The Shape Format tab includes several options for changing the appearance of shapes and positioning. Step by Step: Format graphic elements 1. Adjust the height and the width. 6. The Picture Format tab includes several options for changing the appearance of picture such as positioning, cropping, resizing, scaling, and rotating the selected image.


101 7. You can customize Picture Border, Picture Effect and Picture Layout on Picture Style tab. 8. For specifically position your picture, Position > Choose your text wrapping. We can move the picture using a mouse. 9. To change the size of the picture we can drag the corner of the shape or on Shape Format > Size group > adjust the height using the arrow keys. 10. As you increase the height, by default the Lock aspect ratio option is selected, so the width of the image also changes to accommodate the new dimensions.

Size group > click Crop button. 12.The insertion point becomes a cropping tool and cropping handles appear on the edges of the picture. 13.Position the cropping tool over the top cropping handle or any corner we want to crop. 103 5.2.5 Format SmartArt graphics The SmartArt Tools enable you to manipulate the SmartArt by: a. Adding shapes, bullets, and text b. Changing the layout and colors c. Applying special effects using styles Step by Step: Format SmartArt graphics 1. You can change the shape of the SmartArt graphics by selecting the shape and on Shapes group > Change Shape. 2. Changing shapes styles on Shape Style group. Click the drop-down menu and choose the style.


104 3. You can change the WordArt style in WordArt Style group. Click the drop-down menu. 4. Arranging and sizing for the SmartArt graphic shape can be done too. 5.2.6 Format 3D models 1. When selecting 3D models, 3D Models tab will appear. 2. On 3D Models View group, let you choose how the 3D Models can be view.


105 5.3 Add text to graphic elements. 5.3.1 Add and modify text in text boxes. 1. After you insert a text box, you can format the box using the Shape Format tab > WordArt Style group. 2. You can also format the text in the box using the Font formats. 3. You can change the text fill, text outline and text effect.


106 5.3.2 Add and modify text in shapes. 1. There are times when we want to insert Text into shape other than square. After adding the shape, Right click on the shape, and a dialog box will appear. 2. You can start inserting text into the shape and modify using Shape Format tab or Font group in Home Tab.


107 5.3.3 Add and modify SmartArt graphic content. Step by Step: Add and modify SmartArt graphic content. 1. When you click SmartArt, SmartArt Design will appear. 2. Click the Text Pane button in the Create Graphic group on the Ribbon to enable the Text Pane.


108 3. The pane appears and you are ready to begin typing text in each element of the graphic equation. The first placeholder is selected by default and ready for you to type text. 4. Click the [Text] placeholder to move to the next element and type.


109 5. Click the Close button in the Text Pane or click the Text Pane button to close it. 6. Layouts group, click the More drop-down arrow to display the Layouts gallery.

Choose your location and select the image, then click Insert or double-click on the image. The image is inserted in the first bubble and is automatically resized and adjusted.


111 5.4 Modify graphic elements. 5.4.1 Position objects. 1. For any shapes or picture that had been inserted in the document, we can position it on document using Arrange group. Arranging pictures and text together on the page is simple using Word’s Positioning and Text Wrap commands. The Positioning command automatically positions the object in the location you select on the page. 1. Text wrapping for shape or picture is very useful for writing a book with a lot of picture or shape. It makes your document look presentable and neat.


112 5.4.2 Wrap text around objects. 2. Arranging pictures and text together on the page is simple using Word’s Positioning and Text Wrap commands. The Positioning command automatically positions the object in the location you select on the page. 3. The Wrap Text command determines the way text wraps around the picture or other objects on the page, depending on the option you select. 4. To configure the picture as an inline object that moves along with the text that surrounds it, select the In Line with Text option. 5. If you choose to format the picture as a floating object, Word positions the image precisely on the page and allows the text to wrap around it in one of several available formats. 6. Select the picture and on the Picture Tools - Format tab, in the Arrange group, click the Position button to display the menu shown here. Choose any position with Text Wrapping.


113 7. You can also drag the picture to the desired position or use Wrap Text. 8. You can also fix the position of the graphic.


114 5.4.3 Add alternative text to objects for accessibility. Alternative text, or alt text as it’s popularly called, describes any picture or object in the context of the document it resides in. This alt text is useful for audiences that use screen readers. A screen reader reads the alt text added to each object aloud so the audience can understand the goal of the object. It’s therefore important to write effective alt text to prevent any misunderstanding of the purpose of each object. Step by Step: Add alternative text to objects for accessibility. 1. Select the object. On the Format contextual tab, in the Accessibility group, select Alt Text. Note that different Format contextual tabs appear based on the image types, as the following table describes. 2. Note that the Alt Text pane displays, as the following screenshot depicts.


115 3. In the box, enter a description of the object and its context. 4. Alternatively, mark the object as decorative by selecting Mark as decorative in the Alt Text pane. This option won’t expose a description of the object to screen readers.


116 6 MANAGE DOCUMENT COLLABORATION 6.1 Add and manage comments 6.1.1 Add comments. Attaching your comments to specific parts of a document makes your feedback clearer. If someone else is commenting on the document, replying to their comments lets you have a discussion, even when you're not all in the document at the same time. Step by Step: Add comments. 1. Select the text you want to comment on or click at the end of the text. In this lesson, you will learn how to add and manage comments and manage change tracking. Document collaboration is the process of using software to collaborate on projects, records, and tasks in real-time. Team members can work together from the same office or from anywhere in the world, making these tools vital to the success of distributed or remote teams.


117 2. On the Review tab, click New Comment. 3. Type your comment. Word shows your comment in a balloon in the document's margin. 6.1.2 Review and reply to comments. 1. In the comment, click the Reply button. 2. Type your reply. And click the Post icon.


118 3. You can navigate your comments by clicking Next and Previous button on Comment group. 4. You can open the Reviewing Pane to see all the comments and reply that had been added to your document. 5. If you click the Reviewing Pane Vertical, a vertical pane will appear on your left of the documents.


119 6.1.3 Resolve comments. 1. After commenting and changes has been made (refer the underline and highlighted phrase), we can resolve the comment. 2. Click ⋯ button and 3 choices of action appear. 3. When you click Resolve Thread, comment box with a tick appear. 6.1.4 Delete comments. 1. 2 ways of deleting comments are, from Review tab > Comment group >Delete drop down menu. 2. Click Delete, to only delete selected comments. 3. Click Delete All Comments in Document, to delete all comments including the comments that haven’t been resolved. 4. Click Delete All Resolved Comments to delete only the comments that have been resolved.


120 6.2 Manage change tracking. 6.2.1 Track changes 1. If a document has been shared with you for review, you may not be able to turn off Track Changes. If you want to edit the document without tracking changes, you’ll need to either save a copy or ask the person who sent it to you to share it again with review mode turned off. 2. On the Review tab, select Track Changes. 3. When Track Changes is on, the section is highlighted (Left picture) 4. Deletions are marked with a strikethrough, and additions are marked with an underline.


121 5. Different authors' changes are indicated with different colors. 6. When Track Changes are off, the section is not highlighted. Word stops marking changes, but the colored underlines and strikethroughs are still in the document.


122 6.2.2 Review tracked changes. 1. To have a better review of changes that have been made, you can open the Reviewing Pane. 6.2.3 Accept and reject tracked changes. 1. You can resolve each tracked change from the beginning of the document to the end of the document in sequence. 2. Select Review Tab > Changes group > Next or Previous


123 3. Select Accept or Reject. The next sequential tracked change is highlighted for your review and action. 4. You can accept or reject the changes in 2 ways. First by using Change group in Review tab.


124 5. Next method is by clicking Right Click on any changes. 6.2.4 Lock and unlock change tracking. 1. You can choose to track only your own changes or everyone's changes. 2. To track only your own changes - Go to Review > Track Changes > Just Mine. 3. To track everyone's changes - Go to Review > Track Changes > For Everyone. 4. To use a password to keep others from turning off Track Changes - Go to Review > Track Changes > Lock Tracking.


125 5. When you click Lock Tracking a dialog box will appear.
