SECRETARY

I am thrilled to approach the coming year as
rally Secretary and wish Martin and Catherine every
success and good luck for the forthcoming year.
Every Chairman needs good support from rally
stewards and the committee. I would like to thank
all our stewards and of course welcome any new
stewards who feel they would like to have a go
running a rally.
I also look forward to working alongside Michelle as
her journey continues with the D&C centre.
We as a Committee are happy to guide and give
assistance to any stewards.
Going forward it would be great to get all the
bookings completed so we can get the D&C rally
book printed and issued promptly, to do this I do
need your help by getting all proforma’s returned
ASAP and before the AGM 2016.
I look forward to meeting new and old friends as we
go into the new rally season.

GUIDE TO RENEWING YOUR CARAVAN CLUB MEMBERSHIP

1. Where to start: Register now - it’s free
2. Go on to the Caravan Club website: www.caravanclub.co.uk
3. The top heading will say MEMBERSHIP - CLICK ON IT.
4. 3RD LINE down states: RENEW/JOIN ONLINE - CLICK ON IT.
5. It will ask you to SIGN IN or REGISTER NOW. So follow the screen titles.
6. Register, by entering in your personal details, it will ask for your membership number & will ask

you for a password. If you’re already registered, then log in with your email address & password.
And move onto the next stage.
7. The front screen will say Home, membership renewal.
8. 2nd line down. CLICK ON IT. And follow the instructions.
9. The 9th line down states: JOIN or RENEW A CENTRE.
14 10. You must click on this box for the Devon & Cornwall section.
11. So that you are registered, with your correct centre of your choice.
12. Failure to do this, will not allow you to speak or vote or stand for committee at the AGM. You will
not receive the latest rally book. And when you do finally register, it will show you as a new meet,
and not your long service that’s built up in the caravan club, throughout your years of rallying.
13. Renewal of your Centre Membership: If you experience any problems when registering to
a Centre, please call the Contact Centre on 01342 318 813 Monday to Friday between 8:45am
and 5:30pm.
14. By using the website you can check your membership expiry date and
get ready to renew it, all in time, saving you any worries or concerns.
Your centre membership, will state you are currently a member of the
Devon and Cornwall Centre. Your centre membership is due to expire
on (31/10/2014: example).
15. It will also tell you, when you will be able to renew your centre
membership online from (11/10/2014: example).
16. And just to make sure send the slip back to caravan club headquarters,
which you receive in the post with your details already on it each year.
17. Last, but not least: Sign out of your account, top right hand corner.

FIRST TIME RALLIERS 15
Firstly, choose the rally, then send a completed booking form and deposit to the
Rally Steward whose name appears with the rally details. Give at least ten days’
notice (holiday rallies require more notice) when booking; the Steward will not
acknowledge your booking unless the rally is full. If you require confirmation of
your booking please request this and enclose a stamped addressed envelope
with your booking slip.

When attending the rally you will need some blocks and plank or a wedge (called
a ‘Prout’ in our Centre) to level the caravan, your own toilet facilities and a
container to fill the reservoir (toilets must never be taken to the drinking water
tap) a means of taking your dry rubbish home, a drinking water container and
filler pipe and a waste water container.

Before you set off check the site directions against a map. When you get near to
the venue you will find rally signs to help you. These are yellow arrows, with D & C
in black. Follow these to the site. When arriving on the site please keep to 5 mph.,
there may be children running around. Stop at the Stewards caravan, which will
be marked with a sign and let him know that it is your first rally. The Steward will
give you an envelope, which contains details of the cost of the rally, an attendance
list of those on the rally, a programme of events and a plaque if requested. The
plaque is a small plastic memento of attending the rally. Please pay the Steward
the money due and then he will assist you to level your caravan with the offside
front corner of your caravan next to a marker peg. When you have unhitched your
caravan, please park your car on the offside (driver’s side) of
your caravan, this allows everybody their own space and
allows access in case of emergency. The Steward will tell you
of water, waste water and chemical toilet emptying facilities
that are available. He will also tell you of any other information
pertaining to the rally. Do not feel obliged to participate in
any events that are being organised, your wishes will be
respected.

THE ROLE OF THE

CENTRE SECRETARY

The position of Secretary in any organisation is usually busy and the Centre
Secretary’s of the Caravan Club is no exception. It is a varied and interesting job
which brings you into contact with many Members and Caravan Club official,
both face to face and on the telephone.
On a weekly basis the Secretary receives a list from East Grinstead which shows
New Meets (NEW), Members who have not rejoined the Centre (NRC), Member
have rejoined the Centre (RER) and those who have resigned (RES). The records
have to be updated and the New Members are sent an Email, with two attachment
letter, welcoming them to the Centre. This is all routine work.
On the other hand, there are some interesting jobs. Sorting out whether a Health
& Safety Certificate is needed to use a Manhole cover for Elsan purposes or
advising a local council that we are not rallying on their land, when they are under
the impression we are and want all the necessary documentation completed. This
can take quite a bit of time on the telephone with the organisation and this is

Preparing for Committee meetings: - Agenda, Minutes, Correspondence etc.
Circulars and information leaflets etc are now forwarded to committee members
in between meetings, so it saves time at meetings. If there are any queries,
committee members are free to raise them.
The busiest time of the year is between August and the AGM preparing for the
meeting; the notifications, organisation of the venue etc. A lot is done by the
Chairman, Rally Stewards etc but the Secretary is the one
who makes sure all the details are in place.
This is a brief synopsis of a Centre Secretary’s Role but by no
means all the duties which are preformed. Hope you have

THE ROLE OF THE

RALLY SECRETARY

The Rally Secretary looks for stewards to run various rally for our centre . 17
As stewards you send in the completed rally proforma and the rally secretary then
transfers it to the rally book page. They contact the treasurer to make sure the
admin fee etc meet the correct price with the added vat. They will also try and
make sure the correct dates and telephone numbers are correct.
At the very end they will put the relevant rally numbers to the rally and then send
it the printers. The printers will contact you if they need more information from
you . After the first pre-view and there’s no alterations it will go to full print.
The printers will tell you when the books are going to be ready for packing at
Stowford, who kindly sponsor us with all the rally book costs and postage.
So you need to gather a small team to pack the books to our members, put them
in the sacks provided by stowford who will post them out.
Then a few days later your book should arrive in your letter box.
Other Useful Information
If you are booking only one night on a weekend rally please do not arrive until
after 11:00am.

BOOKING RALLIES
I would like to remind rallier’s that when booking a rally they need to send a
completed booking slip and non-refundable Deposit: (£5.00 for weekend rallies
and £10.00 for holiday rallies) to the rally stewards as soon as possible to reserve
their place.
Please note that this is a non-refundable Deposit: which will cover basic costs
incurred on your behalf in the event of you not being able to attend. However, if
other costs are incurred please note Rule 4 in the rally book could be invoked.
Pay in Advance Rallies
A number of rallies for the coming year are to be paid up front. Several commercial
sites request that we book and pay for our pitches in advance. In some
circumstances where it has been necessary for a rallier to cancel it is not possible
for the centre to reimburse the cost of the pitch as this has already been paid to

CENTRE REGISTRATION CARD
When you receive your NEW membership card you will find attached to it a
tear off slip, which has to be completed and returned to THE CARAVAN
CLUB who will then inform our Centre Secretary of your registration. Unless
you complete this slip indicating you wish to join the Devon and Cornwall
Centre you will not:
• Receive any circulated information.
• B e allowed to vote or speak at the Annual General Meeting

(it is necessary for the Secretary to receive the registration
from the Caravan Club at least 35 days before the AGM)
The Caravan Club will prepare the centre registration card, this is
the only record of names and addresses of Club Members held by
our Hon. Centre Secretary.
