ATOL Training Manual

NOTE: All materials for ads MUST be submitted via ATOL web pages
AdTracker Online is best viewed using Chrome, Firefox or Safari browser.

To access the ATOL website, navigate to ATOL.GATEHOUSEADS.COM. This website is where ATOL
users will access ads entered from a Business System or the New Ad Order form.

Creative Solutions Hours

The Creative Solutions team is available in the Online chat in ATOL Monday through Friday, 5:00 AM
to 9:30 PM CST. Any issues that require assistance outside the normal business hours MUST be
entered through the Creative Solutions Help Desk at helpdesk.gatehouseads.com. Your ticket will be
assigned to the appropriate person(s) for review and resolution.

Forgot Password
Forgot your password? The forgot password link will allow the ATOL user to reset his or her password.

• Click on the link to begin password reset process.

• The link will open a new tab on your web browser.
• Enter you ATOL user name and e-mail address in the appropriate field

• Your user name and e-mail address must match what is currently in the AdTracker database for
the system to send the password reset e-mail.

If you are experiencing difficultly in this process, please contract your local site coordinator for
assistance.

• Upon successful submission, you will be re-directed back to the main ATOL login screen. You
will receive an e-mail with a link to reset your password. Please check your SPAM folder or
filtered folders for the e-mail.

• In the e-mail, click on the RESET MY PASSWORD link. This will open the link to the password
update form.

• Follow the password requirement:
• Enter the same password twice.
• Then click Update User to save.

Dashboard

ATOL Dashboard

ATOL includes a Dashboard for ease of use. The Dashboard shows in a glance all the most important
live ads for your account. The Dashboard is broken into four distinct panes, NEW ORDERS, PROOFS
TO REVIEW, ON HOLD and IN PRODUCTION.

The Dashboard has an ad counter for each window pane, this allows for quick reference of the number
of ads in each window.

NEW ORDERS

The NEW ORDERS pane shows all ads in BOOKED status that you have ordered and are waiting
for artwork, copy, and/or a layout to be supplied to production. Only ads with a materials in deadline
within the next 14 days appear in the NEW ORDERS pane. Ad that are ordered more than 14 days
in advance will be need to be searched by using the Search Ads Functions. Refer to Section 3 for
instructions on how to search for ads.

PROOFS TO REVIEW

The PROOFS TO REVIEW pane lists all the ads that have a proof available and are awaiting an
approval or submission of corrections.

ON HOLD

The ON HOLD pane shows all ads currently in Hold status.

IN PRODUCTION

The IN PRODUCTION pane displays all your ads that are currently in the production process. This
Dashboard pane gives you a quick overview of where your ads are in the workflow process. The
statues that will appear in this pane are: AT STUDIO, CORR CHK, CORRECTIONS_L, INCOMPLETE,
IN USE, MATERIALS IN, MATERIALS_RVW, and QUALITY RVW. See Section 11g for additional
information on Status Definitions.

Dashboard Ribbon

The Ribbon above contains a number of tabs that direct you to specific functionality within ATOL.
The tabs within this ribbon will change as you select a function showing only the options available
within each option. Also, not all the tabs are available for every site. Some sites may not see the
Digital Ad Tracking Tab or the New Ad Order tab.

• Search Ads - displays a list of your live ads and allows you to further refine your search for
specific ads. This tab has multiple search options for basic, advanced and if available, Spec Ad
Library specific searches.

• Refresh - this will refresh the list of ads by updating the search criteria you may have entered
in searching for ads. Each time the Refresh is selected the system will return the most current
results.

• Dashboard - this returns you to the Dashboard view from whatever function you are in.
• New Ad - allows you the opportunity to enter a New Ad Order or a New Spec Ad order.

Depending on the options available to your site, you may not have either of these New Order
tabs.
• DTO - if your System is configured to use the Digital Ad Trafficking module, this option will be
available otherwise it will be hidden.
• Preview - this option allows you to show or hide the Ad Preview and Mini Expand information at
the bottom right of the screen. Hiding this not only provides more space but obviously refreshes
the screens much more quickly.
• Login Info - by clicking on the drop down arrow you can edit your User Profile or Logout from
ATOL. The Edit Profile option is where you have control of changing your ATOL password,
update, change or add an e-mail address or change your profile.

The Search Ads Option provides the functionality to search for ads by various criteria. There is both a
Basic Search option and an Advanced Search option which provides additional search criteria. If your
site has the Spec Ad Library module enabled, there is also a Search option specific to Spec Ads.

New Ad Icon

The New Ad Icon provides three options (depending on how your site is set up - you may only see
“NEW SPEC AD”).
NEW AD ORDER - is to order a new production ad. This does not take the place of order entry which still
needs to be input into the local site’s business system. For new orders you will be given the opportunity
to submit materials as well as select a previous ad for pickup purposes.
NEW SPEC AD - You are able to order a New Spec Ad by simply filling out the forms shown on the
following pages and submitting any materials, copy, and layouts to be used for the new Spec Ad.
NEW DTO (CORPORATE ONLY) - The third option is if you are not submitting an ad for Creative
Solutions to create, but you are creating a New DTO Order. This option is usually only available for sites
who do not use Creative Solutions to create their online ads.
If your site has a business system integrated with Creative Solutions, you may not have the New Ad
Order and New DTO Order tabs available to you.

New Ad Order Form - Basic Ad Information Explained

Sites without an integrated business system will use the New Ad Order to submit a new ad into ATOL.
Within the ATOL software, select New Ad, and then New Ad Order, and fill out the one page form
following the instructions below. After completing the “Basic” tab, click the NEXT button to move to the
next tab. See Submit Files to learn about the other tabs.

Basic Tab: Basic Ad Information

When creating a new order you will need to supply some very basic order information. You will be
required to supply a Customer Name; either an existing Customer name or a new Customer name, as
well as Color and Size information.

Please see the previous page for instructions on what is required for Basic Ad Information, Ad Type
and Size and Publication Run Dates as shown below.

New ATOL Customers

When filling out the New Ad Order for a new customer here are some basic tips to follow:

• Customer accounts are linked by sales reps
• If sales rep 01 and 02 share a the same Dunkin Donuts account, each rep will need to enter
the customer under their ATOL sales ID number.

• Customer Name - Try to keep the name consistent from your system to AdTracker or ATOL
sales account to ATOL sales account. This will cause multiple names for a single account
number, e.g. Dunkin Donuts, Dunkin Doughnuts, or DD, etc.

• Account Number - must be entered in ATOL with your 2 digit site code plus the customer
account number with no spaces, e.g., AC2002.

When you select Online as the Order Type, the Column Type will automatically select Modular
ONLINE. This is the only Column Type available with this selection.

Online sites for your site. You must pick one to
continue.

Basic Tab: Publication & Run Dates

Click on the drop down arrow to reveal the Publications and select the appropriate print publication.

Publication

Select the respective publication for your print or digital ad. If your site is configured for DTO’s you
must make sure you select your online publication in order for the DTO to be created.

Select the run date(s) for the ad by clicking on the Calender Icon. Select the first date the ad will run
and then last run date.
If an incorrect date was selected; click on the date then click on Remove Date to remove the selected
run date.
Deadline Type will default to Main.

Details Tab: Custom Questions

Each set of tabs have required entries that must be selected before clicking on NEXT. If you click
NEXT without populating these fields, they will be highlighted in a yellow box.

On the next several pages, the provided screen shots will show additional selections. As you choose
a particular radio button, some options will require additional selections in which at least one option
must be selected.

Follow layout exactly

Exact layout and detailed instructions will be
provided. Artist must replicate the ad exactly
as instructed. Order your ad as follow layout
exactly if you are certain the content that you are
submitting will fit in the ordered ad size according
to a layout that you are providing or an ad you
are picking up and changing. If the provided
content or layout does not fit within the ordered
size, Creative Solutions will place the ad on hold.

Some interpretation

A layout and general instructions will be
provided. The artist, depending on the
additional focus selection (see image on
the right), will have some discretion on
how the ad should be designed. The
artist will generally adhere to the provided
layout or pickup ad layout; however, they
may make adjustments in order to fit more
or less content or improve the composition.

Use artistic expression

The artist will have full artistic expression
on the design of the ad based on the
selections (see image on the right).
Layout, color, graphics, etc., will be limited
to the selected parameters, artists will
take full creative freedom with this ad and
will depend heavily on the information
provided in the creative brief. Make sure the
additional selections are not contradicting
other selections; i.e., Bold, bright colors and
Soft, pastel colors.

The designers will do their best to follow
any specific instructions. For example,
if creativity is desired overall but the
customer’s logo and address must be in a
specific place, the instructions should be
ordered as Use artistic expression and an
instruction should be included that reads
something like “The provided customer logo
and address must be in the lower left corner
of the ad.”

Select the corresponding Market/Industry for the ad. Select Other if no Market/Industry
is listed.

Does your require the manual pickup of any element from another ad?

It’s important to note that this only refers to elements that are required from past ads in addition to an
ad you’ve already picked up. It is not to be used as a primary method of picking up an ad. Attempts
to use this as your primary pickup method will result in your ads being placed on HOLD. If you
have already picked up an ad and your new ad requires additional elements, select Yes and in your
instructions please include the past ad numbers and any additional information or visual examples that
will help our team locate the desired elements.
Select NO if no pickup is required.

If you uploading ad digital ad that is TRULY ONLINE READY ad, Select Yes. Otherwise select NO.

If a Click URL is provided, a digital ad will have the option for a click through to a website. Please
enter the complete URL. e.g: gatehousemedia.com.

Anything other than a Click URL does not help with the ad building process. The information provided
in the field will be used as the actual click URL link.

Digital Output Style

The type of digital ad unit that is selected will determine which options are available. If you order a
digital ad size that is static by default, such as a static billboard, the Digital Output Style will already
be pre-selected as Default.

For ad units that have an option for animated, the Digital Output Style will change to Options.

Would you like your ad to be Animated?

You must indicate if the ad should be animated or not. If you choose No {JPEG [Static]} you can click
NEXT to move on to the File Submission tab.

If you choose YES an additional question will appear.

What type of Animation would you like?

You must select between either Simple or Advanced.
Simple = Frame-by-Frame (3 Frames or Less) {GIF [Animated]}
Advanced = Frame-by-Frame (4 or more Frames), Transitional Effects (Fade or Slide Elements In/Out),
or Custom Animations {HTML [Animate]}.

Audience Package Options

Audience Pack and Audience Pack Plus will have the Audience selected ad the Digital Output Style.
Select if you would Let designer choose the template for the Audience Package or I’d like to
choose a template.

Once the I’d like to choose a template radial button is selected, the link to the templates.pdf will be
available. View the Templates.pdf, copy the template name and paste the name into text box.

Select Files To Upload

Press Ready PDF (a.k.a. “Camera Ready”)

• Customer supplied Press Ready files are ONLY accepted in .pdf format.
• Files that are NOT press ready should be submitted as a new ad with appropriate instructions

included with the submission. These ads should follow the submission deadlines for new ads.
• If you are not certain if your ad is press ready, submit the ad as “new creative” and the ad will

be reviewed by Creative Solutions.
• Creative Solutions cannot alter or make changes to press ready files. Please contact your

advertiser to resubmit the press ready file with the requested changes.

NOT Press Ready Press Ready

A file is not press ready if the A file is considered press
ad needs to be: ready if the ad:
- Resized
- Toned - Has no alterations
- Stretched - Does not require toning
- Squeezed - Is ready to print as is
- Cropped

If you have a TRULY press ready PDF (must be a PDF), check the box:
• This submission includes this check box
• Then click the radio button - No changes needed. Ad is approved.

When these options are selected the ad will go through the background process to check for errors
and deliver the ad straight to the pagination folder(s). You will receive a Ad Material Submission
Confirmation e-mail, but NO Ad Proof Approval Received e-mail.
During the background process, if the ad fails, the Creative Solutions team will intervene to fix the ad.
You will then be required to approve the ad.
Do not use the press ready selection for child ads for Parent/Child ad. This will not properly deliver the
ad to the parent ad jacket. Deselect your selection to proceed forward as a new ad build.

Press Ready PDFs - Requires Alterations

When a press ready PDF requires alterations, select:
• This ad requires alterations and
• At least one of the checks boxes under it.

If more detailed instructions are required (other than the 4 options listed) then this ad is NOT press
ready; deselect your selection to proceed forward as a new ad build.
Ads are not press ready when:

• It requires elements from 2 or more files
• If the ad really needs to be re-sized or rebuilt
• If the file is not a PDF file
Turnaround times for Press Ready ads are treated the same as ads with similar deadlines.

The image below is a sample press ready ad that will require alterations. The ad contains crop marks
and registration marks. In this scenario the correct options to select are:

• This submission includes a press ready PDF
• This ad requires alterations

Multi-Page Ad

If you are ordering a multi page print ad, such as a print and deliver 2 page flyer, 4 page flyer, etc.,
check this box.

Uploading Files

There are two options for submitting files.
Option 1: In the example below you can simply drag files from your computer directly into the Select
window.

Option 2: The alternative option for submitting files is to single click the Select icon, when the pop
window appears and navigate to the files on your computer that you would like to upload.

File Upload Status

Your Internet speed will dictate how many files can be upload at one time and how fast the files will
upload. Sites with slower Internet speeds should limit the number of files that are being select per
upload. After the upload has completed, you can always select additional files to upload.
The sample below can be found towards the bottom of the ATOL submission window.

File Status Indicator

The status indicator next to the file name
identifies the progress of the file during
the upload process.

• Red - Not an acceptable file type.
• Yellow - Waiting to upload.
• Green - Upload complete.

RED circle next to the
file name is NOT an

Before clicking NEXT, you MUST wait until all files have a GREEN circle
next to the file name. This indicates the upload has completed.

Instructions Tab

The Instructions tab is where you will provide clear and specific ad building instructions to the
designers (unless you upload your instructions in a separate document). DO NOT have multiple
areas indicating ad building instructions. The instructions may contradict one another, which could
result in the ad being placed on HOLD until clear instructions are provided.
You can copy and paste text (no images) into this area and you can make use of the style options to
clearly communicate what needs to be done.

Summary Tab

The Summary Tab provides an overview of everything that was entered on the previous tabs. You
have an opportunity to click back to the previous tabs to Add, Delete or Modify any selection(s). Once
you click on SUBMIT you will not be able to make changes to the tabs. Please contact your local site
coordinator if you have questions concerning your submission. Once Creative Solutions begins to
create the ad, changes will only be accepted during a correction cycle.

Ad Number Naming Convention

New Ad Orders have a site specific name convention to help identify what site the ad belongs to and
what type of ad. Below is the break down of the Spec Ad Number:

New ATOL Customers

When filling out the New Spec Ad for a new customer without an account number here are some basic
tips to follow:

• Customer Name - Try to keep the name consistent from your system to AdTracker or ATOL
sales account to ATOL sales account. This will cause multiple names for a single account
number, e.g., Dunkin Donuts, Dunkin Doughnuts, or DD, etc.

• Account Number - Must be entered in ATOL with your 2 digit site code plus the customer
account number with no spaces, e.g. AC2002. If you do not have an account number enter a
temporary account number. Your local trafficking team or Creative Solutions can change this
account number when the customer decides to run the spec ad.

Basic Tab: Basic Ad Information

When ordering a New Spec Ad you will need to supply some very basic order information. You will be
required to supply a Customer Name; either an existing Customer name or a new Customer name, as
well as Color and Size information.
Please see the previous page for instructions on what is required for Basic Ad Information and Ad
Type & Size sections as shown below.

Pickup From

You have the option to pickup a previous ads as your baseline for making modifications. Begin by
typing your ad number in the provided box; this will begin to filter out the other ads. Once you see
your ad number select the ad number from the list.

Basic Tab: Ad Type & Size - Print Ads Column Type

Dynamic Online Order Type

When you select Dynamic Online as the Order Type, the Column Type will automatically select
Modular ONLINE. This is the only Column Type available with this selection.

Modular Sizes

Click on the drop down box to reveal the available
Online sizes for your site. You must pick one to
continue

You must click Add Size so it populates the Selected Sizes Box.

Ordering Spec Ads by Output Style (Digital Ads Only)

The recent changes to the ATOL custom questions now have limitations when ordering
multiple digital sizes under one ad number. For a spec ad submission with multiple digital
sizes, you can only select similar sizes with the same Digital Output Style. The Digital Output
Styles are Default, Options, and Audience. Below is a quick reference of what digital sizes
can be ordered together.

Details Tab: Custom Questions

Each set of tabs have required entries that must be selected before clicking on NEXT. If you click
NEXT without populating these fields, they will be highlighted in a yellow box.

On the next several pages, the provided screen shots will show additional selections. As you choose
a particular radio button, some options will require additional selections in which at least one option
must be selected.

Follow layout exactly

Exact layout and detailed instructions will be
provided. Artist must replicate the ad exactly
as instructed. Order your ad as follow layout
exactly if you are certain the content that you are
submitting will fit in the ordered ad size according
to a layout that you are providing or an ad you
are picking up and changing. If the provided
content or layout does not fit within the ordered
size, Creative Solutions will place the ad on hold.

Some interpretation

A layout and general instructions will be
provided. The artist, depending on the
additional focus selection (see image on
the right), will have some discretion on
how the ad should be designed. The
artist will generally adhere to the provided
layout or pickup ad layout; however, they
may make adjustments in order to fit more
or less content or improve the composition.

Use artistic expression

The artist will have full artistic expression
on the design of the ad based on the
selections (see image on the right).
Layout, color, graphics, etc., will be limited
to the selected parameters, artists will
take full creative freedom with this ad and
will depend heavily on the information
provided in the creative brief. Make sure the
additional selections are not contradicting
other selections; i.e., Bold, bright colors and
Soft, pastel colors.

The designers will do their best to follow Page 45 Updated December 16th 2015
any specific instructions. For example,
if creativity is desired overall but the
customer’s logo and address must be in a
specific place, the instructions should be
ordered as Use artistic expression and an
instruction should be included that reads
something like “The provided customer logo
and address must be in the lower left corner
of the ad.”

Select the corresponding Market/Industry for the ad. Select Other if no Market/Industry
is listed.

Does your require the manual pickup of any element from another ad?

It’s important to note that this only refers to elements that are required from past ads in addition to an
ad you’ve already picked up. It is not to be used as a primary method of picking up an ad. Attempts
to use this as your primary pickup method will result in your ads being placed on HOLD. If you have
already indicated a pick on the Basix Tab and your new ad requires additional elements, select Yes
and in your instructions please include the past ad numbers and any additional information or visual
examples that will help our team locate the desired elements.

Select NO if no pickup is required.

Are you uploading a fully-built ONLINE READY ad? (Digital Ads Only)

If you uploading ad digital ad that is TRULY ONLINE READY ad, Select Yes. Otherwise select NO.

Click URL

If a Click URL is provided, a digital ad will have the option for a click through to a website. Please
enter the complete URL. e.g: gatehousemedia.com.

DO NOT enter any other information in this line. If you do not have the click through URL
leave the field blank.

Anything other than a Click URL does not help with the ad building process. The information provided
in the field will be used as the actual click URL link.

Digital Output Style

The type of digital ad unit that is selected will determine which options are available. If you order a
digital ad size that is static by default, such as a static billboard, the Digital Output Style will already
be pre-selected as Default.

For ad units that have an option for animated, the Digital Output Style will change to Options.

Would you like your ad to be Animated?

You must indicate if the ad should be animated or not. If you choose No {JPEG [Static]} you can click
NEXT to move on to the File Submission tab.

If you choose YES an additional question will appear.

What type of Animation would you like?

You must select between either Simple or Advanced.

Simple = Frame-by-Frame (3 Frames or Less) {GIF [Animated]}

Advanced = Frame-by-Frame (4 or more Frames), Transitional Effects (Fade or Slide Elements In/Out),
or Custom Animations {HTML [Animate]}.

Audience Package Options

Audience Pack and Audience Pack Plus will have the Audience selected ad the Digital Output Style.

Select if you would Let designer choose the template for the Audience Package or I’d like to
choose a template.

Once the I’d like to choose a template radial button is selected, the link to the templates.pdf will be
available. View the Templates.pdf, copy the template name and paste the name into text box.

Scroll back to the top of the page and click on Next to continue to the next tab.
