Rho Mu Omega Chapter
Emergency Fund Application

The Rho Mu Omega Emergency Fund is a limited restricted fund developed to assist sorors in paying
Chapter, International, and Regional and/or International assessments. The fund was developed in an
effort to retain sorors in the chapter who might otherwise become inactive due to financial hardship.

Note: This process is confidential. Only the Basileus and Tamiouchos will know your identity. Your
application will be forwarded anonymously to the Emergency Fund Committee for consideration.

Legal
Legal Review Team will consist of no more than four (4) sorors with legal
backgrounds (stenographer, paralegal, or attorney). The Basileus will appoint the
team members. The purpose of this committee is to work alongside the Basileus to
review any legal documents presented to the chapter to ensure that the chapter is
legally compliant. The team must review all contracts and as well as any other
documents, which may need further legal interpretation prior to signing by the
Basileus. The team is to be given a minimum of one (1) weeks’ notice prior to the
due date of the document

service impacting countless lives. The 2014-2018 International Program will focus
on Launching New Dimensions of Service®. Rho Mu Omega's programs are guided
by the International Program.

Launching New Dimensions of Service

Since 1908, Alpha Kappa Alpha Sorority, Incorporated has
implemented programs of service impacting countless lives.
The 2014-2018 International Program will focus on Launching New Dimensions
of Service®.
Members of Alpha Kappa Alpha Sorority, through its 290,000 members and 1,005
chapters, will have an opportunity to address community needs with programs in
five target areas:
1. Educational Enrichment
2. Health Promotion
3. Family Strengthening
4. Environmental Ownership
5. Global Impact
Alpha Kappa Alpha Sorority will expand its community presence as a result of
these initiatives, which include International Community Impact Days and our
signature enrichment program, ASCEND Youth Enrichment Program.

Rho Mu Omega Programs

Target I
Educational Enrichment

Rho Mu Omega engages in the sorority's signature youth enrichment program, ASCENDSM. This
program is designed to motivate, engage and assist high school students in reaching their maximum
potential. ASCENDSM. will focus on Achievement, Self Awareness, Communication, Engagement,
Networking and Developmental Skills. Students in the ASCENDSM. Program will have an opportunity
to receive academic enrichment and life skills training to support their journey to college or vocational
employment.

SUPPORTING OUR HBCUs
As part of our sorority's national campaign, we support our Historically Black Colleges and
Universities. Our THINK HBCUSM program highlights their contribution to the sorority and society.
Through education, engagement and advocacy, we will showcase HBCUs as a critical venue for
moving students to and through college.

Target II
Health Promotion

Rho Mu Omega is dedicated to promoting health awareness in the areas of Alzheimer's Disease,
Stroke and Mental Illness.

The Alzheimer's Disease and Caregiver Support Program generates awareness and support for
Alzheimer's programming and research. Alzheimer's disease is one of the fastest growing health
challenges among African Americans.

Stroke and Heart Disease Awareness remains a focus area concentrating on a major stroke
prevention awareness campaign with emphasis on hypertension management, diet and exercise.

Mental Health is also highlighted as our members bring attention to mental illness among diverse
populations with low utilization of mental health services.

Target III
Family Strengthening

Our Family Strengthening Programs targets critical issues facing many families, including lack of food,
shelter and financial means.

Community based Childhood Hunger Initiatives partners with local agencies, food banks and
community pantries.

The Family Seasonal WrapsSM Program offers sorority sponsors a major initiative to collect and
donate hats, gloves, socks, scarves, coats, sweaters and other seasonal wraps for families in need.

Fiscal Responsibility Programs allows members to work with partner organizations and families to
help increase their understanding of budgeting, basic financial planning and benefits of home
ownership.

Environmental Ownership
We implement high impact programs to provide healthy environments and improve the
quality of life in underserved communities.
The AKA1908 Playground ProjectSM ensures children have safe and inviting places to
play. Sorority members will restore and renew 1,908 existing community and school
playgrounds with its Restore, Refresh and Renew ProjectSM
Through Acts of Green ProjectSM members promote environmental sustainability by
encouraging recycling, litter prevention and waste management through daily green
efforts in local communities.

We will implement the UNA-USA Global Classrooms Project to prepare today's youth
for an increasingly global and complex society and to expand understanding of the UN, its

SOROR CODE OF ETIDCS

In order to honor its Founders, maintain a standard that allows its members to serve as role
models for young women and girls in the global community, preserve Alpha Kappa Alpha
Sorority membership as a desirable and honorable affiliation and to protect Alpha Kappa Alpha
Sorority, Incorporated from harassment, ridicule, scandal or legal liability, I do voluntarily agree
to observe the following rules of conduct:

1. To respect and comply with the Alpha Kappa Alpha Sorority, Incorporated Constitution
and Bylaws, Manual of Standard Procedure, Protocol Manual, Membership Intake
Manual, Rituals, other official handbooks and documents, as well as Chapter Bylaws and
Rules of Order.

2. To remain subject to the authority of the Boule and the Directorate.

3. To respect our elected/appointed leaders and support them in conducting the business of
Alpha Kappa Alpha Sorority, Incorporated.

4. To present myself publicly in a way that reflects the high moral and ethical character of
Alpha Kappa Alpha women by:
a. Obeying the law.
b. Exercising good manners.
c. Displaying concern for my appearance by following established Alpha Kappa
Alpha guidelines.
d. Refraining from profanity, acts of violence and criminal conduct.
e. Exhibiting respect for other Pan-Hellenic organizations by avoiding demeaning
remarks or ridiculing them.
f. Wearing identifiable paraphernalia only if conduct or circumstances will bring no
negative repercussion to the Sorority.

5. To demonstrate the high regard we have for each other as women and sorors by:
a. Avoiding derogatory, demeaning and insulting remarks.
b. Being polite, kind, honest, fair and conciliatory.
c. Assisting with the special needs ofelderly and disabled sorors.
d. Keeping confidences and maintaining confidentiality.
e. Refraining from acts of hazing, reporting its occurrences to the appropriate
authority and demonstrating compliance with all aspects of the Alpha Kappa
Alpha Sorority, Incorporated Anti-Hazing Policy.
f. Abiding by and actively supporting official Chapter and Sorority decisions even
in the event of personal disagreement.

6. To work diligently to foster the programs of the Sorority and participate fully in meetings
and conferences that enhances personal knowledge and improves sorority effectiveness.

7. To maintain integrity in financial matters related to the Sorority by:
a. Remaining current with all dues and financial obligations.
b. Following accepted financial procedures.
c. Avoiding the co-mingling of personal and Sorority funds.
d. Utilizing the tax-exempt status only as legally permitted.

e. Expecting that financial officers will maintain records, make them available for
inspection and pass them on to succeeding offices and/or Graduate Advisors as
required.

f. Purchasing only form officially sanctions vendors at Regional Conferences and
Boules.

g. Reporting the misappropriation of Chapter funds and/or property to the
appropriate authority and taking the necessary action to protect or retrieve funds
and/or property belonging to the Sorority.

8. To invite for Sorority membership only those community minded women of sufficient
high moral and ethical character and scholarship who have a true interest in serving
Alpha Kappa Alpha Sorority.

9. To refrain from soliciting advertisements, endorsements, and sponsorships that harms the
image of Alpha Kappa Alpha Sorority or that conflict with its program concerns and
values.

I shall remain cognizant that others will judge the values and principles of Alpha Kappa Alpha Sorority by my
personal deportment and conduct. Furthermore, should I attain a leadership position in Alpha Kappa Alpha
Sorority,· Incorporated, that requires me to be an official spokesman or public representative, I understand that
my conduct must rise to the highest standard. Should my behavior compromise Alpha Kappa Alpha's image or
the reputation of its members, I shall relinquish my position either of my own volition or when instructed to do
so by my Chapter or the Directorate.
In promising to obey these rules of conduct, I acknowledge that the perpetuation of Alpha Kappa Alpha
Sorority, Incorporated, as an organization of women of high moral and ethical standards depends on my
compliance.

Anti-Hazing Policy

Policy

All existing and prospective members have the right to be treated with dignity and re-
spect. These rights are enforced by punishing violations of the Sorority's policies and
procedures. A cornerstone of the Sorority's Risk Management policy is the prohibi-
tion of hazing.
Hazing has been prohibited in Alpha Kappa Alpha Sorority since the organization was
founded in 1908. In 1999, Alpha Kappa Alpha Sorority reaffirmed its total opposition
to hazing with the publication of a tougher anti-hazing policy and the implementation
of new procedures to identify, investigate and punish incidents.
Hazing will not be tolerated in any form.

Definition of Hazing
Hazing is defined as an act or series of acts that include, but are not limited to:
• Physical acts, such as hitting, striking, laying hands upon or threatening to do bod-

ily harm to any individual(s), while acting in one's capacity as a member of Alpha
Kappa Alpha Sorority.
• Behavior which is directed against any individual(s) for the purpose of causing
shame, abuse, insult, humiliation, intimidation or disgrace.
A variety of prohibited practices, including but not limited to, "underground hazing,"
"financial hazing," "pre-pledging," "post-pledging" or "post-initiation pledging."

Hazing Policy Violations
Any individual or chapter violation of Alpha Kappa Alpha Sorority's Risk Manage-
ment policy will result in suspension, expulsion or revocation of the chapter's charter.
A fine may also be imposed.
In addition, hazing activities may result in official discipline by a college/university or
the imposition of civil and criminal penalties for individuals and/or chapters.

REGISTERING FOR MEETINGS

Special notes from the Philacter
Members should make every effort to attend chapter meeting on time in order to hear the
important issues and plans of the chapter given by the officers during their reports. On
time attendance at meetings also allows for members to assist with the discussion and
decisions on matters and issues that arise during our business meeting prior to
announcements.

Meeting sign-in sheets are used to identify sorors who attend executive and chapter
meetings. Sign-in attendance sheets are also used to determine eligibility for MIP
sponsorship and eligibility for running for a chapter office.

Executive Committee Meetings
Executive Committee Members
Each Executive Committee member will sign-in, with the Philacter on the provided sign-in
sheet, upon entering the meeting. Members should sign in the space indicated, next to
their office and printed name. Once signed in, members will receive a numbered voting
paddle corresponding to their Office.

Standing Committee Chairmen and Co-Chairmen
Each Standing Committee Chairman and Co-Chairman will sign-in on the provided sign-in
sheet, with the Philacter, upon entering the meeting. They should provide their signature in
the space indicated, next to their Standing Committee name and their printed name.
The Committee Chairman or Co-Chairman, whoever arrives first, will receive a numbered
voting paddle. The number of the paddle should be written in the last column
corresponding to the committee’s name, chairman or co-chairman’s name. Only one voting
paddle will be give to each Standing Committee representative.

Chapter Members attending Executive Committee Meetings
Each Chapter member attending the Executive Committee meeting will sign-in on the
provided sign-in sheet, with the Philacter, upon entering the meeting. Chapter members
will not receive a voting paddle.

Chapter Meetings

Executive Committee Members
Each Executive Committee member will sign-in on the provided sign-in sheet, with the
Philacter, upon entering the meeting. Members should provide their signature in the space
indicated, next to their office and printed name. Once signed in members will receive a
numbered voting paddle corresponding to their Office.

Financial Members of Rho Mu Omega
Each Financial Members of Rho Mu Omega will sign-in on the provided sign-in sheet,
with the Philacter, upon entering the meeting. Members should print their first and last
name on the next numbered line. Once a member has signed in she will receive a
numbered voting paddle corresponding to their sign in number.

Golden Sorors and Special Need Financial Members of Rho Mu Omega
Golden Sorors and Special Need Financial Members of Rho Mu Omega, upon entering a
meeting, can request the Philacter to bring the sign-in sheet and their voting paddle to
their seat. The Philacter or designee will bring the sign-in sheet and voting paddle to the
Soror for signing in.

Rho Mu Omega financial members attending Chapter meeting in January prior to the dues
deadline are considered visitors and must sign in as a visitor.
Visitors
Visitor must check in with the Philacter and provide two pieces of identification: a
government issued id and an item proving Alpha Kappa Alpha membership. E.g. a current
or expired financial card, Ivy Leaf magazine with name and address label, their certification
of membership.
Visitors will be asked to complete a Visitor’s information form and return it to the Philacter.
Visitors are allowed to attend only three (3) chapter meetings.
Expelled, membership revoked and suspended members are not allowed to attend Alpha
Kappa Alpha Sorority, Incorporated meetings.

Babysitting Services

The following policy will operate to govern children at chapter meetings.
Babysitting services are available to all active and visiting sorors who need child
care during sorority meeting. We can accommodate up to ten (10) children
between the ages of 3-10 years old. Reservations are required. Reservations may
be made by emailing [email protected]. The email must include the
name of the soror and the names and ages of the children. Once babysitting
services are requested, then sorors will be obligated to pay for the service. There
are no refunds.
The cost for babysitting services is $15/child. Payment must be made in
advance. Payments may be made via PayPal at [email protected] or at
chapter meeting by cash or check to the Pecunious Grammateus.

Inclement Weather

The following policy will operate to govern notification in the event of
adverse weather conditions existing on the day of a scheduled chapter
meeting or chapter function.
1. The Basileus will make a decision the day of the event whether to postpone the

event due to inclement weather conditions.
2. After making her decision, the Basileus will post a message to the listserv with

information as to whether the event will go on as scheduled, be postponed and
rescheduled or cancelled. In addition, the Basileus may reach out to select sorors
via phone to help distribute the message, depending on the nature of the event.
3. The listserv email will inform sorors with instructions as to whether the event will
go on as scheduled, be postponed and rescheduled or cancelled.
4. If you do not receive a message via the listserv at least one hour before the
scheduled event, contact either the Committee Chair, Program Chair or the
Basileus.

Download the Alpha Kappa Alpha Brand Guidelines in the Members only section at
www.aka1908.com. Click on Resource and then Forms and Documents. Type “Brand” in
the search box.
The Sorority’s official colors are Salmon pink and Apple green. For professional printing,
Pantone 182 (pink) and Pantone 354 (green) should be used.

International Logos

The official sorority international logos are the coat of arms, a.k.a. the Shield and the
current Administration, The Launching New Dimensions of Service, logo. In addition, there
are several symbolic logos associated with each international program. These logos should
be used when creating chapter correspondence, written communication, reports, flyers,
etc.
When using the coat of arms with the administration logo, always place the coat of arms
to the left and the administration logo placed to the right or below. No more than two
sorority logos should be used at a time.
The registered symbol (®) should always be used following the words Alpha Kappa Alpha
Sorority, Incorporated ®.

Regional Logo

The North Atlantic does not have an official regional logo, however the current regional
director reserves the right to have an administrative logo to reflect her administration.

Chapter Logos

Our chapter and foundation logos are used to be effective tools to brand our local
programs and events. The chapter logo should never superseded or replace the sorority's
coat of arms and initiative program logos on program related publications. Regional and
Chapter logos should always be placed to the right or below the sorority's coat of arms.
The chapter should use no more than two sorority logos on any single web page, flyer,
banner, poster, etc.
The name of the sorority should always appear before the chapter name. Example: Alpha
Kappa Alpha Sorority, Inc. ®, Rho Mu Omega Chapter
Special Chapter / Foundation Logos
Special Logos created for events can also be used to effectively promote and brand
chapter/foundation activities or events that will be ongoing throughout administrations.
Chapter Administration Logo
The chapter administration logo is used on Rho Mu Omega chapter events/activities and
agendas. Placement of this logo helps to identify what administration the event occurred.
Foundation Logo
The Foundation is the fundraising arm of the chapter. It's logo is to be used on
publications and materials promoting fundraising events in conjunction with Rho Mu
Omega Chapter.

When creating yers or promotional materials for events, all pertinent information should be visually presented at-a-glance. Therefore, please be sure to include the
following information:

Host(s) of the Event
Location (Name and/or Address of venue)
Date
Time
Event Point of Contact
Ticket Information
Brief caption or description of event
Collaborators or Partners

Flyer Approval Process

Should you choose not to submit a request to the Marketing Committee and would like to create your own event yer, please adhe
to the process for approval.

1. Once the yer has been created, the yer should be submitted to the Committee Chair to approve nal content of document
2. After approval has been given by the committee chair, it should be sent to the Marketing Committee for editing & proo ng.
3. All edits and/or recommendations will be submitted back to the committee chair or creator of the yer to modify.
4. Upon nal approval from the committee chair and Marketing Committee, the document should be sent to the Protocol

Chairman and the Basileus for approval to post and distribute.
