help you make yourself at home.
Just to let you know, we might amend, change or discontinue the policies, practices and benefits described in this guide and so it
would be great if you could have a nosey every now and again so that you can keep yourself up to date. This is the most up to date
version of your guide right now so get rid of any old copies you have lying about and make sure you refer to this version for now.
We are really proud of this guide and want to keep it as a handy guide for you and your Dee Set colleagues. If you would like to share

YOUR RIGHT TO WORK
We need to make sure that you are allowed to live and work in the UK, this will keep you and us safe and legal during your
time with Dee Set. To prove this, we need you to provide evidence that you have the right to live and work within the UK.
When you join the company, you will add all of your details and necessary documentation to our onboarding platform. When you first meet
with your Manager make sure you bring this documentation with you as they will ask to see the original documents so that they can confirm
this matches the document you uploaded. If you have provided an electronic right to work through the government website we will give you
the thumbs up and let you know when we have been able to validate this for you.
If there are any restrictions on how and when you work in the UK, you must keep us up to date and drop The People Team any updated
documentation as and you when you might need to. It is really important that you do this as both you and us could get into serious trouble,
this could hit your pocket through fines or even worse, prison!
If you are not able to provide us with the right documentation to prove your employment, you won’t legally be able to work
with us here at Dee Set and we will withdraw your offer of employment. If you need any more information, have a look at our

There may be times when we will make deductions from your
pay. If we need to do this for any reason, we will make sure we
have had a chat with you about this before making the
deduction. This will help us to agree the best way of making any
deductions that works for both you and us. Some of the
situations where we will need to talk about deductions are:

• When you have taken more holidays than you are entitled to

We never want you to be out of pocket and so we use a great tool called Rydoo which allows for you to claim back your
expenses quickly and easily online.
Before making any claims through Rydoo, it would be great if you could read through the details of our expenses policy. By
doing this, you will understand more about what you are able to claim for and what information and documentation you need to
be able to claim.
Once you have made your claim through Rydoo, your Manager will approve this as long as it is within the guidelines of our
policy and your claim will be made within a week. If your claim isn’t within the guidelines, your Manager will have a chat with
you about this and you will not be reimbursed, if you continue to make similar claims, they may choose to take more serious
action.

The Colleague Hub is a fantastic platform where you can get loads
of high street discounts and cash back deals. You can access the
Colleague Hub through the Hub on Blink.
The brands shown on this page are just some of the hundreds of

Go on and have a nosey, why not even buy something and see how
much you could save!
There are also other benefits such as life assurance
and private health care. You can find out if you are
entitled to these benefits in your contract. Remember,
we might make amendments to your benefit package

HOORAY, HOORAY, IT’S A HOLI-HOLIDAY
Time away from work to relax, refresh and recharge is important for all of us. Everyone at Dee Set will get 28 days (equivalent of 5.6 weeks paid annual
leave) per holiday year which runs from January to December. This includes the usual public holidays. 1 days holiday will always equal 1/5th of your
average weekly pay (based on the last 52 weeks worked).
Woohoo, an extra day’s holiday! To recognise your commitment to Dee set, when you have completed three consecutive calendar years with us, you will receive
an extra day’s holiday in your next full holiday year. You will continue to get an extra days holiday each year after this up to a maximum of five extra days! So if
you stay with us for nine years’ you will have five extra day’s holiday! If you work part time the additional days holiday entitlement is calculated on a
pro-rata basis dependant on the days and hours you work. For example if you work 2 days a week, you will receive two-fifths of a day’s extra holiday!
So now you know what holidays you can take, it would be good for you to know how to book them eh?! All holidays are requested via Employee Self Service on
the Blink Hub. To avoid disappointment, it is best to check your team calendar on the portal so that you can see what others holidays have been approved. Once
you have put in your own request, remember to wait for approval of your holiday via your Manager before making any bookings or taking your holiday. Your
Manager will accommodate your holiday requests wherever possible but remember they will need to ensure that cover can be arranged to maintain the service
for our customers. If you request a holiday that has already been approved for another colleague then your Manager will consider the likely impact on
the business and holidays will be granted on a first requested first granted basis. Remember it is your responsibility to book your holiday and you will

ABSENCE
We appreciate that you may from time to time be absent from work and it is important that we know you are not able to
come in for whatever reason. We have made it super easy for you to let us know – just go on your employee self service
which you can access through the Blink hub and log your absence, giving as much notice as possible or at least two
hours before the start of your shift on your first day of absence. We want to give our customers the best service possible
so the more notice you can give us the better chance we have of being able to cover your work.
If you are absent from work due to sickness for between one and seven days you will need to complete a Self-certification of sickness
form which is on your Employee Self Service.
If you are absent from work due to sickness from seven days onwards then you will need to obtain a Fitness to Work Certificate from
your doctor covering you fully for your absence. Your Fitness to Work Certificate needs to be uploaded to your Employee Self Service
It is really important that you provide a certificate to cover all periods of sickness absence with out them you might not get paid and no
one wants that to happen!

ABSENCE
You will hit our absence trigger if: If you hit a trigger point you will enter into an attendance
review process and your Manager will arrange an Informal

ABSENCE
SSP stands for Statutory Sick Pay and is a payment that you might be able to get if you are not getting any company sick pay while you are off work sick. To qualify
for SSP, you need:
To earn an average of the current National Insurance Lower Earnings Limit per week (over an 8 week period). This is a Government amount, increased
annually.
To complete a self-certification form for absences up to 7 days and provide a Fitness to Work Certificate for anything more than 7 days
If you are not eligible for SSP, you can request a form for Incapacity Benefit from the office which you will need to take to your Local Benefits office to make a claim.
If you are eligible for SSP, there are three qualifying days at the start of your absence before your SSP will be paid, this means that the first three days of your
absence aren’t paid. The three qualifying days last for an eight week period which that if you are absent again in the same eight week period, that any other
absences you have within the same 8 week period will be paid from the first day.
Your absence days are based on your normal days of work for SSP this means if you are contracted to work 2 days a week, you would need to be absent for 1 week
and 1 day (3 working days) before SSP started to be paid on the 4th day.
If you are eligible for the company sick pay the details of your entitlement will be contained in your contract. This payment will include any SSP.
Remember, company sick pay is discretionary and we may withdraw this benefit at any time during your employment.

WELCOME BACK
RETURNING TO WORK INTERVIEW
Once you are ready to come back let

We really want to set you up for success as a valued member of our team and so you and your Manager will have Regular reviews to talk
about how you are doing, what is going great for you and what you might need a bit of support with.
After a month with us, you will have a 1 month review which you and your Manager will complete together electronically. You will then have
similar reviews at 3 and 6 months. You can add to these reviews with any progress, successes and challenges at any time before a face to
face meeting with your Manager where you get to chat through your progress and anything that is on your mind.
Once you have completed your 6 month electronic review, you will get a letter which confirms if you have successfully completed your
probationary period, you and your Manager will have discussed this at your 6 month review and so there shouldn’t be any surprises.
If you aren’t meeting the objectives and behaviours agreed with your Manager in your review meetings, your Manager may invite you to a
formal meeting to discuss the situation. At this stage, there are a number of outcomes which range from agreeing a development plan to
ending your employment with us. We can do this without any notice in your first 4 weeks and then must give 1 week’s notice for the rest of
your probation period. If you decide the job isn’t for you, you need to give one week’s notice to your Manager, in this case you can let us
know you are leaving using Employee Self Service from the Blink Hub

BEING THE BEST YOU CAN BE
Generally with the appropriate support and guidance, colleagues will work
to a high standard and contribute to the success of Dee Set. There may be
occasions when despite your best efforts you might not be achieving the
desired standard of performance. If you find yourself in this situation we
will work together to identify any additional support and guidance you
need. If we find that your performance is still not meeting the right
standard we will use a formal and structured performance improvement
process. You can find out more about this in our Performance
Improvement Policy. This ensures that you understand the improvements
you need to make and we are fair and consistent in the treatment of all our
colleagues when managing under performance.
If the concerns regarding your performance are due to misconduct or not
having the right attitude this would be investigated under the Disciplinary
Policy.

MAKING CHANGES
We know there will be times in your life where
your personal details might change and so we
have made this really easy for you to do. If you
move house, change your email or telephone
number or get a new bank account, you can do
this through Employee Self Service on the Blink
Hub. It is really important that you let us know
when you have made any changes to your
personal details so that we can ensure we
contact you and pay you correctly.

ON THE ROAD AGAIN
DRIVING
For those of you who are on the road as part of your Dee Set role, remember to have a look at our Company Car policy.
Just to give you the heads up, this policy applies to everyone who is regularly driving a company car, hire car or your own car for work
with us and if you don’t stick to the rules set out in this policy, it could get you into trouble with us.
Your contract will let you know whether you have a company car and/or fuel card as part of your role.
Remember, fuel cards can only be used to buy fuel and oil for one vehicle which we will agree with you. If a fuel card is used outside
of our agreement with you, we could start disciplinary proceedings with you.

ON THE ROAD AGAIN
PARKING
Lots of us drive and park at our place of work, just so that you know, we cannot accept responsibility for loss or damage to vehicles
parked in our car parks or any public card parks.
In our Stoke car park, please make sure you drive at the specified speed limits, this is to make sure that you and
everyone else is safe.
If you are parking on a supermarket car park, please make sure you register your vehicle
registration at the customer service desk when you are signing in.

ON SITE
SURVEILLANCE
To help to protect you and your property, we use CCTV surveillance and complete random colleague searches. These searches
could be spot checks on colleagues, lockers, possessions and vehicles. You will know about any spot checks that relate to you
and will be present when the checks are done. You can support with our surveillance too. If you see anyone acting suspiciously, shout up to
your Manager straight away.
Remember, no company property should be taken off site without permission. If you do have permission, make sure you let our security team
know. It is also worth knowing that although we make every effort to prevent theft and unauthorised possession, any personal, valuable items
are brought to work at your own risk and we cannot accept responsibility for their loss or replacement. If you bring any personal packages
that might look like they could have been purchased or obtained on site, drop them into security at the start of your shift and pick them up
when you leave, this way we will know that you haven’t taken anything off site without permission.
We believe that theft is when someone dishonestly belonging to someone else with the intention of never giving the property back.
Theft, unauthorised possession, unauthorised use or unauthorised sale of our property will be treated very seriously and

FAMILY TIME
BEREAVEMENT LEAVE
It is really sad when someone close to you passes away and we want to make sure we do everything we
can to support you through this difficult time. We understand that when someone close to you passes
away, you may need some time away from work to grieve, to plan or attend a funeral and to see to any
practical arrangements.
For a close relative you can have up to one of your working weeks as bereavement leave with pay. We have
defined close relatives as: husband, wife, partner, child (over 18), parent, parent in law, brother, sister,
grandparent or grandchild.
If your child is under 18, you will get a two of your working weeks as bereavement leave with pay.
If you have the responsibility of arranging a funeral, have a chat with your Manager as you may be given an
extra day to support with this. If you need time off to attend a funeral for someone who is not considered a

MOVING ON
RESIGNATION
When the time comes for you to say goodbye to us you need to fill in the relevant details on your Employee Self Service which is
available on our Blink Hub.
We may decide to pay you in lieu of your notice, or place you on garden leave instead of you working your notice. We would talk to
you about this if it is an option we are thinking about. You would still retain all your contractual pay and service and still be subject to
your contractual terms as laid out in your contract of employment.
We may ask you during your notice period to carryout duties which may differ from your normal duties.
Your holiday entitlement will be calculated up to your leave date, you may be asked to take any remaining holiday during your notice
period. If you have not taken your holiday entitlement you will be paid for any days/hours owed.
If you have taken more holidays than you have accrued by your leave date, we will make arrangements to take this back from your
final pay.

RETIREMENT
We want you to continue working for us as long as you feel committed to and capable to do so. We recognise that you
might want to make some changes so talk to your Manager about anything we can do to enable you to work for as long as
you want to. There will of course come a time when you do want to retire and we would encourage you to discuss your
plans with your Manager as far in advance of your retirement date as possible.
PENSIONS
Planning for the future is important and we would like to support you, helping to give you the peace of mind that comes
from knowing that money is set aside now so that you can have an income when you retire and are no longer working. You
will be assessed on the government earnings and age criteria if you meet the criteria then you will be automatically enrolled
