1. BUSINESS OPERATION
Identify your company’s type of departmentalization and its advantages.
Nestle’s Business Operation
Functional departmentalization :
A functional structure is an organizational layout that groups together comparable or
related occupational specializations. This shape can be considered as purposeful
departmentalization carried out to the complete organization.
• Jobs are grouped by the functions (marketing, finance, human resources)
performed. This approach can be utilized in all types of organizations, although
roles change to reflect the organization's goals and work activities.
• Advantages :
- Simplicity
Functional department formation is a simple and common form of department
formation that is very easy to set up and use.
- Specialization
The concept of functional departmentation refers to the process of developing
specialized skills and knowledge in order to improve the efficiency of the
organization.
- Better Coordination
The functional department enables better coordination between departments,
different functions and employees.
- Optimum Utilization of Resources
Department of functionalization aims to maximize the utilization of human and
non-human resources. This process achieves positive results.
Product departmentalization :
Product departmentalization focuses interest on important product regions withinside
the corporation. Each product is below the authority of a senior manager who is a
consultant in, and is accountable for, the entirety having to do together along with his or
her product line.
• Jobs are grouped by product line. With this approach, every major product area
is subordinated to a manager who is a specialist and is responsible for everything
that has to do with that product line.
• Advantages:
- The product division follows the principle of specializing in a product or service.
Ensures better product quality.
- Due to the specialization, it guarantees the optimal use of human and material
resources.
- Large manufacturing companies can benefit from product distribution.
- Departments by Product and Service helps evaluate the performance of each
department, making the organization easy to control.
- The top manager has enough time for planning and decision-making, as all
departments are led by department heads.
- The production department is flexible and can easily be expanded with a new
product line if necessary.
- The product area helps to improve the skills and talents of executives.
Process departmentalization :
This method groups the jobs based on product or customer flow. In this approach, the
work activities follow a natural processing flow of the product or even the customer.
• Advantages:
- When processes are organized into departments, there is an adequate division of
labor and thus an effective form of departmental structure.
- Top management is geared towards the best result, so there is a good company.
- The division of departments according to processes follows the principles of
specialization.
- There are clear powers and responsibilities in every department.
- This type of department enables the correct and optimal use of resources.
- Through specialization and the division of labor, the production process is
effective in the division of labor.
Advantages of Product Departmentation
This form of departmentation has its own set of advantages:
Since every product has a manager, it has become possible for the manager to pay
attention to all his efforts and the people of the group members, that is the subordinates
who are running for it. Every question and every move are critical to the success of the
product in the market and performance is no longer measured solely by the amount of
revenue and sales to the company. However, critical they may be the diploma of pride
that consumers and customers have in using the product. Problems related to product
development, product planning, pricing, sales promotion, and distribution are dealt with
by the manager and his group, among others.
The responsibility for making profits is decreasing again, simply because the product
manager must justify this belief in himself and the sporting events by making precise
decisions to achieve the product within the market and bring money into the
organization as a result. In order to do this, in addition to buying a product that can meet
consumer needs, cost must be controlled as profit and value in the opposite direction.
The departmental form improves the coordination of practical activities. This is possible
because each product manager has been informed of the profit rate, but the submission
cannot be accepted without the appropriate authorization. This gives the manager
significant authority to do whatever it takes to ensure success. In this he can possibly
ensure that collaboration and knowledge can exist between all departments. The
manufacturing industry can collaborate with the engineering industry at the first level.
Additionally, the manufacturing industry works in line with the marketing / sales industry,
which is critical to consumer satisfaction.
Offers a good training position for the position of CEO or managing director, this is
possible because every product manager has received the tariff for the drawing of
services, but the obligation cannot be assumed without the appropriate authorization.
The manager has thus also been given the necessary power of attorney to do
everything for success. In this he can possibly ensure the cooperation and knowledge
between all departments. The manufacturing industry could have an extraordinary
collaboration with the engineering industry. Additionally, the manufacturing industry
works in concert with the marketing or sales industries, all of which are essential to
customers satisfaction.
Impact of Decision Making in Nestle’s Business Operation
Nestlé's diversification, geographically and merchandise portfolio-wise, provides the
corporate with necessary assistance in weathering off the negative impact of the
pandemic. Although its sales are projected to contract because of COVID-19, growth
within the food business is predicted to limit the losses and supply a platform for the
corporate to revive over the following few years.
Keeping employees healthy, safe, and supported
• In addition to the conventional strict hygiene standards, fixing place additional
safety measures in Nestle’s factories, offices and distribution centers.
• Encouraging office-based employees to figure from home whenever possible.
• Asking employees worldwide to not travel internationally for business purposes.
• Offering generous leave arrangements for those that contract the virus.
• Providing cash loans or advances for those in financial distress.
• Paying all hourly and salaried staff littered with temporary stoppages fully for a
minimum of twelve weeks.
• For employees in factories and distribution centers, offering free meals and
transport for workers to assist reduce the danger they fall ill.
• Providing parents with the pliability to manage their family responsibilities and
their role.
Helping with local relief efforts
• Supporting medical institutions, food banks, food-delivery groups, and
humanitarian organizations on the front lines of the fight against the pandemic.
• Working collaboratively with doctors to create a completely new COVID-19
medical nutrition treatment programme.
• Joining the push to expedite COVID-19 vaccination and ensuring widespread,
equitable vaccine availability to underdeveloped countries.
• Donating to food banks and food distribution groups to help those who are in
desperate need.
• Providing prompt and practical assistance to Nestle's commercial partners.
• As part of Nestle's 'Always open for you' programme, the company is extending
payment terms, suspending coffee machine rental costs, and providing free items
to clients in the out-of-home and food service sectors.
Collaborating with the International Federation of Red Cross and Red Crescent
Societies (IFRC)
• Donating food, medical nutrition supplies, and drinking water to people most
affected by the pandemic.
• Using available logistics capacity from Nestle's out-of-home business to fulfill the
IFRC's requirements in various locations.
• A CHF 10 million donation for quick deployment in places where it is most
needed.
• Matching donations given by Nestle workers to non-profit organisations and Red
Crescent National Societies or Federations 1:1.
The Nestlé Cocoa Plan
• Nestle stopped group activities and field visits to guard communities.
• Nestle used digital means of communication wherever possible to stay in
touch with cooperatives and still support key people involved within
the implementation of programs.
• Nestle donated almost 8000 hand sanitizers and face masks, likewise as hand
washing kits, to cooperatives and communities in supply chain.
• Set up COVID awareness raising sessions which reached over 60,000
people along with Nestle’s partners.
• Within child labor monitoring and remediation system, Nestle were able
to continue household visits as these were administered by local people
respecting social distancing, but had to cease remediation activities
for some months.
• Nestle used digital means to speak with pruning groups so that they could
continue this critical activity while respecting social distancing.
• Shade tree distribution was managed remotely with the cooperatives maintaining
the nurseries and organizing the transport.
2. HUMAN RESOURCE MANAGEMENT
As a Human Resource manager, illustrate a general Standard Operation Procedure
as guidelines for your employees.
Discuss all the concerns on the job position and the job analysis. Plan the selection
process in selecting the new employees.
i) News about interview for new employees
Disseminating news of an interview for new employees to our company through social
media or advertising to the public will encourage them to request the interview. For
example, the Communication Department will be responsible to share the news through
Facebook, Telegram, and advertisement posters to inform the public. By using this
method, people will be aware of the news and are able to read the requirements and
description detail of the job.
ii) The conditions for new participants
Human Resource Department should set up the conditions needed for new participants
to apply for the job interview. They should also conduct a meeting with the manager and
other departments to accumulate information to set the requirements of the job
interview. The discussion on the qualifications will be recorded and listed on the job
requirements for the new employees. Some of the examples of the conditions are the
age range, work experiences, national examination certificate and zero discipline or
criminal records.
iii) Platform of meeting
The Human Resource Department should manage the platform of the online interview
meeting that will be held. Date, outfit attire and personal document for the meeting
should be informed earlier to the new participants. This is to ensure that new
participants are able to attend the meeting with the requirements needed. With the
current pandemic, Human Resource Department should manage an online interview
meeting on Google Meet or Zoom apps. New participants needed to wear a formal outfit
attire and prepared the personal documents for the interviewer’s revision.
iv) Stages
To be fair on the selection process of new employees, the Human Resource
Department should do a couple of stages of the job interview. This is because every
stage has a filtration process. The participants who do not fulfil the requirement on
every stage will be filtered thoroughly to be able to proceed to the next stage. At the
next stage, the Human Resource Department will meet the remaining participants who
gave their full commitment and portrays great determination to get the job they
requested for.
v) Manager’s interview
The final stage is the interview with the manager. Participants will be able to face the
manager of the company to be interviewed. Because of the Pandemic, participants are
not allowed to come to the company, but the interview still will be held on online through
Google Meet or Zoom apps. The manager will interview the participants and the results
of the interview will be given to the Human Resource Department. After that, the Human
Resource Department again will decide a meeting with the manager and other
departments to discuss the qualified participants. At the end of the meeting, the Human
Resource department will announce the result to the qualified participants for the job
interview and they will be accepted as the new employees for the company. The Human
Resource Department will lead and manage the new employees as they were new to
the company.
3. TIPS FOR WORKING FROM HOME
From the perspective of a manager, provide some tips to the employees who work from
home to stay productive and have balance in work and life.
i) Practicing a healthy lifestyle
Employees should practice a healthy lifestyle such as eating a balanced meal and have
enough sleep because a healthy lifestyle brings the most benefits to all the employees.
One of the advantages is employees will be more energetic with a proper mindset to
keep them productive and proficient during work. Not only that, a good diet and a
healthy sleep schedule can increase the concentration ability of the mind. Therefore,
practicing a healthy lifestyle is very essential for an employee.
ii) Prepare a to-do list/ planner
Working from home sometimes can be so much stressful for an employee if they do not
prepare a work schedule because they tend to face multiple problems in time
management. Employees can keep track of their working progress more efficiently by
making a planner. They can utilize their schedule by prioritizing their work during their
most productive hours. The to-do list will help employees in balancing their time for
work tasks and house chores. This helps them to maintain their concentration, which
improves their understanding and making the work appear more manageable so that
they will be determined to complete their remaining tasks for the day. Employees will
also have time to spend with family during free time if their routine is properly managed.
iii) Employee discipline and responsibilities
During the Movement Control Order (MCO), employees are instructed to work from
home as a precaution to protect workers from Covid-19. This has made it easier for
some employees as they do not need to wear formal working attire. Therefore, dressing
up is no longer an issue when employees are working from home. However, that is not
how it should be. Employees must be prepared for work and maintain their discipline as
they were at their workplace. It is not necessary to dress formally as an employee
would for work, but simply wear comfortable and suitable clothing that will encourage
discipline during work.
iv) Make a proper office setup at home
During the Covid-19 pandemic, employees are required to work from home. Therefore,
it is extremely important for employees to have a proper home office setup because it
will encourage employees to work efficiently and comfortably. It also provides a
refreshing environment as employees can easily access their needs at home. When
the surrounding is comfortable and accessible, attention is bound to swoop in along with
efficiency.
v) Taking breaks
When employees are working at their workplace, the time is usually well organized
properly. Alas, when an employee is working from home, the working schedule is
bound to be more complex than usual. This discourages employees to maintain
efficiency during work as they tend to neglect their eating schedule. The solution to this
problem is by taking short breaks between work. It helps the mind to relax and
accumulate enough energy to continue with their tasks. Employees should also take
short naps or listen to soothing music to boost vitality throughout the day.
vi) Interact with the team or working partners
Having work-life merged with home life can be stressful and confusing during the Covid-
19 outbreak. At the workplace, employees are surrounded by working partners at the
same time and pace. Employees can still gather and interact with the team to complete
work at home as there are various meeting platforms and work applications such as
Zoom, Microsoft Teams, and Google meet. However, it is not mandatory that
employees must be always available online. Casual conversations are exceptional as
long as employees maintain their social isolation while working. This will not only keep
employees from physical interaction but also maintain work relationships with working
partners. For instance, a video call or a group meeting is a great way to stay connected
at home.
