1 1.0 Introduction of MySecure Archive MySecure Archive is a agency that related to the archive company that want to protect the history and cultural heritage. This company is founded by five members in the team and has discussed to develop a archive in city Kuala Lumpur which is nearby with MRT, school and residential. We also allowed the outsider or educational researches to use our collection as research purposes. Hence, it also spread the awareness about the purpose of the archives publicly to the community. For the students, it also can attract their interest in studying more about the collection that are worth for the teaching and learning session. This company archive develop on flat land to provide stability and avoid disaster. This area is located at Jalan Pahang, Bulatan Pahang, 57000, Kuala Lumpur. This area is accessibility of internet and public transport. The size land area is huge and spacious. The types of soil is clay soil. 2 The structure building that we chose is a new building. The reason that we choose the new building because the bility to customize partitions. New building allow us to create a space design and plan for the needs of archival storage and preservation. Next, it is freedom to choose materials for building. We can choose any materials for our new building to make it aesthetic and suitable for the intended use. Next, the location is flexibility. It give us a freedom to select the ideal location for our archive. Lastly, the reason that we choose the new building because we can make one-off pay. One off payment required for the construction of archive facilities and building materials. This payment covers te various cost such as the planning, design, materials and construction. We choose modern design for our building. The reason that we choose modern design because of the aesthetic appeal. Modern design can make it become an attractive building within the town. It also functionality. It ensuring that the archive space is well suited to its intended use. We develop two floors for our archive. The spacious space can make various rooms such as public area, offices, operation room and archival storage. The different activities can be done on separate floors so that our workflow can be smooth. We use bricks for our construction. This is because the brick can keep cools so that we can preventing the document damage. Our roof is triangle roof. The design to efficiently shed water away from the building, helping to prevent leaks during rainfall. The building material that we use such as bricks, concrete, metals, cement, polyvincyl chloride (PVC), glass, aluminium, binding wires, electronic materials, tiles, paints, mosaic, single door, sliding window and sliding door. The facilities that we use such as table office, toilet, sink, chair, front desk, CCTV, dining table, sofa, television, coffee table, air-conditional, lamp, fan, computer, CPU, fridge, audible alarm, smoke detectors, fingerprint scanner, temperature humidity, picture, storage and machine operation. The total budget of build this institution archive is RM3 million. 1.1 Building Materials a. Bricks - We use bricks for our walls, so our archive can keep cool. b. Concrete - We use beams, columns, and slabs for its compressive strength. c. Metals - We use metals for our stairs so it can long-tem stability d. Steel
3 - We use steel for development. This is because steel is the backbone of many highrise buildings, and development structures. Its high tensile strength allows for the construction of tall buildings. e. Cements - We use cement in masonry work to bind bricks, ensuring stability and strength in walls and other structures. f. Polivincyl Chloride (PVC) - PVC pipes are commonly used for sewage and drainage systems because they are resistant to chemical corrosion. We also use PVC for conduits protect electrical wires from physical damage, moisture, and chemical exposure. g. Glass - We use glass for sliding window and sliding door to allow natural light, visibility, and contributes to the thermal performance of buildings h. Aluminium - We use aluminum for the frame window. This is because lightweight and corrosionresistant, aluminum frames are durable. i. Binding wires - We use binding wires to tie rebar (reinforcing bars) together in concrete construction, ensuring that the rebar maintains its position and alignment during the pouring of concrete. j. Electronic materials - Electronic materials are used in the wiring and cabling systems to supply and distribute electrical power throughout buildings. k. Tiles - We use tiles for our first floor and second floor archive. They protect underlying surfaces from moisture, chemicals, and physical damage. l. Mosaic - We use mosaic floors that are durable and can withstand slippery, making them suitable for toilet. m. Paints
4 - We use cream colour for our inside archive while blue colour for our outside archive. n. Single door - We use single door for our public toilet and staff toilet. o. Sliding door - We use sliding doors for our public area archive. p. Sliding window - We use sliding window for our archive. It allows natural light, visibility, and contributes to the thermal performance of buildings 1.2 Vision Create a generation with love for history and the nation. 1.3 Mission To enhance the records and archives management skills of the government sector. To provide efficient delivery of services through seamless experiences for clients. 1.4 Objective To acquire storage and preservation of records processing historical values from private agency as well as members of the public. To provision of references and private institution as well as the members of the public. Values and Principles: What we will do is be integrity and professionalism to ensure that our client’s collections items receive the good care and respect they deserve. We believe that it can make our clients trust and satisfy our agency. Target Audience: Our target audience includes educational institutions, libraries, museums, companies, government organizations and individual collectors that are searching for an expert archivist. We accept all the work whether it is digitizing historical documents, preserving the artifacts or installing digital asset management systems. We will serve our clients with dedication.

CEO arrange, preservation and exhibition of the records. CEO manages the financial and non-financial of the archive. Manager: Schedule the appoinments and meetings in the office. Maintaining the arranging necessary repairs and office condition. Provide leadership and supervision to archive staff, interns, and volunteers, including mentoring, training and performance evaluations. Conduct tours, presentations, and lectures to engage diverse audiences in the work of the archive. Administrative officer: Managing the company databases. Managing placing orders and office supplies Preparing administrative reports, files and financial. Receptionist: Forwarding incoming phone calls and answering. Receiving and sorting email. Receiving visitors at the front desk by greeting and announcing them appropriately. Archivist: Evaluating, selecting, retrieving and arranging materials. Storing and preserving files and documents. Coordinates the transfer and accession of electronic records. Technician: A technician repairs, replaces, installs and services various type of equipement and systems. Diagnosis error, technical problems and determining proper solutions.
8 Security: Monitoring survelliance cameras. Ensure that copany is no intrusion. 1.7 Facilities and Services General Considerations Security system can protect our Mysecure Archive. The doors in archival storage areas have locks and only authorized person that can access to the room. For example, archival storage area has smart access like thumprint and only certain that can access the room. We provide closed-circuit television (CCTV) inside and outside of our archive to avoid invasion and theft. We also have fire alarm, fire distinguishers for safety of our archive and staff. Fire alarm triggers when it detect heavy form of smoke in area while fire extinguisher is an external fire safety system useful to extinguish for control minor fires. We have provide fluorescent lighting and windows in the archives have appropriate ultra violet light filter screens, particularly display areas and areas where archival material is on open shelves. In our archive company, we preserve paper-based, maps, photograph and electronic material. The humadity temperature is between 30%-50%. Other Considerations a) Administration: Provide enough room for employees as well as typical office supplies and equipment. b) Work areas: Set aside a specific location for processing and reviewing records. Large tables, computer equipment, and other equipment needed for processing records should all fit in this space. c) Research area should be easily accessible from the work and storage areas, but it should be kept apart from them. equipped with suitable furniture and spaces for laptop computers and other electronic devices, provided that the archives' reference policies allow them to be used. Areas for finding aids and reference collections; a place to talk about the needs of researchers without bothering other researchers; and a place for user registration. d) Archival storage area: Only archives' personnel should have access to the stacks. The area should be large enough to permit the future growth of the archives. Determination of future space needs will depend on several factors, but reviewing annual accession rates will provide some guidance.
9 Services in our Mysecure Archive Archiving is not only preserve the past but it also to protect the history in the future. It is because archives are important to gain knowledge and maintaining the human history for the generations because archives protect our cultural heritage and make the information become easy to be access. Services of Mysecure Archive is preserving the long term of records. Archives are important for maintaining the historical records. It also help and supporting research and guarantee that the information can be passed through the generation. However, managing and protecting digital content has become more difficult in this era of technology. So, our commitment to handle these issues is by utilizing the modern technology and use the best practices in archives knowledge for the clients. Next is about our services is MySecure Archive offers the various archival services including digital archiving, document preservation, advising and also cataloging. We are here to support and help our clients at every stage, such as when they need help with managing digital assets or keeping historical materials. We need to identify, evaluate, preserve the materials of long-term value to the organization that archive serve. We need to ensure the archive materials is sagety with any form of records. B) Disposal the archival materials We need to follow the standard operation procedure (SOP) of archive when we want to dispose of the records for any collections. This is because we only dispose the records when they are no value for our archive. Thus, we must follow disposal guidance from National Archive of Malaysia to dispose all the records.
10 C) Finding aids Finding aids are a tool that helps users to find any information in collections and archival materials. With this service, the user will easily find any information or materials in our archive. D) Consultation Mysecure Archive provides a service for researchers to get advice assistance and provide information that they need. The staff will guide them one by one to them. It is good services to them because it can attract them to come to our Mysecure Archive. 1.8 The Rules and Regulation a. Archive Visitor Need to Wear the Identification Card The identification card utilization needs to be executed by the archive to recognize te visitors who have permission to access the archive materials. For example, the card will be given to ordinary visitors who can only access the materials with the public value that can be accessed by any public visitors. b. Things that visitors do not allow in archive: The visitors not allow us to bring any water and foods. The visitors are not allowed to bring any stationaries except for a pencil and eraser. The visitors are not allowed to bring pets. The visitors are not allowed to write notes on the materials. The visitors are not allowed to take out the materials pages from the actual arrangement. c. Number of materials that can be borrowed at once. The visitors are allowed to borrow only 4 materials at once. This is to avoid from misplaces the materials. All the materials need to be prove by the responsible staff before allow visitors to borrow the materials. If there are visitors who break the rules, they will be compound.
11 d. Loan period The visitors who borrow the archive materials can only borrow the materials for two weeks. If any borrowed materials that over the return due will be compound by the archive. e. Materials name in conducting the filling system. Based on the observation, records can be complicated if we cannot control in the right way. Through this, we need to developed standard name for records in the further process of organizing and managing archival management. Hence, in conducting this process, the rules must be conduct by expert person that have enough knowledge about records classification. The reasons why we point out the records classification because we want the procedure of collecting and lending the records turns in the right and specific way. By this, having a right procedure in collecting the materials will give impact in the structure of organizing archive. Hence, when the process of lending and using the records started, the staffs in archive will clearly and accurately note the important activities during the lending and collecting process. In the electronic materials management, there are required to provide standard name for organizing the materials in a specific management. This is because we want to prevent misfiling data and misfiling placing the materials.

14 3.1.1 Research Hall Figure 9: Research Hall Research Hall is the important section of our archive building because it functions to allow researchers to do research about archives. In this research hall, it is equipped with many facilities such as computers, photocopiers, and space for research. Besides, researchers can access and review archival materials, such as manuscripts, digital records, photos, videos, audio-visual materials, and documents in the research hall.
15 3.1.2 Reception Hall Figure 10: Reception Hall The reception hall provides a welcoming entry point for visitors. Visitors and researchers need to register or sign in upon arrival. Reception staff are available to provide information about the archive’s collections, services, and facilities. They can assist with basic questions, provide directions, and offer advice on how to begin research or locate specific materials.
16 3.1.3 Seminar Hall, Theatre, and Auditorium Hall Figure 11: Seminar Hall, Theatre and Auditorium Hall This seminar hall also has various functions such as a Theatre and an Auditorium Hall. This hall provides public education such as assist in spreading knowledge of the archive's collection and the value of preserving historical records by holding events, talks, and performances. These halls and theatre also can facilitate collaborative events with other academic institutions, educational organizations, community associations and more.
17 3.1.4 Finding Aids Figure 12: Finding Aids In this our archive building, we also have a finding aid room in a public area. In this room, it is equipped with a lot of computers with tables and chairs for users. The primary function is to provide access to finding aids, which are descriptive tools that help researchers locate and understand the contents of archival collections. These can include materials, catalogues, indexes, and guides. Also, finding aids help organize and describe the archive's collections in a systematic way and making it easier for researchers to search the materials.
18 3.1.5 Reading Room Figure 13: Reading Room This reading room is decorated like a library. This is because it has reading sections that provide tables with chairs and bookshelves that have books and archival material just for visitors and researchers. This room also has a photocopier. With these facilities, researchers can read and search any materials of archives comfortably without any distractions.
19 3.1.6 Oral History Lab Figure 14: Oral History Lab Our archive building is provided oral history lab in public area. This oral history lab has many functions such as interview spaces. For example, thus lab provides soundproofed rooms equipped with high-quality audio and video recording equipment to capture interviews with individuals sharing their personal experiences and stories. Our lab offers training sessions and workshops on oral history methodologies, including how to conduct interviews and practices for recording. Researchers and interviewers receive training on how to use recording equipment, software for editing and transcribing interviews, and techniques for preserving digital files.

This room is a specialized space designed to support educational activities and promote learning and engagement with archival materials. For example, educational workshops and training. This room can host workshops on important topics related to archival research, preservation techniques, historical research methods, and the use of primary sources and provides a space for training for researchers on how to access and use archival materials effectively.
21 3.1.8 Leisure Area Figure 16: Leisure Area The leisure area is built just for the visitor’s comfort, rest and relaxation, informal learning and more. In this area, we provided many facilities such as sofas, television, air conditioning. We also provided access to newspapers, magazines, and other reading materials that visitors can enjoy during their leisure time and feature informal exhibits or displays that highlight interesting aspects of the archive’s collections in a relaxed setting.
22 3.1.9 Cafeteria Figure 17: Cafeteria We put this cafeteria outside our archive building because the site is wide and can accommodate many visitors. This cafeteria is equipped with many dining tables and chairs as well as air conditioning facilities and vending machines for visitors. There are various food menus available such as coffee, desserts, and heavy meals. Therefore, visitors are more comfortable visiting our archive building.

24 3.2.1 Meeting Room Figure 20: Meeting Room The meeting room is important in our archive building. It is because meetings provide a space for archive staff to make regular meetings, discuss projects, plan activities, solve the issues and problems in our archive building. This meeting room is also equipped with projector facilities, air conditioning and a large meeting table that fits all staff. All archive staff need to gather in the meeting room at the appointed time. Then. All the discussions or issues presented will be resolved together with the owner or CEO of the archive building.
25 3.2.2 CEO Room Figure 21: CEO Room CEO or known as Chief Executive Officer is the highest-ranking executive in our organization after the owner. CEO acts as strategies planner like develops and implements long-term strategic plans, setting goals and objectives to advance the archive’s mission and growth. The CEO also handles the meetings with staff and solves the problems by consulting with the owner of our archive building. CEO room is largest room than other staff room. The manager's room must be adjacent to the CEO’s room to facilitate managing staff and solving archiverelated issues with the manager.
26 3.2.3 Office Administrative for Staff Figure 22: Office Administrative for Staff This Office Administrative for staff build for support the organization operation such as human resources support, clerical support, financial support, customer services and more. For example, staff manages incoming and outgoing correspondence, and maintaining records and documents. Also, enters data into databases and systems, ensuring accuracy and proper documentation of archival materials and activities. They also provide administrative support for various projects, including research projects, and exhibitions.
27 3.2.4 Private Room Figure 23: Private Room A private Room can be defined as a room with quiet, secure and privacy environment for archive building. The function of a private room is providing a secure space for researchers to work with confidential or sensitive archival materials that require privacy and restricted access. Other than that, the private room provides a private space for one-on-one consultations between archivists and researchers, allowing for detailed discussions about research needs and archival building.
28 3.2.5 Archivist Room Figure 24: Archivist Room This room is used to sort, organize, and describe incoming archival materials. This room is also equipped with computers and specialized software for managing archival collections, including databases and record management systems. It is for archivists to manage administrative records related to the archive’s operations, including records, archive files and documents, and data statistics.
29 3.2.6 Leisure Area for Staff Figure 25: Leisure Area for Staff The leisure is for staff is built to give staff the opportunity to rest and take a break during their workday. This room provides comfortable chairs, sofas, lounge areas, air conditioning where staff can relax. in addition, CCTV camera is also installed to prevent bad incidents such as theft of valuables. Other than that, this leisure area was built close to the staff pantry to facilitate the movement of staff to eat and rest. This also can encourage social interaction and team bonding among staff members.
30 3.2.7 Pantry for Staff Figure 26: Pantry for Staff The pantry is where the staff rest and eat, especially lunch, most of the staff do not go to the cafeteria but bring their own supplies from home. In addition, the pantry also provides facilities such as refrigerators where staff can keep food items, lunches, and beverages from stale or rotten food. This pantry also includes cabinets and shelves for storing non-perishable food items, snacks, and personal kitchen supplies. The dining table provided is very large and can fit many staff. Other facilities provided are a sink, oven, cooking utensils and water filter. Therefore, staff can rest and eat comfortably.

32 3.3.1 Paper Based Record Storage Figure 29: Paper Based Record Storage Our paper-based records storage uses paper to keep important documents. We store all our records to preserve documents. To keep these records in good condition and prevent any damage, we control the temperature and humidity in the storage area with air-conditioners. Security is crucial to protect these valuable documents. We have installed smart access systems to ensure that only authorized people can enter the storage room, keeping the archival materials safe from unauthorized access. We use open racks to store our collections because they are ideal for holding documents. These open racks make it easy to organize and retrieve the records when needed. The simplicity of this storage method ensures that our documents are well preserved and easily accessible for those who are authorized to handle them.
33 3.3.2 Map Storage Figure 30: Map Storage This room contains a large scale of materials like maps, drawings and plans that are related to the archives’ purpose. The racks that we use are bigger than the normal racks and the material of the racks is metal. The reason why we chose to use the metal racks is because they will be safer and stronger. This room is also equipped with a smart access system to make sure only authorized people can enter the storage room.
34 3.3.3 Strong Room Figure 31: Strong Room Strong room are important in archives because they are made to make sure the important materials or records that are confidential can be stored in a safe environment. Only authorized personnel can enter, ensuring the safety of the stored contents. Strong room are built to be fireproof, providing protection against potential fire hazards and safeguarding the items inside. This combination of security and fire resistance makes strong room ideal for keeping valuable items safe. Same goes for other storage room, we use the open racks system in our strong room to make sure our staff can easily reach the document.

36 3.4.1 Receiving Room Figure 34: Receiving Room The receiving room is where new items, such as documents, photos and artifacts, first arrive. Here, staff inspect the items to ensure they are what was expected and in good condition, document important details like who sent them and when they arrived and do some initial processing tasks like removing items from boxes or checking for damage. If the items can't be processed immediately, they are stored temporarily in a safe place. This process ensures that all new materials are properly handled, recorded and protected before becoming part of the main collection.

They check the condition of the items to see if any need urgent repair or special care. The triage room is like a sorting area where decisions are made about how to handle and prioritize the processing of new materials, ensuring that everything is properly taken care of according to its needs.

This area has space for dirty rooms, working rooms and humidifying rooms. a) Space 1 (Dirty Room) Figure 37: Dirty room The dirty room is a special area where new items that arrive dusty and dirty are cleaned before they enter the main collection. Staff use tools like brushes and vacuums to remove dirt. This room helps ensure that any contaminants are dealt with in a controlled environment, keeping the rest of the archive clean and safe.

Here, they use various tools and techniques to clean surfaces and stabilize fragile materials. This room is equipped to handle tasks, ensuring that historical documents and artifacts are properly treated and maintained for long-term preservation.
