i ABSTRACT INDUSTRIAL TRAINING FINAL REPORT CITY UNVERSITY, JOHOR BHARU MALAYSIA By Norkamila Idayu binti Mohamad Misran Matric No. 202009040014 Academic Supervisor : Dr Mohd Yuhafidz bin Mohd Yusof Faculty : Faculty of Business As a Bachelor of Business Administration (BBA) student at the City University, each student in any organization must perform practical guidance to complete the four-month Internship Program requirement for a specific institution and produce a corresponding internship final report. This work is provided by the Faculty of Business City University as a partial compliance with the BBA program requirement. The ultimate goal of the faculty is to educate students in business, industry, government and non-governmental areas for professional development.


ii This industrial training report consists of 5 chapters and that are Introduction, Background of the Organization, Client Charter, Description of Functional Area, and Summary, Conclusion and Recommendations. Chapter 1 consist of Objection of Industrial Training, the Important of Industrial Training, Objective of Industrial Training Report and Scope of Industrial Training. Chapter 2 consist of Introduction of Organization, Organization Profiles, Organization Objectives, Organization Function, Organization Strategy/Vision/Mission and Organization Chart. Chapter 3 consist of Description of Product/quality Services, Major Customer and Segment Markets/Client’s Responsibility, Overview of Organization’s Business and its activities and Customer Service Charter Objectives. While chapter 4 consist of Introduction of Functional Area, Objective of Functional Area, Structure of Functional, Job Description, Layout of Functional Area, Work flow of Processes, Human Relations/Communication and Motivation, Critical Incidents and Suggestion for improvement. Last chapter is chapter 5 which has the Summary/Conclusion and Recommendation of the report, Summary of all chapter, Recommendation for improvement, References, Appendices and last is Biodata of Student. In order to complete study, trainee needs to undergo four months of practical training in industry starting from 1 June 2023 until 1 September 2023. During four months of training, trainee have chosen an institution maintaining public safety and order or known as an enforcement agency which is at the Police Station (PDRM) as a place to conduct practical training sessions. Buloh Kasap Police Station is a Police Station under the administration of Segamat District Polis Headquarters located in Segamat district in the state of Johor. Buloh Kasap Police Station is government sector that I chose to undergo my Internship. Training schedule has been


iii prepared by the Police Chief of the Station for the trainee to carry out General Duty Practical Training. This Training provides an initial exposure to trainee about the actual duties when working at the Police Station. Besides that, with early exposure to real workplace environment, student also learn to improve effective communication skills techniques to create good relationships with colleagues as well as foster high discipline, punctuality and fulfill responsibility for task. Practical training is the best method to prepare trainee to face the real work environment and make valuable experience for trainees in relation to the ins and outs of the world of work, thus making highly skilled graduate trainees who meet the needs of employers in the future.

xv INDUSTRIAL TRAINING BRIEF Bachelor student form Faculty of Business are compulsory to go for industrial training at organization either government sector or private sector. The training is a part of academic subject (Internship). This industrial training provides pre-professional work experience for the students. The period of industrial training is six months includes presentation of knowledge gained during training and the semester break. Student are required to choose any agencies or company for industrial training’s placement whether it is paid or unpaid. According to industrial training handbook (2015), the student has to work under supervision of experienced information professional. Therefore, student is able to learn more on management, gained added skills and practical knowledge that are possibly different at the class. For this industrial training, student will be grade through the assessment that comes from report of organization itself, industrial training report prepared by the student and presentation at the end of training period. The purpose of the final report of an internship in the government sector is to provide a comprehensive and organized overview of the intern's activities, experiences, and achievements during their time working within a government agency or department. This report serves multiple important functions. Documents the tasks, projects, and responsibilities the intern was involved in during their internship. It outlines the scope of their work, the challenges they faced, and the solutions they implemented.


xvi The report often includes a reflection on the intern's learning experiences. This could involve discussing how the internship contributed to their personal and professional growth, the skills they developed, and how their understanding of the government sector developed. A report that highlights the intern's contributions of trainee to government agencies. This includes specific projects they worked on, ideas they proposed, or tasks they completed that had a positive impact on the organization's goals and objectives. Overall, the final report of an internship in the government sector serves as a valuable tool for both the intern and the organization. It encapsulates the intern's experiences, provides a platform for self-reflection, and contributes to the continuous improvement of the organization's internship programs. Generally, this report contains 5 chapter where chapter 1 and chapter 2 are regarding the organization. Meanwhile in chapter 3, student was describing work done by his or her during the training. It will also include special project that the student has done which give an impact to the organization. In contrast, chapter 4 will be discussing the lesson learnt by the student throughout all activities that have been done. On the other hand, it is also containing suggestions and recommendations at chapter 5.

1 1.1 Introduction A City University’s Johor Bahru student named, Norkamila Idayu binti Mohamad Misran have choose a PDRM government agency as a place of Industial training located at the Buloh Kasap Police Station in Segamat Johor. Student prefer to gain Police Station work experience because of their deep interest in uniformed forces. The internship is an integral platform for anyone to gain experience in actual workplace. Thus, Subject BBCB3336 Internship is a good opportunity for student to learn, to gain experience and also to make preparation. Mean learn through experience, and a real life is full of different kinds of experiences. Student will encounter many difficulties and obstacles, and with experiences them are expected to able to encourage and complete the cleansing process. Experience in my eyes is a very valuable thing in life because we need to be brave in talking risk. It is also not something that we simply create, but we need to undergo through it. By doing my internship in an actual workplace, it helps me to know and discover myself form different angle. It also helps me to control and develop my attitude and behaviour in dealing with different kind of people and situation. I have decided to take the internship course to grab the golden opportunities to apply theories and knowledge that I have in real working life setting. Through learning in university, I learned about theories but by doing internship, I learned the practicality approach on dealing with a real world. Even through it was not that much, it still has profound result in some aspects of my life. In some ways, through the internship, I also have learned that I am still lacking as an individual and employee. Internship helps me to identify my weaknesses and also my strengths. Immanuel


2 Kant once said, ‘Experience without theory is blind, but theory without experience is mere intellectual play.” The other reason why I choose to take the internship course is as a preparation for more challenging work environment and situation. Our life in school and university is incomparable with working life. A working life is very challenging as it requires great effort, commitment, and abilities, those are something that I need to be prepared and trained to. Apart from that, I really want to gain professional knowledge and skills by talking the internship course. At the same time, I also want to improve my communication skills and ability to interact with people. I realize that by being part of working society, I will need to meet different people around the office and I will have to communicate with them to settle their needs. Undergoing internship also helps to make me learn on how to work in a systematic organization. It helps me to learn on how to be independent in accomplishing my tasks. Besides, all knowledge that I have learnt through my learning in classroom can be implemented through internship. Not only that, by doing internship, I am able to undergo challenges which is normal in working life setting. During my four months of internship, I want to actively contribute to the company’s objectives by applying the knowledge I obtained during my education environment for example differentiate between public sector administration and private sector management. I could see how the public sector like Police DiRaja Malaysia managed their organization structure as compared to the private sector. At the same time, I want to understand more about the vision and mission from the leadership in achieve the objectives of its establishment. I go through my internship course for the duration of approximately 16 weeks excluding holidays. I chose Buloh Kasap Police Station located in Segamat Johor as the organization for me to complete my internship. I have several reasons onto choosing this place to do my internship.


3 First of all, my house is nearby to the Buloh Kasap Police Station. Thus, it would be much easier for me to go to work by riding a motocycle. Secondly, I wanted to have a full excitement and experiences period on internship. Perhaps, all the experiences while having internship in Police Station will be beneficial in future. 1.2 Objective of Industrial Training Industrial training, a crucial component of many educational programs, serves as a bridge between classroom learning and real-world application. The primary objectives of industrial training are designed to equip individuals with practical skills, enhance their understanding of industry practices, and prepare them for successful careers. The relevant of giving at least four months working experiences at selected organization is most of the student do not have chance to work in office. Therefore, with the existing of this subject, student can get the image on working in field that they have learnt. Skill Development: One of the primary objectives of industrial training is to develop practical skills that are directly applicable to a chosen field. Trainees engage in hands-on activities that help them master specific techniques, tools, and equipment used in their industry. Whether it's operating machinery, conducting experiments, or implementing software, this skill development is essential for job readiness. Real-world Application: Industrial training aims to provide trainees with real-world exposure to the practical application of theories and concepts learned in the classroom. By working in an actual professional setting,


4 trainees experience firsthand how their theoretical knowledge translates into practical solutions, fostering a deeper understanding of their field. Industry Insights: Understanding the intricacies of an industry is vital for successful career navigation. Industrial training provides trainees with insights into industry practices, standards, regulations, and trends. This knowledge enables them to align their skills with industry needs and prepares them to contribute effectively to their future workplace. Professional Adaptability: Another objective of industrial training is to enhance trainees' adaptability. 15 2.1 Introduction of Organization An organization refers to a structured entity formed with a specific purpose in mind. It involves a group of people, resources, and systems working together to achieve common goals and objectives. Organizations can take various forms, such as businesses, non-profit groups, government agencies, and more. They have defined structure, roles, and hierarchies to facilitate communication, coordination, and decision-making. It serves as a foundation for understanding how the organization has developed over time and how its past has shaped its present and future endeavors. 2.1.1 History The history of the Royal Malaysia Police, a police force has been in existence in Malaysia since the days of the Malacca Sultanate. Malacca's canonical law created what was essentially a police force in Malaysia in the fifteenth century, through the institution of the Temenggung and Hulubalang, or royal warriors. During the Sultan of Malacca's absence, the Bendahara, or Prime Minister, held absolute authority, with the power to hand out sentences, but it was the Temenggung who acted as the Police Chief or Inspector General of Police. His tasks were to arrest criminals, build jails and implement sentences. Apart from the Temenggung, there


18 were a number of Penghulu or village chiefs who had the duty of policing their respective villages. Their main tasks included tax collection, law enforcement and preserving village security. These Malacca police systems ended when, on 10 August 1511, a Portuguese fleet led by Afonso de Albuquerque conquered Malacca for the Portuguese crown. Police duties were then largely performed by the Portuguese soldiers. The Royal Malaysia Police (often abbreviated RMP) (Malay: Polis Diraja Malaysia (PDRM)), is a (primarily) uniformed national and federal police force in Malaysia. The force is a centralized organization, and its headquarters are located at Bukit Aman, Kuala Lumpur. The police force is led by an Inspector-General of Police (IGP) who, as of 23 June 2023, is Razarudin Husain. The constitution, control, employment, recruitment, funding, discipline, duties and powers of the police force are specified and governed by the Police Act 1967. In carrying out its responsibilities, the regular RMP is also assisted by a support group of Extra Police Constables, Police Volunteer Reserves, Auxiliary Police, Police Cadets and a civilian service element. There are currently more than 130,000 sworn officers under the Royal Malaysian Police. The RMP often works closely with other law enforcement agencies in the country such as the customs department, immigration department, maritime enforcement agency and many more. 2.1.2 Organization of PDRM As of my last knowledge update in September 2021, police stations in Malaysia are typically organized according to the structure of the Royal Malaysia Police (RMP), which is the national police force of Malaysia. The RMP is responsible for maintaining public order and safety,


19 preventing and investigating crimes, and enforcing laws in the country. Please note that there might have been changes or developments in the organization since that time. Here is a general overview of how police stations are organized in Malaysia: The Royal Malaysia Police follows a hierarchical rank structure, similar to many other police forces around the world. It includes ranks such as Inspector General of Police (IGP), Deputy Inspector General of Police (DIGP), Commissioner, Deputy Commissioner, Assistant Commissioner, Superintendent, Assistant Superintendent, Inspector, and various other ranks. The RMP is divided into several major departments and branches, each responsible for specific areas of policing. These include but are not limited to: Criminal Investigation Department (CID) - Responsible for investigating various types of crimes, including serious offenses like homicide, robbery, and fraud. Traffic Enforcement and Investigation Department - Handles traffic-related matters, enforces traffic laws, and investigates traffic accidents. Narcotics Department - Focuses on preventing and combating drug-related offenses. Commercial Crime Investigation Department - Deals with financial and cybercrimes. Special Branch - Responsible for matters of national security, intelligence gathering, and counterterrorism efforts. Community policing - Engages with the community, promotes crime prevention initiatives, and maintains good relations between the police and the public. Police stations are the basic operational units of the RMP and are spread throughout the country. They are responsible for providing various policing services to the local community. Each


20 police station is typically headed by an officer with the rank of Superintendent or Assistant Superintendent, who is in charge of overseeing the station's activities. In addition to regular police stations, there are various specialized units within the RMP, such as the Federal Reserve Unit (FRU) for handling crowd control, the Marine Police for maritime enforcement, and the General Operations Force (GOF) for rural and border security. 2.1.3 Royal Malaysian Police Logo Figure 1: PDRM logo 2.1.4 The meaning of logo. 21 Crown A panegyric allusion to the King of Malaysia, which gives the "Royal" title of its own name, is portrayed by the Krone of the Royal Malaysian Police. The phrases Allah and Muhammad in Arabic, symbolizing Allah the All-Powerful and Muhammad as the Massager, mean Islam as the official faith and religion for RMP workers ready for justice and security for the people of Malaysia. Keris and the Elang Sword The Keris is a major emblem of the Peninsula of Malaysia and the traditional machete, Elang or Klewang, are symbolized in the eastern Malaysian states of Sarawak and Sabah and reflect the heroic motive of several ethnic groups such as the Dayak, the Dusun and Bajau. Tiger head The head of the tiger represents courage, power and RMP spirits. Previously, from 16 September 1963, with the creation of Malaysia, the RMP used a lion's head as a symbol of courage until 15 May 1994, when it was replaced by an official order of malaysian government with a lion's head. The previous lion's head also symbolized the Singapore and Sabah States until 1965. Paddy flower Paddy flower is a reference to paddy and rice, the staple food for Malaysians and it signifies national prosperity. Motto The RMP motto represents team spirit and determination.

23 2.1.6 Flag ‘Sang Saka Biru’ Figure 4: Flag ‘Sang Saka Biru’ ‘Sang Saka Biru’ is the name of the PDRM flag that was introduced on 16 May 1994 and is used until now. It is a symbol of the excellence and splendour of the PDRM. The colour blue was chosen because it has been accepted as a universal color and is used by most police around the world. Blue symbolizes peace, well-being and order which is the core of the police force's struggle and in the middle, there is a white police logo. The police flag is flown every day from 6.30 am to 6.00 pm with certain procedures and respec ‘Sang Saka Biru Song’ “Berkibar Sang Saka Biru. Gagah sentiasa, Pusaka Polis Di-Raja.
