Examination Unit. Exam papers will be stored carefully under strict security conditions by the Examination Unit. Papers will only be released to the invigilators on the day of the examination. Must include 20% of Cambridge (Checkpoint / or IGCSE) or 20 % Singapore Math questions and 10 % of Cambridge (Checkpoint / or IGCSE) in the Midyear and Year End exam papers. The quality of the test papers lies not only on the overall display (neatly-typed, proper labelling, proper numbering of pages, clear pictures and diagrams) of the paper but also the format and standard of the paper. The distribution of easy, average and difficult questions must be followed by every department. The heads of department must scrutinize examination questions to check their quality and to suggest alternatives where necessary. Teachers must follow the suggestions made by their respective Heads of Departments. Checked and approved exam papers must be initialed by the Heads of Departments before the papers can be submitted to the Examination Unit for further approval and printing. Papers that: do not comply with the syllabus have questions taken and photostated from a book or two are poorly prepared are of low standard 55
Leakage of Question Papers 3. CONDUCTING EXAMINATIONS & INVIGILATION The school looks seriously into the integrity of all the examinations, therefore leakage of question papers in whatever form will be looked into and dealt with severely. The school will not condone any leakage of question papers i.e.: Giving tips to students on what will come out in the examinations. Teaching students word for word on how to answer certain types of questions. Doing revision work with students on exactly what will come out in the examination Making students sit for the paper in advance Examinations are to be held under strictly supervised, conducive conditions. Classroom arrangements are to be made on the last period a day before the exam date and supervised by the last period teachers. Classroom arrangements will involve the following: i. removal of all books and belongings of students from the desks ii. removal of charts on the soft boards or covering them with newspapers iii. desks to be separated and neatly arranged in single rows iv. the students’ desks to be free of any defacement. v. removal of partitions between classrooms in certain cases vi. stick the “label meja” on the right top corner of the table except the last row of tables stick on the left top corner (depending the main door) of the table. Students must be seated according to the class register / name list and this procedure must be adhered to at all times. (start from the entrance of the class) Teachers must collect their question papers from the Examination Unit fifteen minutes or earlier than that before they enter the classrooms. Teachers on duty for invigilation must be punctual and prompt in entering the classroom. Before distributing the question papers, the attendance should be taken and the names of the absentees should be noted on the envelope. Teachers must make sure that the white board is clean and only details about the exam are written on it. Invigilators must make sure the students put their e-cards on the table during the examination. Students without their e-card, have to buy the new one from the Account Department. Students should be made to leave their books, bags, papers, water bottles, pencil cases, sweater, calculator cover etc outside the classrooms. Latecomers are not given extra time. Check if students have intentionally or unintentionally brought notes or answers into the examination room/hall before starting the paper. Invigilators should not leave the classroom until the time is over or until another teacher takes over. Invigilators must be vigilant and walk around and actively supervise the students during examinations. Invigilators must also be watchful and keep all students in view at all times. Sitting down to read or write or standing in one corner to invigilate is not permitted. Before students start the paper, they should be warned that anyone who copies will be penalised by giving a ‘0%’ for the paper. This should be strictly practiced in case of copying. The matter should be reported to the management immediately. Invigilators must observe the following before each examination, and instruct students to: place papers face down read the instructions remind students of the time frame of the examination make any correction if necessary have only the necessary objective sheets or/and subjective answer sheets on their desks instruct students to begin Once the examination papers are answered by the students, the invigilator is not allowed to collect the papers and walk out. Students should be encouraged to check for mistakes if there is time. Students may leave the classroom only when the time is up and all the papers are collected. During the duration of the paper, students cannot be allowed to bring in any books to revise/ to study for the next paper. The invigilator should count the total number of papers and put them inside the envelope before handing the envelope over to the Examination Unit. The invigilator is responsible for any paper that goes missing. He/she must make sure that all the students pass up the papers on time. No extra time should be given. Do not allow any student to leave the classroom. Penalise both the students who cheat: the one who copies or attempts to copy, and the one who offers the answer or opportunity to copy. www.sribestari.edu.my To engage in conversation with the students or other invigilators (from next door), marking of papers during invigilation is strictly prohibited. Hand phone is not allowed to be use during invigilation except during exam there is errata in the question. Only the setter can check the printed copy of the question paper. The setter also must be available on the day the paper is held to settle any ambiguity or error of any questions. 4. MARKING AND EXAMINATIONS MARKS Answer scripts will be distributed to the relevant teachers for marking. The setter must prepare the marking scheme with the answers. Papers are to be marked according to the marking scheme. Teachers should mark and check the papers thoroughly and carefully before giving the final score to the students. All papers are to be returned to the students after they are marked and the marks recorded by the teachers. The subject teachers are responsible for their own students’ mark lists. Mark lists are to be prepared by the class teachers whilst keying-in of individual marks must be done by the subject teachers. Mark lists are to be submitted to the Head of School on the specified dates. Teachers should adhere strictly to the deadlines given. Keeping records of ‘markah purata/average marks’ and ‘markah tertinggi/highest marks achieved’ is the responsibility of every subject teacher. Marking cannot be done in classrooms and lesson time is not to be used for marking purposes. All marking is to be done during non-teaching periods. Discussion of marked papers needs to be done with the students and corrections (if any) recorded by the teachers. 5. REPORT CARD Keying in of marks of the students for the printing of report cards is the responsibility of all class teachers. Teachers must have the correct marks to be keyed-in. Failing to key in the correct marks will result in a lot of wastage. The computer format designed by the management is strictly to be followed. The specified given dates for teachers to key-in their marks must be strictly followed by teachers. Delay in keying-in of marks will result in an overall delay of printing the report cards. Printed report cards must be checked thoroughly before being sent to the Head of School for his / her signature. Teachers must be meticulous in checking the marks and the total average of each student. Neat presentation is essential and teachers are not allowed to use liquid paper or erasers for correction. The detailed progress reports are written after the mid-year and final examinations or at the end of term exams and these must genuinely reflect the ability and weaknesses of the students. Teachers must give positive remarks on the students and to give conducive or positive suggestions in getting him/her to improve. The progress report should be specific for each student and general comments such as ‘Satisfactory’, Can do better’, should be avoided. EXAMINATION DEPARTMENT 58
www.sribestari.edu.my 6. REPORT CARD DAY Report card days are held after the Curriculum Assessment, mid-year exam, final examinations and SPM Trial. The teachers can take this opportunity to discuss with the parents the problems they may face with a student and the ways of monitoring his/her performance effectively. It is compulsory that all teachers are present on the report card day and willing to discuss the student’s performance with his/her parents. The report card is to be handed to the parent on the report card day. Teachers must be ready to explain and discuss the report of the student with the parent. A teacher should refrain from comparing one student’s performance with another student. Teachers must make note of the queries made by the parents and bring it up to the management for further action. Criticizing another teacher/colleague or the management or talking negatively about the school is strictly prohibited. This negative attitude can damage the reputation of Sri Bestari Private School. Report cards are not to be given to the students. If parents are unable to come on the report card day, an authorization letter from the parent must be issued. Unclaimed report cards must be surrendered to the office. For further discussion with any particular teacher, parents may request for another appointment. On Report Card Day, teachers must be punctual, courteous and smartly dressed. Teachers should always bear in mind that they are role models. 7. QUALITY AND RELIABILITY OF EXAM PAPERS -QUALITY • Content QUALITY is very important in an achievement test as an achievement test tries to measure some specific skills or abilities through some specific content. To obtain content validity it is necessary that all the important areas of the course content are represented in the test and also that the test covers all the instructional objectives. • In other words, the test should contain questions on every important area of the content in appropriate proportion and the questions should be framed in such a way that all the objectives of that course are tested properly. Content validity can also be ensured by analyzing the course content and the instructional objectives to be achieved through it and by taking the test items to both these things. - RELIABILITY It refers to the consistency with which a question paper measures the achievement of students. In other words, if the test is to be reliable the chance errors must be zero. EXAMINATION DEPARTMENT 59

Margins: Left and right & Top and bottom File > Page Setup Cut and paste directly from books or past year questions papers. Extract all the questions from the same reference book or source. 6. Spacing between questions in an objective paper and subjective paper: Paragraph Line spacing 1.5 lines Space before 0 pt after 0 pt 7. Correct duration of time for the paper. 8. All diagrams, maps, tables and pictures must have headings (titles). All diagrams must be clearly labeled. Maps must have keys. 9. Set questions for students of differing levels of abilities. www.sribestari.edu.my 11. ONLINE EXAM STANDARD OPERATION PROCEDURE A. Before Exam 1. Exam standardized medium used are Google Form or Google Classroom. 2. Validity of the responses submitted is depending on the students’ attendance. Students must join the zoom session throughout the exam period (130 minutes). If students encounter any internet connection interruption, they have to at least join 1 session of Zoom and submit Google Form or answer scripts via Google Classroom within the time frame. (NOT TO BE SHARED TO STUDENTS) 3. Exam duration for all subject is 2 hours, except for Foreign Language. 4. Inform the students the medium (Google Form/Google Classroom) of the exam during online class. 5. Subject teachers have to start 10 minutes earlier for briefing. Google Form a) Exam setters have to add panel head and other subject teachers of the same level as collaborator for them to check the questions. b) Transfer the ownership of the Google Form to the respective subject teachers latest 3 days before the exam. Google Classroom a) Each subject teachers of the same level have to setup a Google Classroom for their respective class and invite the students to join at soonest. b) Inform the students to prepare sufficient test pads. c) Exam setters have to share the Pdf file to the panel head or other subject teachers of the same level for them to check the questions. d) Final version of the Pdf file has to send to respective subjective teachers latest 3 days prior to the exam. B. During Exam 10 minutes before exam start 1. Subject teachers share the exam SOP and brief the students about it. 2. Make sure the students on the video camera and can see their faces clearly. 3. Share the Google Form link or Pdf file via the Zoom chat box. (to avoid students answer the exam but not joining the Zoom session). 4. Subject teachers need to make sure students get the Google Form link from the respective subject teachers ONLY. (No sharing of Google Form link among students from different classes) Google Form a) Students fill in their full name, email, and class in Google Form. b) When all the students are ready, subject teachers give the password via Zoom chat box and start the exam. Google Classroom a) Students prepare the test pads and stationaries needed. b) Students write their name and class on each page of the test pad used. c) When all the students are ready, subject teachers send the Pdf file via Zoom chat box and start the exam. First page – Name, class, email, password (short answer, on required button ,tick for 0 mark) 3. Password – Teachers release the password once all students are ready. (short answer, choose regular expression, tick matches, on required button, tick for 0 mark) 4. Divides the questions into more sections, so if the students were disconnected, the previous section responses will be auto saved. 5. Shuffle the options of the MCQ questions (optional). 6. Shuffle questions order. (optional). 7. Make all questions mandatory to answer (on the required button). 8. Set time for submission (10 minutes buffer). 9. Release mark later after manual reviews. E. INTERNAL EXAM POLICIES During all exams, students (a) Need to be in Full School Uniform – with e-card and (Identification Card (I.C) – only during SPM Trial examinations and SPM examinations) or they will not be allowed to sit for the paper. (b) Need to bring all stationeries needed including calculator, Mathematical instruments, etc. The school will not provide any kind of stationeries and borrowing them during exams is not allowed. (c) Water bottles, sweaters, pencil cases, calculator covers are not allowed to be brought into the exam room. (d) Liquid papers/ correction tapes are forbidden items during exams. (e) Must be in school according to normal school hours. Early dismissal or late entry could lead to severe penalties i.e zero marks for the subject. No extra time is given for latecomers. (f) Cheating such as copying is a serious offense in all exams sitting. If found guilty, the student would be given a severe penalty i.e zero mark for the subject and a warning letter. (g) Re-sit for missed papers during the examination period is only allowed following MOE’s guidelines. This is to ensure parents practice and follow all guidelines given strictly. (h) Do plan ahead for your holidays / external programs as students will not be given transcripts for their exams sitting, earlier or later than the schedule stated in the planner. (i) On Wednesdays, when there are co-curricular activities, students are to wear their full school uniform when they sit for exams and change later for co-curricular activities. LOWER SECONDARY CHECKPOINT REAL EXAM The Cambridge Lower Secondary Checkpoint real exam will be conducted in October (Form 3).The results will be published in December. EXTRA CLASSES Extra classes will be conducted after school from 3:45 to 4:30 pm from Monday, Tuesday & Thursday. Wednesday 4:00 pm to 4:45pm. Friday 12:45pm to 3:15pm. Students are encouraged to take Cambridge IGCSE Exam. All must take a minimum of five subjects. At present, twelve subjects are offered. Refer to the IGCSE subject list. Students can choose the subject that they study in their regular class. INTERNAL TRIAL TEST There will be a Trial Test conducted for Form 5 in July. The trial exam result is significant for any unprecedented situation that arises. Cambridge can consider the trial marks for Grading. This result is valid to apply to universities/ colleges for further studies. Please refer to the Cambridge Test in this section. SUPPORT MATERIALS All teaching support materials are available on Bestari BESNET under the Cambridge name. From time to time, it will be upgraded. Books and Past Year Papers for all subjects are available in the staff room/ Library. Cambridge department can be consulted for more teaching materials. Teachers are encouraged to list book names if they consider buying them for reference purposes. Fill in the prerequisite form and handover to the Cambridge department. ORIGINAL EXAM MONTHS Malay as a Foreign Language (0546) and Mandarin as Foreign Language ( 0547) real exam is conducted in April/May. Internal trial test is conducted in March. Exam registration is done in early January. The Cambridge IGCSE real exam is conducted in October/November (Form 5) except Malay & Mandarin. Ensure the credibility of examinations by NOT divulging the questions, whether directly or indirectly, to the students before the test. 2. Teachers should only ask the setter of the questions paper for a copy of the questions paper before the examinations. 3. Use the latest cover page for the exam question set. 4. Write all the instructions on the cover page as directed by the CIE. 5. Only the setter can check the printed copy of the questions paper. 6. The setter must be available on the day the paper is held to settle any ambiguity or error of any questions. 7. Submission of question paper 15 days before the scheduled exam (2 sets, one for office file) along with the question source details. 8. The setter must also prepare the marking scheme with answers. 9. The exam paper setter must pack the question paper with all information written on the envelope. 10. Respective subject teachers must collect and mark the question papers in the given timeframe. 11. Subject teachers must key in the marks in the BESNET/Google Marksheet sent by the Cambridge department (Cambridge Folder). 12. Invigilators must be punctual according to their invigilation schedule. 6) If any students are found with mobile phones during school hours (fail to surrender), the mobile phones will be confiscated and can only be claimed on the last day of the term. 1) Students need to fill up the Mobile Phone Policy & Agreement and submit the complete form to Discipline Department. 2) Students surrender their mobile phones to Class Teacher or Assistant Class Teacher every morning during homeroom time (7.40 a.m. – 7.50 a.m.). 3) Class teacher or Assistant Class Teacher will keep the mobile phones in a box and to be kept in Discipline Department. Only teachers can carry the box with mobile phones. 4) Late comers (after 7.50 a.m.) need to surrender their mobile phones to Discipline Department upon arrival. 5) Last subject teacher will return the mobile phones to the students during dismissal time. On Wednesday, Class teacher or Assistant Class Teacher will return the mobile phones to their respective students. Only teachers can take and carry the box with mobile phones.
