Procedures

As the end of the year approaches, we will begin taking
care of your technology. Below are the end of year procedures.
Please look through each of the bullets as some procedures have
changed and some procedures have been added. If you have any
questions, please contact the campus Technology Team.

NEW Everyone will need to follow the End-of-Year Procedures before

leaving for the summer:

1. SERVICE TAG NUMBER ON NEW AIO STUDENT COMPUTERS

Just about every room received a new student computer.
Your service tag number found on the back of your new AIO
student computer.This number is on the back of the AIO to
the left of the blue network cable. A black and white barcode
with a 7 digit number. Click the link to complete the form.

2. TEACHERS WITH TABLETS (if applicable)
Please make certain that you have returned your tablet,
keyboard, power cord and stylus to Mrs. Pitre if you are not
keeping it for the summer. You must complete the online
form for your tablet even if you are keeping it for the
summer.

3. MOVE ANY NECESSARY DOCUMENTS FROM SHARED NETWORK
FOLDERS

Look in the ClassFiles and Public folders. If you created
a folder or documents in one or both places, please move
the files to your home folder or OneDrive if you want to
keep them. Delete any unnecessary files from the Public
folders. If you fail to move the files, there is no guarantee
they will be available in the future.

4. MOVE ALL DOCUMENTS TO YOUR HOME FOLDER OR ONEDRIVE

The computers in your classrooms have a folder on the C:\
drive called “My Documents.” Make sure that all your files
are in the H: drive or OneDrive and not on the C: drive.
If you fail to move the files, there is no guarantee they will
be available in the future. If you need help, contact DHS ETS

that is left on the local computer

5. CLEAN OUT YOUR HOME FOLDER

You are strongly encouraged to clean up your home folder
(H:\ drive folder) at this time. Large files such as video
clips, applications/program files should be moved to
OneDrive or deleted.Only keep school related materials that
will be used in future lessons in this folder. DO NOT DELETE

“Outlook ”, “mailbox ” These are your email files! Those files

may be in a folder called “Outlook”, do not delete that
folder.

6. CLEAN UP YOUR EMAIL

Clean out e-mail messages and delete unnecessary mail.
Delete entries in the Inbox, Sent mail, Journals, Contacts
and Calendar.** Don’t forget to empty out your deleted
items folder. Do not delete you parent contact emails.
District policy states these should be kept for 1 year. You
may want to create a folder for the 2017-2018 year and
collect your saved messages in folders to this archive.

7. MAKE A BACKUP COPY OF YOUR HOME FOLDER

Please copy your home folder by either burning a CD, saving
to a flash/pen drive or on OneDrive. We recommend using a
pen drive or OneDrive, so you will be able to edit the files.

8. ENTER ALL TECHNOLOGY WORK ORDER REQUESTS IN EDUPHORIA!

If the computer, printer, or projector in your classroom has
a problem, be sure to enter a work order in the Help Desk
of Eduphoria. Emails will not be accepted.

9. STRAIGHTEN UP EQUIPMENT IN CLASSROOM!

If you are changing rooms, DO NOT take the computer(s)
from your old classroom to your new classroom! Make
all computer equipment accessible this summer. Do not lock
keyboards, mice or remotes in cabinets.Unplug CPU,
monitor and printer. Bundle all cords and accessories and
leave next to computer. Keep any remotes that you
have in an accessible location in your classroom.
They will NOT be collected any longer. This includes
remotes for the classroom projector, the document camera,
and the computer. (if you have one)

 Return any campus-owned DVD/VCRs,
laptops, or cameras to the Library.

 Leave all computer equipment
uncovered in the classroom.

DO NOT COVER ANY EQUIPMENT WITH A PLASTIC BAG!

10.TEACHERS LEAVING THE DISTRICT

□ I have submitted my AIO service tag number
□ I have returned my tablet and completed the form (if

applicable)

□ I have removed files from the Class Files & Public

folder

□ I have moved all documents to H: and/or OneDrive

AND made a backup copy

□ I have cleaned my email
□ I have reported any problems as work orders in

Eduphoria

□ I have ensured that all classroom equipment is in the

room and accessible

□ All library equipment has been returned
□ If leaving the district, I have saved copies of all

documentation from Eduphoria
