1. Meeting called to order and president’s address
The Meeting was called to order by the President at 3:05pm. He welcomed and
thanked all present.

2. Confirmation of minutes previous committee meeting
The minutes of the last meeting held on 29 August 2020 were read and duly
approved. Proposed by CC and seconded by MM.


3. Matters arising from minutes of previous meeting
There were no matters arising as progress of projects and activities will be reported
under item 6.


4. Secretary’s report
Secretary reported on the courtesy call on the Governor of Malacca which was MKZ
postponed due to the Movement Control Order. MKZ added that she will continue to
liaise with TYT’s Office for a new date. Also reported that MAHSOPA Committee
members for term 2020/2022 details and annual returns were submitted to the
Registrar of Societies online system e­ROSES. A Memorandum of Understanding
between Mahkota Medical Centre and MAHSOPA as membership benefit is ready for
signing.

5. Treasurer’s report
MM reported that he has yet to receive the latest bank statements. He will post MM
payment and expenses account next meeting. Donation for MHS Gutter Project is yet
to pay out, awaiting change of signatories at CIMB Bank for President, Treasurer &
Secretary. Claim forms need to update for payment reference in payment tables. SK
suggested that pending payment (MHS Gutter Project) be allocated to account
payable side. Suggestion to go for online banking for smoother & easier transaction
including receiving bank statements and payment advice via email was agreed upon
by all. Hence, shall proceed to apply for on­line banking. Resolution proposed by MM
with regards to the change of signatories and to apply for online banking was
accepted:

IT WAS RESOLVED:
1. To continue maintaining both the current account bearing no. 80­0047878­7 and
the fixed deposit account bearing no. 50­0009763­1­0002 with CIMB Bank at its
Damansara Height Branch located at Wisma UOA II, 6 Changkat Semantan,
Damansara Heights, 50490 Kuala Lumpur;
2. To apply for an online banking facility which allows for viewing of the account
statement, emailing of bank statement, effect payment and transfer of fund in
accordance with the signing condition; for emailing to use MAHSOPA email address
[email protected]
3. To revise and change the authorised signatories to sign cheques and effect online
banking payment and transfer of fund on behalf of MAHSOPA be as follows:

Note: In accordance with MAHSOPA’s Constitution:
(a) The Treasurer may hold a petty cash allowance not exceeding RM500.00 at any
one time. All money, in excess of this sum shall within ten days of receipt be
deposited in a bank approved by the Committee. The bank account shall be in the
name of the Association.
(b) All cheques or withdrawal notices on the Association's account shall be signed
jointly by the Treasurer and the President or Secretary.
(c) No expenditure exceeding RM5,000.00 in any one time shall be incurred without
the prior sanction of the Committee, and no expenditure exceeding RM10,000.00
shall be incurred without the prior sanction of a general meeting. Expenditure
amounting up to RM5,000.00 and below at any one time may be jointly approved by
the President, Secretary, and Treasurer.

4. All information contained herein is true and not misleading, and it is to the best of
our knowledge factual and binding on the Association and/or its representatives.


6. Committee and project reports and action
6.1 Membership – 7 membership applications were approved, viz: RA

RA to look into forming a sub­committee for membership drive.


6.2 E­Optimist Digitisation – AM commented that this project is long outstanding and DC
hope can be completed within our term of office. DC shared that digitization is on
hold due to CMCO restriction to visit the MHS Library. SK offered his office multi­
purpose scanner for DC to use, twice a week. 14 issues currently with RL will be
returned to SK. AM requested for an overall update of the status from the first issue
till the latest.


6.3 Events, Activities and Fund­Raising Dinners – RL will liaise with Dr. Ghazali Yusof RL
(MNS) regarding our Tree Planting Project in Melaka together with the Forestry
Dept. It will probably be carried out towards the end of 2021. Once RL has more
details, he will form a sub­committee to coordinate this Tree Planting Project.


RL proposed that the dinner cum fundraising be on a small scale and to hold it on 7th
December 2021 to coincide with MHS Anniversary. RL also reported that he will form
a team early in 2021 to organize a MAHSOPA logo contest to select a logo by the end
of the year before the dinner. RL mentioned that SK has volunteered to be in the
team and he hoped that more will volunteer.


6.4 Communications – SK indicated the following: set up 2 email accounts SK
[email protected] and [email protected], MAHSOPA
letterhead, formats for notice and minutes of meetings, revised membership forms,
Google forms for updating details, feedback and membership drive, and Google
Meet hosting for this meeting.


The following are the plans: compile and digitize all MAHSOPA materials including
dinner souvenir magazines, photographs, etc. to be stored in a central location, and
MAHSOPA Facebook to be enhanced and converted from a Group to a Page.

7. Other matters
7.1 TSASS Fund – Pursuant to the Rules and Regulations of the fund, the President in his AM
capacity as Chairman appoints the Secretary and Treasurer as Board Members

7.2 AM informed that MAHSOPA will be presenting a framed set of MHS 190th
Anniversary Commemorative stamps and a letter of appointment as MAHSOPA
Patron to the Governor of Malacca during the upcoming courtesy call.


7.3 MM suggested to have flow of documents that could be used during meetings. MM
Same format as per his PIBG meeting. SK requested a sample so that it can
worked upon.

7.4 SK requested that the sale of masks report during AGM could be tabulated at next AM
meeting. Also a report on the 190th Anniversary Commemorative Stamps.

2. The change of signatories at CIMB Bank could not be completed due to the
resignation of Secretary.
3. ROS has approved WWL as the new Secretary and the change of signatories can
now be done as soon as the MCO is over.

b. A fresh Members Committee will be formed soonest possible. Mokhlis Maizan
and Charlie Chua have already indicated their willingness to be in the committee
which will be headed by the Deputy President"

2.0 Acceptance of the Resignation of Secretary
2.1 The committee accepted the resignation letter submitted by Madelina Kuah as Secretary.
2.2 Wong Wee Loke is appointed as the Secretary with immediate effect while Cheong Lee
Mei is appointed as the Assistant Secretary. The appointments are in accordance to

MAHSOPA Welfare Committee
As proposed by Dr Leo Ann Mean for Charlie Chua to head and form a committee
to look at assisting MAHSOPA members / MHS Alumnus / former teachers.

MAHSOPA Constitution
Whether there is a need to look at some of the “gaps” in the MAHSOPA
constitution? Improve on the constitution.

If the committee feels there is a need, we allow 14 days for feedbacks from the
Committee for relevant provisions in the Constitution to be look at and amended
accordingly.
Thereafter it can be tabled at the next Annual General Meeting for approval
which will be in a few months from now.


MHS 190th ANNIVERSARY COMMEMORATIVE STAMPS 2016
There are 117 stamps in stock. Would like to propose we keep 50 for MAHSOPA
future official use when need arises.
Balance 67 stamps to be put up for sale. Suggest to be sold at RM30.00 or
RM35.00 each inclusive courier cost. Courier cost would be about RM7.50 or
slightly less. MAHSOPA can recoup about RM10.00 from each stamp sold.
It was sold at RM50.00 during the dinner.
