ceremonies up to 200 guests. The beautifully manicured
Ceremony Lawn is thoughtfully positioned under the Oak tree and just a short walk to
the White Oak Grand Ballroom. Our outdoor ceremony venues are exclusive to couples
hosting their wedding reception at the hotel.

The Ceremony Package includes:
• Reserved Space for your Ceremony Reharsal one day prior to the Wedding

Create the ultimate celebration of your design within The White Oak
Grand Ballroom, Hotel Hartness’ impressive 2,600 plus square foot
reception venue. Designed with cocktail hour in mind, an elegant pre-function space accompanies the
Ballroom, featuring curated original artwork, modern soft seating, and endless natural light spilling
in through the floor-to-ceiling windows. Beyond the indoor event space is the Ballroom Terrace,
overlooking tree-lined ponds and the beginning of the property’s 140-plus acres of nature preserve.
The Ballroom and Terrace uniquely and seamlessly become one with the fully moveable folding glass
wall, creating a fully customizable indoor-outdoor venue.

All Evening Reception packages include a four-hour Reception with a
Premium Bar, Passed Hors d’Oeuvres during Cocktail Hour, a complete
dinner experience—whether served reception-style, stationed, or plated—
prepared by our Culinary Team, and a selection of gourmet Desserts. Your
Hotel Hartness Wedding Specialist will work with you throughout the
planning process to build a package unique to your event including menu customizations, event layouts,
and personality through subtle details such as signature cocktails, fun late-night snacks, and more!

Your Wedding Specialist will work with you to create a detailed
event layout using our state-of-the-art 3D modeling software,
AllSeated. Standard layouts and capacities are listed below
and do not reflect use of the Ballroom Terrace in conjunction
with the White Oak Ballroom.

FOOD & BEVERAGE MINIMUMS

All food and beverage purchased for your wedding reception applies to your minimum, including
the total cost of your chosen package plus any additional food and beverage such as late night
snacks or an extended bar. Your Wedding Specialist will work with you to build a detailed proposal
for your event.

*Evening Receptions hold a start time of 6:00 pm or late.

CATERING &
EVENT INFORMATION

GUARANTEES

To ensure adequate preparation, a guarantee of the number of persons attending is required by
10:00 a.m. fourteen (14) business days prior to the event day. You will be charged for the guarantee,
or the number served, whichever is greater. If no guarantee is given, the original number of guests as
noted on the banquet event order will be used for the billing. The hotel will overset banquet rooms
by 5% of the food and beverage guarantee associated with said event. Increase in guarantee within
the three-business day period will become the set and guarantee.

MEETING ROOM SETUP

The client will confirm the set-up of the event space on the Banquet Event Order (BEO). If significant
changes to the set-up are requested after the meeting room has been set by the hotel, a labor fee of
250.00 will be assessed at the discretion of the hotel.

SERVICE & LABOR

All Chef Attendant, Coat Check attendent and Bartender fees are subject to 6% tax.

Coat Check Attendant: $150.00 per attendant (One attendant per 100 guests)
Additional Banquet Staff: $100.00 per server, per hour (4-hour minimum)
Bartender: $50.00 per bartender, per hour
Chef Attendent: $50.00 per cheff attendent, per hour

TAXES & SERVICE CHARGES

Client agrees to pay, in addition to the prices agreed upon, all State and Local Taxes (8% Food &
Beverage and an additional 5% Liquor Tax­—subject to change) and service charges (currently at
25%—subject to change). Please note the Service Charge is subject to tax.

SERVE TIME

All breakfast, lunch, and dinner buffets are priced for two (2) hours of service. All breaks are priced
for one (1) hour of service. In the event you wish to increase the length of service time, please contact
your catering representative for pricing information.

SPECIAL MEAL ORDERS

Special meals are defined as those meals requested in addition to the pricipal menu. Special meals
must be included in the guarantee. Vegetarian and kosher meals are available upon request. Please
notify your catering representative of any other special dietary requests.

OUTSIDE FOOD & BEVERAGE

Neither the client, his/her guests, nor invitees will be permitted to bring food and/or beverages
of any kind into the hotel without written permission of the hotel. In the event such permission is
granted, the hotel is authorized to charge for the service of food and beverage.

SPECIAL SERVICES

Should you require entertainment, photography, floral, specialty linen or decor, your catering
representative can provide a list of preferred vendors or assist you in making these arrangements.
