CALL TO ORDER National President Tamar called the Thirty Fifth Annual General Meeting of the Jamaica Association of Administrative Professionals to order at approximately 12:01 p. m. 2. WELCOME National President Tamar welcomed everyone to the Annual General Meeting. She also acknowledged St. James Interim Leader Tarsha Campbell and others who joined via the Zoom platform. 3. ADOPTION OF AGENDA The Agenda was adopted on a motion by Member Sharon and seconded by President Vivia after the following amendments: - • Notice – Change ‘2021’ to ‘2022’ 5. AMENDMENT AND CONFIRMATION OF MINUTES OF THE THIRTY FOURTH ANNUAL GENERAL MEETING HELD ON SATURDAY 2021 OCTOBER 16 The Minutes of the Thirty Fourth Annual General Meeting was confirmed on a motion by NE 2 nd VP Tanya and seconded by NE Asst. Secretary Jennifer after the following amendments were made: ➢ Under Present should read – ‘Tanya Pinnock-Thomas’ instead of ‘Tanya Pinnock’ ➢ Under Present should read – ‘Trishana Coke’ instead of ‘Trishana Cooke’ ➢ Under Apologies for Absence should read – ‘Sheireka Watson’ instead of ‘Sheierka Watson’ ➢ Under Apologies for Absence should read – ‘Patrice Gray-Blair’ instead of ‘Patrice Grey’ ➢ Under National Public Relations Officer pg. 111 4th point replace – ‘Caribbean Maritime Institute’ with ‘Caribbean Maritime University’ ➢ Under National Public Relations Officer pg. 111 remove 11th point– ‘Dr. Paul Ivey’ Time The Timekeeper for the Meeting was Member Eldoris Vidol of the Portland Chapter. 6. MATTERS ARISING a) Membership National President Tamar reported that as at 2022 May 31, membership of the Association stood at 141. She informed that a detail breakdown was available in her report. She informed the meeting that membership growth and retention was a grave concern. In the same breath she further informed that the definition of an Administrative Professional had changed and therefore, the membership needed to change their mind-set and mode of operation. In response to the query on the official definition of an Administrative Professional by


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 105 Member Shannette, all were informed that there was a definition and it was reiterated to all. b) JAAP Building Fund/JAAP Apartment National President Tamar informed that the balance in the Building Fund stood at $1,144,010.00. Monies borrowed from the fund to make payment for Convention 2021 were not returned. She further explained that moving forward the surplus gained from Convention, would be lodged to the Building Fund and the remaining funds would be placed in a fixed deposit account to serve as deposit for Convention. She further informed that Scotia Bank informed that the bank no longer facilitates the type of investment account that the current Building Fund was. As such the funds would be moved to a new account with Barita Investment. She noted that the apartment would be occupied up to December 2022. Once the current tenant vacates the apartment, it would be refurbished before a new tenant was sourced. c) JAAP Website National President Tamar informed that the association had contracted the services of a new developer and the website was being revamped. The changes were currently being made and National PRO Althea requested information regarding the current chapters executive and pictures in uniform. 7. CARIBBEAN ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS (CAAP) National President Tamar reported that there had been no change to CAAP since 2018 and the association was dormant. A meeting was called on 2022 October 10, however CAAP President Charles was not in attendance. Coming out of the meeting Charon Maxime of Trinidad & Tobago, Caribbean Liaison officer of the World Administrator Alliance (WAA) gave an overview of the Alliance. 8. REPORTS OF THE NATIONAL EXECUTIVE National President Tamar stated that each executive would have at least five minutes to present their reports. a) National Assistant Secretary National Assistant Secretary Jennifer gave highlights of her report as follows: During the period the National Executive held seven (7) meetings; and the attendance of the Executive Members were as follows:

The Agendas and Minutes were prepared and circulated for all meetings. During the period, she maintained contact with her godchild, the St. Mary Chapter, from October to April. She was reassigned as godmother to the Manchester Chapter in May, after the resignation of 1st VP Colleen, and maintained regular contact with the Chapter. All tasks assigned to her by National President Tamar were executed in a timely manner and she participated in the following functions: ➢ All scheduled National Executive and Joint National Executive and Chapter President Meetings held during the period under review. ➢ All-Island APOTY and BOTY Judging Competitions held on 2022 April 03 at the College of Agriculture, Science and Education (CASE), Portland. ➢ All the activities hosted by the Kingston Chapter for Administrative Professionals Week. ➢ All General Meetings of the Kingston Chapter, as well as participated in most of their activities held during the year. ➢ Meetings related to the St. Mary Chapter and the forming of the St. Catherine Group. ➢ Six of the seven Convention Committee meetings held during the period. ➢ JAAP National Labour Day Project 2022 at the Lincoln Early Childhood Educational Centre. ➢ The National Retreat held at the John McDowell Centre, Ocho Rios, St. Ann, on Sunday, 2022 June 3. ➢ Convention 2022 held 2022 September 30 - October 2 at the Hilton Rose Hall Resort and Spa, Montego Bay.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 107 ➢ Handover of Funds for Fundraiser 2022 to the Lincoln Early Childhood Educational Centre on Friday, 2022 August 19. ➢ St. Mary Chapter Meet and Greet Session on Monday, 2022 August 29. It was her pleasure serving on the National Executive in my capacity as Assistant Secretary throughout the year and grateful for the opportunity to serve at this level of the Association. b) National Secretary National Secretary Keosha gave highlights of her report as follows: National Secretary Keosha indicated that a record was maintained for all scheduled Joint National Executive and Chapter Presidents Meetings. The Notice of the Annual General Meeting was circulated as well as the coordination and compilation of all reports required for publication of the Annual Report for the AGM. She made contact with some members of the St. Mary Chapter (her God Chapter) and attended meeting relating to the revitalization of the chapter. She attended and participated in the following activities for the period under review: ➢ Six of Seven National Executive and Joint National Executive & Chapter Presidents Meetings. ➢ All-Island APOTY and BOTY Judging Competitions held on 2022 April 03 at the College of Agriculture, Science and Education (CASE), Portland. ➢ Special Meetings related to the St. Mary and St. James Chapter. ➢ Meetings related to the forming of the St. Catherine Group. ➢ Convention Committee meetings held during the period. ➢ The National Retreat held at the John McDowell Centre, Ocho Rios, St. Ann, on Sunday, 2022 June 3. ➢ General Meetings and Annual General Meeting of the St. James Chapter. ➢ General Meeting of the St. Ann Chapter. ➢ Virtual Courtesy call on the Custos of St. James. ➢ Thanksgiving Service and Brunch of the St. James Chapter.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 108 ➢ Convention 2022 held 2022 September 30 - October 2 at the Hilton Rose Hall Resort and Spa, Montego Bay. National Secretary Keosha expressed her sincere appreciation to the members of the National Executive for their support during her tenure. She encouraged all to continue to grow with the association and to always seek personal and professional development. c) National Legal Counsel National Legal Counsel Engrigh gave highlights of her report as follows: She stated that it was an honour to serve as National Legal Counsel for the administrative year 2021-2022. A notification was sent to all Chapters in regards to the nomination process of the Annual General Meeting of the Association. The Nomination Slate and Nomination Acceptance Form were also circulated. An advisory concerning Resolution and Constitution Proposals were sent to all Chapter Presidents for discussion at their General Meetings. Chapters were to submit their feedback to the National Executive for review. She was assigned as Godmother to the St. Ann Chapter and she maintained contact with the President throughout the period and attended the Chapter’s virtual monthly meetings. She attended and participated in the following activities for the period under review: ➢ She served on the Convention Committee through virtual meetings. Attended the Annual Convention and Education Forum held during the period November 12 – 14 at the Moon Palace, Ocho Rios St. Ann. ➢ She attended the All-Island Administrative Professional and Boss of the Year Competition held on Sunday April 03, 2022 at the CASE Auditorium in Portland. ➢ The St. James Chapter Administrative Professionals Week (APW) Church Service, held at the Burchell Baptist Church. ➢ The National Retreat held on Sunday June 5, 2022 at the St. Ann Chamber of Commerce in Ocho Rios. ➢ The Annual Thanksgiving Service of the St. James Chapter held at the St. James Parish Church.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 109 ➢ All scheduled National Executive Meetings, Joint NE and Chapter Presidents Meetings and Convention Committee Meetings. National Legal Counsel Engrigh expressed her appreciation for the support and guidance of the National Executive, as she could not have completed her tenure without their input. She pledged her continued support to the association and encouraged all to strive for the continued growth and development of the Association. d) National Public Relations Officer National PRO Althea gave highlights of her report as follows: ALL ISLAND ADMINISTRATIVE PROFESSIONAL AND BOSS OF THE YEAR COMPETITIONS 2022 The Annual All-Island Administrative Professional of the Year and Boss of the Year Competitions were held on Sunday, April 3, 2022, at the College of Agriculture, Science and Education (CASE in Port Antonio Portland under the theme, Administrative Professionals... Gaining Momentum”. There were fifty (50) members and guests in attendance. All Island Administrative Professional of the Year 2021, Sejay Burey and All Island Boss of the Year 2021, Dr. Derrick Deslandes were also in attendance. Councillor. Paul Thompson, Mayor of Port Antonio, brought greetings and the Guest speaker was Dr. Amorella Lamount (AIBOTY 2018\19). Representatives of the Kingston Chapter, Ms. Raquel Burford and Major Keron Burrell won the All-Island Administrative Professional of the Year and All Island Boss of the Year respectively. Runner-up All-Island Administrative Professional of the Year, Movia-Gayle Geohagan and the Runner up All Island Boss of the Year, Mrs. Jennifer Brown-Cunningham both represented the Parish of Portland. The following companies contributed gifts for the All Island Administrative Professional of the Year and Boss of the Year Competitions and their contributions were acknowledged by thank you letters. ➢ Dot Personnel Services ➢ Spencer’s Tailoring ➢ W. JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 110 ➢ National Commercial Bank ➢ Jamaica Observer Interviews were done with the winners as outlined below: - ➢ Monday, April 25, 2022, AIAPOTY Raquel chatted on TVJ Smile Jamaica with hosts Simone Clarke Cooper and Neville Bell. ➢ Tuesday, April 26, 2022, Honorary Member Dervan Malcolm interviewed Major Keron Burrell and Raquel Burford as winners of the AI Judging during Both Sides of the Story on Power 106 fm. ➢ Wednesday, April 27, 2022, National President Tamar was invited to speak about the JAAP on Gospel JA 91.7 FM. ➢ May 1, 2022, both winners were interviewed on KLAS FM 89. ADMINISTRATIVE PROFESSIONAL WEEK Administrative Professionals Week 2022 was celebrated during the period April 24 – 30. All six (6) Chapters and Affiliate Members played an integral role in ensuring that the Week was a success. The Annual Supplement was published on Administrative Professionals’ Day – Wednesday, April 27, 2022, in the Jamaica Observer. Thanks to Life Member Elaine and team from the Jamaica Observer, team members of the National Executive and Chapter Presidents who assisted to make the supplement possible. JAAP CONTACT A special edition of the JAAP Contact was published highlighting the period October 2021 to May 31, 2022. The issue focused on the JAAP who we are, what we do and how to become a member. It featured the All Island Judging winners, highlight was done on IPP Joy Gordon, civic activities and others. GODMOTHERING As Godmother assigned to the Portland Chapter, she was invited to and attended two meetings Saturday, October 27, 2021, and Saturday, February 26, 2022. She maintained contact with President Vivia. JAAP WEBSITE/SOCAL SITES A new Web Developer was contracted to assist with the re development of the Website which continued to be a work in progress.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 111 The Association’s Instagram and Facebook accounts continued to be updated. The usernames and accounts are as follows: Twitter: nejaapexecutive Facebook (friend): Jaap NationalExecutive Facebook (page): Jamaica Association of Administrative Professionals ACTIVITIES ATTENDED She attended and participated in most of the scheduled National Executive Meetings, Joint National Executive and Chapter Presidents Meetings and Convention Committee Meetings. She attended the National Retreat, participated in the National Labour Day Project, handing over of Tag Drive funds to Lincoln Early Childhood Development Centre and attended the Meet and Greet Session in Annotto Bay, St. Mary. She also attended most General Meetings of the Kingston Chapter. She continues to extend her gratitude to Life Member Charmaine who first encouraged her to serve on the National Executive. Special thanks were extended to National Assistant Secretary Jennifer Wright who first saw the potential in her to serve and who stayed by her side through thick and thin. To Administrative Assistant Sandra Dowie, she expressed thanks for her unwavering assistance. She then closed with a thank you to the other members of the National Executive. e) Treasurer Treasurer Ghandi gave highlights of her report for period August 1, 2021 – July 1, 2022. INCOME FROM CHAPTERS The Chapters continued to maintain the balances on their account with the National Executive. JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 112 ACTIVITIES Annual Convention & Education Forum 2021 The Annual Convention & Education Forum was held at the Moon Palace Resort, St. Ann from 2021 November 12-14. The Income & Expenditure are as under: INCOME: $15,615,000.00 EXPENDITURE: $13,071,872.33 NET SURPLUS/LOSS $2,543,127.67 All Island Administrative Professional and Boss of the Year Competition 2022 The All-Island Administrative Professional and Boss of the Year competition was held Sunday, 2022 April 3, at the CASE Auditorium, Portland. INCOME: $276,900.00 EXPENDITURE: $362,057.78 NET SURPLUS/LOSS: -$85,157.78 NATIONAL RETREAT 2022 The National Retreat was held at the Board Room of the St. Ann Chamber of Commerce on Sunday, 2022 June 5. The Income and Expenditure are as under: JAAP Apartment The Association own a studio apartment at Columbus Heights, Ocho Rios, St. Ann. The Apartment was registered under the Tourism Consultant Limited and operated by the Proprietor Strata Plan #600. The Apartment was occupied by an employee of Dolphin Cove on a month-to-month basis. The Income/Expenditure for the financial year ending 2022 July 31, are as under: INCOME: $60,000.00 EXPENDITURE: $119,820.00 NET SURPLUS/LOSS: -$59,820.00


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 113 INCOME: $660,000.00 EXPENDITURE: $344,535.92 SURPLUS/DEFICIT: $315,464.08 Appreciation was extended on behalf of the Association to Member Marilyn Wisdom Banjo and Life Member Claudia Jackson Daly from the St Ann Chapter as well as former National Treasurer Engrigh Mattison. They continued to act as liaison personnel and handle any emergency issues concerning the operation of the apartment. BANK BALANCES FINANCIAL STATEMENTS The Financial Statements of the Jamaica Association of Administrative Professionals (JAAP) for the year ended 2022 July 31, could be found in the AGM Booklet, along with notations and the Auditor’s Report. The Company’s Annual Returns for 2022 were filed at the Companies Office of Jamaica during the period under review. JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 114 SECRETARIAT In terms of the Secretariat, the following were noted: o The rental of the office space which houses the Secretariat was $39,504.29. o This was paid monthly and the amount was inclusive of maintenance charges. o The office space of the Secretariat was shared by the National Executive with the Kingston Chapter. o Ms. Sandra Dowie had responsibility of maintaining the Secretariat and carrying out the daily operations. o The related statutory deductions for the period were paid to the Tax Administration of Jamaica. GODMOTHERING She was assigned by the National Executive as Godmother to the St. James Chapter for a second period. It was her privilege to maintain fruitful dialogue with the Chapter’s President and current Interim Leader as well as participate in monthly meetings, civic and fundraising events. Even with the challenges experienced, their tremendous effort to ensure that those planned activities which were professionally and effectively executed must be applauded. CONCLUSION In conclusion, she expressed her gratitude to the National President, the National Executive members and Chapter representatives for responding supportively to the necessities of this desk. She extended hearty appreciation in particular, to former Treasurer, Mrs. Engrigh Mattison for her tremendous guidance throughout the period. The duties and obligations of the role were extensive; however, her wonderful support and constructive feedback substantially eased the work load. As a result of the timely responses to the many queries, she was able to report that the obligations of the desk were met. She wish the Association and the new Executive God’s guidance in executing their duties in the future. f) National Second Vice President 2 nd VP Tanya gave highlights of her report as follows:


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 115 MEETINGS & OTHER JAAP ACTIVITIES She attended National Executive Meetings, Joint Chapter Presidents Meetings and Convention Committee Meetings as best as she could. CONVENTION AND EDUCATION FORUM 2022 She attended the Annual Convention and Education Forum held during the period September 29 through to October 2, 2022 at the Hilton’s Rose Hall and Spa Hotel in Montego Bay, St. James. ALL ISLAND ADMINISTRATIVE PROFESSIONAL AND BOSS OF THE YEAR (AIAPOTY & AIBOTY) COMPETITION The organization and co-ordinating of the All-Island Administrative and Boss of the Year Competitions formed part of the Operational Plan of the 2nd Vice President. The execution of the event as the precursor to the celebration of Administrative Professionals Week 2022. With the assistance of the host Chapter, Portland, co-operation from Chapter Presidents and encouragement from members of the National Executive the event was held on Sunday, 2022 April 03 at College of Agriculture, Science and Education under the theme “Administrative professionals…Gaining Momentum”. As in the preceding years, the Competitions were open to Administrative Professionals who were not affiliated to the Chapters. Four Chapters participated, each fielding participants in both categories. Participants are as follows: Kingston - Administrative Professional - Racquel Burford Boss - Keron Burrell St James - Administrative Professional - Sonia Johnson Boss – St. Andrade Sinclair St Ann - Administrative Professional - Alicia Henry Boss - Raymon Treasure Portland - Administrative Professional - Movia-Gayle Geohagan Boss - Jennifer Brown-Cunningham Judging The panel Judges were selected from the Parish of Portland. JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 116 The Administrative Professionals were given three (3) minutes in which to address the question selected by the judges and another three (3) minutes in which to solve a scenario while the Bosses were given five (5) minutes to address a question selected by the Judges. Declaration of Winners After the presentations were made Miss Racquel Burford representing the Kingston Chapter was declared the All-Island Administrative Professional of the Year 2022/2023, while Mr. Keron Burrell also representing the Kingston Chapter was declared the Boss of the Year 2022/2023. Miss Movia-Gayle Geohagan and Mrs. Jennifer Brown Cunningham representing the Portland Chapter were runners-up in both categories. Of note was the Judges’ commendation and positive impression of the Competitions. Guest Speaker Dr. Amorella Lamount, former All Island Boss of the Year contributed to the success of the event in the capacity of Guest Speaker. GODMOTHERING She had the privilege of being the God-mother for the Kingston Chapter. Due to circumstances beyond her control she was not able to main regular contact as she wanted. She must extend commendation to Past President Trishana Coke who always texted or call and also to President Selma Williams for reaching out to her. Their effort had not gone unnoticed. COMMENDATION She again said thanks for the privilege given to her to have served the Association in that capacity. She noted it was a learning, challenging and rewarding experience. She thanked everyone for the support and confidence placed in her, the National President Tamar, and other members of the National Executive for their guidance and counsel. She offered special thanks to Life Member Charmaine McKenzie who took up the mantle and ensure that all was in place for the successful hosting the All Island Judging 2022 Thanks also to National PRO Althea, for the hard work in securing the gifts for the competition and for the many phones calls and constant encouragement. The Chapter Presidents and members for their support during the planning of the All-Island Competitions. She singled out President Vivia and APW Chairman Eldoris of the Portland Chapter who assisted her in every way possible, ensuring that all was in place for the event. Special thanks was extended to Dr. Derrick Delandes and the staff of the College of Agriculture, Science and Education for allowing the association to use their facility to host the eventand who were very hospitable.

She wishes for the Association the very best as she pledged her continued support. g) National President National President Tamar gave highlights of her report as follows: INTRODUCTION Special thanks was extended to Members of the National Executive, Chapter Presidents, Life Member(s), and fellow JAAP Members for the vote of confidence and support in her completion of a second year of service in the position. NATIONAL EXECUTIVE She noted that a second hybrid Annual General Meeting was held on Saturday, 2021, October 16 as the nation was still under the strict measure of the Disaster Risk Management Act (DRMA}. The hybrid meeting took the format of an In-person representation by the National Executive, Chapter Presidents, and one (1) other representative from four of the six chapters at the Holiday Haven Resort, in Runaway Bay, St. Ann, while the general membership participated virtually on the Zoom platform. The following members were elected to serve as the governing body for the Administrative Year 2021 - 2022. JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 118 Treasurer Ghandi Bennett Livingston Public Relations Officer Althea Cole Martin, CAP She noted that a week prior to the Annual General Meeting, the sad news of the passing of IPP Joy Gordon was shared. The news of her death rocked the association and AGM 2021 was a very sad affair. It was noted that in January 2022, Life Member Charmaine McKenzie was asked to serve as Advisor to the Executive. She has been serving in that capacity to date. National 1st VP Colleen subsequently tendered her resignation from both her position and general membership. The position of National 1st Vice President had remained vacant. PARISH /CHAPTER PRESIDENTS Four of the six chapters of the Association held their Annual General Meetings and the following members were elected to serve as Chapter Presidents for the Chapter’s Administrative Year from June 2022 to May 2023. Kingston Selma Williams Manchester Joyce Malcolm Hewitt Portland Vivia Wilson St. Ann Paulett Henry Lynch The St. James Chapter had issues relating to the succession of a viable Chapter Executive therefore a Special General Meeting was held instead of an AGM. At that meeting, Past President Tarsha, volunteered to serve as Interim Leader of the Chapter. The Chapter would be focusing most of the Administrative Year 2022/2023 on membership growth and leadership development. The St. Mary Chapter currently does not have an active membership. Members of the National Executive were currently focused on attracting new members and providing leadership and guidance to that Chapter. A Meet and Greet Session was held on Monday, August 29, with ten (10) Administrative Professionals in attendance. Follow up meetings would be held thereafter. National President Tamar then commended PP Bulah McCain for a video presentation used at the meeting, PRO Althea for her efforts as well as Life Member Charmaine and 2020/2022 Runner Up AIAPOTY Dian Nelson for their support.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 119 A very special commendations was extended to National Assistant Secretary Jennifer who was very instrumental and active in having that activity carried out. AFFILIATE GROUP The Affiliate Group (The Jamaica Fire Brigade Association) remained inactive up to March 1, 2022. A formal letter was addressed and sent to the last known President of the group advising that the group would be removed from membership of the association effective April 1. This letter was sent via email and also by registered mail An invitation was however extended for individual members to seek membership in the chapters in their respective parishes. MEETINGS All meetings of the National Executive following the Annual General Meeting up to August 2022 were held virtually via the Zoom platform. The September meeting was scheduled to be held at the Hilton Rose Hall Resort. All bi-monthly meetings of the Joint National Executive and Chapter Presidents were also convened utilizing the platform also. She presided over all those meetings and ensured they were held in accordance with Parliamentary procedures. MEMBERSHIP For the period under review, there was a number of movements in relation to membership in the Chapters. The following were noted: i. Based on the guidelines of our constitution in relation to inactivity and non-payment of dues, the St. Mary Chapter would be considered dormant and the ten (10) members on roll would be considered removed. ii. St. Ann Chapter lost one (1) member but gained five (5). iii. St. James Chapter regained a member. iv. Manchester Chapter gained one (1) member but lost one (1) member during the period. v. Kingston Chapter gained seven (7) members. vi. Portland Chapter lost three (3) members. One died while the other two were culled. National President Tamar noted that based on the foregoing it was imperative that chapters focus not only on a recruitment drive but equally focus on member retention.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 120 LOCAL CONVENTION/ EDUCATION FORUM She informed that the Convention Committee would be in the final stage of planning the 2022 event. A decision was taken to plan and present a modified version of the event as was done in 2021 due to the ongoing Coronavirus and high prices. The event would take place over the period, 2022, September 30 – October 2, back in St. James at the Hilton Rose Hall, Resort and Spa, under the theme A Whole New World …Connect and Align for Growth. The modified version includes a seminar on the theme with presenter Dr. Taneisha Ingleton, to be conducted on the afternoon of Friday, 2022, September 30. Two concurrent workshops would be held on Saturday, 2022, October 1. These are: • Workshop A – Winning in Business through Excellence in Service Delivery with presenter Ms. Sharon Williams. • Workshop B – Conflict Management – Navigating the pitfalls with presenter Dr. Ann Crick. Rather than the usual banquet and awards ceremony, attendees would be hosted at a Cocktail Hour on the Saturday night where they would have an opportunity to further network and have some fun. Based on the registrations received, the Association was on track for targeted numbers and recording a surplus. The Chapter Awards would again be held following the Plenary Session and Annual General Meeting to be held 2022, October 23 at the Holiday Haven Resort, Runaway Bay, St. Ann. ADMINISTRATIVE PROFESSIONALS WEEK Administrative Professionals Week 2022 was celebrated 2022, April 24 - 30, under the theme “Administrative Professionals … Gaining Momentum”. With the revision of several aspects of the Disaster Risk Management Act (DRMA} to include the removal of the mask mandate and an increase in numbers able to congregate, some face-to-face activities were put in place for the period. The pre-cursor events, the staging of the annual All Island Administrative Professional and Boss of the Year competitions were hosted by the Portland Chapter. On Sunday, 2022, April 3, the event was held at the TP Lecky Hall of the College of Agriculture, Science and Education (CASE) in Passley Gardens, Portland. The event saw the return of the older format of the event and saw not only participants but members, family and friends along with participants in attendance. Our guest speaker was Dr. Amorella Lamont (All Island Boss of the Year 2018/2019) while greetings were brought by Cllr. Paul Thompson, Mayor of Port Antonio. Four (4) Administrative Professionals and Bosses vied for the coveted titles.

JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 122 PUBLICITY o AIAPOTY was interviewed on 2022, April 25 on Smile Jamaica on TVJ. o Both AIAPOTY and AIBOTY were interviewed on 2022, April 26 on Power 106. o National President was interviewed on 2022, April 27 on Gospel JA o Both AIAPOTY and AIBOTY were interviewed on 2022, May 2 on KLAS FM o A 16-page Supplement was published on Administrative Professionals Day in the Jamaica Observer to include a Save the Date Flyer for Convention and Education Forum 2022. President Tamar extended special commendations to the efforts of Life Member Elaine and National PRO Althea in ensuring that the Supplement was published. She also expressed sincere gratitude also to all members of the association who assisted in getting ads purchased by their respective organizations. CIVIC/WAYS & MEANS NATIONAL FUNDRAISER & NATIONAL CIVIC ACTIVITY The National Civic Activity launched in 2021 was continued in 2022. This initiative featured the Administrative Professional competitors in the All Island Judging identifying a special project from the needs of their respective Chapter’s civic projects. The project identified by the adjudged All Island winner would then be adopted as the National Civic project. The selected project for 2022 was that of AIAPOTY Raquel Buford, that of the refurbishing of the bathrooms at Lincoln Early Childhood Education Centre and school clean-up. A project from the Kingston Chapter. With a generous donation of $120,000.00 from the Bank of Jamaica and donations by the Kingston Chapter and National Executive, a small team (due to COVID-19 constraints) participated in a Clean Up exercise at the Centre on Labour Day. The exercise included painting chairs and doors, cleaning the school yard and other equipment. A few parents and three teachers also participated. The services of a skilled person was used to install the new toilets, reinstall the other units that were cleaned and tile the bathroom area. The National Fundraiser took the form of a Tag Drive and a total of $28,500 was lodged to the school’s account following a symbolic handover on 2022, August 19. That amount was raised for refurbishing work on the school play area. President Tamar noted that after reconciling all figures, an additional $3,000 would be handed over to the school. JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 123 CHAPTER ACTIVITIES Special commendations to the Chapters who continued to maintain a civic presence within their communities. Despite all the challenges that abound the respective Civic Committees/ Chairs and Chapter Executive persevere to bring some hope to the needy around us. Donations were made to the recorded projects as well as new and other initiatives were undertaken. The following are currently all projects on record for the chapters: CHAPTER CIVIC PROJECTS Kingston Jamaica National Children’s Home, Lincoln Early Childhood Education Centre, Sponsored child at SOS Children’s Village, and Street Feeding Programme Manchester Cedar Grove Basic School, Dunrobin Basic School, and New Hope Children’s Home Portland Women’s Centre Foundation - Port Antonio, Muirton’s Boys Home Randolph Lopez School of Hope, and Jamaica Association for the Deaf - Portland St. Ann Women’s Centre Foundation – St. Ann’s Bay, St. Ann Infirmary, St. Christopher’s School for the Deaf, and Chester Primary & Infant School St. James Women’s Centre Foundation – St. James Montego Bay Learners Centre St. Mary Pringle’s Home for Girls NATIONAL RETREAT The Annual Retreat of the Association under the theme “Administrative Professionals … Maintaining Professionalism” was held 2022, June 5, in a face-to-face format at the John McDowell Centre, in Ocho Rios, St. Ann Presenters were: • AIBOTY Major Keron Burrell who presented on the theme • Life Member Charmaine McKenzie who did a presentation on the Role of the Chapter Executive The presentations were followed by a review of the last SWOT Analysis done in 2018 and completing a new Analysis for 2022. Each attendee was placed in groups to work on the same. A revised SWOT Analysis was then sent to all Chapters for review.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 124 BUILDING FUND / JAAP APARTMENT The Building Fund as at 2022, July 31 stood at J$1,144,010.00. President Tamar informed that the monies borrowed was still in the Current Account as the these funds were being used for Convention 2022. Following the convention and collection of all outstanding sums the following would be completed: 3. Surplus from Convention funds would be placed in another investment instrument from Barita Investments along with the monies currently in the Building Fund. 4. Estimated amount to fund Convention 2023 would be placed in a fixed deposit to garner some interest. When the funds mature, the interest would be added to the account mentioned above and the balance used to fund Convention. The apartment continued to be rented to an expatriate employee of Dolphin Cove. Rental amounts were paid on time wherein the association and the tenant enjoyed a mutually beneficial relationship. President Tamar informed that a decision had been made by the National Executive to complete much-needed refurbishment of the apartment. CAAP & IAAP The Caribbean Association of Administrative Professionals continued to be led by Carol Charles. Contact was kept with her via email and WhatsApp. Greetings on behalf of CAAP was submitted by her and published in the APW Supplement. President Tamar informed that she was able to participate in a presentation from the World Administrators Alliance and circulated a copy of the Global Skills Matrix for review by the members of the association. A request has since been made through President Charles for a representative from that body to do a presentation to JAAP on both the Alliance and the Global Skills Matrix. The partnership agreement with the International Association of Administrative Professionals (IAAP) expired April 2022. Since the expiration of the agreement, there was also a change in the leadership of that Association with Melissa Mahoney, assuming the role of Chief Executive Officer. A congratulatory note was sent to her on behalf of the association as well as a follow-up on a revised partnership agreement. Ms. Mahoney has informed that the Certified Administrative Professionals certification program is being updated and expanded and the association await further details on the changes. IAAP will also host a 2023 Summit with an In-person and virtual format. President Tamar informed that the National Executive awaited a formal meeting with the leadership team of the IAAP.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 125 JAAP REPRESENTATION President Tamar represented the JAAP as follows: 2022, April 26 – Participated in a Courtesy Call on Mr. Richard Byles, Governor of Bank of Jamaica with Kingston Chapter contingent to include the AIAPOTY and AIBOTY. 2022, April 26 – Represented Jamaica on a virtual CAAP-led meeting which featured the Global Skills Matrix 2022, April 27 – Did an interview on Gospel JA highlighting the Association ACKNOWLEDGEMENT She expressed her gratitude to the members of the National Executive who provided support all the way. To Life Member Charmaine who stepped in and assumed the role of Advisor to the National Executive. Chapter Presidents and the leadership team at each chapter who worked tirelessly for the association. She also extended special thanks to the Life Members who provided guidance and encouragement throughout the period. CONCLUSION In closing President Tamar utilized the following quote, which she had utilized the year prior: “When success becomes non-negotiable; excuses become unacceptable” (Anonymous). She reiterated that if all started with the end goal in mind then invariably the following words would change: I/ we can’t. to Why can’t I/ we? It’s impossible. to What will make this possible? It’s never been done. to How can it be done? She noted that the years 2020, 2021 and indeed 2022 showed that the narrative could be changed and encourage all to move forward in the same vein. 9. ADOPTION OF REPORTS The reports of the National Executive for the year 2021-2022 were adopted en bloc on a motion by President Joyce and seconded by Member Marlene. 10. APPOINTMENT OF AUDITOR National President Tamar stated that over the years Mrs. Ouida Nesbeth Dunn had been doing the Audit of the Financial Statements and that the National Executive was satisfied and would therefore engage her services to continue as Auditor for the Association.


JAMAICA ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS 126 11. GOOD OF THE ORDER National President Tamar discussed the following items: A. World Administrator Alliance – She was contacted by Charon Maxime to present on the WAA to the association and its implications for us. She further said that the WAA was pushing the Global Skills Matrix and hoped to get approval from not only employers but governments as well. B. Prospective Members – A prospective member currently has to attend three (3) consecutive meeting to be qualified for membership. In cases, where the individual was unable to make meeting number three, the NE was looking to change the rule to three (3) meeting within a five (5) month period which the chapter presidents agreed to. National President Tamar further stated that December meeting must be counted as a meeting. C. Administrative Professional of the Year (APOTY) – National President Tamar informed that non JAAP personnel who were selected as APOTY would undergo a series of training. It was recommended those training be counted as one (1) of the three (3) meetings required for membership D. St. Catherine Group – coming out of Convention 2021, National President Tamar reported that seven (7) individuals expressed an interest in the association and forming a group in St. Catherine. After Conventions 2022 the number of individuals increased to eleven (11) and application forms were dispatched to them. Once the application forms were returned, the necessary support would be given and further steps taken in forming a chapter. National Assistant Secretary Jennifer recommend having an all island organizational visit from the NE level to assist with recruitment for the chapters. 12. HOST CHAPTERS FOR LOCAL CONVENTION AND ADMINISTRATIVE PROFESSIONALS WEEK – FUTURE YEARS The host Chapters for local Convention and the All-Island Judging were announced as follows: Year Local Convention All-Island Judging 2023 St. Ann Kingston 2024 TBD Manchester 2025 Manchester St. James 13. DISSOLUTION OF THE NATIONAL EXECUTIVE National President Tamar announced the dissolution of the 2021/2022 National Executive to allow for the nomination of Officers for the new Executive.

National President Tamar expressed pleasure on being elected to serve as again as President. She thanked everyone for their support. She then made the following presentations: a. Gloria Henry Most Innovative Award – St. Ann Chapter. b. Chapter Awards – Most Outstanding Chapter was awarded to Kingston and St. Ann the runner-up. c. Highest Percentage Growth was awarded to the St. Ann Chapter. 16. ADJOURNMENT National President Tamar adjourned the Thirty Fifth Annual General Meeting of the Jamaica Association of Administrative Professionals at 2:50 p.m.
