IPRO Eclipse TAGS Quick Reference

Types of Tags

c Nested tags
Nested tags include primary parent
tags and one or more subordinate child

tags similar to the following example.
Multiple levels of tags can exist creating a

tree of related tags.

Only the most subordinate members of a nested tag group can be applied when such a tag is

applied its parents are also applied. In the example above if the Performance Data
tag is applied the Employee Records and Business Privilege tags are also applied.

Tags and Related Documents

Documents may be related to one another such as an email or attachments. These document
relationships are found in the BEGATTACH field. Family members for a selected document are

shown in the relationships pane at the bottom of the case pane area of the workspace. See Working
with Document Relationships on pages 34 - 35

Tag Rules tag groups by your administrator.
The following rules can be applied to document

Option Description
Exclusive
Required docu-mentsOnly one tag in the group can be applied to a document

Locked At least one tag in the group must be applied to all
in a batch before a batch can be marked complete

Maintain the current state of tags in the group. That is if a
tag in the group has been applied to documents it remains
in this state. If a tag has not been applied to documents it
cannot be applied.

To tag entire family - When a tag in the group is applied to a document the tag will be applied to
the selected document and its relatives as explained above in Tags and Related Documents on

page 40.

a Tags and Coding Forms

When viewing tags the tags that display on the Document/Page Tags
tabs are affiliated with the coding form you select. Your administrator
may also define specific tagging rules.

Coding forms are chosen on the Record View pane in the case pane area.

b Coding Form-Based Rules

Specific rules will apply to your review procedures when you use a specific coding form. For
example a rule may be defined to require that you add a comment in a Comment field if you

apply a certain tag.

These rules apply to document not page tagging and must be followed as you review documents in a
specific batch or case.

GENERAL TAGGING PREPARATION

Before you tag documents and/or document pages
1. Review case guidelines including the coding form to use and associated rules if any exist.
2. Log into Ipro Eclipse and open the needed case.
3. In the Case View Pane click Documents.
4. Display a specific subset of documents by performing a search filtering one or more columns.
5. For batches only If you are working in a batch selcet the scope of listed documents in the
Documents from list.
6. In the Record View Pane select the needed coding form to access the needed tag display.
7. If no tags appear in the Document Tags tab

Right click the Private Tags heading and select Tag display Modify Tag Display.
Select the tags you need for review and click Apply.
8. Document tagging only
In Record View Pane enable tagging by clicking EDIT button.

SIMPLE DOCUMENT TAGGING

a To tag Individual Documents or Search Results

Complete General Tagging Preparation on pages 41 - 42. You must enable the tagging pane
before you can apply tags.

In the tab selected during preparation Documents Batch etc. click a record for the
document to be tagged or have a tag removed.

Evaluate details for the record to determine which tags to apply or remove

b Tag a single selected document In the Document Tags tab click an unapplied tag to select it

or click an applied tag to remove it. This type of tagging applies the tag to or removes it from the
selected document according to the rules defined for the tag group.

Tag search results To tag search results - if one of the items is open in the case pane and

ora tag should be applied to removed from all of the documents right click the tag and

select TagApply to Search Results or Remove from Search Results.

If a coding form rule is in effect a message may appear if you select certain tags. Comply
with the rule before moving to another document.

For example a rule may require you to add a comment in the Comment Field if you select a

certain tag

a Tagging Multiple Documents

Complete General Tagging Preparation on pages 41 - 42. You DO NOT have to enable the

tagging pane in the Record View Pane.

In the Documents or related tabs toolbar click actions to open the mass

actions toolbar.

Select Edit in the mass actions toolbar and complete step 3 or 4 on page 41 as needed to
select the documents to be tagged.
All documents To tag all documents in the current document set based on your selection
during preparation

Select ALL from the mass actions toolbar as shown in the following figure

Coding form select the form that includes the needed tags.
Tag group select the applicable tag group must be selected by user.
Tags select or clear individual tags. To leave tags that have already been applied
unchanged leave the option box as-is.

Making Use of Tags - Common Uses

a Searching for Tagged Documents

To easily find documents tagged or not tagged in a certain way

Log in to Ipro Eclipse and open the needed case or batch.
Select the Document Tags or Page Tags tab.

In the selected tab right-click the tag or tag group title of interest and select one of the
following

Search Search for all tagged documents Find documents that have been tagged
with the selected tag. If a tag group title is selected documents tagged with any of the

tags in the group will be found.

Search Search for all untagged documents Find documents that have not been
tagged with the selected tag. If a tag group title is selected documents not tagged with
any of the tags in the group will be found.

Results display in a new Search Results tab that replaces the contents of the Documents tab.

DOCUMENT DETAILS - VIEWER

a Overview about Case Documents

Case documents are presented in the following five tabs in Ipro Eclipse which are located
in the Document Details pane.

Image - This tab displays the graphic file TIFF JPG or PDF file associated with a
selected case record. Annotations such as redactions are made in this tab as well as
highlighting markups and embedded text. The Image tab supports the transparent or
cross-hatch view for redacted information and the highlighting of search terms on the

image.

OCRExtracted Text - This tab displays the text associated with the selected record.

This tab will be blank if the Ipro Eclipse database does not contain a field defined as

EXTRACTEDTEXT or if no text exists.

Native Viewer - If your administrator has included native and/or HTML files as part of
.MHyour case this tab displays an MHTML
version of the file for a selected record.

Production - If documents within the current case or batch have been produced a
produced image for a selected record displays on this tab unless no production image is

available.

Transcript - If your case includes transcripts access them in the Document Details

pane.

a Overview about document images

Document images include TIFF JPG or PDF files created from native document files. If they
exist for your case document images appear on the Image tab in the Document Details
pane of Ipro Eclipse web.

b Image actions

In the Image tab you can perform the tasks explained in the following table in addition to tasks
related to viewing the image such as enlarging or rotating the image. These tasks can be performed
on the individual pages of a document.

Changing Image Views

The image quality of some types of files can be adjusted

REDACTIONS

a Overview about redactions

Redactions obscure the content of image files so that only appropriate information is visible in the
files you prepare for discovery. In Ipro Eclipse up to 99 redaction categories-with different colors
and labels for each-may be used. Redactions can be viewed in Ipro Eclipse as solid outlined or
cross- hatched if user has appropriate permissions. The following figure shows a solid redaction in
an email image file.

Redact information in an image as follows

1. For a selected record in the Document Details panes Image tab locate
the information to be redacted.

c Change redaction style

If you have sufficient permissions you can change redaction style for example to cross hatch or
outline so that you can view the redacted content without removing the redactions.

A selected style applies to all redactions for the current user during the current session or until
you change the style.

To change redaction style

e Resize a redaction

To change the size of a redaction do the following

1. For a selected record in the Document Details panes image tab locate

a redaction to be resized.

2. On the Image tab toolbar click

3. Click the redaction to select it then drag an edge or a corner to resize it.
4. If needed adjust the location of the redaction by placing the mouse

5. When finished click or another button to stop the redaction activity.

f Move a redaction

To move a redaction do the following

1. For a selected record in the Document Details panes the Image tab

locate a redact on to be moved.

3. Place the mouse pointer in the center of the redaction and drag it to the
needed location then release the mouse button

4. When finished click ý or another button to stop the redaction activity

g Delete a redaction

Note No warning message or Undo function exists when deleting redactions. Make sure of the

selection before deleting

1. For a selected record in the Document Details panes Image tab locate

a redaction to be to be deleted.

2. On the Image tab toolbar click

3. Left- then right-click the redaction and select Delete.

4. When finished click or another button to stop the redaction activity.

Adding Other Annotations

a Overview about Annotations to images

In addition to redactions you can add the following annotations

Mark-ups Free-form lines

Highlights Transparent color to emphasize particular content.

Embedded text text box Visible comments added to the image.

Sticky notes Notes indicated with a notepad icon text is visible when the note is

double-clicked.

The following figure shows an excerpt of an email with each type of annotation
added.

the area where you want to draw a line.

4. Complete the following steps to enter needed information in the Embedded

To edit embedded text or sticky note contents on an image in the Image tab do the following

1. On the Image tab toolbar click
2. In the image area locate and double-click the embedded text or sticky

note to be edited.

3. In the Embedded Text or Sticky Note dialog box modify the text as
needed. For embedded text change font characteristics if needed see

b Change mark-up characteristics

To change the characteristics of a mark-up object line or shape in the image tab is as follows
1. In the image area locate the mark-up to be changed.

c Resize highlights

Highlights can be resized. If you have sufficient permissions you can change

the size of highlights in the Document Details imago tab sas follow

1. In the image area locate the highlighting to be resized.

2. On the Image tab toolbar click

3. Click the highlight to select it then drag an edge or a corner until the
highlight is the needed size.

4. If needed re-adjust the location of the highlight by placing the mouse

ýýpointer in the center of the redaction and dragging it.

5. When finished click or another button to stop editing highlights.

d Move annotations

In the Document Details Image tab highlights embedded text and sticky
notes can be moved. If you have sufficient permissions move any of these
sitems as follow

1. In the image area locate the item to be moved.

2. On the Image tab toolbar click and click the item. The mouse pointer

changes to

3. Place the pointer over the item that needs to be moved drag it to the
needed location then release the mouse button.

4. When finished click 111 or another button to stop the move activity.

e Delete annotations

All annotations in the Document Details Image tab can be deleted. If you
have sufficient
permissions delete annotations as follows

2. Left- then right-click the annotation and select Delete.

Printing Document Images

a Overview about printing

Ipro Eclipse allows you to print contents of the Image tab. Various printing options exist such as
options for printing annotations. To print the current image in the Image tab follow the

instructions in this section.

1. For a selected record open the Image tab as explained in

3. In the Print dialog box Options tab select the needed Printer and Paper
Source. As needed click Properties to select printer-specific options.

4. To evaluate the size of the print job click Calculate at the bottom of the
Options tab. The total number of pages displays to the right of the button.

5. In the Page Range section select the pages to be printed all current or
a unique set of pages. In the latter case separate individual entries
individual pages and/or page ranges w ith commas. Indicate a page range
with a dash. For example

1 3 5-10 15-20.

6. To include a watermark text only in the print job enter the needed text in
the Watermark field. This text will appear behind existing document

content similar to a stamp.

7. To add image keys to the bottom right-hand corner of each page select the
Image Key option in the Quick Endorsements area.

8. Reviewers annotations embedded text highlighting and/or mark-ups
will be printed by default if they exist. To omit annotations in the print job

a. To remove all annotations clear the Print Annotations option.

b. To remove some annotations click each one in the Annotations area.
These annotations will be removed from the list in the Print dialog box.

c. To add annotations click in the Annotations area and select

those annotations you w ant to print.

9. Redactions that have been applied in images will be printed in solid format.

If you have sufficient permissions you can select which redactions will be
included in the print job and how they w ill appear

a. To remove all redactions clear the Print Redactions option.

b. To remove some redactions select the Print Redactions option then

click clear the unw anted redaetions. These redactions will be
removed from the list in the Print dialog box.

To open a file in its native application from the Native Viewer tab
1. Getting started

a. Log In to Ipro Eclipse and open the needed case.

needed.

3. Click the Native Viewer tab. If this tab alerts you to the need to install the viewer control see

4. In the tabs toolbar dick the icon representing the file type. For example

the icon for Microsoft PowerPoint files is The file opens in its native

application.

If Ipro Eclipse cannot find the software program needed to open the file a
Windows message will ask you to either allow the Windows Web service to
find the program or select it yourself.

5. if you receive the windows message select a method for locating the
program and dick OK.

6. Examine the file contents as needed. Perform activities allowed by the
native application such as saving or printing the file. Do not attempt to
change the file.

7. When finished close do not save the native file.

c View a file in Native Viewer

To view a native file in the Native Viewer tab Case Documents on page

1. For a selected record open the Native Viewer tab as explained in Accessing

47.

2. If needed click View on the tab to synchronize native files with case
records. Note

- If the file exceeds the allowed file size a message will alert you to open

the file using the native application Close the message and click the

native file button in the tabs toolbar button icon represents file type

- For files that do not exceed the allowed size the file will be downloaded

and displayed on the Native Viewer tab. A progress meter in the status

g Creating an Image File TIFF on the Fly

Overview about TIFF on the Fly
Ipro Eclipse allows you to create image files for case documents through the
use of the TIFF on the Fly feature in the Native Viewer tab. Note

Only users who are given the appropriate permission can use TIFF on the

Fly.

You cannot create an image file if one is already defined for the selected record. The TIFF on
the Fly toolbar button will not be available if an image exists.
The image file is created from the file that is displayed in the Native Viewer tab. Some
formatting may differ for example a lined table may not
include lines.
One image file is created for each page comprising a document.

h Create image file

This procedure applies only if image files do not exist but native files do. If
you have sufficient permissions create the image files as follows

For a selected record open the Native Viewer tab as explained in
Accessing Case Documents on page 47.

2. If you have a color preference for the images to be prodpced and the
native files include color dick - next to the TIFF button and select either
Black and White or Color. This setting will remain in effect until it is

changed again. The default setting is black and white.

2.3. Click This button will be available only if an image file is not already

defined for the record.

After the file is created the button disappears for the currently selected
record. TIFF image files are created and placed in the images folder that is
defined for the case.

4. Click the Image tab to view the newly created image.

Working with Production History

a Overview

If documents are produced in Ipro Eclipse Administration they will automatically be included in
Ipro Eclipse unless your administrator produces the documents without the Update Production
Table option.

b Viewing Production Documents

To view production documents

1. For a selected record open the Production tab as explained in Accessing
Case Documents on page 47. Note

If only one production document set is available the production image
from that set will display.

If multiple document sets exist then by default the first time you access the Production
tab the production image from the first most recently produced set available will
display. If no image is available in that set then Ipro Eclipse will check subsequent
document sets in order by date and display the image from the first set containing a

production image for the selected record.

A message will display if no production image is available from any pro

duction set.

2. Select the production set of interest and then dick

4. To evaluate the size of the print job dick Calculate. The total number of
pages displays to the right of the button.

A slip sheet can serve as a cover sheet for your print job. To define a slip
sheet click the Slip Sheets tab and select the content to be included

6. To include document content field data tag information or custom messages in the header
and/or footer of the document being printed.

7. When all aspects of the print job are defined click Print. If a color printer
is being used all colors will be maintained.
