Equipment and Supplies

Bicycles
All competitor bicycles will be safely stored at LOC headquarters, and transported each day to the
venue needed. Space required for storage has been generously provided by the University of Calgary
administration.

Administrative
Equipment required for “behind the scenes” functionality will be: computers, printers, paper, mobile
communication devices, chairs, tables, and Wi-Fi. The Process and Cycling Canada will provide all the
computers, two-way radios, printers, and paper; while the LOC will be providing the chairs, tables,
and Wi-Fi for staff use. Miscellaneous equipment such as pens, paperclips, staplers, stamps, etc. will
also be included.

Event Equipment
Accreditation will be an important part of managing access and ensuring a secure event. Details of
how accreditation will be handled on location is provided below, including access control, visibility,
registration, and passes.
Also required will be a fairly significant number of traffic control equipment and fences.

Fencing
Event fencing is provided by Modu-Loc Calgary.

Signage
In order to ensure a smooth and easy-to-manage event, proper signage will be posted around the
campus, as well as around the race sites. Included would be Cycling Canada signage, Calgary 2018
signage, and advertising signage to help drive attendance to the event. Around the race sites, there
will also be numerous signs to properly direct pedestrians and traffic around detours (due to road
closures), as well as signage on the race sites themselves to properly direct all participants.

Meeting Space
In addition to storage and headquarters space, the University of Calgary will also be providing space
for both scheduled and impromptu meetings. These rooms can be used for Coaches meetings,
official’s meetings, organizers meetings, volunteer meetings and training, as well as a multitude of
other uses.

Results Input
Calgary 2018 will use a race-results program named “Active Endurance”. This program will allow
for instantaneous results entry, with accurate times and tracking software.

Provincial Teams
Each province can send only one provincial team per race.
Each athlete on the team must wear the provincial team jersey to be recognized as a provincial team.
If two or more provinces combine their athletes to form a single team, all athletes on the team must
wear the same jersey that clearly identifies the team, and no provincial team from those provinces
will be accepted.

Rider’s Package Information
The riders must pick up their race package at the Race Headquarters, the Kinesiology Complex at
the University of Calgary, as detailed in the Accreditation section.
All participants must hold a valid UCI / CC international licence. Domestic licences are not
accepted.
Licence must be presented during race kit pick-up and
validated by a commissaire.

Number Placement
For the road race and criterium, two numbers must be worn on the right and left pockets without
overlapping the seams. For the time trial, only one bib number has to be worn.
Install your number plate under the seat so it can be seen by the photo finish from your right
The number plate is not required for the time trial, but is required for the road race and criterium.
Trimming or folding of bib numbers or number plates will result in a fine.

Bike Mechanic
Bike mechanics will be available at each event and at the Entertainment Hub. You can have your
bicycle serviced and checked BEFORE turning up to the event.

Before leading into the event, check your tires, brake pads and cleats on your shoes for excessive
wear and tear. Also, bring any specific spare parts you’d like to have support vehicles (i.e. Tubular
tires).

Host Competition Venues

The Process, and the city of Calgary, has partnered heavily with the University of Calgary for the
successful running of the Canadian National Road Championships. With the headquarters being at
the University of Calgary, they will offer a variety of our requirements, such as, team meeting rooms,
bike storage and transportation, research, results management, officials, etc.

With this in mind, the majority of the event will be taking place in and around the University. We
have designed and prepared the courses, as well as the surrounding events, to be based around the
campus.

Criterium/Time Trail Course Options:

We have mapped out 2 possible Criterium course options for this section, with current consensus
leaning towards option # 2. The Process has created these options with an eye towards the course
being used as the Time Trial course, as well.

Criterium/Time Trial Race option number One is a residential area very close to the University of
Calgary. This route may cause problems for people in that area so it may not be the best option

Criterium/Time Trial race option number 2 is a modified Tour de Bowness circuit, which winds
through a business park in central Calgary. This option seems appropriate due to the time of day, as
we hope to encourage some attendance further down the line by showing a fast-paced event near
places of business.
Road Race Course Map
We have mapped out a beautiful course that will put on display what the city of Calgary is all about.
With a large portion of the course being right by the river, which will provide a nice cool breeze for
both participants and viewers, the course will display the natural beauty of the city, as well as the
downtown core. Somewhat ironically, the shape of the course is vaguely fish-shaped, which is an
excellent display of ingenuity as roughly half of the distance traveled is right by the water

Athlete and Team Services

The athlete & team services will attend to both athletes and their teams while providing personable
and efficient services in order to allow them to focus on their goals, ambitions, and the overall
experience of the championship.
Athletes, coaches and officials will be provided with a complete timetable of the event, all pertinent
travel information, as well as weather information. These reports will be sent by email to the
athletes, teams and officials 1 week prior to the start of the event. We will facilitate transportation
for teams and officials and make sure that travelling from the airport to the accommodation and
then to the venue is as easy as possible. An information package regarding the C-Train (transit), bus
services, both public options and shuttle options, as well as any pertinent contact information for
Uber.
Communication will be efficient by having people at both the accommodations (unless teams
choose to exercise their right to stay elsewhere) and the venue to relate and communicate with the
teams, and there will be a Team Liaison Officer that will be in charge of each province. Each Team
Liaison Officer will meet the team as soon as they arrive and will ensure to provide 24/7 assistance
up until their departure. Each officer will be made aware of the province’s culture and will be able to
speak in the language of choice of the province that they will be helping with. We, as well as the
Team Liaison Officers, will ensure that all the needs of the athletes, coaches and officials will be
met.
There will be access to water stations for all teams and officials, although water bottles will not be
provided. Depending on our sponsor there will be an official drink that will be provided to each
team and officials. Food vendors and local business will be able to set up around the event if so
desired which will ensure that teams and official will have access to these services. Through our
agreement with Black Apron Cuisine, breakfast will be provided to all athletes, free of charge, for
the duration of the event.

Accommodations

Accommodations within Calgary are divided into quadrants: Northwest, Downtown, Northeast, and
South. There are many good options in all areas, however, we will focus mainly on the Downtown
options (with a passing mention of the other quadrants), in order to facilitate the shortest amount of
travel time.

The Process has partnered with the University of Calgary for the accommodation needs of the event,
and we will heavily encourage participants to stay there for any of their accommodation needs while
staying win the city. This partnership will allow for a stipend to be paid to the organization
committee, to better facilitate the cycling events.

The University of Calgary Summer Residences offers apartment and dormitory rooms with 1,200
beds. The university is located near key transportation routes and the city centre. Amenities include:
Fitness & Lifestyle Centre, Aquatic Centre, Racquetball Centre, Speedskating Oval, Climbing Wall,
internet high speed rooms, internet wireless meeting facilities, meeting rooms, C-Train accessibility,
laundry etc. The campus is located 15min away from the Tour de Bowness track.

Food and Beverage

As with all national events, there will be a certain expectation to properly feed the athletes, as well as
to ensure proper hydration during the
event itself. There will, of course, be
hydration stations throughout the
courses. Prepared meals and catering will
also be provided by Black Apron
Cuisine, who has generously provided
the catering for all participants at a
heavily discounted price.

In terms of food and beverage options for the remainder of the event, The Process has taken the
approach of “Healthier, greener options”, as this approach ties very well into the motif of the whole
event as we’ve envisioned it.

In this case, local food vendors will be our closest ally in this event. We have contacts with various
local eateries that can provide healthy, delicious, and cost-effective meals for all of our valued guests
and visitors. Below is a short list of local, healthy options:

Transportation Services

Air Transportation

All participants will be flying into Calgary International Airport, the largest airport in the city.
Calgary International Airport is the fourth busiest airport in Canada (by passenger traffic –
approximately 15.6 million passengers annually), and third busiest in Canada by Aircraft movement
with 250, 953 movements in 2014. After landing, passengers are encouraged to enjoy the periodic
shuttles that will be provided (see ground transportation), or can make use of the various public
transit options available. Rental cars are also always an option.

Ground Transportation The Process has partnered with a national bus company,
First Student Ltd, to provide mass transit for the

encouraged to make use of the shuttle service for
scheduled events and races, as well as a more
environmentally friendly option to get to and from
their arranged accommodations.

For transport during free time or downtime, the City
of Calgary has agreed to provide day passes for public
transport. Guests will be encouraged to use public
transit to experience the sights and sounds of the city.

There is also the Calgary bus transit system, which runs city-wide on a generous daily schedule.
Buses generally run all day, with a heavy concentration on transport in and around the downtown
core.

Bus Rapid Transit

As of approximately 2007, Calgary has been working towards a faster, more efficient bus system.
Part of that plan has been the incorporation of the BRT (Bus Rapid Transit) system. We have hope
that this new system, which should prove especially valuable for the downtown core, will be up and
running for the 2018 event. Barring that deadline, there will be portions of the BRT system available
for 2019. Calgarians have been keeping a close eye on this system, and we hope it can play a major
role in easing traffic congestion around the city.

Quick Facts about the BRT

 Total approved funding for the BRT system has reached $208 million
 The four new BRT projects were first identified on the Primary Transit Network in

the Calgary Transportation Plan (CTP), which was approved by Council in 2009.
 Preliminary functional studies were completed on both 17 Avenue SE BRT and Southwest

BRT projects in 2010 and 2011, respectively.
 The projects were then included in RouteAhead (approved in 2012), and Investing in

Mobility (approved in 2014).
 The projects received funding in September 2015 through the Province of Alberta’s

GreenTRIP program, and preliminary design on all four projects began shortly thereafter.
 The four new BRT projects were first identified on the Primary Transit Network in the

Calgary Transportation Plan (CTP), which was approved by Council in 2009.
 Preliminary functional studies were completed on both 17 Avenue SE BRT and Southwest

BRT projects in 2010 and 2011, respectively.

Project Update (July 2016)

“At the April 20, 2016 Standing Policy Committee on Transportation and Transit (SPC on T&T), a number
questions were asked by Calgarians about the Southwest Bus Rapid Transit (BRT) project. The City developed
detailed responses to the 62 questions asked in a document called Southwest BRT Response to Public Questions that
was presented at the July 20, 2016, SPC on T&T.

Along with the answers to the 62 questions, The
City provided the Transportation Report to SPC on
T&T – 2016 July 20. Attachment 2 of the
Report, the Southwest BRT Response to Public
Questions, has been separated into its own PDF due
to file size.”

Registration and Accreditation

Athlete Registration

Participant numbers are expected to be in and around 375 cyclists. With this number, a clear and
concise registration plan is required to maintain a smoothly operated event. Coaches, managers or
athlete representatives (I.E. Parents, Legal Guardian) will be urged to present themselves at the front
desk of the University of Calgary Active Living Kinesiology Complex in order to complete the
registration process for their teams.

The registration desk will be open between 0800 and 1600 on June 7th and 8th (Thursday and Friday),
for in-person event registration or confirmation.

In order to streamline the process, we will demand a prior registration of athletes via the online
registration form.

The deadline to register an athlete is May 31st, 2018. Operating under this system will shorten
registration time at the facility. Athletes will be allowed up to 2 additional accreditations (inclusive of
coaches, manager or support staff).

Upon the completion of the registration process, an event package will
be presented to the participants. The package will contain important
information regarding the event in addition to the proper accreditations
cards and access wristbands. It should be noted that the cards will
contain the athlete’s name and will thus be non-transferable.

Staff and Volunteer Registration

All potential staff and Volunteers will be required to register via a similar form to Athletes. The
deadline for registration is May 31st, 2018. Those who operate under this accreditation will not be
required an early completion of the
registration process. Upon arrival to the
venue on the required day(s), they shall
approach the administration table to be
signed in. Depending on their role, they
may be assigned a special volunteer t-shirt
to distinguish our dedicated helpers from
the spectators.

Media Accreditation

Media will require prior registration via the online Media Accreditation form. The deadline for media
accreditation will also be May 31st, 2018. We would like to obtain prior information on the media
members who are interested in attending the event, including the organization they represent and
their role in regards to the media type. Media will receive an accreditation card similar to the athlete
card found above, only with media designation at the bottom.

For anyone who may have missed the assigned deadline for form submission and wish to attend,
they may contact Pascal Villeneuve to make arrangements.

Security Services

For all general and specific security needs during the days of the event, The Process has contracted out
security services to Paladin Security, based in Calgary. Paladin has agreed to provide all necessary
security personnel at a reduced cost, in exchange for a sponsorship opportunity.

Paladin will be providing a set number of stationary guards during the day, overnight guards, and
periodic mobile patrols throughout the 5-day event.

There will also be a need for security during the RazzMatazz Festival, being held concurrently with
the race event. The needs for this event are as follows:

Information Technology

The Process has made it a priority to ensure that our event staff and gracious volunteers are equipped
with the proper technological tools needed to execute and facilitate the required tasks associated
with the proper functioning of an event of this magnitude.

Cycling Canada’s Organizing capacity requirements lists all technological equipment necessary to run
a national championship event. These requirements are fairly standard and include computers, high
speed internet, printers, two-way radios, etc. All of the necessary technology will be provided by the
IT Department of the University of Calgary. They will also be providing on-site support during the
event.

As far as enhancing the event’s experience through technology, The Process has developed a brand
new informative website specifically for the event. We encourage you to access the website by

The website creates an immersive experience that captures the energy of the city of Calgary. The
homepage welcomes visitors with a slideshow of stunning pictures of Calgary’s landscape and
encompasses the city’s passion for cycling. As the user begins to explore the various tabs located at
the top of the homepage, he can access important information about the event such as scheduling,
venues, contact information, registration forms, etc.

Beyond our formal desktop version, we have also designed the site to be 100% compatible on any
mobile device. We understand that most participants will be attending the event from out-of-town
and may not have access to a computer while in Calgary, so it was important for us to incorporate a
mobile version so that all our
participants could have access to
the event information.

Once the participants have
registered, they will be emailed a
link to the website which they
can access at all times with their
smartphones, tablets or
computers. As the event is
happening, the website will be
updated with results and any
major news that the participants
and/or the public should be
aware of.

In March of 2017, Cycling Canada announced an exciting new partnership with Thought Technology.
Thought Technology is used by elite cyclists to offer them instant biofeedback and neurofeedback in an
effort to improve their performance as they prepare for Tokyo 2020. As the Host Organizing
Committee, we are excited by this new technology and would love to reach out to the company to
create a partnership that would give them a chance to set up a booth at our events and educate
cyclists and curious minds about how their technology works.

Venue Management and Operations

As previously stated, the LOC Headquarters for the Calgary 2018 Road Race National
Championships will be the University of Calgary. The University of Calgary has been instrumental in
bringing this plan together, so that the city may benefit from hosting the Cycling Canada Road Race
National Championships.
In this section, we will explore some of the facilities available at the University, which will allow the
event to run smoothly, and with minimal complications.
The University of Calgary will ensure that we have a room on campus that will serve as our Media
Room. Room KNB 126 in the University’s Kinesiology Complex is an ideal location to host our
media members. The room’s capacity is 100, and it features plenty of desk space to be used as work
stations for media members.

The Results Room, KNB 131 is conveniently located steps away from the proposed media room
and could serve as a great location. It has a capacity of 42 and also features plenty of desk room to
provide an optimal work setting for our results coordinators.

Both of these proposed locations are conveniently located on the first floor of the Kinesiology
Building and will not be difficult to find at all. Signs will be easily visible within the building to
provide some directions and the front desk operator of the building will be informed should
someone experience some difficulty locating the necessary rooms.
As far as accommodations, media members who have registered for accreditation will be provided
with hotel options. Should they refuse the host organization’s accommodation options, they will be
free to seek an alternative that suits their needs.

Media Services

4 Months Prior to the 2018 Canadian Road Championships

The first step when Calgary receives the honours of hosting the event will be to send out a formal
Press Release announcing the victorious bidding attempt. The press release will be followed closely
by an official Press Conference that will feature representatives from Cycling Canada and the city of
Calgary. The media will receive an advisory regarding the proposed date for the press conference,
alongside other valuable details such as time and location.

The press conference will serve as an official “kick-off” event that will begin the countdown to the
event’s start date. The official Calgary: Ride the Red Mile website will feature a countdown clock on
the home page so that visitors will be consistently reminded of the start date as the anticipation will
build leading up to the opening ceremony. Those who register to the event will receive important
information as it becomes available in a newsletter type format, that will slowly increase in frequency
and importance as the event nears.

Important positions must be filled to ensure the proper proceedings of everything related to media
services during the event. We will hire a Press Officer whose main task consist of being a guide and
a trusted source of information to any media members who may have questions. The Press Officer
will report to the Communications Director.

Before the event, we will also develop a strong social relations plan that will serve to promote the
event and the accompanying Razzmatazz Festival. The plan will outline the various social mediums
we will utilize as well as the nature of the planned posts. Part of this plan will also include the
securement of a photographer.

As far as accommodations, media members who have registered for accreditation will be provided
with hotel options. Should they refuse the host organization’s accommodation options, they will be
free to seek an alternative that suits their needs.

 Prepare media advisors and press releases for both the 2016 Canadian Road Championships
and the Razzmatazz Festival
 Purchase media and develop content for local radio stations, local and community news
channels, social media platforms and print platforms for both the 2018 Canadian Road
Championships and Razzmatazz festival

During 2018 Canadian Road Championships (June 9-13th, 2018)

As previously covered in the above section, media members will have access to a singular room that
will serve as the designated Media Room for the duration of the event. In this room, the event will
be streamed and projected onto the screens at the front of the room. Beyond this designated work
area, accredited media will have a designated media zones located near the race’s starting and finish
lines. From the finish line position, they will have access to the athletes and the right to conduct
interviews. This location will also provide photographers with a good opportunity of athletes
crossing the line.

There will be a media coordinator available in the Finish Line media zone that will be taking requests
for specific interviews or photographs. The athlete’s representative will first be informed of the
request before it is granted. Interviews can still be conducted with passing athletes or coaches
without a granted permission but the athlete’s compliance is not guaranteed.

Meals will be catered to the designated rooms at convenient times that do not coincide with any of
the events to allow all members the opportunity to enjoy their food.

As the event is underway, the University of Calgary’s IT support staff will be on-site and on-call
should there be any technical difficulties or any special request from our media members for
technological equipment or services.

As part of our efforts to help grow Cycling Canada’s brand across the country, we have reached out
to CBC Sports to live stream our event on their website. This will increase our reach, and we can
provide to a national audience instead of simply catering to locals. CBC Sports also provides
statistics regarding viewership of their streaming content so this will give Cycling Canada an idea of
their audience and the interest level for the sport nationwide.

Our social relations plan also includes tweeting live results of our races to provide fans with updates
of athlete performance if they are unable to watch the live stream. The goal is to make the event as
exclusive to the entirety of the nation, and strengthening the brand of our partners. Other social
media initiatives during the event include the use of Snapchat and Instagram to provide fans with
quality pictures and behind-the-scene footage of the action.
Once again, here is a breakdown of the detailed plan found above:

 Distribute attractive storylines and corresponding news releases
 Execute the social media strategy on all effective platforms (Facebook, Twitter, Instagram

and Snapchat)
 Create and distribute all event previews that highlight participants, coaches, sponsors and

stakeholders

Hospitality and Protocol

All associates involved with the National Cycling Championship will be contacted via email
informing each party of their role and responsibilities. These roles consist of volunteers, media staff
and production staff. The email will contain an information package breakdown (duties,
responsibilities, schedules), passes to Razzmatazz as one of their rewards. When possible, volunteers
will be able to spectate the National cycling event.

During the event, all associates will receive their event passes to gain access to restricted areas. We
expect most volunteers to be locals. We will supply a per diem will and we will cover any necessary
transportation fees. As for attire, The Process will supply all associates with polo shirts and all
volunteers with t-shirts featuring the event logo to help spectators identify those working the event.

Training all associates for the National Cycling Championships will be done June 7-8, 2018 at the
University of Calgary’s Kinesiology Complex, in room KNB 132. This auditorium-style classroom
will be used for training sessions, and as the primary volunteer information center throughout the
event. The two training days allow local volunteers to attend sessions to familiarize themselves in
their roles, and to have any questions answered that might have not been covered in the email.

As previously mentioned, the volunteers’ primary location will be at the University of Calgary’s
Kinesiology Complex in room KNB 132. The room will be open to all, including Cycling Canada
Executives, Sponsors, Host Organizing Committee members, Municipal and Provincial Authorities,
etc. In various locations on-site, there will be a portable office trailers provided by ATCO Structures
& Logistics Ltd. The three
offices will be set-up in
accessible locations and will
feature The Process’ logo as a
signage.

The medal presentation will

Ceremonies

Opening Ceremony

We believe that a proper opening ceremony would be a great way to inspire everyone, and to set the
tone for what is to be a well-executed event.

Since the main location for the event will be the University of Calgary campus, we have decided that
both ceremonies will be held at the Red and White Club which is located 5 minutes away from the
main campus. The opening ceremony will be held on June 9th. The capacity for the event venue is
approximately 900 people. The location offers 2,400 sq. ft of hardwood floor as well as
complimentary Wi-Fi. What is unique to this venue is that it offers a view of McMahon Stadium,
home to the Calgary Stampeders.

Free parking is available after 6:00pm and on weekends. Regarding photography services, the
University offers their own service and there is also the option of allowing students in the
photography program to be the photographers for the events. Our hired photographer will also be
on-site for the ceremony.

Closing Ceremony

The Closing Ceremony will be held on June 14th, the final night of the event. Taking into account
both time and cost, we are planning the medal to be held at the Red and White Club that night.
Medals, awards and jerseys will be awarded to the participants during the ceremony. Since this is a
national event, we want to encompass both the city of Calgary and Cycling Canada therefore we will
have the Mayor of Calgary (Naheed Nenshi) and a representative of Cycling Canada handing out the
medals, awards and jerseys to the participants.

The podium on which athletes will stand on will be a standard podium. In order to make this
ceremony unique to cycling, we will also have a colour-coded rickshaw for each winner. For photos,
we will also have Cycling Canada as well as The Process’ logo backdrops to create a fun atmosphere
and to create a lasting impact on everyone who is in attendance. All medals, awards and jerseys will
be shipped to the venue in advance of competition to ensure they are ready to be handed out when
the time is necessary.

Cycling Canada Road Race National Championships.

The Process believes that the Razzmatazz Music Festival can be the driving force to ensure that the
Championships are among the most discussed, most attended, and most remembered of all the
previous championships. The purpose of the festival is to allow everyone, participants included, to
enjoy a uniquely Calgarian experience: That of local Calgarian music, with local Calgarian food, with
the local Calgarian population.

Currently, Cycling Canada has no music festival attached to any of its events nor do any of the
sporting NSO’s in Canada, however that does not mean they shouldn’t consider doing one. Music
festivals have the ability to create lasting memories that, when combined with the aspect of music,
can create something magical. With the cycling races being the main focus for participants and
spectators we felt we needed to create another event to generate some buzz in the city of Calgary to
get excited for both the cycling event and music festival. Sure, there will be some individuals that
will remember the road races in Calgary for the rest of their life but the others we do not think will
forever remember the cycling event. This is where the music festival comes into play for spectators
and athletes who are not competing on that specific day can go check out the festival, which is only
a few minutes away from the criterium races. Thus, it gives the people another option to do
something neat and exciting in the city of Calgary, which will give tourists the chance to experience
some local food and music.

Moreover, for the city of Calgary, and Tourism Calgary specifically, we feel this festival could have
potential to become an annual event. With Cycling Canada giving the privilege of hosting 2 years in
a row we could see the festival truly take off in year 2, barring no major setbacks in year 1.
Consequently, in year 1, we want as many people attending the event as possible and want to make
sure the word gets around as well. To ensure higher attendance among both spectators and athletes
discounted festival tickets will be offered to spectators and free tickets offered to athletes.

An example of a community who is trying to combine the main event with a music festival is the city
of Timmins. The community of Timmins, Ontario is attempting to host the first ever International
Fireworks Show with the attachment of live music from both local and popular Canadian artists
every single night for 1 week leading up to July 1st 2017. Additionally, the event is called “Stars and
Thunder”, and it invites everyone from Canada to come and enjoy the fireworks and listen to some
local music as well. This will be the first time Timmins has hosted an event like this that combines
two events into one. We can see this happening for Cycling Canada and the city of Calgary too in a
similar form of music festival with local food vendors contributing as well.

The city of Calgary has always felt that hosting duties are a time-honoured tradition. One that allows
the city and the sport to raise their profile on a national or international level. We believe that any
sport that comes through Calgary should and will gain increased awareness and appreciation. Cycling
is no exception to this.

Why Choose the Name “Razzmatazz”? And What
Went into the Project.

The word “Razzmatazz” technically means nonsense according to its definition however, we feel
this could be a good name for our festival in Calgary. Previous outdoor festivals in Canada have
used similar one word names that do not mean anything from a linguistics standpoint like Ottawa’s
Escapade, Toronto’s Veld or Montreal’s Osheaga. What Razzmatazz is attempting to achieve with

its name is to create a word that stands out and will be remembered for multiple years while bringing
some fun to the word. Razzmatazz is a word that as a group we found to be unique and catchy
which is something we want if this festival is going to succeed in multiple years.

Why Wolverine?

Studying old music festival posters, we noticed that many of them have a unique feel to them that
involved some sort of connection to popular culture. Currently, Marvel studios are a very
recognizable brand, with certain characters truly standing out. Wolverine currently is still very
popular among both the youth and older generations with the recent release of “Logan” occurring in
2017. Furthermore, as a bonus Wolverine’s origin stories claim that the character is from Alberta,
Canada giving us all the incentive to choose him over any other Marvel or DC superhero. His
qualities/values of hard work, recovery, courage and intelligence are all aspects we feel match our
cycling event well which is another reason why we chose Wolverine as our poster mascot for
Razzmatazz.

*** We recognize that the image usage of the Wolverine could cause a copyright issue from Marvel
but we feel that his image and popularity would be good for awareness purposes.

Color Scheme

Razzmatazz’s main colors are sky blue, red, white and black which are
attempting to replicate a similar tone to Cycling Canada’s jerseys.

Each day gates will be open at 2pm with free access to check out Razzmatazz until 7pm where the
music will begin. Tickets will be needed to watch live music entertainment. A Razz stamp on the top
of the hand will be used to see who has Razz tickets. Wristbands will be from those coming from
the Cycling event.

Access Stamps
As has been mentioned above, the Razzmatazz festival will be open to the general public at 2pm
every day but we will only charge for tickets to watch the live music aspect, which will begin at 7pm
each day. Access control will be at the gated off area near the stage and the main entrance to the
festival to stamp hands to allow for access. Only those with stamps will be allowed inside the music
area every night. Access control volunteers will have to check for Road Race wristbands to allow for
discounts to be applied for Razzmatazz music access.

Format
4 bands total each night. 3 opening acts made up of artists whose following is less than 10k and one
headliner with a following of over 10k.
*** With families and children likely to still be around for the music section of Razzmatazz it is important that there
be a strict zero curse words spoken during live performances. Thus, if bands have songs with explicit lyrics we ask them

How does Razzmatazz connect with Cycling?

Mobile TV Monitors
The Process intends to have mobile TV monitors present at Razz that show the key highlights from
the road races. When highlights are not being shown on the screen have the live results board up,
which will be updated in real-time.
Biking Demonstrations
We expect to be able to leverage our biking sponsor to come out and have live biking demos on the
stage while music isn’t playing. Razz is open to the public from 2pm to 7pm each day, which means
the stage will be completely open for biking tutorials. Demonstrations could be on numerous topics,
including:

 Fixing a bike chain
 Proper tire maintenance
 Proper technique
 Finding a bike that fits your lifestyle
 Benefits of an active lifestyle
 Benefits of joining Cycling clubs in Calgary
During these times, it is highly likely that some additional personnel would be available to perform
minor bike repairs for those that require a tune-up.
Slow Bike Races
A slow bike race is a concept that revolves entirely around being the last one to finish the race. The
racers must remain upright in order to remain in contention. Slow bike races often result in a lot of
fun and frivolity for both those participating, as well as any observers in the area. We could have
those who have ridden into the festival compete in a daily slow race, which will be run at
approximately 3:30pm every day. Winners will receive prizes such as food vouchers, recognition on
the mobile TV monitors, etc. Bike paths are plentiful around Riley Park, and making use of the
space would be ideal for everyone.

Wolverine Fun

Have a place where kids can come and take their
picture through a cut out of Wolverine with the
Alberta provincial flag on the mask. Beside this
station, which will be included in the family zone,
there will be a short, yet detailed, description of
Wolverine’s history. He is widely considered the most
well-known Canadian superhero in comics today, and
he originates from Alberta. Kids really enjoy
superheroes and seeing that Marvel characters are
very popular in the marketplace right now we figure
this would be an activity that could draw in interest from
the younger crowd.

Charitable Donations

Among the chief goals of the Razzmatazz Festival is the ability to ensure that cycling initiatives
within the city of Calgary can be built or maintained. By making a small donation (5% of revenue) to
both KidSport Calgary, as well as the Cycling Track Pilot Project, then we can ensure that the sport
of Cycling has a positive, and lasting, legacy within the city. Should the festival become as successful
as we expect it to become, then the donations could reach some very impressive numbers, which
would only serve to cement Cycling with the psyche of Calgarians.

Medical Facilities and Emergency Services

Providing quality medical services to our athlete’s is a priority of ours. In our continued collaborative
effort with the University of Calgary, we have identified them as a great resource in this capacity.
The Wellness Centre on Campus can offer non-emergency medical care such as massage and
chiropractic services. They are also equipped to deal with potential injuries such as strains, sprains,
cuts and lacerations, etc.
The University also has the Student Medical Response services, comprised of student volunteers
with backgrounds as first responders and paramedics. They can provide professional and qualified
medical event standby services. These individuals are able to respond to emergencies before EMS
arrives.

Bilingual Services

With the Cycling Canada Championships being a national level event, the City of Calgary is happy to
produce the event in both official languages of Canada. Most materials, regardless of intent (be it
promotional, directional, motivational, etc.) will all have dual language options for the comfort and
understanding of all participants and spectators. While English is the primary language in Alberta,
we feel that our identity as Canadians trumps that when it comes to national events.

Translation services will be available for any documentary needs through both Pascal Villeneuve and
JP Ruel, who have kindly agreed to donate their time for such an endeavor. We will also be ensuring
that several volunteers will be able to speak French at a sufficient level to interact with the Quebec-
based team.

En francais

The Process, le comité d’organisation sera content de produire tout le matériel nécessaire en anglais et
en français, les deux langues officielles du Canada. La plupart des documents seront offerts dans les
deux langues pour plaire à nos participants et à nos spectateurs. Même si la province de l’Alberta
reconnaît seulement l’anglais comme langue officielle, notre identité canadienne est de plus haute
importance, surtout pour un événement nationale.

Les services de traduction seront complétés par Jean-Phillippe Ruel et Pascal Villeneuve, deux

Environmental Services

In 2007, Forbes Magazine published an article ranking the World’s Cleanest Cities. To the surprise
of many, the city of Calgary earned top-ranking honours. To those who live in Calgary, the effort
and the programs that have been put in place to ensure that the city is eco-friendly is better
understood.

When it comes to the event, we want to assure the proper environmental services that exceed the
city’s standards. Athletes, coaches and officials will be provided with some environmental guidelines
and expectations in the event program. The event program will be a virtual program sent by email
upon registration. It will be accessible with a smart phone and this will help eliminate the
unnecessary use of paper.

Transportation will be available for teams and officials with the C-Train (transit), available bus
services as well as details regarding the use of Uber. These options are made available in order to
reduce individual car transportation, thus helping reduce carbon emissions.

Water stations will be available in order to encourage the use of reusable water bottles and
containers. Garbage and recycling bins will be made available everywhere throughout the anticipated
high-traffic areas. As the organizing committee, we take full responsibility in providing the proper
resources to promote environmentally friendly practices during our event. Also, we are working
alongside the University of Calgary’s Institutional Sustainability Strategy, a program in pursuit of
excellence and leadership in sustainability.

Warehousing, Storage, and Procurement

As stated previously, storage of all material, including athlete bikes, will be handled at LOC
headquarters, the University of Calgary. Storage space has been set aside and bikes and gear can be
delivered to the race site on a daily basis.

Regarding an inventory management system, we will use a simple and cost-effective QR code
system. We will have a QR code for each individual bike in order to keep track of the bike inventory
and smartphones will be used to scan the codes and keep track of the inventory.

Risk Management

As with all events, there can often be unforeseen circumstances that cause delays and disturbances.
Unfortunately, it is impossible to predict everything that can go wrong. In the end, The Process can
only prepare for the unforeseen by putting plans into place to cover as many of the possibilities as
possible.

Claims Protocol

Calgary Cycling Committee (CCC) shall develop a Claims Protocol for the handling and processing
of claims arising out of the event that is acceptable to the City's Manager of Risk Management
Services.

Course Inspection, Handover and Start Protocol

Calgary Cycling Committee shall develop a protocol with the City that provides for inspection
processes of the course, remedial changes that may be required on the course, authority of CCC and
City staff, acceptance of the course by Calgary Road Cycling Championship and race starting
procedure.

Traffic Planning

At the National event, Main Street West will only close one hour before the race. This may result in
a higher level of traffic congestion for traffic entering the downtown core from the west, but will
depend on the degree to which the public adjust their travel patterns during race week.
Additionally, another significant difference is the need to provide a shuttle service for spectators
from designated parking lots throughout the City to the race area. This aspect has yet to be finalized
as it is the responsibility of the Tourism Calgary.

The traffic issues for the National Road Cycling race are being managed at three levels. The first
level is the race course proper, plus streets within one block of the race route. This is now being
referred to as “the stadium”. The prime concern in this area is ensuring the safety of cyclists and
spectators, and all aspects of traffic control within this area are being managed by the technical race
group within CCC. The course is inspected and released, through a formal sign-off process, to the
race organizers by City staff and Calgary Police services prior to each race.

The second level is traffic approaching the race course. The key element is to reroute and detour
traffic at logical points, and to maintain traffic flows on some roads and intersections, by sharing the
route with the race course. Responsibility for setting up the closures is held by the operations group
of CCC, while most closure points are administered by a combination of police and volunteers. The
re-routing and traffic detour plans are being evaluated by the CCC’s consultant, City of Calgary and
Calgary Police staff. Discussions are also on-going with the Ministry of Transportation as to the
need and possibilities of closing one or more freeway ramps. The present position is that the ramps
may be closed, but only as demand and safety needs dictate based on “real-time” conditions.

The third level is advanced detour warning signs. The signs and signing plan which are developed by
City staff will be updated to reflect new information. In order to assist CCC in its responsibility to
ensure the safety of the cyclists and the public and to ensure the event is undertaken and completed
in a manner that is acceptable to UCI, City Council, City staff and the residents of Calgary, complete
closure of the race course will have to be implemented. This means no vehicular traffic (with the
exception of emergency vehicles) will be allowed along, or across, any of the race routes from one
hour before the start of competition to one hour after.
Data gathered during the National event showed that general traffic flows were lighter than usual,
(30% less overall, with an even greater decrease during the morning rush hour). This was due to the
increased public awareness of the event and the school year being completed. It is anticipated that
traffic flows will be lighter during National Road Cycling Championship.
Additionally, Main Street will be impacted a number of days prior to the event and overnight for
preparations. The worst traffic congestion will be experienced on eastbound Main Street.
Identification of Incidents
Once a risk is identified or an incident noted, the CCC will inform EMS as soon as practically
possible. The actions to be taken following an incident will follow the following model:

A large-scale crash affects the majority of the riders
If the crash happens early in the event, a neutralisation is desirable to allow the competitors to
receive treatment, ensure their bikes are in working order and start off again in a normal race
formation. The same situation occurring in the last hour of the race cannot be addressed by
stopping the race followed by restart. The riders will receive treatment and mechanical assistance,
but a neutralisation is not possible.

Examples of race incidents

 Weather conditions: snow, intense rain, heat or cold, significant lack of visibility, tornado,
storm, strong winds.

 Significant compromise of road surface: flood, frost, damage, fuel spillage.
 Course blocked: demonstration, road accident, fire.
 Long wait before the arrival of medical assistance: if the medical service is attending one or

more serious incidents or a large number of incidents.
 Delay of the majority of the riders: large-scale crash, race going off course, simultaneous

punctures for many riders, etc.

Action to be taken

 In case of an accident or incident that could impinge upon the conduct of a race, the CCC at
any moment decide:

 to modify the course,
 to temporarily neutralise the race or stage,
 To declare a stage null and void,
 To cancel part of the stage as well as the results of any possible intermediate classifications

and to restart the stage near the place of the incident,
 To let the results stand or;
 To restart the race or stage, taking account of the gaps recorded at the moment of the

incident.

Summary/Conclusion

Calgary is the ideal city to throw open the doors of Cycling, and to finally make an introduction to
the western side of Canada. Calgary has the population, the nightlife, the accommodations, and
everything else that a city needs to make this event the best it’s ever been.
The city of Calgary, as mentioned, is a sport city. A sport city that loves hosting any and all sporting
events. Calgary uniquely understands the social and economic benefits that National events can
bring, and Calgary is uniquely equipped to host the Cycling Canada Canadian Road Championships.
We may have the reputation of being a mountain sport, or a winter sport city, but Calgary always has
been, and always will be, an every sport city.
As is patently clear throughout this document, the 2018 & 2019 Canadian Road Championships can
be used to usher in new growth and prosperity cycling, as both recreation and sport, in Canada. The
eastern side of Canada has been host to the Road Championships for the vast majority of the past
20 years, and the western side of Canada wants in.
Calgary offers the opportunity for a new type of cycling event. With the inclusion of the Razzmatazz
Music Festival as an addition to the event, we can safely include an exceptionally forward-thinking
and beneficial Legacy Plan. By focusing on the growth of cycling, and concentrating on how that can
best be accomplished through the next 2 years and beyond, we have shown that this cycling event
can be a springboard to greater things. The donation(s) to the city and/or KidSport are an
innovative notion that will produce results, and these donations are only possible due to the
Razzmatazz Music Festival.
The Process would like to cordially invite Cycling Canada to the future of Cycling Events.
The Process extends this invitation to join us in Calgary, Alberta, for the 2018 and 2019 Canadian
Road Championships.
