Key points of File Management

Key points of File Management (printable)

Know where you are saving your Files

Use the Save As command to pick where you are saving your files. Select
a location, considering the drive and folder for your file. Give it a specific
name that will mean something to you.

Breadcrumb Trail

We recommend saving your files to the Documents folder.
We know we are in the Documents folder because it is the last item in the
Breadcrumb trail, and in the left panel of the file explorer, the highlighted
folder is Documents.

Use File Explorer on the taskbar in Windows or Finder on a Mac OS to
find and organize your files.

Change the way files and folders are displayed with View options to suit
your search needs. For example, extra-large or large icons help when
searching or organizing picture files.

Creating Folders

To create a new folder through the File Explorer
Go to the area in your computer where you want the folder to exist. For
example, Documents then click the new folder icon at the top.

Or right-click in a blank area of the location you want a new folder, and
choose New, then Folder from the menus.

Renaming

You can rename a folder or file with the right-click method too.
Right-click on file or folder, then choose Rename from the menu.

Selecting a file

Before performing any action such as copying, moving or deleting, the file
or folder must be selected first.

• Click once on a file or folder to select it.
• Once selected, the file or folder should appear highlighted.

Click in a blank area to deselect a file.
The easiest way to select a file or folder is to click on its icon. If you click
on the folder/file name, you may select the name only and may be
prompted to make a change to the name.

Deleting Files

To keep your files organized well, you should know how to delete files that
you no longer need.

• right-click on the file name
• choose delete on the shortcut menu
• a box will pop up asking if you are sure you want to permanently

delete this file, click Yes

When a file or folder is copied, it remains in the original location and a copy
is placed in the new destination location.

• right-click on a highlighted (selected) file
• choose Copy from the shortcut menu
• choose the location you want to copy the file(s)
• right-click on a blank space in the new location
• choose Paste from the shortcut menu
Moving (Cut & Paste)

When a file or folder is moved, it will be placed in the new destination
location and will be deleted from the original location.

• select the file or files you want to move
• right-click on a highlighted file
• choose cut from the shortcut menu
• choose the location you want to move the file(s) to
• right-click on a blank space in the new location
• choose paste from the shortcut menu
Moving (Drag & Drop)

• click once on the file and hold the mouse click
• while holding the mouse button down drag and move the file to the

desired location
• let go of the mouse button

Selecting a Sequence of Files

To highlight a continuous sequence of files:
• click once on the first file in the list
• press and hold the SHIFT key on your keyboard
