Our Technology Department

We support the technology needs of the entire district. The areas of support include, but are not
limited to: information systems, instructional technology, network, phone system, audio visual,
desktops, computer labs, Help Desk, consulting and technology training for students, faculty and
staff. Our basic role is to acquire, install, maintain and upgrade hardware, software and network
resources utilized by the district community. In addition, our goal is to continually enhance the
resources and expertise of the district community in support of their role in maintaining an
exceptional learning environment for our students.
Our long term focus is to develop and pursue a strategic plan for technology with broad based input
from district constituencies that will meet the growing and diverse needs of our district. This future
will entail the integration of traditional instruction, life long learning, and advanced technologies.
Technology is the vehicle that will enable a multifaceted, sustainable, focused, and relevant learning
community necessary to work and with a fast paced dynamic environment.

District Technology Team Members

Justin Annis is the Technology Director and E-Rate Coordinator for the district. He
holds a Bachelor’s Degree from the University of Central Oklahoma in Management
Information Systems. His office is located at Central Office and available during their
business hours. He supports all district technology resources including computers, se-
curity cameras, telephones, all things technical in technology, and much more.

Stephanie Penny supports Chromebooks at Cushing High School. She is located in
the library of CHS and available during library hours. She is available to assist stu-
dents, staff, and faculty with Chromebook and Google related problems.

Jake Weaver supports Chromebooks at Cushing Middle School. He is located just
outside of the library at CMS and available during school hours, unless otherwise
posted. He is available to assist students, staff, and faculty with Chromebook and
Google related problems.

Classroom Technology

Each classroom is equipped with a dedicated teacher and interactive board computer. The inter-
active board also includes a projector and wireless keyboard/trackpad. CMS classrooms are
equipped with an interactive dry erase board instead of a SMART Board and include a classroom
audio system. The audio system is connected to the interactive board computer and includes two
microphones. The pendant microphone includes controls for all connected devices (handheld mic,
computer, and pendant mic). There is also a charger in each room for the board pens and one for
the microphones. Occasionally your projector filter will need to be cleaned and can be performed by
you if you can safely reach the projector. Instructions are located in APPENDIX A.

Network Username & Password

Every authorized user of Cushing Public Schools has their own private login credentials. These cre-
dentials are assigned to an individual user. A guest teacher account is available for substitute teach-
ers. Credentials are assigned to specific users and should not be shared. This is separate from your
email which will be discussed in another section.

Printing & Copying

We use Print Management software across the entire district to provide a secure printing
environment and report print usage on district managed printers and copiers. You can access copy
machine functionality by using your district issued ID. You should not share your ID or borrow
another person’s ID for making copies. You must use your ID to access any documents that you
have sent to Secure Print. Instructions for activating your ID are posted at all copy machines and in
APPENDIX B.

Help Center & Workorders

All technology and maintenance requests must be submitted via the Help Center. Any requests
submitted via phone or email might not be fulfilled due to oversights. The Help Center can be ac-
cessed at bit.ly/CPSHelp (case sensitive) and enter your network username and password. If you
believe you have a true emergency and need to circumvent the help center, please contact your
building principal or assistant principal.

To submit a request follow these FIVE simple steps:
1. Login to the Help Center

2. Click Request in the black banner at the top (by default you will see all active requests).
3. Begin by selecting a Request Type until the Request Detail area turns white.

4. Enter your request in the Request Detail area (be as detailed as possible).
5. Click Save

Google Workspace For Education

Cushing Public Schools is proud to boast our status with Google as a Reference District. Each em-
ployee and student is assigned an individual email account. This account provides access to the
many features Google Workspace has to offer including Sheets, Docs, Slides, Drive, Classroom, and
much more!
You can access Google Workspace anytime and anywhere you have an internet connection. If you
would like to have your smartphone or tablet connected to any of your G Suite services, we recom-
mend downloading the corresponding app from your devices store. The official app for Cushing Pub-
lic School’s email is the Gmail app.

Email

You have an email address setup through Cushing Public Schools Google Workspace. The address
you can give out is your [email protected] or first-
[email protected] and they will both go to the same inbox. However, you must
sign in as [email protected]. To send email using cushingtigers.com see AP-
PENDIX C.

Drive

Google drive is an online storage space with unlimited capacity. This is accessible on any device
with internet access. Additional shared drives are available under Shared Drives. All G Suite files
are stored in Drive. You can access Drive by clicking the waffle in the upper right corner and selec-
tive Drive or by going to drive. Google.com.

Canvas & Integrated Curriculum Access

Canvas is the official online classroom environment for Cushing Public Schools. It is meant to create
an online classroom to go alongside the physical classroom. Canvas integrates with Google Work-
space and full integration with TeacherEase is coming in the near future. We recommend
attending professional development opportunities and collaborating with others in the district
regarding Canvas use and setup. See APENDIX D for Google Classroom reference content.

Integrated Curriculum Access
Curriculum platforms have been integrated with G Suite and can be accessed through the Google
Apps Hub (bit.ly/CPSHub) or through the waffle inside of Gmail. You will find all integrated plat-
forms listed under both locations.

Google Backup & Sync

All computers in the district have Google Backup & Sync installed for backing up your files. The
Technology Department does not backup anything on individual computers, only servers. All users
are responsible for backing up their data. We strongly encourage backing up your data through
Backup & Sync. Follow the steps below to setup Backup & Sync.
1. Click START in the lower right corner, type backup,

and click Backup and Sync from Google.

2. Click Get Started to begin setting up Backup and Sync.

3. Enter your @cushing.k12.ok.us email address, click Next, enter your Password, and click Sign
In.

4. Click Choose Folder to add another folder location.
By default only Desktop, Documents, and Pictures are
selected. We encourage you to add Downloads and
Videos to the backup selections.

5. It is very important to UNCHECK this box or your computer
will experience severe performance issues.

6. Click START to begin the backup process.

You can access the video version of these instructions on My District under Tech Tips accessible
from cushingtigers.com.

Google Drive File Stream

All computers in the district have Google Drive File Stream for accessing your Google Drive and
Shared Drive. If you have trouble accessing Google Drive online, this will make it function similar to
an external hard drive or flash drive on your computer. Follow the steps below to setup Google Drive
File Stream.
1. Click START in the lower right corner, type stream, and

click Drive File Stream.

2. Enter your @cushing.k12.ok.us email address, click Next,
enter your Password, and click Next.

3. The Welcome to Google Drive File Steam tutorial window
will appear. You can read through it, by clicking the arrow or
to skip the tutorial close the window.

4. You can access your Google Drive or Shared Drives as you
would a flash drive or your H Drive. The only difference is
your Google and Shared Drive space is not limited.

Clever

What is Clever?

Clever is a secure pipeline between your district's data and the learning applications that you and
your students use. Clever helps your district's IT office provide applications with all the information
they need to be seamlessly set up for your school to use.

Clever single sign-on (SSO) is our single-sign-on solution, allowing users to log into applications with
a single set of credentials, configured at the district level. With the ease of only one username and
password, Clever can help teachers reclaim valuable class time. Students and teachers can open
their devices, sign into the Clever Portal, and click on their connected applications to automatically
access the online learning program!

How Do I Access the Clever Portal?

1. Go to clever.com/in/cushing

2. Click Log in with Google (Students with Clever Badges click the button on the right)

3. If prompted to sign in you will sign in using your CPS G Suite Account

What Apps and Links are in Clever?

Clever is constantly being updated with new apps as they are discovered and requested. We
periodically comb through the Clever integrations and add new integrations to the CPS Clever portal
regularly. Currently we have links to curriculum platforms, supplemental platforms, G Suite Apps,
and more.

Can I Use Clever Badges (QR Code) in my Classroom or Computer Lab?

1. You will want to make sure you have three things to use Clever Badges:
Devices with cameras enabled. Clever Badges can be used with Computer Lab Computers with
Cameras attached and Chromebooks in grades PK-2.

2. Clever Badges for your students. You can print Clever Badges on stickers or make them into
laminated cards. The Avery sticker template #22806 (2”x2”) works well adhering them directly on
3X5 index cards.

3. Access to your Clever account. You can see available applications and even regenerate lost
student badges from inside your Clever account. Note, Clever Badges are currently only
available for student accounts (not teachers).

Can I generate Clever Badges for students in my classes?

Yes! Once Clever Badges are enabled, you can generate badges from the Students tab inside your
Clever Portal. Keep in mind that generating new Clever Badges for students will automatically invali-
date any of their existing badges. To generate student badges:

1. Log into your Clever portal and click the Students tab

2. Click the Generate Badges button

3. A link to download Clever Badges will be sent to your profile’s email address

4. Your Clever Badges will be sorted in folders by grade and section

Computer Labs

Student computer labs are available at all District Campuses. We have reloaded most student
computers to operate similar to a Chromebook. This means students in grades PK-2 can use Clever
Badges to login to each computer and all students will have access to the same apps on their
Chromebooks as they do in the computer lab. The only exceptions in the conversion of the labs to
the CloudReady Operating System are Computer Science Classrooms which require the use of the
Windows Operating System. Computer Science classrooms located at (2) CHS and (1) CMS may be
reimaged at the discretion of the Technology Director.

Chromebooks

Cushing Public Schools has deployed Chromebooks for all students in grades 2-12 with K & 1 hav-
ing access to classroom sets. Chromebooks are simply a browser based laptop. Each Cushing Pub-
lic Schools user (employee and all students) is assigned an individual G Suite account for
educational use. We have selected the Chromebook as the primary student device because of its
simplicity and ease of repair by internal technical support staff.

It is the responsibility of each Chromebook user to promptly report any malfunction or damage to the
Technology Department to remedy the issue. All repair requests must include a properly completed
Damage Report. The damage report will be filed and serves as the official record of the incident.
Failure to complete a damage report may result in repair delays or repairs not being made.

If a student damages a Chromebook, they are responsible for costs associated with the repair.
Students are given 30 days to remit payment unless the due date falls on a non-school day or close
to the end of the academic year. Those due dates will be determined by the Technology Director.

Technology Classroom Management Features

Cushing Public Schools has deployed several classroom management technology features. Content
filtering is implemented district-wide and Chromebook Classroom management software at Cushing
Upper Elementary, Cushing Middle School, and Cushing High School. We are continually evaluating
new and upgraded versions of existing management tools. See Appendix E for Classroom
Management Features at the time this document was released (if applicable to your site).

What do to if you suspect a student is misusing a device OR has inappropriate
content on their device.

You can request an investigation be initiated into a student with the following steps:

1. If inappropriate content is easily confirmed remove the device from student and notify building
administrator. If content is not easily confirmed, proceed to step 2.

2. Notify the Technology Department via the Help Center by selecting “Technology” > “Technology
Abuse Investigation Request”.

3. Provide relevant information as requested in the Help Center.

4. The Technology Department will initiate, conduct, and conclude the investigation. The
investigation will be followed up with a written letter explaining any findings and any District
actions that will be taken. If disciplinary actions are warranted that are not decided by the District,
the site administrator will determine such actions.

District Network Access

All networks in Cushing Public Schools are managed and maintained by the Office of Technology
and Information Services. All private networks including the wired network and CPS wireless net-
works are considered private networks and are only for official district usage. Employees may ac-
cess the EMPLOYEE wireless network. The passphrase is SomoneSharedTheSECRET and should
not be shared with any students. CPS Public will activate at 3:30-4:00 PM until 7:30 AM Mon-Fri and
all day Saturday and Sunday. Access on the Employee and CPS Public networks are not guaran-
teed and subject to outages if necessary to prioritize the educational process and District operations.

Mitel Communication System

Telephone communications in the district occur through a district-wide phone system. Each phone is
assigned a specific extension and all phones are monitored to ensure telephone availability across
the entire district. If a phone is unplugged or goes offline without any warning or other outage at the
campus you should expect contact to be made from the Central Office. Telephone quick reference
guides are available in APPENDIX D for phone models at your campus.
If you accidentally (or intentionally) dial 911 an internal system will alert certain district personnel and
an attempt to contact you will be made following the notification. Failure to respond to an attempted
911 call may result in additional steps being taken to ensure the safety and stability of the campus
from which the call was placed.

ALL EMERGENCY CALLS ARE TO BE PLACED TO 911

Do NOT dial any non-emergency numbers in a fire, medical,
or law enforcement emergency under any circumstances!

General Tech Guidance

 Never be afraid to ask a question or contact the Technology department for assistance.

 Please Note: during high demand times requests will be fulfilled on a priority basis and re-
sponded to as quickly as possible. High demand times include first three weeks of school,
testing windows, and weeks following breaks.

 During mass outages technology services will be restored similar to how electrical outages
are restored. First core and essential services will be restored, next will be campus opera-
tions (offices), followed by most classrooms, and finally individual outages. Information will
be shared via Workplace regarding this type of situation

 All email systems are monitored and archived. We strongly recommend you do not use your
work email for personal purposes.

 If something sounds too good to be true it likely is.

 Only authorized district personnel or verified third-parties are to perform work on district
technology assets or gain access to technology infrastructure and equipment areas. When in
doubt contact the school office or Central Office for verification.

 We will never ask for your password via email. If we need to access your account we will just re-
set the password and notify you what it is temporarily set to.

Workplace

We have implemented Workplace to be the official internal Social Platform for employees in our
district. Access to workplace is restricted and moderated meaning there are only current employees
and absolutely no students. We encourage everyone to engage with colleagues on this platform.
The platform is built on the Facebook platform, but does not contain any of the ads, games, or other
things that would not be constructive to the work environment. If you do not receive an invitation to
Workplace please email [email protected]

Appendix A: How do I clean the filter in my projector?

Clean the projector's air filter or vents if they get dusty, or if you see a message telling you to clean
them.

1. Turn off the projector.
2. Slide the air filter cover latch and open the air filter cover.

3. Pull the air filter out of the projector.

4. Vacuum the front of the air filter (the side with the tabs) to remove any remaining dust. You
may alternatively gently tap the dust off in an available trash can to knock any dust loose.

Note: If dust is difficult to remove or the air filter is damaged, replace the air filter. You should
notify your Information Technology Department of this following your company or school’s
workflow regarding technical support requests.
5. Place the air filter back in the projector as shown.

6. Close the air filter cover and slide the latch.

Caution!
Do not use canned air. The gases may leave a flammable residue or push dust and debris into the projector's

optics or other sensitive areas.

Appendix B: PaperCut Card Association (One Time Per Card)

Scan your ID: Card readers are placed

PaperCut Usage Instructions

Print jobs sent to the Secure Print will show up on Print release after you login.
For emailing and other copier functions you will click Device Functions.

Scan includes integrated scanning features to help save you time. These are
preset features such as email to myself, scan to Google Drive and more as they are

developed.

When you are finished select Log Out to prevent other users from printing on
your account.

Appendix C: How do I send mail using @cushingtigers.com?

Hello,
We’ve added cushingtigers.com to our G Suite email. Here’s how it works:
• You have an email address at both cushing.k12.ok.us and cushingtigers.com. To receive
email at cushingtigers.com you just have to give your email address
([email protected]) and it will arrive as it always has.
• All messages arrive in your cushing.k12.ok.us mailbox.
• You can reply to messages from either of
your cushing.k12.ok.us or cushingtigers.com addresses.
• Google Calendar invites and sharing invites are sent only from
your cushing.k12.ok.us address.
To send messages from your new address at cushingtigers.com
1. On your computer, open Gmail.
2. In the top right, click Settings Settings.
3. Click the Accounts and Import or Accounts tab.
4. In the "Send mail as" section, click Add another email address.
5. Enter your name and your new address at cushingtigers.com.
6. Click Next Step and follow the confirmation steps.
When you’re in Gmail, you can choose which address to send from.

Tips
• You’ll sign in your G Suite account with the cushing.k12.ok.us address
• You can create documents and files only with your cushing.k12.ok.us address

Opening LanSchool

On the teacher workstation in your classroom, you should log in with your regular university credentials.
In the taskbar, you will see the LanSchool Logo.

In order to open the program to manage the student
computers, double click on this logo.

When the program first opens, you will see the screen below.

The computer icons show you a
representation of what each
student is seeing on their
machine. In the photo displayed,
each student machine is waiting at
the Ctrl+Alt+Del screen for the
students to log in.

Across the top of the window, you will see the management ribbon that displays the different options
for controlling the student machines and working in the classroom.

You will only be able to use these features if there are student machines powered on and connected to
the teacher console. Each of these options will be explained further in the following pages.

Options

Many of the features of LanSchool are available in multiple places throughout the program. The Options
bar is a list of six categories that these features are separated in to. These categories are shown below,
with their options listed. Many of the different options are also available on the Teacher Console
Ribbon, and will be explained in further detail.

Demonstrate

The Demonstrate option features different ways to
share information with students, including showing the
professor screen, as well as showing a student screen.
This is also where you can set programs to run on a
student machine, as well as asking students to vote or
take a test.

Monitor The Monitor option gives different ways to view the
activity happening on the machines while students
Speak are working. This includes viewing the screens of the
View students, remotely controlling the computers, and
viewing the history of that machine. You can also
send messages to students through this feature.

The Speak option allows a professor to converse with the
classroom, or have a student converse with the classroom,
while using headphones. This is useful for language classes, as
the conversation can be monitored through headphones and
should not disturb other students.

The View option gives different ways to display the student
screens on the faculty machine. The most common view is to
view all the screens in thumbnail view, but you can also show
the details of the machines, or have one screen shown at a
time.

Restrict

The Restrict option gives different ways to limit what students
are allowed to do while on the lab computers, including web,
application, print and drive limiting. This is also where student
speakers can be muted.

Administer

The Administer option is another way for the professor to
control the student machines, and can be used to run
programs on student machines, sending files to students,
collecting files from students and managing the student
machine.

Teacher Console Ribbon

Show

The Show option allows the teacher to display their screen on
the student machines in the classroom. You can either choose to
show the screen in full screen mode or as a pop up window on
the student machines.

When you select to show your screen, you will be prompted by a box confirming that you are intending
to show your screen to the students. If you are sure you want to do this, simply hit continue and then
the students will be able to see your screen.
Once you are finished with showing the students your screen, simply hit the Show option again, and
select to ‘stop showing Teacher’s Screen’. This will remove the window or full screen image of your
screen from the student machines.
You will also have the option to show a student screen, pictured to the right of the Show option. This
will also prompt you with a warning box, as seen below.

Vote

There is an option to poll the students in the classroom with a single question, as well as a
full test, as explained below. If there is a single question, you can use the Vote option to
ask the class.

Testing

Another feature for questioning the class is through Testing. This allows
the faculty member to create a multi-question test for the students to
take. Simply click on the testing option, and select to Create Test.

This will pull up a window
where you can begin making a
new test, or pull up a saved
test. It will allow you to add
new questions, and select what
the correct answer is.

The question format for Testing is the same as
with Vote type questions, except it also offers
the options of Short Answer and Essay
responses from the students. You are also
given the option to display a picture with the
question. You can create as many questions as
you would like before sending to the
students.

Run

There is an option to run a program on the student machines, from the teacher console. If
you select the option to Run, it will pull up a window detailing how to run certain
programs.

This window gives

machine, such as
Calculator or an internet
browser.

Control

The Control feature allows the teacher to
take control of the student machines. This
can be done if a student is having trouble
opening a program or completing a test.
You simply select the student machine you
want to control, and hit “Remote Control”.
This will display the student screen on the
teacher console, and will allow you to use
your mouse and keyboard on the student
machine. You can also control multiple
machines at the same time.

View All The View option gives different ways to display the student screens on the faculty
Message machine. The most common view is to view all the screens in thumbnail view, but
you can also show the details of the machines, or have one screen shown at a
time.

There is a messaging feature, so that a teacher can communicate with
a student without disturbing the rest of the classroom.
If you select Message, and then choose the option to Send Message, a
box will appear for you to type your message.

Once you have created the message you wish to send, you have the option to send anonymously, or
force the student to read the message.

read the message simply displays
the message as a dialog box, and
requires the student to hit OK
before the message will
disappear.

Chat is an instant messaging feature that allows you to message back and forth with the student without
disturbing the rest of the class.

Speak

The Speak option allows a professor to converse with the
classroom, or have a student converse with the classroom,
while using headphones. This is useful for language classes,
as the conversation can be monitored through headphones
and should not disturb other students.

Blank Screen

Blank Screen is an option available to keep students
on task while in the classroom. Selecting this option
will blank out the student’s screen, and display a
warning message or picture.

the screens.

You will get a warning dialog box to confirm that you are intending to blank the screens. Once you hit
continue, the screens will be blanked.

Limit Web

Limiting Web is a feature that is available to keep students on
task while in the classroom. This feature turns off web
capabilities, either fully or only to certain sites.

When you have finished configuring this, a dialog box confirming the action will appear. Once you hit
continue, the web limiting will go into effect.

Limit Apps

Limiting Applications is the same procedure as limiting web access. You are given the option to allow
certain programs, or block certain programs.

When you have finished listing
the applications, select OK, and
hit continue to block
applications from the students.

Limit Print and Limit Drives

There is an option to Limit Printing as well as Limit Drives that students are
able to use on the computer. If you select to Limit Print, the student you
selected will not be able to print while logged on. If you select to Limit
Drives, the students will not be able to use external drives while logged on.

Mute

Mute gives you the option to turn off the speakers on the student computers remotely.

On the far right hand side of the Teacher Console Ribbon, there is
an icon indicating that there are more options. If you select this,
you will see another list of different options available to use. The
two most important and useful of these options are Show Video
and Files.

For these features, it is important to be aware that student
machines are “frozen” meaning that nothing can be saved directly
to the hard drive. If students need to save their work, they will
need to bring a flash drive to store it on, or email it.

Show Video

Selecting to Show Video brings up a window asking you to specify a location of the video you wish to
share with the students. This can be located on the teacher machine or an external source. You simply
need to point to the correct location, and then specify where you would like to send this video on the
student machine. The default is the LanSchool Files folder on the C:\ drive, however you can also send it
to the desktop or documents folder, just be aware that it will not be there the next class period.
Files
Files gives the teacher the option to send files to students, as well as to collect files from them.

Send Files

Send files allows you to take a file from the teacher computer, or an external source, and send it out to
the students. This is much like the Show Video option, except it can be any type of file. You will be asked
where to pull the file from, and where to send it. Keep in mind that the student machines are frozen,
therefore the files will not be available during the next class period if only stored on the computer
stations.

Collect Files

Collect Files works much in the same way, in that you are specifying a place to pull the document from,
and saving it in a location on your teacher computer. It is important to make sure that you specify where
the students should be saving their files, so that you can easily pull the documents from their computer.
You can specify a different location for collecting the files, however it is recommended to store them
somewhere that is not on the teacher computer so that you do not lose the files.
