If you have a TRULY press ready PDF (must be a PDF), check the box:
• This submission includes this check box
• Then click the radio button - No changes needed. Ad is approved.

When these options are selected the ad will go through the background process to check for errors
and deliver the ad straight to the pagination folder(s). You will receive a Ad Material Submission
Confirmation e-mail, but NO Ad Proof Approval Received e-mail.
During the background process, if the ad fails, the Creative Solutions team will intervene to fix the ad.
You will then be required to approve the ad.
Do not use the press ready selection for child ads for Parent/Child ad. This will not properly deliver the
ad to the parent ad jacket. Deselect your selection to proceed forward as a new ad build.

Press Ready PDFs - Requires Alterations

When a press ready PDF requires alterations, select:
• This ad requires alterations and
• At least one of the checks boxes under it.

If more detailed instructions are required (other than the 4 options listed) then this ad is NOT press
ready; deselect your selection to proceed forward as a new ad build.
Ads are not press ready when:

• It requires elements from 2 or more files
• If the ad really needs to be re-sized or rebuilt
• If the file is not a PDF file
Turnaround times for Press Ready ads are treated the same as ads with similar deadlines.

and registration marks. In this scenario the correct options to select are:

Multi-Page Ad

If you are ordering a multi page print ad, such as a print and deliver 2 page flyer, 4 page flyer, etc.,
check this box.

Uploading Files

There are two options for submitting files.
Option 1: In the example below you can simply drag files from your computer directly into the Select
window.

Option 2: The alternative option for submitting files is to single click the Select icon, when the pop
window appears and navigate to the files on your computer that you would like to upload.

File Upload Status

Your Internet speed will dictate how many files can be upload at one time and how fast the files will
upload. Sites with slower Internet speeds should limit the number of files that are being select per
upload. After the upload has completed, you can always select additional files to upload.
The sample below can be found towards the bottom of the ATOL submission window.

The status indicator next to the file name
identifies the progress of the file during
the upload process.

• Red - Not an acceptable file type.
• Yellow - Waiting to upload.
• Green - Upload complete.

Before clicking NEXT, you MUST wait until all files have a GREEN circle

Instructions Tab

The Instructions tab is where you will provide clear and specific ad building instructions to the
designers (unless you upload your instructions in a separate document). DO NOT have multiple
areas indicating ad building instructions. The instructions may contradict one another, which could
result in the ad being placed on HOLD until clear instructions are provided.
You can copy and paste text (no images) into this area and you can make use of the style options to
clearly communicate what needs to be done.

Summary Tab

The Summary Tab provides an overview of everything that was entered on the previous tabs. You
have an opportunity to click back to the previous tabs to Add, Delete or Modify any selection(s). Once
you click on SUBMIT you will not be able to make changes to the tabs. Please contact your local site
coordinator if you have questions concerning your submission. Once Creative Solutions begins to
create the ad, changes will only be accepted during a correction cycle.

Requesting Same Designer

When ordering multiple spec ads under the same ad number and you would like to have
the same designer work all the ads, follow these steps:

1. DO NOT click SUBMIT, you will need to provide additional instruction back on the
Instructions tab.

2. Copy the ad number provided in the summary and take note of the number of Requested Sizes.
This will determine how many versions of the Spec Ads will be created.

3. Click on the Instructions Tab.

Same Designer: Instructions Tab

4. Enter in the Instruction Box: Please have the same designer work on ad number xx-
SPADxxxxxxxxxx_1 and xx-SPADxxxxxxxxxx_2. Replace the xx with you Ad Number from
the summary screen and each request size will have its own ad number. See image below for
an example.

5. Click on Next or Summary to review your change. Click on Submit.

Once you see the GREEN text, “Your submission is complete. Click CLOSE to close this window”,
Click Close for your order to send to Creative Solution.

Ad Number Naming Convention

Spec Ads have a site specific name convention to help identify what site the ad belongs to and what
type of ad. Below is the break down of the Spec Ad Number:

Details Tab: Custom Questions

Each set of tabs have required entries that must be selected before clicking on NEXT. If you click
NEXT without populating these fields, they will be highlighted in a yellow box.
Optional questions:

What is the goal of the ad?
What is the Headline / Benefit Statement?
What is the Offer (if applicable)?

On the next several pages, the provided screen shots will show additional selections. As you choose
a particular radio button, some options will require additional selections in which at least one option
must be selected.

Follow layout exactly

Exact layout and detailed instructions will be
provided. Artist must replicate the ad exactly
as instructed. Order your ad as follow layout
exactly if you are certain the content that you are
submitting will fit in the ordered ad size according
to a layout that you are providing or an ad you
are picking up and changing. If the provided
content or layout does not fit within the ordered
size, Creative Solutions will place the ad on hold.

Some interpretation

A layout and general instructions will be
provided. The artist, depending on the
additional focus selection (see image on
the right), will have some discretion on
how the ad should be designed. The
artist will generally adhere to the provided
layout or pickup ad layout; however, they
may make adjustments in order to fit more
or less content or improve the composition.

Use artistic expression Updated December 16th 2015

The artist will have full artistic expression
on the design of the ad based on the
selections (see image on the right).
Layout, color, graphics, etc., will be limited
to the selected parameters, artists will
take full creative freedom with this ad and
will depend heavily on the information
provided in the creative brief. Make sure the
additional selections are not contradicting
other selections; i.e., Bold, bright colors and
Soft, pastel colors.

The designers will do their best to follow
any specific instructions. For example,
if creativity is desired overall but the
customer’s logo and address must be in a
specific place, the instructions should be
ordered as Use artistic expression and an
instruction should be included that reads
something like “The provided customer logo
and address must be in the lower left corner
of the ad.”

Select the corresponding Market/Industry for the ad. Select Other if no Market/Industry
is listed.

Does your require the manual pickup of any element from another ad?

It’s important to note that this only refers to elements that are required from past ads in addition to an
ad you’ve already picked up. It is not to be used as a primary method of picking up an ad. Attempts
to use this as your primary pickup method will result in your ads being placed on HOLD. If you
have already picked up an ad and your new ad requires additional elements, select Yes and in your
instructions please include the past ad numbers and any additional information or visual examples that
will help our team locate the desired elements.
Select NO if no pickup is required.

If a initial pickup of an ad has not been performed your ad will be place on HOLD until
the pickup is performed. Refer to the Section 12a for additional information on how to
perform a business system Pickup. Refer to the Section 12b for additional information
on how to perform a Pickup within ATOL.

Submit Files Digital Ads

The next set of questions are additional question for digial ads only.

Online Ready
Select YES for fully- built ONLINE READY ads that were design and supplied by a 3rd
party, otherwise Select NO.

If a Click URL is provided, a digital ad will have the option for a click through to a website. Please
enter the complete URL. e.g: gatehousemedia.com.

DO NOT enter any other information in this line. If you do not have the click through URL
leave the field blank.

Anything other than a Click URL does not help with the ad building process. The information provided
in the field will be used as the actual click URL link.

Digital Output Style

The type of digital ad unit that is selected will determine which options are available. If you order a
digital ad size that is static by default, such as a static billboard, the Digital Output Style will already
be pre-selected as Default.

For ad units that have an option for animated, the Digital Output Style will change to Options.

Digital Output Style

This option will be automatically selected for you based on the type of ad you unit selected. If the
ad does not have a default output style select you have selected a size that is not configured in
AdTracker. Please contact our help desk for additional assistant.

Would you like your ad to be Animated?

You must indicate if the ad should be animated or not. If you choose No {JPEG [Static]} you can click
NEXT to move on to the File Submission tab.

If you choose YES an additional question will appear.

What type of Animation would you like?

You must select between either Simple or Advanced.

Simple = Frame-by-Frame (3 Frames or Less) {GIF [Animated]}

Advanced = Frame-by-Frame (4 or more Frames), Transitional Effects (Fade or Slide Elements In/Out),
or Custom Animations {HTML [Animate]}.

Audience Package Options

Audience Pack and Audience Pack Plus will have the Audience selected ad the Digital Output Style.
Select if you would Let designer choose the template for the Audience Package or I’d like to
choose a template.

available. View the Templates.pdf, copy the template name and paste the name into text box.

• Customer supplied Press Ready files are ONLY accepted in .pdf format.
• Files that are NOT press ready should be submitted as a new ad with appropriate instructions

included with the submission. These ads should follow the submission deadlines for new ads.
• If you are not certain if your ad is press ready, submit the ad as “new creative” and the ad will

be reviewed by Creative Solutions.
• Creative Solutions cannot alter or make changes to press ready files. Please contact your

advertiser to resubmit the press ready file with the requested changes.

A file is not press ready if the A file is considered press
ad needs to be: ready if the ad:
- Resized
- Toned - Has no alterations
- Stretched - Does not require toning
- Squeezed - Is ready to print as is
- Cropped

“OLD SYSTEM” and the ad number from your previous system must be included.

If you have instructions ready for changes to be made in addition to picking up the ad from your
previous system, you may include them on the submission as well. You can upload a file a file
including your changes or ad them on the Instructions tab below the Old System pickup request.

Proof Returns

New Ads and Pickups with Changes: Print and Digital

Ads submitted before 7:00 PM local time, Monday through Thursday
Proof will be ready by 8:30 AM local time the following morning, excluding holidays

Ads submitted before 7:00 PM local time, Friday
Proof will be ready by 8:30 AM local time the following Monday, excluding holidays

Ads submitted Saturday and Sunday
Proof will be ready by 8:30 AM local time the following Tuesday, excluding holidays

Digital Ad Proof Returns

Non rich media digital ads follow the same standard proof turn around times as print ads.

More complex rich media digital ads may take up to 48 hours for a first proof.

Online ready ads with all of the creative
components (jpg, gif, png files etc.) submitted
by 7:00 PM CST will be returned the same
day. (Although the components are provided
the Creative Solutions team will still need to
place the files into the proper templates.)

Please note that we DO NOT automatically
RUSH any Online ads based upon the
pagination deadline. DO NOT indicate to
rush an ad through ANY ATOL submission.
ATOL users from sites that have local
trafficking coordinators should reach out to
those individuals to request that an ad be rushed. For sites that do not have a local coordinator,
rushes may be requested in the Online chat in ATOL.

Proof Returns (cont’d)

Print Ad Proof Returns

Print Ads submitted the day of pagination that require any modification must be received by 12:00
PM local time for return the same day. This allows for a 4 hour rush cycle and 1 correction cycle to be
completed before the Creative Solutions closes for the day.

Camera ready print ads with alterations
submitted the day of pagination must be
received by 5:00 PM local time for return the
same day.

DO NOT indicate to rush an ad through ANY
ATOL submission. ATOL users from sites
that have local trafficking coordinators should
reach out to those individuals to request that
an ad be rushed. For sites that do not have a
local coordinator rushes may be requested in
the chat feature in ATOL.

Corrections / Revisions: Print and Digital

Proof revisions submitted on Monday through Friday between 6:00 AM - 7:00 PM local time will
be completed and returned within a 3-hour average return cycle from submission and cannot
be rushed. If the changes are in excess of 25% of all the elements (words, graphics or design)
and substance of the ad and NOT caused by the Creative Solutions, or the ad has been revised
to a different size, the ad may classify as a new advertising order following the overnight return
deadlines.

Proof revisions submitted on Saturday or Sunday will be delivered by Monday morning at 8:30 AM
Local time.

Rush Ads: Print and Digital

4 or 6 hour rush service may be available for your ad. Up to 10% of your daily volume can be
rushed at an additional cost to your site. Your local traffic coordinator should contact Creative
Solutions through the Online chat in ATOL and AVOID placing rush requests in the submission or
notes. Creative Solutions reviews ads based upon pagination deadline; such requests in the submission
or notes may not be seen by Creative Solutions in a timely manner.

Spec ads can not be rushed.

Digital Ads with 3rd Party Ad Tags

If you are submitting a Digital Trafficking Order (DTO) that will be using 3rd party ad tags, follow this
process to streamline your submission process. This process will work if your are Using the New Ad
Order form or if your business system is integrated with Creative Solutions.

Details Tab: Custom Questions

The first 3 questions can be ignored for the 3rd party ad tag submission process.

Select Follow layout exactly for the level for the Creativity/Artistic Discretion.

You can View Proofs in ATOL by clicking on the View Proof Tab or alternatively by clicking the hyper
link in the proof E-mail you receive for each ad.
ATOL provides two methods to view the low resolution JPEG proof of the print ad:

• You can click the View PDF option to open a full PDF version of the Ad.
• The View Proof option gives you access to the Approval and Correction submission option.

NEVER forward the ATOL Proof email to your customer.

There are two (2) methods to send a Proof link of the ad to the customer.
• Send a One-Time Link to a customer who is not configured with an ATOL customer account.
The e-mail link will expire after the first click. You can send your customer multiple One-Time
Links, if needed.
• Send Proof link to a customer with an ATOL account. This e-mail link will not expire, however
the customer will be able to make changes to the ad and approve the ad.

to your customer. Once the ad is selected locate the Send Proof Icon. Single click the icon so that
the Send Proof Notification window appears.

There is an option to rate the ad before final approval. Complete the rating by selecting the
corresponding star in each category, with 1 star being the lowest rating and 5 stars being the highest
rating. Rate each category independent of one another. Refer to Section 11j for additional instructions
on the correct method for rating an ad.

Sites that are using Digital Trafficking Order (DTO) or IO Marker
You MUST complete the DTO or IO Maker for the ad to appear online. Approving the ad in ATOL
does not automatically schedule the ad to run. After you complete the DTO or submit the IO Maker
form the Digital Ad Ops team requires an additional 48 hours to complete the setup.

Submit Corrections

If the business system or ATOL is used to perform a pickup of a previous ad, when you click on
Corrections to submit changes for the ad, this is consider a NEW submission and not a correction.
The ad will fall into the overnight cycle. Refer to Deadlines, Section 5b for additional information on
standard return times.
If the ad is a business system pickup or if the Pickup function was used in ATOL, this is a new
submission and you must answer the custom questions. If the ad was previously submitted through
ATOL most of the Custom Question will remain selected. However, the level of Creativity/Artistic
Discretion will need to be selected. If the customer wanted a redesign of the ad current, this is when
you would select Some interpretation or Use artistic expression. Most of the time there are specific
changes, this is when you would select Follow layout exactly.
Corrections / Revisions have an average 3 hour turnaround time, Monday through Friday. If more than
25% of the ad is being revised, it may take up to 8 hours to complete.

Select Follow layout exactly for the level for the Creativity/Artistic Discretion.

Click on Next to continue to Annotations.

You have two options for submitting print corrections for your ad, Annotations or submitting a marked
up copy of the ad. Digital ads do not use annotations, you must using Option 2 to submit your
changes. Refer to Section 11c for addition instructions on Best Practice for submitting mark ups.

Option 1:
Use the Add Annotation Icon to add boxes on the proof image. The box will indicate where the
changes or corrections are desired.

Option 2:
Print the proof out and physically mark up the proof. Then scan the document so that you can
attach the file during the file submission process. Refer to Section 11e for additional instructions
on file naming.

If you did not use Annotations for additional corrections, or did not submitted an instructions file, use
the Instructions tab to enter correction information. You can copy and paste into the Instructions box
as well as using the style options available.

If you feel the instructions were not followed (INF) in your previous submission: check the “Supplied
instructions/layout were not followed” check box, indicate in the INSTRUCTIONS/NOTES box INF and
what was not followed correctly and the resolution to the INF. If you have additional corrections above
and beyond the ones that were not followed, please check the “Additional corrections submitted”
check box.

Instructions Not Followed (INF)

Ad Tracker Online’s Instructions Not Followed feature was added in order to expedite and prioritize corrections when
content errors have occurred on the previous ad cycle. Our Quality Assurance Department researches each case
carefully and if we determine an error was made we will address the concern with our staff and/or vendors to support
training and establish best practices and standard operating procedures.

Each week your site’s local trafficking team will receive a report containing a list of all cases from the previous week
where Instructions Not Followed was selected. It will include a brief review of the concern and whether our Quality
Assurance Department agrees that an error occurred or not. All errors will be reviewed with the team member or
vendor who made the error. We ask that any cases where we disagree that there was an error are reviewed by your
local trafficking team and used as a training opportunity for the ATOL user. The goal is to reduce correction cycles and
ensure that the best possible instructions, wiki page information and materials are being provided in order to set the ad
up for success. If your local trafficking department disagrees with our review please feel free to contact us at quality@
gatehouseads.com and our Quality Assurance Supervisor will review the case.

DTO Search

After ordering the online ad in your order entry system or New Ad Order Form, your order will be
recorded in ATOL and DTO (Digital Trafficking Order). There are 2 methods to access the DTO
screen. Sites that have an order entry system will receive an e-mail notification from ATOL confirming
that an order has been submitted. Click the link within the e-mail notification to be directed to ATOL.
Once logged in, select the Digital Trafficking Order tab. This will take you to the order search screen.
Sites that do not have an order entry system can simply access the ATOL website then click on the
DTO icon.
