4.0 OPPORTUNITY/PROBLEM STATEMENT
4.1 Problem Definition
Problem is defined by a matter or situation regarded as unwelcome or harmful and needing to
be dealt with and overcome. Any matter or situation that is unwelcome or can cause the harm
to the organization is called as the problem. Problem can be in many form whether in physical
form or non-physical and cause by many factors whether it come from inside or outside of the
organization such as the incident in workplace, the data lost, equipment malfunction and many
more matter or situation that can be called as problem in organizations. The worst situation of
problem is when the important data are been manipulate or steal form the organizations.
In this project case, the organization that we study faced with the problem related to data
management in the organization. In MASWING the data redundancy happen frequently and
the not manage very well. The data sharing cross department will increasing the redundancy of
the data. The last problem that happen in MASWING related to data management is the security
of the data. In organizations the security of data is important to avoid it from be stealing or
manipulate by other individual or organizations. The big problem we can see in the MASWING
is the security of the data in the organization. All the data that have been produce by the
organization is important and need to be pay attention to it especially to it security. That why
most the big organization send a huge amount of their money to make such the security of data.
The leaking of data can cause the huge impact to the organization. The worst problem that can
happen from the leaking of data is it can cause the loose to the organization and that thing
interrupt the other operation in the organization and lead the organization to the bankruptcy.
According to the record the number of data that lose in this organization happen every month
due to lack of attention given to that data by the management. Besides that, the number of data
redundancy that produce by the organization have been recorded in huge numbers by the
department in the organization because the cross department data sharing in this organization
not done well and make the same set of data produce repeatedly by the organization. With the
huge numbers of data that been produce by the departments, make the process to manage the
data become more difficult.
7
4.2 Opportunity Definition
Opportunity is defined by a time or set of circumstances that makes it possible to do something.
In the simple word we can assume opportunity as perfect time or event that make the thing
become possible to success. As the example during this this pandemic, it become the
opportunity to the mask maker to increase the sell of the mask their make because during this
time everyone need to wear a mask wherever they go outside and it rose up the income for the
mask maker. So we can say opportunity sometime come during the crisis.
In MASWING case it become the opportunity to the Information System companies to
introduce their systems to MASWING to overcome their problem in the field of Information
System. This situation can generate the income of Information System companies by selling
their system to MASWING. Besides that, MASWING will have the opportunity to overcome
their problem regarding the data management that the organization faced. MASWING also
have the opportunity to choose the suitable Information System that can solve their problems
and can compare the price that been offer by the information System companies. The more
function that offer by the Information System that best they are.
8
4.3 Project Assessment Against IS Plan
MASWING organization have faced the problem related to the data management within their
organization that also risk the security of the data. The implementation of the Information
System into their organization seen to the most suitable action to be taken by the organization
to overcome the problem.
Outcome
By the implementation of Information System into the MASWING
organization, it can help to solve the problem that have been faced by the organization
especially problems that related to the data management in the security in the
organization such as the frequency of data redundancy, cross department data sharing
and the most importantly, the data security in the organization.
Impact
Enterprise resource planning (ERP) is the most suitable Information System to
be implementing in their organization. The thing that make ERP become the suitable
Information System is because ERP offer many function related to the data and resource
management and at the same time it also provides a security to the organization data.
Most of the problem that be faced by the MASWING can be solve by the
implementation of ERP in the system related to cross department data sharing that allow
data to be sharing between different departments in the organization, minimize the
number of data redundancy that happen in the organization, and the most importantly
is strength the security of the data.
9
5.0 INFORMATION SYSTEM SUGGESTION
5.1 Enterprise Resource Planning system (ERP)
Enterprise resource planning (ERP) is the coordinated management of core enterprise
activities, mostly in real time and through collaboration between information and technology.
ERP is usually referred to as a framework for information administration programme, usually
a collection of interconnected tools that can be used by an organization to collect, process,
manage and view data from multiple business operations. ERP offers an integrated and
continuously updated view of core business operations using popular databases managed by a
database management system. Cash, raw materials, processing capacity, and business
obligations status are monitored by ERP systems: contracts, purchasing contracts, and payroll.
Enterprise device software is a multibillion-dollar market, producing products that serve a
range of business functions. IT expenditure has been one of the main capital expenditure groups
in US-based businesses since 2011. While early ERP systems focused on large enterprises,
smaller businesses are increasingly using ERP systems
10
5.2 Functional Description of “ERP”
1. Automated Process
ERP helps to prevent work duplication and irrelevance, thus improving productivity. ERP systems that,
through a single centralised programme, manage core business operations such as maintenance, service
and all expenses. ERP also helps to address the constant changes in configuration and different
maintenance ideas required to complete a mission successfully. This guarantees the high reliability and
airworthiness standards of the fleet.
2. Improved Visibility and control across departments
ERP provides a detailed summary of the operations in different departments and helps to identify any
issues that exist in the operations and then attempts can be made to quickly fix them. ERP is versatile
in design and complies with a wide range of handheld instruments that support versatility and usability
from all over the world.
3. Multi-Currency Accounting
ERP streamlines the processing of cash flows from foreign currencies. International and
domestic consolidation is permitted. Because of the differences in timing between incoming
and outgoing foreign currency flows, ERP helps reduce the risk of potential losses. The need
to open international bank accounts does away with this. It also provides through one app a
global transaction alternative.
4. Data security
The use of common data storage formats provided by security and data exchange protocols guarantees
the broadest possible interoperability. This does not make it too difficult for you to maintain your data
protection. ERP uses one data security framework throughout the data system.
11
Component
1. Financial Management
The final principal component of ERP is financial management. This tool works with all the
other components of the ERP system because every business process involves cash flow,
whether it is paying your staff or paying for the shipment of goods. The financial management
module analyses your financial data, including receivable accounts payable accounts, budgets,
and costs, and keeps track of them. Your analysis of data can reveal trends in your spending,
help you better understand how to calculate your profit, and find out where you can cut costs.
2. Supply Chain Management
Creating an efficient supply chain is never easy especially when you do not have the best
oversight tools for your operation. To remain competitive in this arena, ensuring that your ERP
has a Supply Chain Management (SCM) component is crucial. Your SCM should optimise
distribution and manufacturing processes to create a more effective supply chain. This starts in
real time with the collection of data.
3. Human Resources
Managing your staff is typically the number one priority. Without them, you don't have one
firm. The HR ERP module will be able to perform workplace management functions such as
onboarding, offboarding, timekeeping and benefit management within the software system.
Consequently, payroll software is the most important feature to look for in an ERP component.
Manually implementing payroll and issuing direct deposits is extremely time consuming and
not cost-effective.
4. Business Intelligence
In ERP systems management, business intelligence (BI) has increasingly become a standard.
The BI feature of ERP collects information and performs analyses that can provide actionable
insights into business processes. BI becomes indispensable when companies start relying more
on data-backed decisions. Insights into the reports are provided by the best elements of the BI
ERP. In BI, a good reporting feature is extremely important and helps you make sense of the
analysed data.
12
5. Inventory Management system
The inventory management component is highly collaborative. It works with the SCM
component while dipping its toes in other warehousing and sales processes. Managing order
fulfilment and maintaining stocking functions for a warehouse include some of the main
features of this component.
Activities
1. User training and education
In the MIS literature, the role of training in facilitating software implementation is well
documented. Failure to train users and failure to understand how enterprise applications often
seem to be responsible for many ERP implementation problems and failures. Computer-based
intranet programming was discovered to make ERP applications simpler.
2. Management of expectations
Successful programme implementation relates to. Successful control of product satisfaction.
Over-sold ERP systems may fail to meet standards, given the positive contributions to the
company. With the creation of a business case for educating people in the use of the completed
device, managing expectations seems to be extremely important.
3. Careful selection of the appropriate package
Choosing the right package during start-up However, essential decisions are included in the
adoption phases regarding the budgets, timetables, objectives and deliverables that will form
the entire project. The larger the selection effort for the ERP involved, the greater the overall
growth opportunity.
13
6.0 CONCLUSION
In Conclusion, MASwings has operated long since 2007 at east Malaysia for Rural Area
Services. The community has more optional for domestic travel within the airlines. The
business size of this airlines has 26 destinations and can be access within airports than build
for the company. The system that we have recognise on this airline company is Enterprise
Resource Planning System (ERP). The problem that have been faced by the company which
are security data and administrator management thus this company is not big such as Air Asia
and under family company of Malaysia Airlines. The implementation of the Information
System into their organization seen to the most suitable action to be taken by the organization
to overcome the problem. Meanwhile we have seek suggestion for the desired outcome of the
airlines information systems. Such as, ERP may address the constant changes in configuration and
different maintenance ideas required to complete a mission successfully. This shows that the airlines
company may improve their information system as to continue operate which superb services.
