3. Thank you Letter

Sample Letters 16 through 25 are all examples of thank-you letters that were written for
a variety of reasons. Thanking someone for something is not only courteous, it also builds
goodwill with the person you are thanking. Forget what you see on the big screen about
corporate megalomaniacs seizing fortunes and building fiefdoms. In the professional world,
manners never hurt.

Sample Letter 16 was written to thank someone for a personal favor. The letter writer
clearly expresses gratitude to the letter reader without getting schmaltzy. She thanks him, wishes
him well, and closes.

Sample Letter 17 was written to thank someone for her hospitality. Here too the letter
writer expresses gratitude, specifically mentioning what he is thanking the reader for.

Sample Letter 18 was written to thank a contributor for a charitable
contribution. The letter writer thanks the letter reader for the gift, briefly recaps what it was for,
mentions how the letter reader‘s donation will help, and closes.

Sample Letter 19 thanks someone for a public service. Here the letter writer expresses
his appreciation and gratitude to the letter reader. He closes by reiterating his thanks.

Sample Letter 20 was written to thank a professional who had appeared on a
television panel show. The letter writer thanks the letter reader, expresses appreciation, lets him
know that he was a good guest, and closes.

From time to time most professionals are called on to perform some public service.

Sample Letters 37 through
44 are examples of public service and fund-raising letters. Sample Letter 37 was written by
a class agent to his classmates seeking to raise funds for their alma mater. The letter is
anecdotal and makes a solid plea for funds.

John Templeton, one of the beacons of light in the investment world. When he came to the part of his
speech where he was to tell the audience what he thought the best investment would be for the future, he
had the entire audience on the edge of their seats in anticipation. And then he hit them with it: ‗‗The best
investment for the future,‘‘ he said, ‗‗is tithing 10% of your annual income.‘‘ It seems Templeton had
followed this philosophy for years and felt it had paid off handsomely.

Now, I‘m not suggesting that you ‗‗tithe‘‘ 10% of your income to Clarkson Community College.
But I think there is a lot of merit in what Templeton says. If you want to see tangible results from your
money, if you want to see your dollars at work, then investing in the future of Clarkson Community
College is a sure bet. When the stock market languishes, Clarkson Community College continues
to flourish doing what it does best—educating students.

The outlook for the future of Clarkson Community College is good. The college is blessed
with a growing number of entering students each year. Academically, the college continues to challenge
students. Athletically, the teams of Clarkson continue to tough it out on the playing field (or courts or
pools). Student publications and productions continue to provide experiential
opportunities. All the trappings needed to educate graduates
who go out and find success are there.

Please try to give what you can to Clarkson. Be sure to
check whether your company has a matching contribution plan.

Think of what you give not so much as a charitable donation, but as an investment, one that
you will know is at work every time you visit Clarkson,talk to a Clarksonian, or hear from a recent
graduate nervously encounteringthe world outside of college for the first time—just like we did when
wegraduated.

With all the joys and hassles of the holiday season, I would like to ask you to add one more item to your
Christmas list: to continue your good work as a Preston Community College Class Agent.

We would like to mail the Class Agent letter in January, which is why we are approaching you during the
holiday season. Believe it or not, January is one of the best times of the year for direct mail solicitations,
something I learned in my direct mail class at Preston Community College.

As always, you are welcome to write your own letter to your class. As an encouragement, I am
enclosing a copy of an excellent article on letter writing that appeared in Business Communication News.

I encourage you to write your Class Agent letter just as you would write a letter to a friend. After all,
you share two years of special memories with your classmates. Your letter should bring out the bonds that
tie your class.

Let people know what‘s happening at Preston now. Let them know what‘s changed and what hasn‘t. If
you‘ve visited the campus recently, describe what you saw. Along the same lines, let people know what
other classmates are doing. Encourage people to send you news about what‘s new in their lives—it‘ll be
great material for your spring letter.

If you just can‘t put pen to paper (and believe me, I know how that feels) I‘m also enclosing a ‗‗ghost‘‘
letter that you can adapt as your own. Write your own, change mine, or use mine without any changes.
But please have your letter to the Development Office by January 5, 20X4. Also, complete the
enclosed card and send it with the letter so the office will know how it is to bemailed.

This year we have an incentive for our Class Agents: a signed, limited edition watercolor of Old Preston
Hall will be given to the Class Agent who has the largest percentage increase in the number of donors
from his or her class and to the Class Agent who has the largest percentage increase in the total
amount given by his or her class. A copy of the Preston Community College Report describing the
limited edition print is enclosed.

I encourage you to be innovative in your appeals to your class. Don‘t be limited by the two required
letters. I‘m open to your suggestions, ideas, and spurts of creativity—anything that will help improve the
Class Agent program.

Business English
Business English is the type of English used in business contexts, such as international trade,
commerce, finance, insurance, banking, and many office settings. It entails expectations of
clarity, particular vocabulary, and grammatical structures. Here’s a quick review of some of the
features of professional business communication.

Business Letter
Business letter is usually a letter from one company to another, or between such organizations
and their customers, clients and other external parties. The overall style of letter depends on the
relationship between the parties concerned. Business letters can have many types of contents, for
example to request direct information or action from another party, to order supplies from a
supplier, to point out a mistake by the letter's recipient, to reply directly to a request, to apologize
for a wrong, or to convey goodwill. A business letter is sometimes useful because it produces a
permanent written record, and may be taken more seriously by the recipient than other forms of
communication

Company
Company is a commercial business or firm, business, corporation, house, establishment, agency,
office, bureau, institution, organization, operation, concern, enterprise, venture, undertaking,
practice.

Complimentary
Complimentary something given or supplied without charge, as lodging, transportation, or meals,
especially as an inducement to prospective customers.

Continuation sheet
The definition of continuation sheet is a page of a document that continues from the one before it to contain
similar information.

Dateline
Dateline is the day and time something happened, most often a news report
Employment
Employment is not a simple term denoting the mere holding of a job for which a wage is paid, or
the operating of one’s own business. Rather, it signifies the state of anyone who is doing what,
under the circumstances, he most wants to do.

Identification line
Identification line like an Identification initials, enclosure notations and CC notations are
elements of a business letter which are also called special notations. They are used less often than
major business letter elements.

Inside address
 The inside address contains the mailing information belonging to the recipient and should be

justified to the left margin of the letter and placed two spaces below the date (for very short
letters four spaces is acceptable).
 As in the heading, the inside address includes the street, city, state and zip code of the
recipient, all of which should be placed below the name of the business or organization to
whom the letter is being written. Identifying words such as Avenue, Circle, Court, Drive, and
Street should be spelled out rather than abbreviated.
 When the recipient' name, title and position are known, they should be included as the first
two lines in the inside address and placed directly above the name of the business or
organization.

Meeting
Meeting is a gethering of two or more people that has been convened for the purpose og
achieving a common goal through verbal interaction, such as sharing information or reaching
agreement.

Miscellaneous Letters
Miscellaneous letters are those that cover different subjects related to business. These are the
group of letters, that are used to announce something worst or to show some sympathy to any
relative or your friend. Any letter related to planning or proposing any plan can also fall into the
category of miscellaneous letters. While writing such a letter you need to take care, because you
cannot spoil the relation with the recipient. When your company plans to write any such letter, it
becomes important to maintain the identity of the company. It can be done by using right
language and format of the letter. You can follow the business letter format to write this type of
a letter. It is very important to proofread such a letter so that you can avoid any kind of
grammatical or punctuation errors. In other words, miscellaneous letters are also called as the
collection of letters. The another name of this type of a letter is the sundry letter. Such letters,
can be related to anything like: Credit management, Job search, Sympathy, Intent letter,
Employment, Order confirmation, Business expansion, The donation, etc.

Official Style

Official style is a form letter from the parts of a formal letter. Functional and purpose of this
letter together with parts of the official letter. But do not forget to make a formal letter always
pay attention to the center line for an official letter that looks neat and received by the agency or
institution as a formal letter.

Personal Letter
Personal letter is a type of letter (or informal composition) that usually concerns personal
matters (rather than professional concerns) and is sent from one individual to another. It's longer
than a dashed-off note or invitation and is often handwritten and sent through the mail.

Recommendation Letter
Recommendation letter is written by a previous employer, colleague, client, teacher, or by
someone else who can recommend an individual's work or academic performance. The goal of
recommendation letters is to vouch for the skills, achievements, and aptitude of the person being

recommended. Think of these letters as symbols, intended to represent an important person’s
vote of confidence in a candidate – without having to go in person to a hiring manager’s office
and make their case.Most often, a recommendation letter is sent to a hiring manager or
admissions officer to facilitate an interview or introduction of the candidate.
Salutation
A Salutation is a greeting used in a letter or other written or non-written communication.
Salutations can be formal or informal. The most common form of salutation in an English letter
is Dear followed by the recipient's given name or title. For each style of salutation there is an
accompanying style of complimentary close, known as valediction
Semiblock letter
Semiblock letter or Shape Half Straight (Semi-Block Style) is a form letter where all the letters,
except the contents of the letter, diketika same as a straight shape. Each end of new paragraph 5
is typed after a knock from the left edge of the wedge line.
Simplified Letter
Simplified Letter or Forms Simplified (Simplified Style) is a form letter that is almost similar to the
shape Straight Full but only without any greeting and closing greetings. Usually this letter in
addressed to the people who were working in the company. Sometimes a simple form of letter
writing is very simple without the need to look at tidiness and order.
The Social Letters
The Social letters are really of the nature of friendly chat: and, being as a rule unpremeditated and
spontaneous compositions, they are informal and free-and-easy as compared with essays. Just as
in friendly talks, as in friendly letters, we can touch on many subjects and in any order we like.
And we can use colloquial expressions which would in formal essays be quite out of place
