GROUPS & SMART GROUPS Groups help you organize and automate your contacts for journeys, auto campaigns and focus views. Contacts are added automatically through your LOS and Lead capture, or you can manually add prospects or old databases to the system. YOU WILL NEED TO SET THESE UP TO HAVE YOUR CONTACTS AUTOMATICALLY START IN-PROCESS EMAILS and other Journeys. They will also help you organize your leads when using Focus Views. You can learn how to set them up on the Hub. CUSTOM GROUPS Groups WITHOUT SMART FILTERS are also helpful, but your contacts need to be ADDED MANUALLY. Say you would like to send a few emails to everyone in your neighborhood. You don't want to find each of them every time you want to send them something. Group them so they are easy to contact. WITHIN EACH CONTACT, YOU CAN: • Use Journey groups to assign journeys • Assign a contact to multiple groups • Use Smart Groups to automate assignments • Set up lead sources for each event (open houses, webinars, lunch & learns, etc) to best assign tasks and journeys • Use the notes section for notes about family, future plans, etc. for future conversations (the more detail, the better!) TE gives you several ways to easily build and automate emails that will help nurture and engage your contacts. AUTO CAMPAIGNS IF YOU DON'T PLAN ON BEING IN TE MUCH, AUTO CAMPAIGNS ARE YOUR MOST IMPORTANT TOOL. They automatically keep you on the mind of your contacts, so when they are ready for a new loan, you are the first one they call. To turn them on you will need to choose what campaigns you would like your contacts to receive by activating the campaigns and making sure your smart groups are set up to automatically add new contacts. CHECK OUT THESE CAMPAIGNS: JOURNEYS Journeys are more dynamic than auto campaigns because they can include task reminders and can also adapt based on your contact’s activity. For example, If a lead on a prospect journey starts a loan they will automatically be moved off the prospect journey, or if prospects are not opening emails then cadence automatically adjusts. This personalizes the content and helps enable more conversions. HERE ARE JUST A FEW TARGET AUDIENCES: INDIVIDUAL EMAILS If you would like to reach out to a contact or group about a specific loan or topic APM has a variety of emails already created. They are easy to send out, or you can even create your own email within Total Expert. These can be a great way to follow up after a call. Total Expert has a lot to offer, but don't let that intimidate you, once you get started it is easy to understand. Here are the TOP 5 THINGS TO DO WHEN YOU GET YOUR TOTAL EXPERT ACCOUNT. CHECK YOUR ACCOUNT Go to your ACCOUNT SETTINGS (click on your name in the upper right corner). Make sure all your information is correct and check your notifications. INTEGRATE THE PLATFORMS WITHIN TE Connect your social media account, Microsoft 365 and any other programs you currently use. IMPORT YOUR CLIENT DATABASE You don't need to add your current contacts one by one. Organize your contacts onto this Excel Template and fill out as many columns as you can.
