Page Setup
Page Setup refers to all the settings that affect how the page will look when
printed. These include the size and type of paper used, the margins, which
way round the paper will be printed (orientation), and how any Headers and
Footers are to be displayed.
Activity:
1. Open the document Zoo Promo.
2. Click on the PAGE LAYOUT tab and examine the Page Setup group.
3. Some of the items have already been covered. Drop-down each of the
buttons and view their options, but make no changes.
4. Click on the Page Setup dialog box launcher. The Page Setup dialog box
appears. There are three tabs, all of which will be discussed in the
following exercises.
5. Cancel the dialog box and close the document without saving.

Margins
Margins determine the distance between the text and the edges of the
paper, and are usually the same for the whole document. The top and
bottom margins are reserved for features such as headers, footers and page
numbering. A large top margin can be set when working with headed
notepaper. The top and bottom margins are, by default, set to 2.54cm.
Side margins can be changed to allow space for binding (known as a gutter
margin), and to improve its readability. By default, the side margins (left and
right) are set at 3.17cm.
Activity:
6. Open the document Retreat and briefly examine its contents.
7. Display the PAGE LAYOUT tab and then click Margins.
8. From the drop-down menu, select Custom Margins from the very bottom
of the menu.
9. Increase the left and right margins to 4.5cm, either by editing the
numbers or by using the up and down spinners.

Note: There is an option to use the defined margins for the Whole document,
or from This point forward in the Apply to box.
10. Click OK to close the dialog box and apply the changes.
11. Examine the document. Notice how the chart that was on page 1 has
been forced on to a second page. As the margins have increased so
much, there is now less workable space.
12. Click the Margins button again, and this time select Normal.
13. The document margins decrease and the chart reappears on page 1.
Note: Margins can also be set from the Print screen.
14. Close Retreat without saving changes.

Page Orientation
Page orientation simply refers to which way “up” the document is printed. It
can be in portrait, , or landscape, mode.
Activity:
15. Open the document Explanation.
16. Preview the document by displaying the FILE tab and selecting Print. It
appears in Portrait mode – the default orientation.
17. To change to Landscape, click in
Settings.
18. Click Landscape Orientation. Notice that the paper is rotated.
19. Print the document using the Print button, .
Note: Orientation is also available from the PAGE LAYOUT tab and from within
the Page Setup dialog box.

Paper Size and Type
Paper sizes vary, and the size you choose should be based on the final use of
the document (for example, a report on A4 paper or an address on an
envelope). Be aware that your printer may not be able to print on every type
of paper, however – most can’t print larger than A4. Sometimes specialised
printers are required.
Activity:
21. Open the document Retreat.
22. Display the PAGE LAYOUT tab and, from the Page Setup group, drop
down the Size button.
23. Note from the list that the current document has been created in Letter
size. Select A4 from the list instead.
Note: Letter is a US size similar to A4.
24. Change the size again to A3. This is twice the size of A4.
25. Use the Size button to change the Size to A4 again.
26. Click the Orientation button and select Landscape.
27. Display the FILE tab and click Print.
28. Examine the print preview shown on the right of the screen (use Previous
and Next Page to move between pages).
Note: Notice the chart now appears on page 2.
29. Close the document without saving.
