Bulletin Announcements:
● Responsible for submitting bulletin announcements approved by Council for inquirers, or other
news in the St. Helen Church bulletin and other nearby churches. This will be done monthly. Also, send
Community brochures to these churches once a year.
● Responsible for keeping the list of contacts with the churches updated, to include addresses,
email addresses, and phone numbers.
Community Apostolate:
● Responsible for planning and organizing the annual Community Apostolate event.
● Arranging for a guest speaker, a place for the event, and planning the itinerary.
● Arranging for committees to handle food, decorations, information, etc.
● Inviting the nearby Carmelite groups and advertising the event in area bulletins.
Feast Days:
● Remind President to call the St. Helen Church office at least two weeks prior to the designated
Carmelite Feast Day, for permission to set up a table on the altar for a statue or picture, prayer cards,
and fresh flowers.
● Responsible for keeping the statue of Our Lady of Mt. Carmel and bringing her to the monthly
meetings, special celebrations, and to the Church on the feast day.
● Responsible for keeping the pictures, prayer cards, and banner, and may rotate care of statue
and/or pictures as necessary. Inform Council when prayer card stock is running low.
● Responsible for notifying members of fast days preceding feast days and events planned for the
feast day. Also, coordinating a meal afterwards, making reservations, if needed, and notifying
members.

Field Trips:
● Responsible for planning and making arrangements for the group field trips. Field trip must be
approved by Council.
Historian:
● Responsible for updating and maintaining a written history of the group.
Host/Hostess:
● Responsible for making coffee, setting the food tables for the meetings, replenishing supplies
during the meeting, and cleaning up afterwards.
● Responsible for seeing that the classroom and food room tables are returned to their original
arrangement after the meeting, and that all trash is taken to the dumpster.
Infirmarian:
● Responsible for maintaining phone contact with sick members, and updating the group on their
condition. Also, emailing prayer requests from the members.
● Responsible for sending cards and/or spiritual bouquets to sick members, and if possible, visit
those in the hospital.
● Responsible for coordinating meals for sick members requesting help.
Librarian:
● Responsible for maintaining the library books, bringing them to the meeting each month and
following up when books are checked out for extended periods of time. Also, requests permission from
the Council to purchase Carmelite books or media of interest to everyone.
Liturgist:
● Responsible for notifying the Community each month before the meeting of what Liturgy of the
Hours prayers will be used.
● Responsible for coordinating volunteers or assigning members for the various roles for the
Liturgy of the Hours prayers at meetings and annual retreat.
Media/Website:
● Responsible for maintaining the website with Carmelite information approved by the
Council. Also, have information on group history, pictures, when and where the group meets, name of
contact person, and information on classes.
● Responsible for assisting members to gain access to group website.
● Responsible for taking pictures at Carmelite events for the website.
● Responsible for writing articles and sending pictures to the Provincial for the Flos Carmeli.
Memory Book:
● Responsible for updating and maintaining the group scrapbooks, and bringing them to the
meetings and special group events for display.
Music and Song Leader:
● Responsible for leading the group in song and music, and selecting songs to sing at Liturgy of the
Hours and every occasion as needed.
Retreat/Day of Reflection:
● Responsible for planning and organizing the annual Retreat and Day of Reflection.
● For the Retreat: Arranging for a guest speaker, a place for the event, and planning the
itinerary. Also, contacting the nearby Carmelite groups who may wish to attend the Retreat, space
permitting.
● For Day of Reflection: Arranging for a guest speaker and planning itinerary for the day.
Special Events:
● Responsible for arranging and organizing group Christmas party and gift exchange, reception for
Promise ceremonies, and other events.
● Responsible for arranging signup by the members for food, drink, and supplies.
● Responsible for planning and organizing group social gatherings outside the meetings.
● Responsible for coordinating ministry fair and other informational events.
Welcome:
● Responsible for making contact with inquirers and screening them for visitor status.
● Responsible to welcome inquirers to the meeting and having name tags and information for
them at the visit.
● Responsible for introducing the inquirer to the members, answering any questions, and making
sure they leave at the appropriate time.
● Responsible for maintaining contact with the inquirer afterwards and inviting that person to the
next meeting.
