Dear Vacation Trainees,

Here is a guide to help you with some processes or information that may be very useful for you during
your stay here with us at KPMG in Malaysia. Should certain parts of the manual be unclear or confusing

2.2 Your staff ID card access:

• Own department: at all times (including weekends & public holiday)

• Other departments: Monday – Friday, 8:30am – 6:30pm

• Filing room, Finance, MIS, PPC, ITS and Corporate Floor:

• Monday – Friday

• 8:30am – 12:15pm

• 1:15pm – 5:30pm

2.3 Loss of ID card: immediately report to Admin Department to deactivate the lost card and replace
with a new card. A penalty of RM50 will be imposed on the loss and replacement of card.

3. Leave Application NOT ENTITLED. If you wish to apply
Contractual Leave (e.g., Annual Leave) for non – medical leave, kindly apply for
Medical Leave unpaid leave.

Covid-19 leave month of service referring to the LOA.

3.1 Steps to apply for Unpaid Leave or Medical Leave:
a. Download the Leave Application Form.

b. Print out and fill in the documents. Then, discuss with your Performance Manager on leave
application dates and obtain their signature approval.

c. Obtain HOD’s signature approval.

d. Submit completed form to PPC in-tray at Level 1. For Medical Leaves, please attach an

original copy of your Medical Certificate along with the leave form. Kindly ensure that

you submit your medical leave within 1 week from your leave day. Page 6 of 11

4. Medical Claim Application
4.1 Steps to apply for medical claim:
a. Download and print-out the Petty Cash Voucher Form.
b. Complete Petty Cash Voucher Form, NOT Payment Voucher The form should look as
below:

c. Discuss with your Performance Manager on the medical claim and obtain their signature
approval.

d. Obtain HOD’s signature approval.
e. Submit completed form to PPC in-tray at Level 1. For Medical Leaves, please attach an

original copy of your Medical Certificate along with the leave form. Kindly ensure that
you submit your medical leave within 1 week from your leave day.

5. Extension/Early Termination Application Must be done 2 weeks before original
Extension ending date.

Early Termination Must be done 2 weeks before early
termination date

5.1 Steps to apply for changing date:
a. Download Internship Extension / Early Termination Form:

b. Complete form & discuss with your Performance Manager on leave application dates and
obtain their signature approval.

c. Obtain HOD’s signature approval.
d. Submit to Liyana Annuar ([email protected]) or Umairah Surhan

([email protected]) within the stipulated time stated above.

*Take note that should you terminate your internship early than the initial date, you will not be
eligible for a testimonial.*

Section B:
1. Prerequisite Internship Guide

1.1. Download and print out Internship Evaluation Form.

1.2. Fill in required details and submit to Senior-in-Charge and/or Performance Manager

for them to complete their evaluation.

1.3. Have them pass it to their Department’s Secretary (if any) once completed. If there is

no Department Secretary, let them know they are to pass the form directly to PPC.

1.4. If there is a Department Secretary, they will pass it to PPC.

*Important: Do not take back the forms after the Senior-in-Charge and/or Performance Manager
complete their evaluations.*

2. Last Internship Day

2.1. Make sure to clear your work/do relevant handovers in the morning.
2.2. Ensure that you have completed the Intern Feedback Survey. The survey is sent to you via

email on a monthly basis. Kindly ensure that you complete the survey in your last week of
internship, before you start your clearance.

2.3. Download Internship Clearance & Testimonial Form

2.4. Complete the forms and wait until 2pm to start clearance. Earlier requests will not be

entertained. An email on how to do your clearance is sent on a monthly basis. Kindly ensure that
you read it thoroughly and follow the instructions.

2.5.Pass the forms to PPC and you will be briefed on what to do during yourclearance.

*You are to start your clearance at PPC and follow the order of the departments on the
list.
DO NOT start your clearance at any other departments other than PPC.*
