We’ve invited you to join us as we believe that you have what it takes to help us be the
best. This is your induction handbook, please read it carefully and if you have any
questions please do discuss them with your buddy/mentor/ line manager.

Welcome to Child & Family Services at Solent NHS Trust.

As a leadership team, it is very important for us to help the Trust to harness the talents of our workforce to
continually look for ways to make things better for the children of Portsmouth, Southampton, Hampshire
and the Isle of Wight.

You are joining us at an important time for children services in Great Britain. Not only has there been
unprecedented cutbacks in public services, which we must adapt to, to the best of our ability, but also there
has been an ever increasing recognition that the general population find our services difficult to use and
not very joined up when things become complicated or unclear. Very many of our children and families
have complex needs requiring much better joined up thinking between different providers of clinical
services and also educational and social care services.

We are committed to spending every working day striving to improve the user experience of our services,
increasing the effectiveness, and minimising the harms of cost reduction while we do it, in order to provide
services that we, ourselves, would be glad to use as well is proud to provide.

Introduction

Welcome to your new team, Child & Family Services and to your induction pack.

You’ve joined an exciting organisation that has undergone a transformation which has
brought challenges as well as opportunities for innovation and change. This service line
is a team, who are friendly and energetic, striving to improve the outcomes for children
and young people, and who feel supported in their role.

This induction handbook has been designed to support you as a new member of staff. It
will give you background knowledge and information about what we are striving to
achieve and give you some tools to help get us there. During the day we will through
some important aspects such as incident recording and patient experience to ensure that
you are working safely and effectively. There is also a focus on what the service line can
offer you.

By the time you have finished your induction we hope that you will feel part of our
organisation and will have the confidence to fulfil your role effectively and efficiently. One
of the most important things you must do is enjoy your role, keeping patient safety as a
priority, as staff who are happy in their work are best able to help the client they work
with, and be vigilant to the needs of children and young people we work with, whether
hidden or expressed.

So, welcome and enjoy your time working in Solent NHS Trust.

Support for you

Management Supervision
Management supervision is a mandatory session with you line manager every 4-6 weeks
to discuss your work and any concerns you may have regarding your work situation. This
supervision will be an opportunity to discuss annual leave, training, personal wellness
and individual responsibilities of your role.

Safeguarding Caseload Supervision
Where applicable to your role, caseload supervision is a mandatory session with your
line manager every 6 weeks to discuss your caseload and particular families you may be
‘stuck’ with or are beginning to raise concerns for you. This session enables you to have
protected time to go through your caseload and can facilitate with its direction in moving
your caseload forward.

Safeguarding Group Supervision
Where applicable for your role, Safeguarding group supervision is 12 weekly. The groups
are for all members of the 0-19 Solent NHS team who work across the three localities
and are facilitated by the relevant Band 6/7 trained in facilitating supervision.

Occupational Health
Occupational Health are available for you to self-refer to if you have any health concern
that is affecting your work. There is also a confidential counselling service available to
you called Employee Assistance Programme. More information is available on SolNet.

Things you need to know

Accident and Incident Reporting
If an accident/incident occurs whilst you are on duty, either for yourself, a member of
your team, visitor, or a client you must inform your manager. Please complete the online
incident reporting form.

Appraisal
Please arrange a date with your supervisor 6 months after starting your post. This is an
opportunity to reflect on the previous 6 months learning and to set new goals.
Subsequent appraisals will be between April and June each year.

Attendance
We expect all of our team members to attend work in line with their contractual hours of
employment. It is your responsibility to attend work at the right time for your contracted
hours.

If at any time you are unable to attend work you must telephone your Line manager to
notify them of your absence and handover any work that requires actioning.

A return to work interview will be completed by your manager within 72 hours of your
return to work.

Breaks whilst on duty
If you work over 6 hours a day you need to take a break of 30 minutes. This must be
taken during your shift and not at the beginning or end. Many kitchens have microwaves
in them for heating/reheating.

Confidentiality
As employees of Solent NHS Trust you will be handling very confidential information.
You must not disclose any personal information of clients or staff to any person outside
of the Trust unless you are doing so in the client’s best interests with their consent. If you
take a phone call and you are unsure who it is requesting information you must take their
name and number and ask a senior member of staff for advice in handling the situation.

Dress Code
There is a dress code for all staff working within Solent NHS Trust. Clothing should be
suitable for work purposes, be clean, in a good state of repair and look professional at all
times. As such the following items of clothing/accessories are not permitted for staff
having client contact:

 Clothes that are revealing or could cause embarrassment or offence
 Clothing that could be interpreted as intimidating or threatening (e.g. combat

fatigues)
 Ripped, baggy or faded denim.
 Clothing with logos on
 Short skirts/shorts

Where applicable, please adhere to uniform policy guidance for footwear when carrying
out clinical tasks (e.g. immunisations)

Health and Safety
Everyone working for Solent NHS Trust is responsible for Health, Safety and Welfare at
work of all employees, visitors and clients. You are responsible for:

 Yourself and others
 If you see a potential hazard report it immediately
 Complying with the health and safety policy
 Not misusing any equipment provided to ensure health and safety and reporting

any faulty immediately.

Hot desking and lockers
Most people who work Solent NHS Trust are expected to hot desk. This supports flexible
working and the ability to work from anywhere. Everyone will be expected to keep their
workstation clean if they are on a shared or hot desk and disinfectant wipes will be
provided to facilitate this.

Some locations may have lockers available for you to store personal belongings in.
Should you require one, please speak to your line manager to arrange/check availability.

Personal Safety / Lone Working Policy
Within Child & Families, a large number of clinical visits are undertaken in either a home
environment, schools or family hubs. To ensure your safety and in accordance to the
lone working policy you will be expected to report your safety to a designated person
when you have competed a planned visit Please ensure your Outlook and Systmone
diaries are up to date at all times.

Please ensure your working days/ hours, car details and next of kin contact details are
recorded and up to date in case of an emergency.

Property
Solent NHS Trust does not accept any responsibility for personal items; as such please
ensure all valuable items are locked away whilst at work.

Freedom to speak up (FTSU)
Although you are accountable for own actions and recognise your own professional
boundaries you are always able to seek advice and support as necessary. FTSU
guardians available for confidential advice and support with raising concerns.

Equality and Diversity
It is the responsibility of all employees to support the Trust’s vision of promoting a
positive approach to diversity and equality of opportunity, to eliminate discrimination and
disadvantage in service delivery and employment, and to manage, support or comply
through the implementation of Equality & Diversity Strategies and Policies.

Information Governance
As an employee you will have access to information that is sensitive to either an
individual or to the organisation and you are reminded that in accordance with the
requirements of Information Governance, NHS Code of Confidentiality, General Date
Protection Regulations (2018) and also the terms and conditions in your contract of

employment, you have a duty to process this information judiciously and lawfully; failure
to do so may result in disciplinary action.

Record Keeping
Contemporaneous records need to be kept of all client contacts recorded on the
electronic patient record system. All staff must be aware that the child and family records
are a legal document and as such may be called upon at any time for evidence.

Performance Appraisal and Personal Development Planning.
The Trust is committed to providing a high quality service through the effective
management and development of its employees. The Performance Appraisal and
Personal Development Planning process ensures that the Trust is able to achieve its key
aims of delivering cost effective, high quality and responsive healthcare, whilst enabling
employees to understand how the outcome of their contribution fits within these overall
aims.

Statutory and mandatory training
The Trust will assess the requirements for Statutory and Mandatory training for all new
staff prior to commencement and aims to ensure that all Statutory and Mandatory training
requirements are completed before staff start their full duties. All required Statutory and
Mandatory training must be completed within the first three months of staff start date and
refresher training must also be undertaken on a regular basis and in accordance with the
Trust’s policy.

Safeguarding Children, Young People and Vulnerable Adults.
The Trust is committed to safeguarding children, young people and vulnerable adults
within its care. As an employee you are accountable to ensure that you know how to
respond when you are concerned for the safety of a child, young person or vulnerable
adult. The Trust will support you in this process by providing training, support and advice.
There is a safeguarding team for children and young people and leads for vulnerable
adults, who can be contacted for guidance. For children you should be aware of your
responsibilities detailed in the ‘4 Local Safeguarding Children Child Protection
Procedures’ and for vulnerable adults in the Safeguarding Adults Policy.

Infection prevention and control.
The Trust has designated the prevention and control of infection and the full
implementation of the Code of Practice (2008) as a core component in the organisations
clinical governance, managing risk and patient safety programmes. All employees are
expected to follow consistently high standards in the prevention and control of infection,
especially with reference to hand hygiene, adherence to dress/uniform code and for
clinical staff all procedures involving aseptic technique. Be aware of and follow all Trust
Infection Control guidelines and procedures relevant to their work. Participate in
mandatory training and annual updates. Protecting patients from infection is everyone’s
responsibility.

Smoke Free
This Trust operates a Smoke-free policy. This means that smoking is not permitted
anywhere within owned or leased premises, including within their grounds and within
owned or leased vehicles. In the interests of promoting responsible healthcare all staff
are to refrain from smoking when off-site in uniform or wearing an identifying NHS badge
in any public place. The policy also applies to all staff employed by the Trust at any

location they may work, whether within or external to the Trust’s premises. The policy
contains further details including support facilities; subsequent failure to comply with this
policy may result in disciplinary action.

Telephone Calls
Personal phone calls should be taken during break times wherever possible, except for
an emergency. All personal mobiles must be switched to silent or turned off during
working hours.

Whistle Blowing policy

This Trust understands that individuals may feel worried about raising a concern and it
understands this, but staff should not be put off. In accordance with our duty of candour,
all senior leaders and board members within the Trust are committed to an open and
honest culture. The Trust will look into what individuals say, and employees will always
have access to the support that they need. It also understands that an employee may
have already spoken to someone without success or have not raised the issue in the
best way and are not sure what to do next. The Trust has introduced the whistle
blowing/Freedom to Speak Up policy to enable individuals to understand how to raise
concerns at an early stage in the right way using the correct policy.

Your Health and Wellbeing

Wellbeing and healthy lifestyle checks
You can access a wellbeing check at St James’ or RSH Hospital, or if your team can
identify four or more people wanting a check we may be able to arrange a site visit for
your team. These sessions provide individuals with an excellent opportunity to detect
health issues in the early stages and the time to explore not only health matters but also
lifestyle choices which may affect health and wellbeing now and in the future.

Physiotherapy assessment and treatment service
A physiotherapy service for staff is available to support health and wellbeing. The physio
staff aim to provide support in the early stages of a problem to help reduce pain,
discomfort and long term disability. You can self-refer by contacting:

Mental wellbeing
The Trust has signed up to the Mindful Employer Charter which demonstrates a
commitment to be positive about staff with mental health problems in terms of
recruitment and selection processes and to support existing staff
(www.mindfulemgloyerhet). The Trust has also pledged support to Time to Change, a
national programme aimed at ending discrimination faced by people with mental health
problems (www.time—to—change.org.uk).

Employee Assistance Programme (EAP)
This service provides staff with a free and confidential helpline, unlimited access to
advice, information and face—to—face counselling support, where required. The service
is designed to help staff deal with a range of problems either at work or in their personal
lives.

Team to You programme - stress buster sessions
The Team to You wellbeing programme has been designed to offer a personalised and
local support service for teams to help manage stress at work. The agenda for the stress
buster session is agreed with the team in advance of the session and the Occupational

Health Service (OHS) will also provide practical resource material and information to
support your own and others’ health and wellbeing needs.

Health Trainer programme
Health Trainers are available to support Solent staff living in Southampton (tel: 023 8051
5222) or Portsmouth, Gosport, Havant or Rushmoor (tel: 023 9229 4001). The trainer will
create a personalised programme of support to assist with healthy living choices.

'lt’s a Hit’ training programme (can be accessed by all Solent employees)
The Health Promotion team offers a training programme which includes some excellent
courses such as alcohol interventions, healthy conversations, let’s get moving,
motivational interviewing and smoking cessation. Contact Health Promotion for further

Quit smoking
Our smoking cessation teams are available to help staff give up smoking.

Training for managers in aspects of staff health and wellbeing
Bespoke programmes can be offered to managers including strategies and tools for
promoting health and wellbeing in the workplace. Practical help is also available to assist
with completing stress risk assessments and prompts for looking after your own
wellbeing.

Staff Side representatives
Positive partnership working between StaffSide representatives and the Trust aims to
strengthen the likelihood of embedding a positive wellbeing culture for employees. Trade
Unions play an important role in helping to ensure the health, wellbeing and safety of
staff and they are available to provide information and support to their representatives
when required.
