INTRODUCTION

Thank you for considering Dubai Sports City to host your event.
We hope that you find the following information useful in making your decision.

REQUIREMENTS

Toyota Car Launch Event

Event Period: Monday, 10th August – Wednesday, 19th August 2015
Event Date: 10 days in total including laying / dismantling of flooring which takes 24hrs each

Client bump in Monday, 10th August – Wednesday, 19th August 2015

18th August 2015 – 1 Day

Venue: Full Pitch - Indoor Dome, Sports Village

Time: Doors open TBC, Event start TBC

Expected Crowd: TBC

Setup: Pitch to be covered with Terra Tile flooring to protect the grass by DSC (cost charged at actuals)
To be provided by client no later than 1 month prior to the event and pre-approved by DSC:

– Full site & venue plan including production schedule & schedule for event days
– Traffic / Parking / Security operation plans (in cooperation with DSC)
– Permits / Licenses / Insurance
– On-site Arrangements including F&B

REQUIREMENTS

Organised by JK58:

• Production / Marketing of the Event are sole responsibility of Organizer
• Site plan / Venue layout & Schedule pre-approved by DSC
• On-site arrangements and venue setup with such as entry gates, sound system, lighting, screens, stalls,

decoration/drapes, Black out curtains, etc. to be arranged by Organizer, although DSC can provide their
Event Management services to make it a hassle free event (at additional cost) if necessary – see page 6
• Event Insurance
• Local Authorities to be informed (RTA/Dubai Police/Civil Defense) and approvals are the solely
responsibility of the Organizer
• All licenses and ticketing approval with DTCM if any – with support from DSC where needed

Organised by Dubai Sports City (DSC):

• Assisting with the site planning / Terra Flooring / Security / Traffic & Parking / Signage / Cleaning /
Medical if required with cost charged at actuals

• Food and Beverage provided exclusively by DSC (Overall coordination of F&B setup, menu to be mutually
agreed)

COMMERCIAL DETAILS

Venue Package based on a 10-day Event: 10th till 19th August 2015

Venue Hire Mandatory Additional Cost (approx. based on past events)

10th August 2015 – AED 15,000 Event Services (support and readiness of venue) AED 10,000
11th August 2015 – AED 15,000 Terra Tiling Full Pitch (pitch hard flooring) AED 40,000 - Cost charged per actuals to Organizer
12th August 2015 – AED 15,000
13th August 2015 – AED 15,000 Cleaning (Pre/Event/Post) & Garbage AED 12,500 - Cost charged per actuals to Organizer
14th August 2015 – AED 15,000 Security / Parking (Numbers TBC)
15th August 2015 – AED 15,000 Traffic controller = AED 30/hr
16th August 2015 – AED 15,000 Grade A = AED 75/hr
17th August 2015 – AED 15,000 Grade B = AED 40/hr
18th August 2015 – AED 15,000
19th August 2015 – AED 15,000 Technical Support AED 5,000
Total Cost – AED 150,000
(Cost for onsite technician and main power supply. All power requirements Any extra - Cost to organizer
Exclusive F&B to Dubai Sports City (including cabling must be sourced externally) AED 3,000 - Cost charged per actuals to Organizer

Non-refundable booking fee: Restrooms included in the building
AED 35,000 (60 days prior to event)
Signage / Way Finding (If required)

Security Deposit of AED 25,000 to be Civil Defense Cost charged per actuals to Organizer
provided by Organizer to Dubai Sports Medical Services
City against damage to the facilities Ambulance = AED 400/hr
being used for the event. The security Doctor = AED 200/hr
deposit will be returned in full after the Nurse = 150/hr
event subject to any retention necessary
to cover breaches.

Guaranteed Venue Hire Fee : AED 150,000

DSC EVENT MANAGEMENT SERVICES

Dubai Sports City Events Team has the capacity, competency and experience
to plan and execute this event to a world-class standard.

We have proven and tested operational plans having staged numerous high-profile events.

Given the profile and positioning of this event, we are happy to assist JK58 with Event Management Services
under JK58 budget and executive control.

Event management fee would be 10% on actuals with support offered in the following areas:

VENUE MANAGEMENT
Undertaking all aspects of event production, site planning, loading, sourcing suppliers for equipment hire,
building, set-up and on site signage

FACILITY MANAGEMENT
Cleaning pre/event/post, waste management, standby technicians and mechanical support

SAFETY AND SECURITY MANAGEMENTS
Design and management of security operation services, coordination with security company and
implementation of security plan, deployment and stewarding of security staff, traffic/crowd/parking
management and temporary signage, gate control, provision of emergency management, medical services, close
protection, accreditation, leasing with police and government officials

FOOD AND BEVERAGE MANAGEMENT
Sourcing of concessions companies as well as caterers for all areas based on event requirements, allocation of
F&B service areas and coordination of set-up
