WHAT IS AN
INCENTIVE?

4

The Society of Incentive Travel Excellence (SITE)
state that “Incentive travel is a global management
tool that uses an exceptional travel experience to
motivate and/or recognise participants for
increased levels of performance in support of
organizational goals”.
We know that getting incentive trips right can be
pretty difficult, that is why, as a special treat, we’ve
put together the ultimate incentives guidebook.
So join us on our incredible journey as industry
professionals with over 20 years experience reveal
their top tips for the perfect incentive trip!

DO YOU WANT TO MOTIVATE
YOUR STAFF TO ACHIEVE

ORGANISATIONAL GOALS AND
INCREASE STAFF LOYALTY?

6 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

We bet you do! And we’ve found that offering
incentive trips does just that. Incentives are a fantastic
form of positive reinforcement. If your team have worked
hard throughout the duration of the year and met or
exceeded targets you need to reward them.
Incentive trips bring co-workers together outside of the
constraints of an office environment allowing them
to relax and bond with each other. It’s amazing the
positive impacts this can have on a business!

7

GROUP INCENTIVES
VS

SPOUSE INCENTIVES

8 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

We have found that offering group incentives is
more beneficial to businesses than offering spouse
incentives. But why, you ask?
Group incentives are the ultimate form of team
building. They’re where friendships are forged that
last a lifetime and where magical memories are
made. Taking a group away that have worked
tirelessly throughout the year to achieve
organisational objectives creates a priceless
closeness and it’s no secret that a happy team is a
productive one!

ENHANCING YOUR
INCENTIVES

10 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

A FIXED BUDGET INCENTIVE 11

The client outlines their full budget and how
many people they would like to attend the
incentive. We then ensure the selected location(s)
fall within budget with everything included – we of
course allow some movement for contingencies.

A BASE BUDGET INCENTIVE

The client outlines an initial fixed budget for the
incentive. This budget would provide attendees with
everything they need to have an amazing time.
However knowing this is only the base budget, we
then produce incredible add-ons for the trip to
further incentivise workers to increase their sales.
Throughout incentive quarter(s) qualifying/top
sellers will be informed that if they increase their sales
by a certain amount then they will have access to
these fantastic add-ons!

Examples of what individuals have access to when
achieving improved sales: upgraded bedroom,
upgraded flight, access to VIP experience e.g.
swimming with dolphins, driving experience,
helicopter rides – the value of the add-ons would be
relative to the increased sales achieved.

Please note: as well as working brilliantly for individuals,
you can use the base budget incentive model for teams
too. If the team increases their sales by a certain amount/
percentage over the qualifying period then the whole group
can receive an additional perk!

TRIPS MATTER?

that organisations who provide non-cash rewards
such as incentive travel have, on average, three
times higher revenue than those that don’t. This is
because if executed correctly, incentives promote
hard work and team unity - two of the fundamentals
of any successful organisation.

HOW TO SAVE
A PRETTY PENNY!

USE THE EXPERTS

The People in the Know!
Use a well-connected agency and they will be able
to get you discounts and much better group rates.

20 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

This may sound obvious, but the best incentive trips
require careful planning.

Not only are better rates available when you
book in advance but you reduce the risk of
having to split your group over two or more hotels. You
also decrease the risk of the best activities selling out.
It is also a great idea to print off a checklist for each
member of the group beforehand, outlining everything
that they will need for the trip. Remind everyone to
exchange money prior to travelling to avoid hefty
charges and to not forget their passports.

You’d be surprised how many guys forget their
swimming trunks for a beach incentive.

TOP TIPS FOR
GETTING YOUR

INCENTIVE
DESTINATION

RIGHT!

AB

22 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

Consider transport links and ease of access.

Pick a hot right now destination that
the whole group will enjoy.

Try to choose somewhere
your guests haven’t been before.

Offer an activity that is exclusive or special
to the destination you are visiting.

23

Take the political, environmental, social and
legal conditions of the destination into account.

Get the accommodation right - Hotel? Villas?
Chalets? Meeting Space?

Consider if the destination is still in season
(for party goers and skiers!).

24 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

Incorporate unique elements that will
make your trip one to remember!

Offer attendees the chance to get involved
with a CSR activity.

Remember to consider the age, interests and
capabilities of the group.

Beware huge time differences,
especially for short trips.

25

MAKE OR BREAK

26 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

You want everyone to enjoy the activities that are on
offer. It is essential to take into consideration the age,
interests and capabilities of the group. Another great tip
is to offer an activity that is exclusive or special to the
destination you are visiting.
Another trend which is becoming increasingly popular
is to offer an activity through which attendees can give
back to the local community.

27

TAKE A VOTE!

28 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

A great method for determining a destination is by
hosting a vote. But make it fun and theme it around the
locations- think cocktails, local foods, games and outfits!
Similarly, why not offer to run a poll for the activities you
are considering gauge an understanding of the groups
preferences?

29

TRY BEFORE YOU BUY
WHY SITE VISITS MATTER!

30 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

Unfortunately places are not always as they seem in their
brochures and on their websites. Attending site visits is
essential and will help ensure that your incentive
trip runs smoothly. Without a visit it is often difficult to
anticipate any issues that your group may encounter.
Once you have settled on a destination visit several
hotels, dinner venues and attractions. Take it to the
streets, speak to locals and you might just uncover some
hidden gems along the way!

31

A SIMPLE TRICK

One great tip which will ensure that your
incentive trip is a success is providing attendees
with detailed agendas and information cards
before travelling. Agendas and information cards
should clearly outline:

THE INCENTIVE
MUST HAVES

34 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

35

1 - PASSPORT
Yes! Every year at least one person shows up without one,
or worse, with their partner’s by mistake!

2 - SUN CREAM
It can be very expensive abroad but is essential if you
don’t want to end up looking like a lobster.

3 - INTERNATIONAL ADAPTOR
Cell phone, laptop, hair straightener, if you’re bringing
them you’re going to need to find a way to power them.

4 - SWIMSUIT
Whether you’re surfing in Hawaii or skiing in the Alps,
always bring a swim suit, the group always ends up
swimming somehow!

5 - A PARTY PROP
Fancy dress, shot necklaces, funnels…incentives just
aren’t the same without them.

36 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

6 - A CAMERA
I know they say “what goes on tour, stays on tour”
but we all know that’s not true!

7 - SUNGLASSES
It doesn’t matter if you’re heading to the seaside or
the slopes for your incentive, you’re going to need your
sunnies.

8 - TRAINERS
You want to make sure that you will not miss out on any
fun games or activities.

9 - THE RIGHT ATTITUDE
You need to know you won’t be catching much sleep,so
be ready to have a fantastic time!

10 - HANGOVER KIT
Let’s be honest once you’re over 25, not even the hair of
the dog can save you. Pack your hangover kit so you
don’t miss any of the action!

37

MEASURING
YOUR RETURN

38 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

A recent SITE (Society for Incentive Travel Excellence)
Foundation survey indicated that the primary reason
for incentive program planning is now financially driven.

Moreover, 45 percent of those questioned believe that
firms who do not track results through their programs
will cease to use incentives all together. For sales driven
incentives, measurable ROI is simple to quantify, the
numbers are written on the wall.

But,for the ever growing,non-sales incentive market,you
can only estimate the value in terms of the support they
can provide for clients or customers.

It is important to clearly define“soft measures”so you can
successfully gauge your ROI when implementing an
incentive programme.

39

SIT BACK,RELAX
AND MAKE MAGICAL

MEMORIES

40 21 iNCENTIVE TRIP SECRETS REVEALED POWERED BY

Working with a professional events agency can save
you a lot of time, money, resources and stress when
planning an incentive!
Use your trip as an opportunity to forge better
relationships with your colleagues. At the end of
your trip you should feel motivated, engaged and
rejuvenated.
