Solawat andSalam toourbeloved N abi Muhammad, his family, and his companions. Welcome to Little Caliphs® Kindergarten. Congratulation! Your precious young one is now entering a new world of learning in a very stimulating and Islamic environment. This booklet intends to brief you about the kindergarten and the terms and conditions for your children’s enrolment and study. ABOUT LITTLE CALIPHS KINDERGARTEN Little Caliphs® is your neighbourhood Islamic-EnglishCreative kindergarten that helps children to realize their best spiritual, intellectual, socio-emotional and physical potential. Unlike other conventional kindergarten, this kindergarten applies The Little Caliphs® Program, a proven Islamic and English content and methodologies for teaching the children the meaningful foundation of Islam, learning and living skills.

3 1.1 Opening Days 1.1.1. Our Program operates from Monday to Friday and from January to November/ December(depends on MOE Academic Calendar. The students are encouraged to participate in additional holiday program organized by kindergarten. 1.2. Operating Hours 1.2.1. Your child shall follow the kindergarten schedule on time. Monday to Thursday: Friday: 1.2.2. As a compliance to SOP, staggered dismissal time might be practiced. We will inform the staggered dismissal time should there be any changes. 1.2.3. Any excess period after above mentioned time is considered as overtime. Teachers will record the charges and will be accumulated monthly. The Management will inform the total amount of Late Pick Up Charges on every 25th of the month. This extra charge will be payable together with monthly fees. 1.2.4. 4 1.2.5. Students Attires Students shall wear school uniform everyday except on activity day as follow: Monday – Friday School Uniform Wednesday (Activity Day) Weekly Sport Attire 1.3. Notice of Absence 1.3.1. Please ensure that your child attend their classes consistentlyand continuously. 1.3.2. Your child is not advised to come before the kindergarten’s operating hour unless they receive the permission from their class teacher orprincipal. 1.3.3. We discourage late comer for class session as it will affect your child’s activities and schedules. 1.3.4. The parent shall inform the kindergarten teacher in case the student is sick or absent or unable to come to school. 1.4. Sending / Picking Up Procedures 1.5.1 Parents are required to help your child organize their shoes at their rack. 1.5.2. Your child must be accompanied into the Kindergarten premises and handed to the teachers. 1.5.3. A prior notification is required to the Principal for any other guardian to fetch a child from kindergarten. In addition, the child’s guardian has to provide proof of his/her identity, and to show ‘Pick Up Card’ (will be provided on the first day of school). 1.5.5 Parents and guardians are advised to respect the neighbourhood area. Please give cooperation by keeping the neighbourhood safe, clean and smooth roadtraffic. 1.5. Special Needs 1.5.1. Children with special needs (Eg: Speech Delay, ADHD) are highly advised to have prior discussion with the Principal. Please also have an external consultation with Medical Professional before apply for registration at our kindergarten. 1.5.2. If the child condition is confirmed by the doctor as a special need children, we highly recommend that your child be referred to a suitable centre. 1.5.3. The parents and guardians are responsible to disclose any health and development issues of your child. Failure to do so, will result to your child’s registration be reconsidered for admittance in our center. 1.5.4. Should the school find any Behaviour or Late Development Problem of the children, parents / guardian is required to refer to the Specialist for diagnosis. The children should attend the therapy session as scheduled by the Specialist. The Kindergarten has the right to terminate the student should parents refuse to send for therapy session or treatment. We would like to highlight that we are a not a Specialist in handling special needs students.


5 2.1. Safety 2.1.1. The safety of your child is always given the first priority. Kindergarten staff are well- trained to ensure that your child is always under care and supervision. 2.1.2. Your child becomes aware of safety through learning. Kindergarten provides a safe environment to help them take care of themselves. 2.2. Security 2.2.1 The kindergarten gate is kept closed and locked at all the time when not in use. Your child must be taken into the Kindergarten gate and handed to the teachers. 2.2.2. In the time when parents need to send representative to pick your child, Management must be informed in advance if the person who will be collecting the child is not his/her parents. Parents are required to provide (through whatsapp) the representative’s MyKad and details of his/her vehicle. The person also MUST show ‘PICK UP CARD’ to the teacher on duty. If fail to do so, dismissal process will take longer time for verification. 2.2.3. All visitors who enter the kindergarten must record and update their particulars i.e. name, contact number, MyKad, purpose of visit. (Applicable to all - HQ staff, Authority Personal, parents/guardian). 2.2.4. Management of kindergarten is responsible of the safe environment to your child and safety around the premises. 2.2.5. The kindergarten management will ensure to provide a good care of your child during our outing activities or educational trips. 2.3. Follow-up procedures on Accidents within the premises. 2. SAFETY & SECURITY MINOR ACCIDENT Accident(s) during our care Teacher reports case to principal Principal takes care or administers the initial care Principal informs parents or guardian within 2 (two) hours Accident information and actions will be recorded MAJOR ACCIDENT Accidents(s) during our care Teacher reports to principal Principal serves emergency assistance or bring to clinic directly Principal informs parents immediately or after doctor has attended to the child Accident transparency report and actions wil be recorded & LC Principal & Guardian to co-sign & a copy will be provided to the guardian


6 3.1. Immunisation Record and Allergies 3.1.1. The management has the prerogative to get a copy of birth certificate and immunisation record for our documentation as required by the Ministry of Health. 3.1.2 The parent or guardian should provide a list of the child’s allergies to the kindergarten, if there is any. 3.2. Health Check-up 3.2.1. Upon arrival, your child will undergo basic health checkup (body temperature, checking hands and nails) every morning. We have the right to disallow your child to join the school if we find that they have any symptom or aren’t fit to attend the session that day. 3.2.2 Your child’s temperature will be recorded. As part of our health policy, children with body temperature of 37.5o Celsius and above will not be allowed to attend the kindergarten. 3.2.3. In that case, parents are responsible to take their children for immediate check-up. 3.2.4. Teacher needs to check and record if the student has any obvious swollen condition or injury on face or body. 3.2.5. Rest time or nap time are compulsory in daily routine. 3.3. Sick Children 3.3.1. If your child is showing signs of illness or infectious disease while in our care, we will contact you to fetch your child immediately. Please refer to appendix 3.5.2. 3.3.2 Anyone displaying signs of infectious disease will be excluded from the learning environment for the period recommended until further clearance letter from certified Health Practitioners that confirm that he/she is well enough to attend classes. 3.4. Contagious Diseases / Viruses / Covid-19 3.4.1. Children can easily be infected. If your child is showing any symptom of contagious disease or infected by any virus, he/she has to do check-up and complete quarantine period (if infected) before attending kindergarten again. Contagious diseases and viruses are chicken pox, H1N1, hand, foot and mouth (HFMD), viral fever, Covid-19, etc. 3.4.2. If your child contracts an infectious or contagious disease, please inform the kindergarten immediately. Health declaration must be provided from certified doctor only. We may request a medical clearance letter from government hospital or clinic before your child can return to our programme. 3.5. Emergency Case 3.5.1. We cannot afford to be fined or held responsible by Health Office or parents themselves, by receiving sick children to be in school, should anything happen with regards to children’s health. 3.5.2. Management will contact the parent/ guardian, but should you are not contactable after 3 calls, we will ensure your child is appropriately cared for. It is very important to make sure emergency contact & authorized nominee information is up-to-date at all times. Any medical transport cost incurred, will be at your expense. 3. HEALTH


7 4.1. Uniform 4.1.1. Student must wear clean uniform and Weekly Sport Attire. Please refer to clause 1.3.1. 4.1.2. Student should take a shower before coming to kindergarten. A child has to come to kindergarten ready to attend class. 4.1.3. Please take note that there is no shower service available during the day care. Students will change their clothes during day care session. 4.2. Day-care Arrangement 4.2.1. Meal We allow your children to bring their own favourite food if it’s not provided at our kindergarten. 4.2.2. As an Islamic Kindergarten, we work to keep the premises and equipment clean and well maintained. Particular attention is paid to hygiene when providing food and drink. 4.2.3. Towels Parents and guardians are encouraged to provide a clean bath towel for daily use (to change clothes). Towels will be brought back every day. 4.2.4. Dirty clothes bag Parents should provide plastic bags for daily dirty clothes. 4.2.5 Mattress and Pillow Parents are highly encouraged to provide own mattress (waterproof) and pillow for student for hygiene purpose. Mattress will be kept at school and pillow will be brought back everyday. 4.2.6 In order to avoid confusion, we advise your child’s clothing for daycare and other belongings to be clearly imprinted or labelled by parents with child’s name. 4.2.7 We require that every child bring two pairs of complete appropriate clothes. These are to be used during day care transition and another pair in case of your child’s clothes get wet or soiled. These clothes can be put in school bag, as we limit one (1) bag per child. 4.2.8 We highly encourage parents to start toilet training for your children before starting their school session. Appreciate to communicate with teachers and Management if your children are still wearing diapers (not encouraged for hygiene purpose) or just started with toilet training, so it will be better organized. 4.3. Basic Cleanliness 4.3.1 Your child has to clean his/her hands with hand sanitizer once entering the kindergarten. 4.3.2 Lice Parents should ensure that the child’s hair is free of lice. If you find that the child has been infected and the egg has hatched, parent must inform the kindergarten and supply the shampoo for her/his use. 4.3.3 We will isolate the child from others during the nap time. All her belongings will be returned for disinfection at home. We will also do the necessary process at the our centre. 4.3.4 The management might ask your child to stay home if necessary. 4. CLEANLINESS


8 4.3.6. Boys should cut their hair short all the time and girls are allowed to have long hair, clean and tied up inside the hijab. 4.3.7. Girls must dry their hair up before covering with hijab to avoid getting smelly. 4.4. Milk Powder and Milk Container 4.4.1. Milk powder should be kept in small dispenser. We do not encourage to use scoop as to minimize physical contact while preparing your child’s milk. 4.4.2. We will train children to drink milk in a cup. However, parents can spare a milk bottle in child’s bag, in case they refused to drink in a cup. 4.4.3. The milk container and milk bottle should be brought back every day to be washed, sterilized and refilled at home. 4.4.4. Please change the bottle nipple when necessary (if using milk bottle). Parents should ensure that bottle nipples are in good condition and clean. 4.5. Smoking Area 4.5.1. Kindergarten area is Non Smoking Area. Parents or guardians are strictly prohibited from smoking or discard cigarette butts in Kindergarten area at all time. 4.6. Littering 4.6.1. Do not litter in kindergarten area. Parents and guardians are strictly prohibited to litter inside or outside the kindergarten area. Little Caliphs Uniform Weekly Sport Attire


9 5.1 Menu Schedule 5.1.1 Menu Schedule will be shared in our Official Telegram for Parents before the First Day of School, and can be viewed at Kindergarten’s Notice Board. 5.2 Food Allergy 5.2.1 Our kindergarten will ensure to provide non-allergic food. Kindly refer to clause 3.1.2. 5.3 Junk Food 5.3.1. Your child is not encouraged to bring junk food or sugary food to school. 5.4. Sunnah Food 5.4.1 Parents are highly encouraged to give Sunnah Food to your child such as raisin, dates and honey for mind food and healthy life. 5.5. Birthday Celebration. 5.5.1. Kindergarten will conduct Birthday Celebration at school every month. During celebration, parents are allowed to bring cake and/or goodies for his/her friends. Please ensure that all the food is HALAL (with HALAL JAKIM Logo) and healthy for them. Insha Allah kindergarten will provide memo with detailed information regarding celebration a week before celebration day. 5. NUTRITION


10 6.1. Please make sure that your child does not bring along any equipment such as comic, expensive stationeries and toys from home as the Kindergarten has provided these for your child. Also, we remind you that the Kindergarten’s properties shall not be taken out of school premise to home. 6.2. Remember little children are often in a hurry to go to toilet, therefore we advise parents not to put belt or braces on. We strongly do not encourage your child to wear jewelry at kindergarten. We will not hold responsible for any loss or damage. 6.3. Your child / children are not encouraged to bring money to Kindergarten. In our kindergarten, we have three (3) types of log books. 7.1. Health Check-up Log Book 7.1.1. Please refer clause 3.2.1. 7.2. Visitor Log Book 7.2.1. Principal or teacher will keep the personal information of the visitors (including parents and guardians who entered premise) recorded in the Visitor logbook. 7.3. Overtime Log Book 7.3.1. Parents need to inform the principal or teacher for any delay to pick up your child i.e. later than 1.00 pm for half day and 6.30 pm for full day. Please refer to clause 1.2 for Operating Time. 6. 11 8.1 Monthly Fee 8.1.1. Monthly fees are payable by the 7th of the month. Payment methods are preferable through Online Banking or Cash Deposit. Cash payment are not advised. Proof of payment must be submitted via whatsapp to the Management. 8.2. Fee Structure 8.2.1. Please refer to the official Fee Structure provided upon registration. 8.2.2. Monthly fee is from January to November/December, whichever is applicable. 8.2.3 Fee for long school holiday month is only applicable to children that are sent to our daycare kindergarten only (depends on MOE Academic Calendar). 8.3. Discount for Siblings 8.3.1. RM20 monthly fee discount for 1st child for Example 1, and 1st and 2nd child for Example 2. Example 1: Monthly fee full day: RM 530 1st Child: RM 510, 2nd Child: RM 530. Example 2: Monthly fee full day: RM 530 1st Child: RM 510, 2nd Child: RM 510, 3rd Child: RM 530. Note: The discount is VALID for Full Day programme ONLY. 8.4. Trial Session for Student 8.4.1. We cater parents’ request for trial session. The charges would be RM125 for half day session and RM200 for full day session per WEEK. Each student is entitled to get maximum of one (1) week of trial session at the specified duration determined by the Management. 8.5. Monthly Payment Policy 8.5.1. Our monthly fee is based on a prepaid basis. The fee is payable for each month once the student joins the school session on 1st day of the month. 8.5.2. The due date of the monthly fee payment is by the 7th of that particular month. “E.g.: February monthly fee of RM530, is due by 7th of February that year.” Note: Monthly fee for the first month has been included in the yearly Fee Structure. 8.5.3. Progressive reminder will be sent for any outstanding fees. For cases of outstanding fee for more than 7 days from due date (7th of every month), the management has the right to temporarily dismiss your child from the programme until full payment is made. 8.6. Monthly Fee for Long Absence 8.6.1. Long absence due to valid reason: 8. REGISTRATION & MONTHLY FEE


12 Charge: 50% of the monthly fee should be paid to the kindergarten as a commitment fee to reserve seat of your child. This is only applicable with a letter notifying the management at least 1 (one) month in advance. Note: Maximum of two (2) months absence are allowed. After 2 months, the full monthly rate will be applied. 8.6.2. NO REFUNDS OR DEDUCTION can be given if a child is absent due to illness, holiday or decision to stop attending the school. Please inform the principal in advance if your child is going to be absent. 8.7. Monthly Fee for School Holiday Month 8.7.1. School Term Holiday (Jan – Nov): Full Monthly Payment despite school holiday period. December School Holiday (Full Month): Full Monthly Payment if your child is participating for School Holiday Program. Otherwise, no payment will be charged. However, the situation depends on the Academic Calendar released by the MOE. If there is school session in December (minimum of 2 weeks), normal monthly rate will be applied as usual. 8.8. Closure of Kindergarten 8.8.1. Kindergarten has the right to close its operation up to 14 days as instructed by the Authorities due to natural disaster (haze, flood, etc) contagious disease (HFMD or chicken pox, H1N1), epidemic / pandemic (Covid-19, etc), and any related decision instructed by the Government. Monthly fee will be charged in full; no reduction or refund will be given. 8.8.2. In the event of Movement Control Order / Lock Down due to situation as stated above, where kindergarten & daycare service are instructed to be closed, there will be no refund of monthly fee for that particular month. In the case of extension of MCO / Lockdown, monthly fees for the following months will be revised and notified to parents. It is compulsory to join the Online Learning Program offered by the kindergarten. 8.9. Payment of Trip and Event 8.9.1. The trip and event payment are included in Annual Educational Semester fee for that particular year. There is NO REFUND if the students are not able to join the trip / event. 8.10. Annual Educational Semester Fee 8.10.1. Annual Educational Semester Fee is RM400 per Semester OR RM770.00 for the respective year. Parents can choose either to pay by semester or per year. 8.10.2. 13 • Communication File • School Holiday Program • Other celebrations: Khatam Little Qari, Farewell, Career Day, Maulidur Rasul. 8.11. Photograph and Certificate Folder for Ihtifal 8.11.1. Graduation Fee for KG II 6 & Pra Tahfiz has already been included in the fee structure for the photography package and Certificate Folder for their graduation. 8.12 Booking Fee 8.12.1 Kindly take note that booking fee will be forfeited if you fail to enroll the students. 8.13 School Holiday Programme 8.13.1 School Holiday Programme is planned for every term, both short and long school holiday. 8.14. Refund Policy 8.14.1 Monthly Fees: Non refundable and non transferable once the student starts attending the first school day of that particular month, regardless of the actual number of schooling days. 8.14.2. Semester Fee: No refund once the student starts attending the first school day of that particular Semester. (Pro-rate refund might be considered on case to case basis) 8.14.3. Merchandise Items: There is no refund for the merchandise items. We will return all the merchandise items that has been paid during registration. However, all issues related to refund policy may vary subject to the Management’s discretion. 9.1 Each student is subject to the insurance charges provided by the management at RM20 per year. 9.2 Parents who have more than one child need to pay full insurance charges without discount. 9.3 Kindly provide the documents listed below to our principal if you want to claim your Takaful . . *products used by your child may differ from the ones displayed 9. 14 Insurance • Compile original receipt • Original medical report • Claim form 10.1. School Holiday / Public Holiday 10.1.1 We observe all gazetted Public Holiday announced by the State and Federal Government. 10.1.2 Holidays directed by the Department of Health in the event of any epidemic, pandemic and infectious disease or viral disease in the affected premises. 10.1.3 In some situation, we may close class session but offer daycare services. We will notify for any changes or updates. 10.1.4 The management will provide general Yearly Academic Taqwim during First Week of School for references. Any changes will be updated from time to time. 10.2 Natural Disaster 10.2.1 In the situation of landfall, floods, earthquake and fire, the Kindergarten will need to consider shutting down operation temporarily. 10.2.2 Pollution • In hazardous weather caused by pollution such as haze, the kindergarten will run as usual if the IPU is below 200 since we are operating indoor activities. All outdoor activities will be postponed until the haze fades away. 10.3 Replacement and Event Holiday • If events such as Ihtifal and Sports day are conducted during weekends (Saturday/ Sunday), an event holiday will be taken on the next working day. • There are also holidays that will take place based on the current needs such as holidays in Aidilfitri/ Aidil Adha which will be announced a few days in advance. • During Ramadhan month, our operating time will be reviewed, based on kindergarten’s management discretion. The operating time will be announced few weeks before fasting month starts. 10. PUBLIC HOLIDAY, REPLACEMENT & EVENT HOLIDAY 11. NOTICE OF LEAVING


15 11.1 In order to get smooth refund of Educational Fees (Management will list out the refundable items), Notice of Leaving the kindergarten is to be submitted to the Management one month earlier. 12.1 Channel of Communication 12.1.1 Telegram Channel The kindergarten’s main communication channel is via Telegram Channel. This Telegram Channel will be used to disseminate various important information with regard to the Little Caliphs Metro Prima's activities / programmes / memo. 12.1.2 School2me Apps Parents are required to install School2me Apps to receive all information (memo, events, holidays, task, attendance, etc) from kindergarten. ‘What Your Child Has Learnt’ will be posted in School2Me Apps on monthly basis to have a glance on what your child has been learning and doing at the kindergarten throughout the month. This School2me Apps aims to increase the effectiveness of the communication between school and parents/guardian, as well as to ensure the information will reach all parents effectively. Therefore, it is compulsory for all parents to get this apps installed in smart phone. Otherwise, we will not hold responsible if the communication does not reach you. 12.1.3 WhatsApp/Call Official concerns on urgent and emergency matters can be transmitted via whatsapp and phone calls. Refer to clause 12.6 for person in charge contact number. 12.1.4 Parents’ Notice Board at the Kindergarten Our kindergarten will paste the monthly activities/memo or events for parents to be reminded of your child’s upcoming activities. Class Schedule and Menu will also be pasted for parents’ reference. 12.1.4 Parents-Teachers Meeting and Progress Report Parents-Teachers Meeting will be conducted twice a year (per semester), and Progress Report of the student will be presented and discussed during the meet up. Therefore, parents’ presence are strongly encouraged to discuss on children’s performance at school. 12.2 Parental Involvement 12.2.1 Parents can take part in their child’s development in several ways: • Always talk to your child about Islam and being a good Muslim. • Listen to your child. Children are very curious about the world around them. Always relate their questions to Allah. • Read story books together with your child to encourage his/her reading passion. • Reward your child when he/she does something good. • Develop sharing and good interaction in the Pre-School level. 12. PARENTS' COMMUNICATION & INVOLVEMENT


16 • Encourage friendships with peer group, i.e. children of a similar age. • Continuously encourage your child to perform the 5 times daily prayers with you which is part of our practice in our kindergarten. 12.2.2 Do come to all our programmes especially in Fast Reading Technique Seminars, Parents’ Meet, Sports Day, Ihtifal, Raising Young Caliphs and special gathering. 12.2.3 Do support your child if the class teacher gives him/her activities to continue with parent at home such as experiment project. 12.3 Complaint Procedures 12.3.1 Parents having complaint against the Kindergarten should firstly discuss the issues with Kindergarten Principal clearly. Your complaint will be forwarded to the management/ operator for further action/ settlement. 12.3.2 Parents are allowed to discuss professionally with Principal or teachers by appointment. Do discuss in a good Islamic manners with the guidance of Allah to solve the issues that come into attention. 12.4. Any changes of address and contact number must be updated to the management immediately. 12.5. Your child’s Belonging 12.5.1. We highly encourage parents and guardian to train the children to get to know their own belonging especially the things they bring to Kindergarten such as shoes, bag, and towel in order to avoid missing items. 12.5.2. Children’s clothes must be clearly named. It is compulsory for parents to label all the children’s belonging.
