Tips for Managers in Workday

Plan Ahead for Your Transactions!
Managers should be thoughtful in planning ahead to allow time for transactions to be approved, as
there may be several levels of approvals required in Workday

Approval Accountability
If you have a To Do item in your inbox that requires your review and/or approval, you should take
action within the 3 days. If you do not, you will receive a reminder to your Workday and Outlook
inboxes. On the 5th day, a reminder will be sent to your manager

Delegate Tasks in Workday
If you are going on an extended leave or holiday, you should delegate your tasks to a peer or super-
visor in Workday. It is important to remember the person you are delegating tasks to will have ac-
cess to confidential information and will need to have the appropriate knowledge and capabilities to
transact on your behalf. For additional considerations and instructions, refer to the Delegation Global

Check the Status of a Transaction
Click on Actions next to the transaction name. Select Business Process and then click View Remain-
ing Process. This will show all of the outstanding steps, and the person responsible for completing
the actions

Find Your Company Code and Cost Center in Workday
You can view your own company code and cost center in Workday on your profile (click on the cloud
icon on the upper right hand corner of the homepage). On the profile, click on the Job tab, then the
Organizations tab – here you will see all of your organizational details. If you need to add a new
cost center, please contact HR

Open Positions on Your Workday Org Chart
If you have an open position reporting into your supervisory organization, the position on your or-
ganizational chart will appear with your name by default. Your name will appear as reporting into
yourself until the position is filled.

What does Workday helpme to do?
Workday will help manage HR process such as hiring, promotion, change information such as home address, phone,
mobile phone, email, emergency contact and any other human resources related actions.
Where do I begin in workday?
You will begin using workday on HRoD home page. From this page you can navigate to workday and can access in-
formation quickly using the worklets provided.
Will I be able to use a Mac? Is Workday Mobile? Will Workday work with any browser?
Yes, you can access Workday from a PC or Mac, tablet, or a mobile device. Most current browsers Android and iOS!

What is the difference between INBOX and Notification Box?
The workday inbox is where you will find items that require your attention and action, like an approval. Notifica-
tions inform you of something that occurred in a process of which you are a part, and are sent for your infor-
mation only.
Will I need to contact HR to change my personal information?
No - Employees can update their personal information as needed in Workday.
How will the attendance get monitored in workday?
We will continue using Kronos as our official time keeping system, all the transaction such as leave management,
workhours on the HRoD(HR on demand page)
How do I view my Payslips and compensation details?
The employees will continue to use my hospira for compensation and payslips.the link for the same will be availa-
ble on HRoD (HR on demand) page.
As an employee, how do I navigate the home page to find the information I need?
The home page is workday’s one stop shop for employee self-service and information. The home page is orga-
nized as a series of icons called worklets. The home page is pre-set with the most useful employee self-service
tasks. Click on the icon to reveal the tasks:

As a manager, how do I navigate the home page to find what I need?
The page is organized with employee self-service topics as well as manager topics. Manager topics provide infor-
mation about the employees that report to managers organization. The worklets include:

 Team Performance-to view and manage employee performance goal, view annual performance reviews, and

get feed back about an employees performance.
What can other people see about me in Workday?
Other Workday users can see basic directory information about you such as your title, the organization you be-
long to, where your office is located, and your contact information. Personal information such as DOB.
How is workday used to process the transfer of an employee within department or one department
to another?
The manager who is transferring the employee out will initiate a transfer by using MY TEAM worklet in Workday.
The HR will then process changes associated with cost center.
