GENERAL A – Z TOPICS

ABSENTEES

To report your son/daughter being absent from school, kindly
contact the reception on 011 468-2114, before 07:30 if possible.
If your child misses an examination, a formal assessment, an
externally set assessment or a portfolio assessment on the day
they are absent, then a doctor’s certificate will be required. If a
pupil is sick at school, the school will contact the parent. No pupil
may go home without following the correct procedure and
obtaining consent from the Grade Tutor.

 Should a pupil need to leave school early, a r e q u e s t
from the parent must be sent in writing or by e mail to
the Grade Tutor. The pupil must collect a permission slip
from the grade tutor, and have it signed by all teachers
whose lessons will be missed. This permission slip must be
handed to the Receptionist before the pupil will be
allowed to leave the school premises.

 Late pupils must report to reception for a late note. No
late pupil will be allowed to enter a classroom without a
late note.

ACADEMIC SUPPORT PROGRAMME (ASP)

Academic support is offered either before school or after school.
Individual academic support sessions may be arranged directly
with a subject teacher in certain subjects. In other subjects’
academic support sessions are organized per grade at different
times and with different teachers during the week. Where
applicable these academic support timetables are updated
each term and are available on the school’s intranet at the start
of each term.

The first port of call for all

communication is via our intranet.

Once you have navigated here

you are ready to start accessing

your child's academic

information and results, as well as

dates and details that you may

need for your planning.

In order to login you need only your cell phone number and ID
number to be registered on our system.

Once you have logged in you will be able to access information
pertinent to all the subjects that your child does at the school.

Courses will open you a screen
showing you the various subjects
that your child does, and to the
left of the screen a list of many of
their upcoming assessments, this
list is not complete but can help
you monitor your child’s progress.
Should you be interested in seeing
what work is being covered in a
certain subject, you simply click on the subject and a page
showing all the content for the subject will appear. Most pages
will show the term or year plans for the subject as well as past
papers and content notes and task appropriate to the subject.
Moodle also allows pupils to submit their projects online, directly
from their iPads, which cuts down on paper use, and speeds up
the feedback process from staff.

ADAM is one of the most
advanced school administration
programmes available, and
apart from the advantages it
offers staff in terms of statistical
analysis, one of the big
advantages is that all results are
transparent and can be seen by
pupils and parents.

Logging into ADAM is done the
same way as Moodle, select
parent login, and then enter your Cell Phone No, and ID number.

The first thing you will see once in ADAM
is a picture of your child, for
confidentiality’s sake I have used a
generic picture and below them a
menu with the various selections you
can choose. Of most interest is usually
the marks for the term.

Select the Term 1, 2017
Marks, in your cases it will be
hopefully be 2016. This will
then open a screen showing
the results that have been
captured by the teachers to
date. In some cases a
comment will even have
been made.

You may also use ADAM to
find the email addresses for your child’s teachers and to email
those teachers. Select list of teachers and you will then be able to
see the names, photos and email address for the staff. So you can
let me know if I am not giving your child enough home work!

ADMINISTRATION

The College’s reception, accounts department, photocopy
room and the sick bays are located in the main
administration block. The school secretary is Mrs Roux. Mrs
Rammekwa and Mrs Moloto are the administrative assistants. Ms
Manyela is the admissions assistant. Mrs De Villiers is the PA to the
Head and Executive.

AFTER-SCHOOL WAITING ROOM

In the event that a pupil does not have an activity after school,
the Media Centre and Computer Centre are open until 16:30
each afternoon. Pupils can use these venues to continue their
homework or do research until they are collected. Pupils are
requested to make optimum use of this time so as to minimize
the amount of homework that has to be done at home.

ASSEMBLIES

There is a Head’s assembly every Thursday and a
Councillors’/House assembly every second Monday. The formal
uniform must be worn to Head’s assemblies. If a pupil does not
wear the formal uniform on a Thursday for the Head’s Assembly,
they will be asked to sit in the gallery and be given a
break detention.

AWARDS

Various sporting, cultural and academic awards are on offer
throughout the year. It is in the pupil’s best interests to
understand the mechanisms and criteria used in granting
awards; pupils are always encouraged to strive for such
awards. The colours criteria for the awarding of colours is
updated annually and is made available on the Intranet.

BOARD OF DIRECTORS

The Kyalami Schools NPC Board of Directors ensures the good
governance of the College. The Board of Directors meets at
least once a term to ensure that the school’s strategic and
organizational goals are on track.

BUS SERVICE

A morning bus service is available at R450.00 per term or
R1350.00 per annum.

The following routes are in operation for 2017:

ROUTE 1:
This route starts at the College. It goes through Kyalami
Estates main entrance and leaves the Estate at the bottom
gate from where it turns around at Kyalami Prep. This is one
pickup point. The bus leaves Kyalami Prep at 06:50 exactly,
where it travels back through Kyalami Estate. Pupils are picked
up along the main road of the Estate. The bus then travels to
Beaulieu Prep and back to the College.

ROUTE 2:
06:30 – Leave Kyalami Prep, along Allandale. Left into

07:05 – Stop at Total Garage (Campbell Motors), Continue

on Harry Gaulan
07:10 – Stop at The Plover Estate, opposite Engen Garage,

Safe places for the bus to stop and pick up pupils will be
communicated with the parents who wish to make use of one of
the bus routes.

There is no bus service currently available for pupils in the
afternoons as the buses are used to transport pupils to sport and
cultural activities off campus.

CAMPS

Camps are held in Grade 8-11, usually every year. The Grade 8
camp at the beginning of the year forms part of the
Orientation Programme. Camps form part of the wider
Leadership programme at the College. There may be other
camps and tours on offer during the year (sporting, cultural and
academic).

CELLPHONES

Cell phones are allowed at the College during the school
day, but may not be used during lessons. The College does
not take responsibility for the loss/theft of any cell phone.
The proper use of the cell phone on campus will be
explained during the orientation camp and is also
stipulated in the Code of Conduct. Public telephones are
also available on the property and cards for these may be
purchased at the Uniform Shop. In an emergency the pupil
may use the office telephone.

CO-CURRICULAR ACTIVITIES AND SPORT

Our pupils are encouraged to take part in as many activities as
possible. Pupils must participate in at least 3 activities per year. A
wide range of co-curricular activities are offered.

All new pupils are assigned to a house in the first week of
the first term or as and when they join the College.

COMMUNICATION

In the event of the parent having to contact the
College, the following procedure is outlined for effective
communication of your enquiry/request/concern:

Subject Teacher – subject related academic matters.

Grade Tutor – academic issues, pastoral issues,
disciplinary matters.

Head of Department - subject related
concerns which the subject teacher has not
dealt with to your satisfaction.

Senior Deputy Head, Pupil Affairs (Mr Gary Kenyon) –
pastoral and disciplinary matters which the Grade Tutor
has not dealt with to your satisfaction.

Deputy Head Academics (Mr Mark Naidoo) –
academic matters which a Head of
Department has not dealt with to your
satisfaction.

Head of Administration & Planning (Mrs Anet Prinsloo) -
administrative policies, timetables, term and year
planners, weekly planner etc.

Headmistress (Mrs Danielle Meikle) – problems which
remain unresolved after being dealt with by Deputy
Head’s and/or Grade Tutors. Policy matters.

COMPUTER CENTRE

The Computer Centres are made available to pupils after school
and during break times f o r research, word processing and
other purposes.

All pupils are bound by the Computer Centre Code of
Conduct which forms part of the School’s Code of Conduct.
A pupil may be excluded from these facilities if he/she wilfully
damages equipment, attempts to defeat the security measures
that have been put in place, or cannot behave appropriately in
the centre. Priority is given to pupils with legitimate academic
work who need a computer. Before pupils are allowed to use
the school’s Internet they must return a signed
acknowledgement by parents allowing us to monitor and
intercept their children’s electronic communications.

In addition to Internet, we provide printing (colour and
black & white), scanning and e-mail facilities. There is no
charge for any of these facilities except printing. Here, pupils
manage the funds in their own printing accounts. These can be
recharged at any stage during the year by purchasing a
voucher from the front office. Bear in mind that printing to the
colour printer costs more than printing to the black & white one.
We also highly encourage handing in essays using electronic
means, such as e-mail or using the electronic drop- boxes on our
Intranet site.

Many educational resources are provided for each pupil on
the school’s Intranet site (Moodle). Each pupil is registered on
the site and this can be accessed from home using the
address: http://intranet.beaulieucollege.org/ In addition to this,
pupils are also able to access their school-based e-mail from this
address. Also available on this site are copies of relevant
school policies for easy access!

The school also offers WiFi access so that pupils can use their
own laptops or netbook computers while at school. The WiFi
network is growing and is available in several places around

the school’s campus, including the Library. Pupils need to ensure
that they are aware of the contents of the School’s “Digital
Devices” policy before bringing their laptops, iPods, cell phones
or any other device onto campus.

CULTURAL

The College has established a formidable reputation in the
spheres of Arts & Culture. All pupils are exposed to these
creative activities where they learn vital new skills of self-
expression, effective communication and team work. We
participate in Eisteddfods and inter school competitions where
drama, debating, public speaking, dancing and art are
encouraged. Cultural visits, outings and tours are a regular
feature.

CURRICULUM

The curriculum is broad and holistic, encompassing Culture,
Technology, Business, Humanities, Sciences, Mathematics,
Languages and co-curricular and service activities.

In Grade 10, scholars begin preparation for the National Senior
Certificate which requires them to do Mathematics/Maths
Literacy, English, Afrikaans/IsiZulu and Life Orientation, and then
to elect three further subjects from the following:

• Physical Science,
• Life Science,
• Accounting,
• Business Studies,
• Equine Studies,
• Information Technology,
• Engineering, Graphics & Design,
• History,
• Geography,
• Visual Art,

• Dramatic Art. Music,
Advanced Programme English and Advanced Programme Maths
are available as 8th subjects, and attract an additional cost to the
parents from grade 10 – 12.
Pupils write the Independent Examination Board (IEB) matriculation
examination.
One choice subject is offered at grade 8 and 9 level, in addition
to the core subjects. Among other subjects, Accelerated
Mathematics is offered as a choice subject to pupils who excel in
Maths.

DETENTION

Detention is issued to pupils for various offences in accordance
with the Code of Conduct and Disciplinary Procedure.
Councillors’ detention is issued for minor offences, Deputies’
detention for more serious offences and Head’s detention for
extremely serious offences. The Code of Conduct and Disciplinary
Procedures will be explained to the Grade 8 pupils on the
Orientation Camp.

Note: It is a serious offence to miss a detention.

ETHOS (INCLUDING CLASS SIZE)

Class size is limited to 28 per class in the senior grades and 25 per
class in Grade 8 and 9. The majority of the Grade 10 to 12 classes
are considerably smaller as a result of subject choices.

Pupils are particularly encouraged to communicate effectively
with their teachers. Each pupil is regarded as an individual to be
nurtured within a context of teamwork and mutual reliance.

The College encourages healthy curiosity, enthusiasm and
humour, along with competitiveness tempered by fair play. An
appreciation of cultural pursuits is instilled in all pupils. The
healthy, attractive country environment in which the College is
situated engenders an awareness of, and sensitivity towards, the
community and environmental matters.

The College is a multi-faith school where tolerance of and respect
for all religions is upheld.

EXAMINATIONS AND FORMAL ASSESSMENTS

All pupils are evaluated throughout the year. Examinations are
written in the second and third term each year and carry a large
percentage of the year mark. Examination timetables are handed
out in advance to allow the pupils to prepare themselves well for
the examination period. In the event that a pupil is not able to
write an examination due to illness, a doctor’s note must be
supplied. Should the pupil not be able to write an examination for
any other reason other than illness, permission must be obtained
from the Grade Tutor who will request a waiver from the
Headmistress. Any examination missed without a valid medical
certificate or Head’s waiver will receive a zero.

Formal assessments (Cycle Tests) are written in each of the
subjects and count towards the term mark. Absence during these
assessments will require the same procedure as for examinations.
Any cycle test missed without a valid medical certificate or
Head’s waiver will receive a zero.

GOOGLE CALENDAR

The school has a live online Google Calendar listing all the
activities arranged at any given time. This can be subscribed to
by going to the schools intranet page and following the links
there. Supporting information and unavoidable amendments

appear in the weekly planner which is emailed to all parents
each Friday.

Grade Tutors manage each grade. The Grade Tutor considers
the pupil as a whole and is, as such, focused on the emotional,
physical and academic needs of the pupil.

HOLIDAYS

The College requests that holidays be planned and booked
during the school breaks.

HOMEROOM TEACHER

Homeroom teachers are responsible for the overall
guidance of each pupil. Homeroom meetings take place
on Fridays after registration.

INDEPENDENT EXAMINATION BOARD (IEB)

Pupils will write a number of external tests in various grades, which
are set by or endorsed by the IEB. Grade 12 pupils write the
Independent Examination Board exam at the end of their
academic year and a levy for this examination will be charged to
the parent’s account. This levy is determined by the IEB each year
and the parents are advised accordingly.

INTERACT

The College runs with a very active Interact Club. Interact is the
junior branch of Rotary and the name describes its purpose: to
interact with each other as members, with fellow pupils and with
the community. Interact gives young people an opportunity to
participate in fun, meaningful service projects and along the
way they learn the importance of:

o developing leadership skills and personal integrity
o demonstrating helpfulness and respect for others
o responsibility and hard word
o selflessness.

IPADS

iPads will be used in certain lessons. The College requires that
parents provide an iPad for their child. (Version 2 or later,
preferably WiFi only. Rather full size IPads but IPad Mini is also
suitable).

Other devices will unfortunately not be supported except to
provide Internet Access and email. Pupils will be required to
ensure they have suitable apps to perform the tasks required in
class and for assignments.

iPad lockers will be provided to each pupil for their iPads. These
lockers are provided free of charge and may be used to store
and charge iPads and cellphones. iPads must be stored in
these lockers when not in use, particularly in the afternoons

when involved in co-curricular activities. The College does not
take responsibility for damage to or the loss/theft of any iPad.

LEADERSHIP

The newly elected councillor group’s Induction ceremony is held
each year at the end of October.

LOCKERS AND IPAD LOCKERS

Lockers are provided on a first come first served basis
during the first week of the first term. A non-refundable
R350.00 once-off payment is payable per locker. The lockers
are the responsibility of each pupil and last the duration of
their school career. (These lockers are different to the iPad
lockers which will be provided for each grade 8 pupil – see
iPads.)

LOST PROPERTY

Lost property in the College has become a huge problem.
To keep lost property to a minimum, we request that all the
pupils’ clothing, stationery, sports equipment etc. is clearly

Lost property is kept in a safe room for a period of 4 weeks.
Thereafter it is disposed of or donated to charity.

Pupils are requested to be responsible for their belongings
and lock their goods in their allocated locker. The College does
not take responsibility for the damage to or loss/theft of any
personal belongings – even if they are placed in the safe room or in
view of the various CCTV cameras around the property.

NEWSLETTER

The College newsletter is circulated electronically every 2 weeks
during the academic terms. The Beaulieu Bulletin – compiled and
written by the pupils – is also circulated quarterly via e mail. The
Newsletters and Bulletins are also posted to the College website.

NOTICE BOARD

All daily notices are available on the notice board situated in the
main corridor. Pupils are welcome to post notices for forthcoming

activities on the notice board provided it has been approved by
the Senior Deputy Head for Pupil Affairs, Mr Kenyon. These can
then be handed to the Receptionist who will put the notices up
on the boards.

ORIENTATION

We believe in INSPIRING each individual to believe in him or
herself and have successfully held an annual orientation
programme/camp with all our grade 8 pupils. The orientation
camp takes place the weekend prior to the commencement of
the first term.

Attendance at the Orientation Camp is compulsory!
12 January – 15 January 2017.

The orientation programme runs for 4 days in the week prior to
the start of the school year. During the first week all grade 8
pupils are assessed by writing diagnostic tests during the first
week of school. More details on the camp are included in the
information pack. At Beaulieu College we have a proud tradition
of respecting each individual and hence we do not allow
pupil led initiation practices with our grade 8 pupils. Our grade
8 Orientation camp activities are fully supervised by our staff.

SAFE ROOM

A CCTV monitored safe room for storage purposes is available for
use in Block A on the ground floor. The room number is A1. The
College will not be held responsible for the theft, damage or
loss of items of value which are brought on to the property.

SAFETY OF PUPILS

To ensure the safety of the children, parents are requested to
drop their children off and collect them inside the school
property.

SICK BAY

The sick bay is located in the administration building. Before a
pupil is permitted to make use of this facility, he/she will need to
have the remaining academic lesson ‘signed off’ by the teachers
concerned so as to ensure that no important work or tests are
missed. In serious cases of illness the parents will be contacted to
collect their child from the College.

STATIONERY/TEXTBOOKS

Textbooks, workbooks and files are issued by the College as part
of the tuition fees paid. These are issued within the first week of
school, wherever possible.

PLEASE NOTE: Textbooks issued must be returned at the end of
each year. Textbooks that are misplaced or damaged will be
charged for at a rate of R250.00 to R300.00 per textbook.

TEACHER/PARENT MEETINGS

Termly teacher/parent feedback meetings are held to discuss
your child’s progress at the school. This is one of the ways in which
we keep the communication open to ensure your child’s
academic and emotional needs are met. Dates of planned
meetings are communicated with parents by e mail letter and
through the weekly planner.

Parents are encouraged to make appointments with their child’s
teacher when they feel the need to discuss any concerns or to
seek advice on anything pertaining to their child’s well-being.

UNIFORM REGULATIONS

In the eyes of the community the tone and standards of a school
are assessed not only by the attainments and behaviour of its
pupils, but also by the correctness and neatness of its school
uniform. It is therefore in the interests of all, that Beaulieu
College‘s standard in respect of uniform is maintained.

WEEKLY PLANNER

The Weekly Planner is an extension of the Google Calendar.
This confirms or alters information on the various events that
pupils, staff and parents/guardians at the College are involved
in. The Weekly Planner may include events that are not on the
Google Calendar, as details might not have been available
when going to press or might have been cancelled. The Head
of Admin and Planning is responsible for the compilation and

distribution of the
weekly planner. The
weekly planner is
emailed to parents
every Friday for the
upcoming week.

To try and make life
easier we have tried to
group some of the
more frequently

needed information under headings
which can be located from the front
page of Moodle. The heading of most
interest this evening is that which
contains the General planning info.

General Planning info contains
downloadable documents of all the
information we anticipate you will
need such as,
year calendars for planning those overseas vacations during the
holidays, the cycle test schedule so you can insist your son studies
even when he has
‘no homework’, Academic Support, when your daughter needs a
little confidence boosting extra lesson from the maths teacher,

and the sports fixtures for the term so you can plan your office
hours to allow you to support a couple of your child’s tennis
matches.

If you were to select the 2017 year calendar you would be able to
see firstly the term dates, as well as when the mid-term is.
You would also be able to see when the July exams start and
which Saturdays will be compulsory school days, these are usually
sport derby days and Saturday exams.

While the 2016 Year Calendar gives a
broad overview, The Monthly Planner
allows you to identify which events you
and your child may need to be involved in
during the coming
month.

One of our
most used and appreciated planning
tools is our weekly planner which is
emailed out, to parents and pupils,
on the last day of every week, usually
a Friday afternoon. This contains
details of all the events for the week,
and this is the bible that we all work
to, so you can plan your
life around this.
