20 1. Taxes and Service Charge All food and beverage and audiovisual orders are subject to a 25% taxable service charge and 9.125% sales tax, which is subject to change. This includes a 13% gratuity that is paid directly to food servers, bartenders and bus persons (if applicable) serving the banquet. The remainder of the service charge is retained by Hotel to cover non itemized costs of the event. No other fee or charge, including administrative fees, setup fees, labor fees, or bartender or food station fees, is a tip, gratuity or service charge for any employee. 2. Anticipated Attendance and Final Guarantees Final attendance must be specified five business days prior to the event by noon. This number will be considered your minimum guarantee and is not subject to reduction. Should a final guarantee not be received, your expected attendance on your banquet event order will be considered the final guarantee. You will be charged for your final guarantee or the number in attendance, whichever is greater. Dietary restriction numbers are required when the guarantee is provided. If there are no dietary selections listed on the original arrangements the hotel reserves the right to provide a vegan meal to a number not greater than 5% of the actual guarantee. Payment shall be made in advance of the function unless credit has been established with the hotel. In such case, the complete account is due and payable no later than 30 days from the date of the function. You will be charged for the final guarantee, or number of guests served, whichever is greater. Hotel will only prepare food based on the final guarantees, and will not set rooms (noted as SET on the Banquet Event Orders) for more than 3% over the final guarantees. 3. Labor Charges A $150 labor charge will be added if the number of guaranteed attendees is below fifteen (15) persons. Buffets have a minimum of twenty five (25) guests. If your guarantee is less than twenty five (25) people, you will be assessed an additional $150 service fee. This will be used to cover our administrative costs of the Event and will not be distributed as a gratuity to our employees working at your Event. Carvers or Station Attendants are $150 per station. Bartenders are $150. If a room set-up is changed within twenty four (24) hours, there will be a minimum additional fee of $150 for the re-set. Fee subject to increase depending on the room size and complexity of the changes. 4.Meal Service and Pricing All menu prices and items are subject to change until such a time as banquet event orders (BEOs) have been signed and returned. For plated meals, the price per person will be determined by the entrée with the higher price. Meal service is based on a one (1) hour serve time. Breaks are based upon a thirty minute serve time. Due to health regulations and quality concerns, items from the buffet cannot be served during mid-morning, afternoon or evening breaks. 5.Food and Beverage Policies Due to licensing requirements and quality-control issues, all food and beverage to be served on Hotel property must be supplied and prepared by Hotel and may not be removed from Hotel property. Alternate menu selections (vegetarian, etc.) will be deducted from the total guarantee. Should either the number of alternates or the designated entrée not be adequate in amount, you will be asked to confirm in writing whether or not to incur the additional cost of preparing more entrées or alternates. Please also note that consuming raw or uncooked meats, poultry, seafood, shellfish or eggs may increase your risk of foodborne illness.

The hotel reserves the right to make room changes to a more suitable room should the initial requirements change. The hotel reserves the right to make final decisions to move any outdoor scheduled functions indoors due to inclement weather. The decision will be made by the hotel five hours prior to the scheduled event start time. 9. Signage The hotel does not permit affixing anything to the walls, doors, or ceilings that would leave damage. No signs are permitted in the Hotel lobby on the building exterior or other public area. The Hotel reserves the right to approve all signage. All signs must be professionally printed and should be free standing or on an easel. The Hotel will assist in placing all signs and banners. A $50 charge per banner will apply. 10. Displays, Decorations and Entertainment Delivery time for vendors must be coordinated with the Hotel in advance. Special ingress and egress, insurance and security requirements may apply in the case of events with decor, sets, special lighting or special sound; please consult with your catering and event manager prior to finalizing such arrangements. Nothing may be attached to the walls and ceilings. A walk-through is to be arranged with a designated person and Hotel representative after the dismantling. You are responsible for obtaining all applicable fire marshal approvals or permits required for your event. No fog machines, loose glitter, confetti, pyrotechnics or sparklers are allowed. White, Ivory, or Black linens and napkins are available through the hotel at no extra charge. Specialty linens and napkins are available at an additional cost through outside sources. 11.Security Hotel does not provide security in the meeting and event space and all personal property left in the meeting or event space is at the sole risk of the owner. You agree to advise your attendees and guests that they are responsible for safekeeping of their personal property. You may elect to retain security personnel to safeguard personal property in the meeting and event space, and/or Hotel reserves the right based on its reasonable judgment to require you to retain security personnel in order to safeguard guests or property in Hotel. Any security personnel retained by you must be at your own expense and from a licensed security company that meets the minimum standards established by Hotel, including insurance and indemnification requirements, and at all times remains subject to Hotel’s advance approval.
