Use these instructions to walk customers through the registration process if they need help.

Note: If the customer does not receive an email, they should
send an email to [email protected], or call Customer Care

Use a PRO Number to Locate Account 1

1. Enter the PRO number in the Enter a PRO Number field.

2. Click Next.

Note: When the customer clicks Next, the registration
application tries to match this PRO number to a current
customer location in our system.

3. Select the location (Shipper, Consignee, or Third-Party) 3
that should be associated with the account and then click
Next.

Note: If no location was matched to the PRO, the
customer will receive the message “We were unable to
match an account to the information you provided”.

The customer should then click Contact Me and enter
their contact information for a Customer Care Specialist
to contact them.

Overview

Use the Bill of Lading tool on LTL.xpo.com to:
▪ Create and submit a Bill of Lading.
▪ Print a Bill of Lading and labels.

Start a New Bill of Lading

1. From the LTL.xpo.com logon page, sign in using your registered user login credentials.
2. Click Ship It, and then select Bill of Lading from the list.

Create a Bill of Lading

Create New BOL - On the Bill of Lading - Create page, follow the options to “…create a BOL from scratch (no
template).” To create a new BOL from a template, refer to Bill of Lading Template instructions.

Choose your role and payment method. If you
want to schedule a pickup request after submitting

the BOL, click Yes, and then click CONTINUE.

Shipper Information - Select a customer location from the list or use the default information from your
account login.

To change the shipper
information, type over the
information, or click one of

the locations on the
Customer Locations list.

▪ Also enter information in the Consignee Information and Bill-To Information sections.

Commodities-

▪ In the Commodities section, enter the number of Pieces in the shipment, the Wt. lb. (weight),

and the Description of the material.

▪ Select how the shipment is Packaged and enter the NMFC (National Motor Freight

Classification) number.

▪ Select the Class (commodity class). If you are not sure of your class, contact your local service

center or account executive.

Tip: Enter a number and click ADD if you need more than three commodities.

Click the drop-down arrow if you have
descriptions from previous commodities.

These options can be customized and
reused for your personal account.

If the shipment includes hazardous
materials, check HazMat, and fill out the
Emergency Contact name and Phone.

Special Services And Payment Method -

▪ Check any special services and select the payment method you intend to use (Prepaid or

Collect).

For a COD shipment, check the box if it is the
same address for the shipper. Then, specify the
COD (Cash on Delivery) amount and how it will
be handled. If there is no COD, skip this section.

Customer Reference and Tracking Numbers -

▪ Assign a PRO Number by using one of the three options provided.
▪ Add custom reference numbers of your own choosing to the shipment (under Your reference

number), such as PO or Shipper’s Number, and track the shipment using this number.

Pickup Request -

▪ Select the pickup time and contact information. If the shipment is being picked up at your

location, then check .

▪ Click CONTINUE at the bottom of the page.

Review and Submit

Review the information on the Bill of Lading - Summary page. If you need to make changes, click the
(Modify) link in each section.
Before submitting the BOL you have two options to choose from:

▪ Click SUBMIT BOL or,
▪ Click SUBMIT BOL & CREATE TEMPLATE. Before clicking this button, enter the template name.

To create a template, refer to Bill of Lading Template instructions.

After the BOL is submitted, you can also
perform another task listed on this screen.
Choose from the three options and click GO.

Print Labels and BOL
▪ To print a Bill of Lading, click Print Center at the top of the screen.
▪ Select the time range for the BOLs or labels you want to print:
▪ Click RETRIEVE.

Print Label: Labels can only be printed for BOLs that have a PRO number pre-assigned to them:

3. Choose a start position for the label, then click CONTINUE.

4. The label displays in a separate window. Review the label and click Print .

BILL OF LADING TEMPLATES

Overview

A BOL template is a fully or partially-completed and un-submitted Bill of Lading that can be reused.
Templates do not have to be complete to be saved; for example, you could build a template that
contains all required information except the quantity. When you know the missing information, simply
enter it and submit the template as a BOL.
Use the Bill of Lading tool on LTL.xpo.com to:
▪ Create a template from scratch.
▪ Create a template from an existing Bill of Lading.
▪ Create a custom commodity description (reusable data for a BOL).

Start New Template

1. From the LTL.xpo.com logon page, sign in using your registered user login credentials.
2. From the LTL.xpo.com home page, click Ship It, and then select Bill of Lading from the list.

1. On the Bill of Lading - Create page, click the Templates tab.

2. On the Bill of Lading - Templates page., select your role and click CREATE NEW TEMPLATE.

You can also use the links to upload spreadsheets and
create a BOL template. The second link (click here),
allows you to share templates with someone else in

your company by copying your templates to their profile.

3. On the Creating Template page, fill out the BOL template like you would for a one-time Bill of

Lading. (Refer to the Bill of Lading Instructions for additional information.)
4. When you are satisfied with the template, click CONTINUE at the bottom of the page.

5. Review the information on the Bill of Lading - Create Template page.
6. Enter a name for your template in the Enter new Template name field and then click SAVE AS.

Locate a Saved Template

1. Click the Templates tab and select your saved template from the dropdown.
2. Click VIEW/EDIT TEMPLATE and make any changes by clicking the (Modify) link for each BOL

section.

▪ On the Bill of Lading - Template page you can also search for, rename, and delete

templates.

3. Click the Create tab and select your saved template from the dropdown.
4. Click GO and create a BOL from your template.

Create a Template from a Submitted BOL

Instead of creating a template from scratch, you can use a submitted BOL.
1. Click the Submitted BOLs tab and select a submitted BOL from the dropdown.
2. Click CREATE TEMPLATE.

▪ The Submitted BOLs tab is also useful for printing, emailing, and updating the Bill of Lading.
▪ Only a completed and submitted BOL can be printed; templates cannot be printed or used in

place of a valid, submitted BOL.

3. Enter a name for your template in the Enter new Template name field and then click SAVE AS.

Create a Custom Commodity Description

1. Click the My Data tab.
2. Enter a new commodity description in the Description field and click ADD TO LIST.

▪ Stay organized by modifying or deleting commodities in the description list.

Now, when you reach the Commodities section in the Bill of Lading, you can use the dropdown arrow to
select your personalized description and have it entered into the Description field.

Using the Bill of Lading template and a custom Commodity Description are great ways to boost
efficiency and provide consistencies in your business.

PICKUP REQUEST

Overview

You can use the Pickup Request tool on LTL.xpo.com from your computer, tablet, or smartphone.
The tool enables you to:
▪ Create a new pickup request from scratch or from a previous pickup request.
▪ View a list of pickup requests you have already created.
▪ Update an existing pickup request.
▪ Cancel a pickup request.
Web registered users of LTL.xpo.com can create pickup requests and use the View, Update, Cancel, and
Duplicate features. You can also create a pickup request as a guest; however, some functionality will not be
available.

Create a New Pickup Request

1. From the LTL.xpo.com logon page, sign in using your registered user login credentials.
2. From LTL.xpo.com home page, click CREATE PICKUP REQUEST.

6. At the top or bottom of the Review page, click SUBMIT REQUEST at the top or bottom of the page.

Note: You must click SUBMIT REQUEST for the pickup request to be processed.

• Click EDIT at the top

of the section (or
sections) you want to
change.
• Edit any fields that
are incorrect.
• Click SAVE.

The Request Submission Confirmed page displays. From here, you can view your request confirmation
number and again review the details of your request.

Use the Rate Quote tool on LTL.xpo.com to:

▪ Create a new rate quote.
▪ Review your previous rate quotes.

Start a New Rate Quote
1. Go to LTL.xpo.com and

click GET RATE QUOTE.

2. Enter your Username and Password.

Note: If you do not log in, you may continue with a non-registered quote by clicking Continue As Guest;
however, the quote will not include customer-specific rates or pre-filled information. The rest of this
document contains information and screenshots based on examples of logged in accounts.

3. On the Rate Quote page, select the account for which you want the quote.

Tip: Use the PREFERRED and RECENTLY USED tabs to help you find your accounts more quickly.
On the PREFERRED tab, you can manage which accounts are shown by clicking Manage preferred

4. Once you’ve selected an account back on the ALL tab, click NEW QUOTE.

5. Complete the following details:
a. If the account you selected is Pickup/Delivery, select the role of your account in the shipment (Shipper or

Consignee).

b. If the account is the Shipper, select the Country of the consignee. If the account is the Consignee, select

the Country of the shipper. If the account is Bill-To, choose the From Country and the To Country.

c. Select the Postal Code or City/State.

Note: If you select United States or Canada, you will be asked for a Postal Code. If you select Mexico,
you will need to select a City/State.

Tip: If you do not know the Postal Code, you can click the Search icon.

d. Enter or select a date for Shipping.
e. Select Prepaid or Collect for Payment Terms.
f. For each commondity, enter the Class and Weight and select the check box if it contains Hazmat.

Tip: Turning on Dimensions allows you to provide more details for the shipment. Entering
Dimensions will improve the accuracy of the rate quote, especially for large and heavy
shipments. You can also use the Density & Class Calculator to help you determine the class
for your density-based shipments.

Note: Dimensions is automatically selected and required for shipments to and from Mexico, Alaska,
Hawaii, and Puerto Rico.

6. You can include some optional details, including:
a. Pallets - entering the number of pallets is optional; however, if your pricing agreement has a pallet

provision, be sure to include it if this is needed for your rate quote.

b. Excessive Length - if checked, you can select the specific, excessive length for the shipment.

Tip: Adding the excessive length here allows you to get a quote for Excessive Length shipments
without entering the complete shipment dimensions above. Length can only be entered in one or
the other location.

c. Additional Service Options - select the Additional Service Options needed for the shipment quote.

Note: This list of Additional Service Options changes based on your selections in the sections above.
For instance, if you selected a destination in Mexico for the ship to or from, you would see Border
Crossing under Miscellaneous.

d. Comments.

Note: These comments are for your reference only. These are not notes for XPO Logistics drivers or
other XPO Logistics employees.

7. Click Get Rate Quote.

Note: Some rate quotes might require manual review after being submitted. An example is shipping
hazmat from Mexico.

TRACK A SHIPMENT

Overview
You can track shipments from your computer, tablet, or smartphone using the tracking tool on
LTL.xpo.com.

1. If you are a registered user, log on to
LTL.xpo.com.

2. Click Track Shipment.

Note: You do not have to be registered on the
site to track shipments, but logging on will allow
you to track a shipment using a pickup request
confirmation number, purchase order number, or
reference number, and also view shipment
documents. To register, click the Support menu
at the top of the page and then click Register.

MANIFEST REPORTS

Overview

Use the Manifest Reports tool on LTL.xpo.com to:
▪ View the manifest report online.
▪ Schedule a manifest report online.
Manifest reports give you the visibility you need to view and monitor shipment status during transit and
delivery. These reports are available via email and fax through report scheduling or for viewing online at
your convenience.

Access Mainifest Reports

1. From the LTL.xpo.com logon page, sign in as a registered user.
2. From the LTL.xpo.com home page, click Manage It and then select Manifest Reports from the list.

Schedule a Report

1. Click the Schedule a Report tab and, in the Select an Account section, select the account for which you
want to view the report by either:
a. Selecting a recently viewed account from the dropdown. If you frequently visit certain accounts,

b. Selecting from your list of accounts. If you notice something is missing from this list, select
click here to request additional accounts.

schedule and also the data you want to see in the report. Click CONTINUE or click START OVER to

Overview

Use the Summary Reports tool on LTL.xpo.com to view:
▪ Five different Inbound Summary Reports
▪ Five different Outbound Summary Reports
Reports are not available for guest users. These instructions display the five different inbound summary
report options and briefly describes each report. Inbound/Outbound Summary Reports are identical reports
with the exception that one is inbound and the other is outbound.

View Summary Reports

1. From the LTL.xpo.com logon page, sign in as registered user.

Explanation of Reports

Activity Report is a 13-month snapshot of total shipment activity that includes volume, weight, miles,
payment type, and more.

Each report has account information listed
at the top. Click the blue links to view

more information about account details.

Each report has blue numbered links. Click these links to view
more information about the shipment or other activities.

Exception Report lists information about shipments with delivery issues. You can view details on
Appointments, Part Short, and refused shipments by clicking the numbered links in the list.

To display these reports in an excel sheet, click
the Spreadsheet button at the top of the page.
You can also print, email, and fax these reports.

Lane Analysis Report is a monthly breakdown of shipments by state. This report displays the total
shipments for each state, including weight, dollars, and total pieces for each of those shipments.

Service Performance Report provides details about XPO Logistics' on-time performance statistics for
the account location.

Overview

Use the Shipment Notification tool on LTL.xpo.com to:

▪ Track individual shipments by PRO number or any reference number.
▪ Track shipments by pickup location, delivery location, or both.

Access the Shipment Notifications Tools
1. Go to LTL.xpo.com, and log in.
2. At the top of the page, click Manage It > Shipment

Notifications.

Create a New Notification for an Individual Shipment

1. From the Shipments Notifications page, click .

2. Under Recipients, enter up to three email

addresses.

Note: The first email defaults to Shipment
Notification user’s address.

3. (Optional) Enter a comment relevant for each

address.

4. Under Notification Type:

a. Select Shipment if not already selected.

b. Select Reference Number or XPO

PRO.

▪ If you selected, Reference Number,

type a number in the BOL, PO, or
other field.

▪ If you selected XPO PRO, type a

PRO number in the blank field.

5. Under Event Statuses, select Pickup/Delivery or All Statuses.

Tip: Clicking All Statuses displays a longer list of event statuses. Using this option also allows you to
receive notifications when a delivery has not yet been attempted.

6. Check the statuses you want email notifications for.

Tip: You can select statuses individually, use the Select All option, or use the Select All and then de-
select any statuses you don’t want.

Create a New Notification for a Location

Note: Rather than creating shipment notifications for locations, many users prefer to create reports using the XPO
Manifest Report tool. Go to Manage it > Manifest Reports to access this tool.

1. From the Shipments Notifications page, click .

2. Under Recipients, type up to three email addresses. [email protected]

If desired, enter comments for some or all addresses.
Note: The first email defaults to Shipment Notification
user’s address.

3. Under Notification Type, select Location.

Click .

4. In the Select location window:

a. Click on the location you want. You may need to

scroll down to see all the locations for your
account.

Note: Selected location is yellow-highlighted.

b. Click

Note: Selecting a Bill-To location will send
notifications for all locations for which the selected
Bill-To pays charges. Selecting a Corporate
location will send notifications for all P&D
locations and Bill-to locations under that corporate
hierarchy (This is based on options selected
under Send notifications for:. See next step).

5. Under Send notifications for:, select Inbound

shipments, Outbound shipments, or both.

6. Under Event Statuses, select Pickup/Delivery or All

Statuses.

Review, Delete, or Edit Your Existing Notifications

Once you have created shipment notifications, you will see them listed. Notifications created for individual
shipments display on the Shipments tab. Notifications created for locations display on the Location tab. Review
lists to see at a glance:

▪ PRO, reference number, or location for which each notification was created.
▪ Recipients to whom the emails are sent (if there is more than one recipient, you can see all of them when

viewing the notification in the edit page).

▪ Statuses for which you selected to be notified.
▪ Type of shipments to include (inbound, outbound, bill to, or any combination of the three) for which

notifications are sent. This is shown for location notifications only.

▪ Click the icon to delete a notification.
▪ Click the icon to edit a notification.

For registered users, log in to LTL.xpo.com.
Note: Unregistered users only have the ability to
submit claims and look up claim status. Other
features mentioned in these instructions are
available to registered users only.

From the Manage It menu, select Claims Filing and
Tracking.

The number generated when the claim was submitted. If a claim has been saved

k. Actions The status of a claim. For example, Unsubmitted, Under Review, Declined,

Note: A Claim in Approved status indicates a check has been issued.

Available actions to take on a claim.

▪ Click to view messages from the claims examiner or leave a note for the
examiner.

▪ Click for additional actions available based on the status of the claim.

For claims that are Unsubmitted or Submitted, available actions are:

 Update/Amend Claim
 Cancel Claim

For claims that are Under Review, available actions are:

the commodity.

9. In the Pieces field, enter the pieces of the claimed

commodity. This field is optional.

10. In the Description field, enter the description of

the commodity.
