PRE-PROCESSES

1) The Online Briefing Session to all participants and teachers-in-charge

Date : 10th August 2022 (Wednesday)
Time : 10.00 a.m. - 12.00 p.m.

Brief Description: The briefing session will cover the administration of the online

competitions and also reminders on the technical aspects of the
competitions.

2) The Rehearsal Session for The Impromptu Presentation

Date : 11th August 2022 (Thursday)

Brief Description: The online rehearsal session intends to expose the participants and
teachers-in-charge to the procedures of the real impromptu and invigilation sessions.
We aim to conduct the following processes;

1- Checking the audio and visual quality.
2- Assisting the participants and teachers-in-charge in getting the right setting.
3- Explaining and demonstrating the real procedures which will be applied in the real
impromptu sessions.

3) The Camera Checking for Scrabble Invigilation

Date : 11th August 2022 (Thursday)
Time : 2.00 - 5.00 p.m.

Brief Description: The session intends to expose the participants and teachers-in-charge to the procedures involved
in joining VDO.Ninja for surveillance. At the same time, the invigilators will assist the participants to set the camera
placing in order to get the right camera angle. Additionally, the requirements of the surroundings will also be
informed during this session.
We aim to conduct the folloeing processes;
1- Assisting participants to join VDO.Ninja.
2- Assisting the participants and teachers-in-charge in getting the right camera setting

and placing.
3- Getting the audio and visual connected to VDO.Ninja.
4- Reminding and assisting the participants to get the right surrounding for surveillance.

These competitions involve submissions of 1st part video:
Storytelling, Public Speaking Primary School, Public Speaking Secondary School,
Poetry Recitation Secondary School

Do not include any personal information namely the school's name, name of the district, or state as the

Kindly ensure that the visibility of the video uploaded is set to unlisted before it is saved. The unlisted link is later
to be provided in the Google Form.
Please ensure that the video uploaded is in landscape mode & the background is plain.
Subtitles must not be in the video.

The format of the script is PDF. The script has to be in PDF format before it is uploaded
onto the Google Form

Do not include any personal information namely the contestant's name, school's name, name of the
district, or state as the title of the script document. Please use the format of <name of the
competition> space <contestant number> space <title of the performance>

Kindly follow the instructions given in the concept paper for font and spacing.

Please do not include any personal information of the participant in the script.

The script must not have beginning and end credits (e.g. appreciation or special thanks note)
A list of references may be included. It is completely optional.
The background of the script must be plain white to ensure the maximum visibility of written words.

The Modes of Presentation During Impromptu Session

1 Relaxing Mode Relaxing mode can be applied by all
participants when they are waiting for
their turns to be in the quarantine room

2 Preparing Mode Preparing mode can be applied by all
participants when they are preparing
in the quarantine room

3 Performing Mode Performing mode can be applied by all
participants when they are presenting
before the judges virtually

1 Relaxing Mode

The participant is allowed to drink, eat, read and communicate with their teacher.
The desk and the surroundings should be free of clutter.
The participant's microphone(front and back devices) has to be switched off.
The web camera (front and back devices) must be switched on at all times.
Participants are required to obtain permission from the room master if they want to go to the
washroom.
The presence of a teacher in the web camera is permitted.

2 Preparing Mode

The web camera (front and back devices) and microphone (front device) have to be switched on all
times.
The Participant is no longer allowed to drink, eat, read or communicate with anyone else except
with the technical officer who acts as the quarantine master.
The participant is expected to obey the technical requirement of the surroundings.
All participants are allowed to sit during this mode except for storytelling participants, who are
expected to stand during the 30-second preparation time.
This mode remains until the end of the quarantine time.

3 Performing Mode

The web camera (front and back devices) and microphone (front device) have to be switched on all times.
The participant is expected to stand while delivering his / her impromptu performance - sitting is permitted
if the participant is unable to stand due to health or physical constraints.
Any communication with other people is strictly prohibited. The participant is only allowed to
communicate with the judges if needed.
Depending on the clarity of visual and audio, the judges may ask the participant to move nearer to the web
camera up to 50% body appearance in the web camera

2. Choose a quiet place. Avoid common space.
3. Have good lighting. Switch on the light if needed.
4. Show a clear view of both players and the desk.

Players are not allowed to change to other tabs during
the game. Stay on woogles.io.

3 Starting Each Round

After connecting both devices to the OBS Ninja, players must wait for the invigilator to set up the
surveillance system.

Once the surveillance is ready, the invigilator will inform the teacher in-charge to leave the room.

After the teacher leaves, players wait at Woogles Tournament Room lobby for the Tournament
Director to open the round.

Once the Tournament Director opens the round, players will see “I am ready” button beside their
team’s username.

Players will be taken to the game board after both teams click the button.
Both teams play until the game ends.

3 Starting Each Round

If the players face any technical issues during an ongoing game,
they must turn to the camera and inform their invigilator about
the problem. The invigilator will then contact their teacher in-
charge to assist them.
Both players must be visible in the camera view at all times.

4 After The Game

After the game ends, players may disconnect their devices from VDO.Ninja room and take a short break.

Players are required to enter the VDO.Ninja Room again 10 minutes before the next round (from both
devices).

Teachers in-charge may assist their teams in setting up the devices but they have to leave the room once
the surveillance is ready.

After the teacher leaves, players wait at Woogles Tournament Room lobby for the Tournament Director to
open the next round.
