Introduction

Hello and welcome to this our first EHS communications newsletter.

For those of you who attended the EHS conference in Newcastle during March
this year, you’ll remember that EHS communications was one of the topics put
forward for discussion at the event. We discussed among other things, our own
thoughts and opinions about how we communicate both as a function and as
individuals, we discussed how icons and signage have become part of
everyday language due (in part) to the influence of social media, we discussed
some good and some not so good examples of how we - Siemens EHS
communicate and we also asked some searching questions of ourselves such
as:

“How does a construction manager or supervisor know when the BMS has
been updated?”

“What happens to all of the audit data from the EHS scheduled audits?”

“Where is the trend analysis for all the close calls submitted?”

Hopefully this newsletter will answer those questions and form the basis of a
more streamlined and better structured vehicle for EHS communications going
forward. In terms of specific content, the intention of the newsletter is to
provide a one stop shop for all of our EHS communications and updates for the
previous quarter. Therefore any data presented within will necessarily be
presented in arrears due to obvious time constraints.

It’s acknowledged that facts and figures together with graphs and charts are
part of the EHS world; such is the data hungry nature of our industry. However,
this is not the only part of our world and to that end the newsletter will also
maintain a focus on people and projects.

This is where your help and assistance would be very much appreciated not
only to keep the newsletter informative and interesting, but also to suggest,
demonstrate, celebrate and discuss all of the great people the great work and
the great innovations that happen in and on our projects on a daily basis but
don’t actually get captured by traditional reporting metrics.

To that end, if there is someone on your project that had a really good idea, if
your project learnt a valuable lesson that others could learn from, if your
project out performed client expectations, if the work is particularly challenging
and requires the application of innovation or if you’ve simply built a great team
and you’d like to tell the rest of Siemens Rail Automation all about it – then
please do get in touch.

Close Call and Hazard reports

A total of 1634 Close Calls and Hazard reports were raised by the Rail
Automation Business during quarter 3 of 2017. The National Close Call
breakdown (below) shows that Site Housekeeping (306) Trip Hazards
(288) and Site Access (201) were the most reported Close Calls and
Hazards within the period. While trip hazards will always be with us (and
it’s good to see that we’re aware of that) Site Housekeeping is something
we could tackle by simply keeping our own individual work areas tidy.
Site Access (201) was also a concern for us in Q3 and many of these
Close Calls were related to the security of the network. 163 Close Calls
and Hazards were categorised as ‘other’ during Q3 and it would be great
if these were in future allocated a more prescriptive definition as this
would help us to understand our data much better.

Electrical Safety (88) Ecology (57) and Site Welfare (53) formed the next
highest categories of Close Call and Hazard reports. Continued vigilance
in these particular areas is paramount to our ultimate objective of Zero
Harm, it’s therefore pleasing to see that Close Calls and Hazard reports
are raised in these areas when the potential for harm presents its self.

Overall the number of Close Call and Hazard reports submitted is
impressive and the verity shows that our perception of risk is high. This
is great work and goes a long way towards supporting the business –

The Regional breakdown of Close Calls and Hazards for Q3 2017 is
reflective of the number of live projects in each region therefore a
comparison strictly by numbers isn’t really a fair comparison. However,
what the chart does show us quite clearly, and our safety culture is
strong in our offices, in our factory, in the operational environment and
throughout the supply chain.

We need to maintain this level of consistency and encourage these
heathy behaviours so that each one of us can return to our families in
the evening in the same condition we left them in the morning.

You may not know:
Behind the scenes our Operations Team have been busy creating a
cross platform App that that will sit on the e-COSS system and will also
be available to smart phone users allowing even greater access to the
close call system.

Accidents & Incidents

During Q3 the Accident and incident tally was as follows:

15 Cases where people were injured at work; of these 7 were minor injuries

that required no treatment with slips and trips been the predominant factor.

3 Injuries requiring first aid treatment (1 insect bite, 1 hand tools and 1

manual handling).

2 Injuries requiring medical treatment (both of which involved manual

handling)

2 Injuries where the individuals lost time from work, these involved hand tools

in the first instance and manual handling in the second.

2 Environmental incidents, both involving fuel leaks from construction plant.

22 Safety incidents with electrical safety and theft been the stand out factors

2 Occupational health incidents one of which was non work related and the

other concerning D&A screening.

4 Operational incidents concerning protection arrangements and signalling.

5 Road traffic incidents one of which resulted in injury.

Functional Updates

In this section Nayia Solea provides us with a definition of Mental Health
together with an update of recent business activities in this area.

Definition

Mental Health: An individual’s state of psychological and emotional wellbeing.
Mental Health is an element of health where you can cope with everyday life’s
challenges and have a productive and fruitful contribution to your social
community. Good or ill mental health can impact one’s emotions, thoughts and
feelings, behaviours & social interactions and their ability to solve problems and
overcome difficulties.

The origins of our Mental Health Strategy:

In the UK, it is estimated that at least 1 in 4 adults experienced ill mental health
at some point in their life; In Rail Automation we have a population of
approximately 1700 employees, this means that at least 425 of us at some
point dealt or still dealing with ill mental health.

Within the last 18 months we noticed an increased utilisation of the Employee
Assistance Programme and specifically in the services dedicated in helping
individuals directly, or indirectly experiencing ill mental health.

Ill mental health can be manifested in a work environment and can be the effect
of both personal and/or work related stressors. Rail Automation is committed to
address ill mental health the same way we address ill physical health. In an
effort to raise awareness on mental health, promote recover as well as aid
prevention, we launched the Mental Health Strategy in October 2016.

Programmes, Training & Events:

Mental Health First Aiders:
The Mental Health Strategy was launched in October 2016 with the
celebrations for the World Mental Health Day, aimed to introduce he role of
Mental Health First Aiders. Following a 2 day accredited training course, 30 MH
First Aiders are now operating across the business. More information about the
roles and responsibilities of MH First Aiders, along with information on how to
access this service is included in the
Occupational Health & Wellbeing Procedure.
A list of MH First Aiders can also be found in Agility.

Stress Management & Resilience Training (SMART):
The SMART Workshops were specifically developed to help employees and
people managers to know more about mental health and stress, how they can
be affected and what they can do to prevent and address ill mental health. You
can book a place in the workshops by visiting
Learning Campus.

New Employee Assistance Programme (EAP):
On October 1st following a market review we launched a new EAP provider,
Health Assured; During Q3 our new EAP provider visited all our major offices to
promote the services they offered to our business. The contact details for
Health Assure, along with all the services available to SRA employees and
family members are available in the
Occupational Health & Wellbeing Procedure.

Mental Health Awareness Week:
On the 8th – 12th of May our company joined the Mental Health Foundation and
Mind, the Mental Health Charity, to celebrate the Mental Health Awareness
Week. Our efforts to destigmatise mental health was signposted by Nick Dunne
signing the Time to Change pledge on the 8th of May in Chippenham.

The Time to Change pledge, developed by Mind, the Mental Health Charity, is
a pledge awarded to organisations after demonstrating their commitment to
make an impact in the way mental health is perceived and managed within the
organisation. The pledge followed by activities aimed to raise awareness of
mental health, talks from employees who experienced ill mental health and the
development of a secret storyboard, where individuals across RA anonymously
shared their experiences with ill mental health.

Mental Health Guidance Pack for Line Managers:
The celebrations for Mental Health Awareness Week will be followed by a
guidance pack for managers, aim to help them prevent ill mental health
incidences, promote good mental health and advise how to address and help
an individual suffering from ill mental health. The guidance pack will be
available beginning of Q4.

Health Promotion Online Platform for Line Managers:
An online platform game will also be made available for people managers
aimed to help them create better communication channels with their team
members and better identify signs of stress and other ill mental health. The
online platform will become available in Q4.
