Data Sets
Data sets are like "containers" which are used to make managing your data easier. You can edit
the Display Names of your Data Sets to more user-friendly names. The information below explains
how to do this.
Editing Data Set Display Names
To edit a Data Set Display Name click CONFIG (A1) and expand Data Sets (A2) from the left hand
side menu. Select a Key Stage specific menu option from the left to continue. For the purposes of
this guide, we will look at KS4 Data Sets (A3).
Here you will see a list of the Data Sets available in KS4, and the current Display Names for these
(A4). The Display Names show how the Data Sets appear in Admin and Reports. To edit these
Display Names, click the ‘Edit’ button (A5).
You can then type directly into the text boxes (A6) to edit the Display Names for any data set other
than Exams. To save any changes click the ‘Save’ button (A7). Analytics will then use the Display
Names you have entered within DATA and within the Reports. In our example below we have
changed “Data Set 3” to “Predictions”.

Once you have updated your Data Set names, you should be able to easily identify your data sets
in DATA when uploading or checking your data. You will need to republish for the REPORTS area to
display the new names chosen in CONFIG, for example here you can see a Predictions Report (A8).
If you need guidance on publishing your Reports feel free to take a look at ‘Publish Your
Report’ guide. You can find this using the yellow HELP bar on the left hand side of
Analytics, followed by ‘Videos & Guides’ then ‘Admin Guides’ and Publishing Reports.
The standalone data sets (named Targets, Mocks, Data Set 3 and Data Set 4 by default)
are designed to hold one grade per student per qualification. When uploading a new
set of grades in one of these data sets then you should remove the old set afterwards.

Faculty
In Analytics you are able to create Faculties and match qualifications to these within your school,
so that reports can then be filtered by Faculty groups.
For example, if your students study various Science qualifications (e.g. Science Core, Science
Additional, Biology, Chemistry, Physics, Science BTEC etc.), you could create a “Science” faculty. If
you then match your Science qualifications to this “Science” faculty on the Matching Page this will
allow you to filter by this group of qualifications within the Reports allowing your Science head of
department to analyse their department of qualifications.
Creating a Faculty
To create a Faculty within your school, click CONFIG (B1) and expand Faculty (B2) from left hand
side menu. Click on ‘Create Faculty’ (B3).
Enter the name for your Faculty, then click Create (B4).
The faculty will then be added to your faculty list (B5). You can edit a faculty name by clicking the
blue pencil icon (B6) or you can remove a faculty by clicking the red ‘X’ icon (B7) (if not in use).
The list above also identifies which key stages are using each Faculty. As you can see, the faculties
can be applied in any key stage. Please see the next section for how to place individual
qualifications into each faculty.

Matching a Qualification to a Faculty
To match a qualification to a Faculty you have set up, click DATA (C1), select the ‘Keystage:’ and
‘Year 11 in:’ from the drop downs (C2) and click Matching (C3).
Here, on the Matching Page, you can match qualifications to Faculties by selecting from the drop-
down menu in the Faculty column (C4). Don’t forget to click ‘Save Changes’.
You will need to republish your reports for a cohort once you’ve finished making all changes to the
data for that cohort and you’ve verified the Matching page is completed.
Faculties within the Reports
Once your reports have been re-published, the faculty filter will appear within the Qualification and
Students Report views. To view this click REPORTS (D1), select the appropriate Key Stage tab (D2),
followed by the appropriate current (D3) or Leavers (D4) cohort.

Click into the Qualification or Students Report (D5).
You can then apply the Faculty filter (D6) to filter the Reports by the qualifications matched to that
faculty. You can use the Summary row (D7) to analyse how your English faculty is doing overall.
If you’re looking to analyse your English figures to be in line with the DfE performance
tables, i.e. to take into account the English Literature entry where a student takes
English Language, then you can use the “Show Core” tick box at the top right of the
reports. These Core figures should then match your Headlines report.
