INTRODUCTION

These guidelines aim to acquaint the U.P. Library Catalogers of the changes from Anglo-American
Cataloging Rules Second Edition Revised (AACR2R) to Resource Description and Access (RDA) rules,
deviations/practices and some LCPS rules adopted by the University of the Philippines University Libraries. These
guidelines will outline and explain the RDA “core elements” that are required for acceptable bibliographical
records. However, policies on authority records are not yet provided.

The arrangement of the RDA elements is based on the Machine-Readable Cataloging (MARC) Tags, not
according to RDA rule numbers. Numerous examples were provided to each RDA rule for better understanding.
The elements in the examples are highlighted in red to emphasize the changes. The rules are exactly copied as
stated from the RDA Toolkit to avoid misinterpretation.

It is advisable to consult the RDA rules from the RDA Toolkit (http:\\access.rdatoolkit.org) for more
information.

These guidelines may continue to change over time as we roll out updates and add more examples.

RDA: 1.7.1 General Guidelines on Transcription

Use the University of the Philippines Library System Cataloging Policies and Procedures and UPRCEPS in transcribing elements (e.g.
title proper, edition, etc.)

Preferred Source of Information

RDA: 2.2.2.2 Resources Consisting of One or More Pages, Leaves, Sheets, or Cards (or Images of One or More Pages, Leaves, Sheets, or
Cards)

If the resource consists of: one or more pages, leaves, sheets, or cards (e.g., a book, an issue of a periodical, a poster, a series of
sheet maps, a set of flashcards)or images of one or more pages, leaves, sheets, or cards (e.g., a microform reproduction of a musical score, a
PDF file of a text, microform reproductions of a set of sheet maps, a JPEG image of a photograph) then: use the title page, title sheet, or title
card (or an image of it) as the preferred source of information.

If the resource lacks a title page, title sheet, or title card (or an image of it), use as the preferred source of information the first of the
following sources that has a title (RDA 2.2.2.2):

a. cover or jacket issued with the resource (or an image of a cover or jacket)
b. a caption (or an image of a caption)
c. a masthead (or an image of a masthead)
d. a colophon (or an image of a colophon).

If you have a book with no title page or other source in it providing information necessary to identify the book, start with
information you find in (in order of preference): a container not issued as part of the book, a published description of the book, any other
available source (RDA 2.2.4). If information is not available in the resource itself, other sources such as publisher’s website, catalogs, flyers,
reviews, etc. may be used and should be enclosed in square brackets. Provide a note if source is taken from outside the resource.

Capitalization

RDA: A.1 General Guideline

Apply instructions on capitalization in RDA Appendix A.
Alternative: May use preferred in-house guidelines or style manual.

Unusual capitalization. For titles with unusual capitalization, follow the capitalization of the title as found on the source of information.

RDA: D.1.2.1 General Instructions

Transcribe punctuation as found, e.g., "...", but add ISBD punctuation.

Use square brackets only for information found outside the item, regardless of source within the item. Also use brackets for
supplied information when a creator’s function is not clear, i.e. [edited by].

When adjacent elements within one area are to be enclosed in square brackets, enclose each in its own set of square brackets.

When an element ends with an abbreviation followed by a full stop (period) or ends with the mark of omission and the punctuation
