CHAPTER ONE INTRODUCTION 01


It functions as a word processor, implying that it is a software program utilized for handling, formatting, altering, saving, printing, and sharing documents primarily consisting of text. In addition, Microsoft Word offers a range of functionalities that include a spell checker, grammar checker, text and font formatting options, support for HTML, image handling, advanced tools for page layout, and more. These features empower users to ensure the correctness of their grammar and spelling, as well as evaluate the complexity of their writing. 1 . 1 WH AT IS M ICROSOFT WOR D ? 2


Letter Formatting : This feature provides the ability to select from a variety of fonts. By utilizing the toolbar icons, you can modify the font size and apply formatting options such as bold, underline, or italics to any paragraph, sentence, word, or individual character within the text. 2. Sheet Size : This functionality allows you to configure the dimensions of the sheet and choose between vertical or horizontal orientation. 1 . 2 M ICROSOFT WOR D FUNCTIONAL ITIES : 3


3. Cut, Copy, and Paste : By right-clicking with the mouse or using keyboard commands, you can selectively cut or copy a portion of the text and paste it elsewhere within the document. 4. This icon is typically located in the Start menu under the Microsoft Office folder, specifically the Word subfolder. Once Microsoft Word is opened, you can proceed with the following steps to begin writing your brief or document: Start by creating a new document. You can do this by selecting "New" from the File menu or by using the shortcut Ctrl+N. Begin typing your brief or content in the blank document. 2 . 1 U SER INTERFACE The screenshot below displays the Microsoft Word window, highlighting key components that are important to familiarize yourself with in order to navigate and utilize the MS Word application effectively. 9


10 2 . 2 QUICK ACCESS TOOLBAR: "New": This command allows you to open a new document, starting with a blank page or a template. "Open": By selecting this command, you can access and display a document that has been previously saved on your computer. "Undo": This command reverses the previous action or undoes the most recent change made to the document. "Redo": Clicking this command performs the action again, redoing the most recent change that was undone using the "Undo" command. "Save": This command is used to save the current document, ensuring that any changes made are preserved. This particular bar is known as the Quick Access Toolbar, and it holds significant importance in the Microsoft Word Window 2019. It is positioned at the top of the screen, specifically in the left corner above the File Tab. The Quick Access Toolbar is designed to provide easy access to frequently used commands. It can be customized according to individual preferences by clicking the small arrow icon that expands additional commands. 2 . 3 TABS: View Recent Files: You can see a list of the previously opened or saved files, making it easier to access recently used documents. Create New Document: This option allows you to start a new document from scratch or choose from available templates. Print Document: By selecting this option, you can configure the printing settings and send the document to the printer. Save or Save As: You can save the current document or save it with a new name or in a different location using the Save or Save As commands. In Microsoft Word 2019, the File tab has replaced the Microsoft Office button that was present in Word 2007. The Microsoft Office button used to be a circular button positioned either at the bottom or the top-left corner of the window, depending on the operating system. The File tab, located at the top-left corner of the Word window, serves a similar purpose as the previous Microsoft Office button. By clicking on the File tab, you can access the backstage view. The backstage view provides a comprehensive set of options and commands related to file management and document operations. In addition to these operations, the File tab offers several other features and settings for managing and customizing your Word documents. The Ribbon in Microsoft Word window is a fundamental component that presents organized commands in a hierarchical structure. Tabs or Menu: Positioned horizontally at the top of the Ribbon, these are menu options that contain categorized sets of commands. Groups: Below each tab or menu, related commands are grouped together in an organized manner. The name of each group is displayed below it on the Ribbon. For instance, there may be a group of commands related to paragraph formatting or a group dedicated to font settings. Commands: Within each group, specific commands are listed. Below, we will highlight some of the most useful shortcuts. This tutorial primarily focuses on Windows users, but we have also included some keyboard shortcuts for macOS. If you use keyboard shortcuts on your macOS computer, you will observe that several of these shortcuts also function on iPhones and iPads when used in conjunction with external keyboards. 4 . 2 LEARN T H E ALP H ABET : CTRL/CO M M AND + A TO Z Let's start by going through the alphabet of Ctrl/Command + shortcuts. Windows users should utilize the Ctrl key, while Apple users running Word for Mac or iOS should use the Command key. 20

Once you learn this shortcut, you'll find yourself using it frequently. Start by pressing the Alt key. Then press W and then Q. This sequence will open the Zoom dialog box. To navigate within the Zoom dialog box, you can use the Tab key to move between different options and values. Locate and select the desired zoom value using the Tab key. Finally, press Enter to confirm your selection by choosing the OK button. For instance, if you press Alt, the Key Tips for the tabs on the Ribbon will be displayed. By combining Alt with the shortcut for a specific tab, such as Alt + N, you will be taken to the Insert tab. Once on the Insert tab, you will see the Key Tips for the various options available. Adjust line height: Modify the amount of space between lines of text. Customize borders: Add, modify, or remove borders for text, text boxes, and tables. It enables you to control the layout and structure of your text. Styles Command Group: This group provides quick access to various predefined styles and allows you to apply consistent formatting to your text. You can choose from a range of styles such as headings, titles, and normal text. Editing Command Group: The Editing group includes commands for finding and replacing text, checking spelling and grammar, and performing other editing tasks. It helps you refine the content of your document and ensure its accuracy. Font: Displays a comprehensive list of available fonts to choose from. Reduce Font Size: Decreases the font size of the current selection to the next smaller size in the Font Size box. Increase Font Size: Increases the font size of the current selection to the next larger size listed in the Font Size box. Replace Case: Allows you to convert the selected text to uppercase, lowercase, or another capitalization style. Clear Formatting: Removes all formatting from the selected text, restoring it to the default settings. Italics: Toggles the italic formatting for the current selection on or off. Underline: To apply or remove underline formatting for the selected text. Strikethrough: Applies a vertical line through the selected text to indicate deletion or cancellation. Subscript: Positions the selected characters as small letters below the baseline. Superscript: Positions the selected characters as small letters above the baseline. Text Highlight Color: Drop-Down Button. It offers commands like No Color and Stop Highlighting to change the background color behind the selected text. Font Color: This button allows you to modify the font color for the selected text. 3 1


5 . 4 PARA G RAP H G ROUP The Paragraph group in the MS Word Home tab is dedicated to paragraph-level formatting. It offers several command buttons that allow users to perform various formatting tasks. Here are the command buttons available in the Paragraph group: 3 2


Bullet List: Start at the upper left corner of the page. The appearance of bullet lists can be customized by clicking the drop-down arrow next to the Bullet List button. To create a sub-bulleted item, you can press the "Tab" key on the keyboard to indent the list item. Numbered Lists: Similar to bullet lists but display events in a sequential order. To create a sub-number and indent a list item, you can press the "Tab" key on the keyboard. Multi-Level Lists: Multi-Level Lists are an extension of numbered lists. They provide the option to customize sub-lists with different levels of indentation and numbering formats. Increase/Decrease Indentation: The icons for increasing and decreasing indentation, located on the right side of the Home tab, allow you to move selected text or list items five spaces to the right or left, respectively. Increasing the indentation creates sub-bullets or sub-numbers, while decreasing the indentation moves the text back to the previous level. Paragraph Alignment: Found in the bottom row, the Paragraph Alignment options allow for aligning selected text to the left, center, right, or justified. Justified alignment evenly distributes content between the margins. By default, Word documents are left-aligned. Line & Paragraph Spacing: Adjacent to the Paragraph Alignment icons, Line & Paragraph Spacing provides controls for adjusting the spacing between lines and paragraphs. Proper spacing enhances the readability of paragraphs. Users can further customize spacing through "Line Spacing Options." Shading: The Shading feature allows users to add background color to text, tables, and paragraphs. It is particularly useful for creating visually appealing flyers and enhancing the appearance of Word documents. Borders: The Page Borders icon enables the creation of borders around text and paragraphs. There is a wide range of border styles available, allowing for customization and division of paragraphs. 3 4


5 . 5 STYLES G ROUP A style group found in the home tab consists of a set of formatting characteristics that can be used to quickly change the appearance of text, tables, and lists in your document. When a style is applied, multiple formats are instantly applied in a simple and efficient manner. To conveniently display the Styles Task Pane, you can easily toggle its visibility by clicking on the dialog box launcher. 3 5


5 .6 E D ITING G ROUP Find: This button, accompanied by a drop-down menu, opens the "Find and Replace" dialog box and displays the Find tab. Replace: This option opens the "Find and Replace" dialog box and displays the Replace tab. Select : Offers a range of commands, including Select All, Select Objects, and Select Text with similar formatting. Select Text : Choose text that shares similar formatting and apply the selection accordingly. The Editing Group is located at the rightmost section of the MS Word Home Tab. It consists of three options, two of which are drop-down menus. 36

6. 1 INSERT TAB With the Insert tab in Microsoft Word, you can easily incorporate various elements into your document, such as images, shapes, pages, symbols, and more. These options are presented with both icons and descriptive text. Many of these options also offer additional choices within their respective drop-down menus, providing further customization. The Insert menu is composed of several groups of commands, including Pages, Tables, Illustrations, Add-ins, Media, Links, Comments, Header and Footer, Text, and Symbols. Each group offers specific commands and features that allow you to enhance the content and layout of your document. 6. 2 PA G ES G ROUP Cover Page : The Cover Page drop-down menu offers various commands for inserting and managing cover pages. Blank Page: The Blank Page command inserts a blank page into your document. It achieves this by adding two page breaks, one above the current insertion point and one below it. Page Break: The Page Break command, accessible by pressing Ctrl + Enter, inserts a page break at the current insertion point. It is a quick way to separate content onto different pages without accessing the Breaks dialog box. 38


6. 3 TABLES Insert Table: This command allowing you to specify the number of rows and columns for a new table. Draw Table: With this command, you can create a table by manually drawing horizontal and vertical lines using your mouse. Convert Text to Table: This command allows you to convert selected text into a table format based on specified delimiters. Excel Spreadsheet: By selecting this command, you can insert an Excel worksheet directly into your Word document.
