Tax Information

The IRS requires that charitable organizations inform their contributors as to
the deductibility of payments and donations made by patrons for fundraising
activities. The following are guidelines and are provided to assist in your tax
preparations:
• Raffles – No deductibility
• Cash Donations – Tax deductible to the fullest extent of the law
• Gift Contributions – Tax deductible to the fullest extent of the law. For

non-cash property donations, it is advised that you consult with your tax
professional since the IRS has specific requirements for filing which may
apply to you (e.g., an official appraisal may be warranted if the value of an
item excess $5,000).
Your Auction receipts should serve as your official receipt of items purchased at
the Auction. The value set for each items is a “good faith estimate” as required
by the IRS. You may deduct only what is paid in excess of each gift’s fair market
value.

Receipts

A receipt will be sent to you by email for your review the week following
the auction. Credit Cards will processed after the auction.

Guidelines

Auction

Doors open at 5:30 p.m. Swipe your credit card at check in to use express checkout
at the conclusion of the Auction. No cash needed, guests use bidder numbers to
buy raffle tickets and play games.
You may view items prior to bidding. The Live Auction will begin at approximately
8:15 p.m. and continue without interruption until all items have been auctioned.
The highest bidder for each item will be acknowledged by the auctioneer. If the
auctioneer determines that an opening bid or any following bid is not in line with
the value of the item offered, he may reject it.
Upon deciding the highest bidder for an item, you assume full risk and
responsibility.
All sales are final and there will be no exchanges or refunds. You must take the items
the night of the Auction unless you make special arrangements for large items by
visiting the Cashier’s Office.
Unless otherwise specified, all Auction items and services must be used within one
year from the date of the Auction.
Please make all vacation reservations well in advance.

How to check out

Silent Auction – you are notified by your phone on the bidding site if you are the
winner. Show your phone to the volunteers to get your items.
Live Auction – after the Live Auction, go to the Cashier’s Office in the outer
hallway to pick up your envelope of your items.
If you prefer to pay by cash or check, please see Lea in the Cashier’s Office.

NOTE: Items not claimed by 11 p.m. will be moved to the
Cashier’s Office for pickup the following week during school hours.

What to Expect as a Bidder

Check-in / Registration

1. During check-in, you will be asked if you received a text message to take part in Online Bidding.
o If so, you will just need to click the link!
o If not, you will be asked for your mobile phone number and will momentarily receive a text message.
● If you do not receive a text message, please notify a volunteer for assistance.

Bidding – Using your Smartphone

1. Once logged in, your bidder number and table number (if applicable) will be displayed under the menu.
2. Search for auction packages:

o By Name or Number when using the magnifying glass

o By Category listed under the menu 
o By “No Bids” under the menu 

o Click the house to go back to your home screen

3. Place a bid:
o Bid - Bid the next increment.
o Bid More– Bid more than the next increment or set your Max Bid!
Bidding will automatically continue in your favor until your max
bid is reached or until the auction closes. If your bid is lower than
the highest max bid on that package, you will be prompted to enter a higher bid.
o Buy – If this option is enabled, you can purchase the package for the price listed.

4. If you are outbid, you will be notified via text message. You will also see a notification on your home screen.

Bidding – Using a Bid Assistant

1. Locate a Bid Assistant.
2. Give the Bid Assistant your bidder number or bidder name.
3. Provide the number or name of the package you wish to bid on, and the amount you wish to bid.
4. Watch the Leaderboard or check back in with a Bid Assistant to see if you are still the highest bidder.

Making a Donation

1. To make a donation, select the Donation button on your home screen.
2. Choose a preset amount or select the Custom Amount button.

After the Auction Closes

1. Once the auction closes, the guest with the highest bid will win.
2. Check your Bids area to view your packages.
