5 2023 CHS Staff Welcome Book OUR SCHOOL History Cashmere High School, Te iringa o Kahukura, has grown from small beginnings in 1956, to reach its current position as the second-largest secondary school in Christchurch. In the mid-1950s the growth of the southern part of Christchurch city gave rise to the need for a further secondary school. The Department of Education chose a picturesque sight for the new school nestled beside the Heathcote River and the Cashmere Hills. In 1956, Cashmere High School opened with 198 students under the expert leadership of Headmaster Terence McCombs. Mr McCombs was an experienced educator and politician, having held the office of Minister of Education between 1947 and 1949 and was knighted for his services in 1975. His founding leadership provided Cashmere High School with a fine reputation that it continues to fulfill today. We are proud to honour Sir Terence McCombs’ contribution to our school with the Performing Arts Centre bearing his name. Sir Terence McCombs retired in 1972 and his successors include R.A. Chapman (1973-1980), J.D. Murdoch (1981-1991), R.M. Wilson (1991-1997), D.J. Turnbull (1997-2009), M.R. Wilson (2009-2019), J.D. Eccleton (2019-present). School’s Māori Name The name Te iringa o Kahukura or “The Uplifting of the Rainbow God” was gifted to Cashmere High School by Ropata Wahawaha Stirling, QSM, who at that time was the Upoko o te Runaka o Maori Tahu, Christchurch. This beautiful name refers to Kahukura, the God of the Rainbow who hangs his korowai, his cloak, over the hills of Cashmere that surround the school. School Crest The original school crest incorporated a traditional heraldic form of a Lymphad, and was chosen by founding Headmaster Sir Terence McCombs. This single-masted ship, also propelled by oars, symbolises our school community – working together, with a clear vision, to journey forward, discover and achieve our best in life. School Colours The school’s official colours are maroon and gold. These were also selected by Sir Terence McCombs. The choice of colours was based on the school’s aim to focus on academic success – and so selected the same colours as our University of Canterbury. Cashmere High School kowhaiwhai pattern The pattern that has been selected for our school comes from a design on display in our Whare, which was designed by the Form 6 (Year 12) Te Reo Maori class back in 1993. This was created as a design assessment to portray Te iringa o Kahukura in the form of a Kowhaiwhai panel. The design forms used were koru – these represent the fern frond as it opens, representing regrowth and new beginnings as the koru (koiri) interlock representing the strength and (whanaungatanga) relationships within families of Cashmere. Mangopare –comes from the hammerhead shark design that represents strength and power. The overall shape of the design represents Te iringa o Kahukura the name for our school and the Cashmere hills. The school colours of maroon and gold have been incorporated – gold in the sky and maroon for the earth/hills.

7 2023 CHS Staff Welcome Book PROFESSIONAL LEARNING & DEVELOPMENT The focus of our Professional Learning and Development is to Aims What we do…. Improve student achievement through the use of effective teaching practice. This involves observing other staff, evaluating assessment data and student feedback and reflecting on these to further inform practice. Be part of a Professional Growth Cycle that supports staff to gather assessment data and feedback and reflect on it to inform improvements to teaching practice. Attend and engage in Pedagogical Faculty meetings where collaboration is encouraged and best practice is shared. Attend professional development which supports our strategic goals and share/implement relevant ideas Observe the teaching practice of other staff, and reflect on what has been seen and the implications for our own practice We have a collaborative research group Te Korowai Mātauraka that focus on improving the bi-cultural competence of staff and students. Support the development of middle leaders to effectively lead their teaching staff in improving the quality of their teaching practice. This may be in areas such as communication, relationships, mentoring, and department systems. Provide regular opportunities for middle leaders to share effective leadership ideas and practice. Support middle leaders to use the CHS Leadership Framework to reflect on their own leadership practice, identify an area for improvement, and work towards increasing their capability and/or effectiveness in this area. Encourage middle leaders to attend specific leadership PLD through NZIM. Improving student engagement and achievement through the use of effective teaching practice. Within School Faculty COL positions The staff in these positions form a collaborative research group Te Korowai Mātauraka which focuses on strategic priorities for teaching and learning in the school. This collaborative research group is chaired by an SLT member and also includes other relevant staff members. Professional Growth Cycle Teachers will focus on improving their pedagogical practice. They will reflect on and evaluate their own teaching practice using research, data and feedback to inform planning and practice and improve student learning and achievement. • There are two Accord Staff Only Days allocated to Heads of Faculty to use to provide PLD to staff in their faculty relating to the NCEA changes set nationally. • Staff have opportunities to attend and lead PLD sessions within the faculty. • Staff are encouraged to take opportunities to observe other staff members within their faculty and to reflect on this in order to improve their own practice. • Learning walks for faculties can be set up with the help of the SCT. • Some afternoon faculty meeting slots are specifically focused on teaching pedagogy. Agendas are set by HOFs. Over the year, 4 Professional Learning mornings are scheduled when students start school late and staff are available from 8.30 - 10am to undertake professional learning related to the school’s strategic goals. Staff collaborate with each other, sharing best practice to improve teaching practice, student engagement and achievement. Teachers gather data and feedback on student achievement and engagement which they use to personally reflect on and evaluate their own learning and improve their pedagogical practice. Professional Learning Plan 2023 The focus of these positions in 2023 is to support the implementation of the NCEA change package with specific focus on Mātauranga Māori and future focused/innovated skillset. Key tasks of staff in these positions include: • Promoting best teaching practice • Examining research, applying it to our school and facilitating the sharing of this knowledge with their faculties • Working with individual teachers around their teaching goals or inquiries • Doing teaching observations related to the relevant focus Within Faculty PLD Teachers meet within faculties and departments during allocated after school meeting times.

Self-review is a cyclical process, and used to inform our strategic thinking and planning, for the purpose of selfimprovement. Our self-review is an annual process by which our school’s performance and systems for the purpose of improving student learning and achievement. Self-review is also a mandated requirement of NAG 2 (b): “maintain an on-going programme of self-review in relation to the above policies, plans and programmes, including evaluation of information on student achievement”.

14 2023 CHS Staff Welcome Book START OF YEAR E-LEARNING UPDATES Internet access at Cashmere High School CHS uses FortiGate as an in-house internet filtering. This system robustly filters sites that need to be blocked and generates weekly reports for HoS and the Associate Principal to show the top student ‘download’ users in each level and the top websites that are being visited by our students. The other area of information to be generated is around students who are trying to browse school ‘denied’ websites. This information is to enable us to make better informed decisions about website use going forward. If students are trying to see ‘denied’ sites, a ticket will automatically be generated to the IT management company and the HOS will be informed so a timely conversation can be had with the student concerned. Some sites are blocked for students. If you want to show something from a blocked sited, i.e. Netflix, all you need to do is put in a ticket to our IT people 24 hours before you need access and they can unblock the website for a lesson. The same can be said for reverse blocking, if you want your students to sit a test on Education Perfect for example, but not have the students browse other sites to find the answer, you can put in a ticket to block all access except for the site you want to use, giving you better control in test situations. And finally, if you do see a student on a site that is inappropriate, or a gaming site during class but they deny it, again put in a ticket with regards to who the student is, and we can find the information via the fortianalyser. Operating system and school protocols The Ministry of Education provides all schools with Microsoft 365 for free. However, the majority of our staff use the google education suite, (i.e. google classroom, google sites, drive, slides). In google drive all staff members should have access to a relevant faculty drive in shared drives. Any files within those faculty folders are owned by the school which alleviates any issues of personal ownership caused by staff movement. There is also a school-wide admin folder in the shared drives which contains information around school-wide activities or processes. Booking Rooms / Spaces in the School Computer rooms are booked via KAMAR. Classrooms that are also available for a certain period will also be bookable for others for things such as student tutorials. The library (Fiction, Non-fiction, Breakout room), the 2 Gymnasiums, Meeting rooms (Boardroom, Staffroom, R-block) will continue to be booked through SOBS www.sobs.co.nz Instructions for how to make a room booking on KAMAR click here.


15 2023 CHS Staff Welcome Book Printing Solutions We have an online printing solution available that students can use to print their work to specific printers in the school. There are a number of printers available, and students choose the printer closest to their location. Instructions for student’s ca be found on the Student Start-up Page under “webprint for BYOD”. If you would like a printer to be added for a specific group of students, please send a ticket through to Contrast IT to set this up. BYOD – Bookable laptops available from the Library and Pods. 32 laptops are available for short term loan by students from the school library. This puts the onus on the students who have not got their device to go to the library and have one checked out for a lesson or a day. Students may loan these laptops before school, at interval or at lunchtime. The laptops need to be returned by the end of the day and are not to be taken home. A key part of the curriculum is around managing self, so it becomes the students’ responsibility to make sure they are prepared for learning, especially around NCEA assessments. We advise teachers to encourage students to use the loan system, but the library staff are not always available to loan laptops during class time. Teachers have the option during class time to use a number of laptops from the COW/Pod nearest to their classroom if needed. Teachers record the numbers of the laptops taken manually and cross them off when they are returned. This is an option if you have a few students in your class without a device and you have decided to change your lesson and require all students to have access to a computer. It is very important that teachers also check that the laptop is in good condition when it is returned at the end of the period. Students who are hardship candidates are dealt with through their Head of School. Please speak to them in the first instance if you think this may be the case rather than contacting home directly. (See ‘Procedures for provision of digital devices for students’ for further information around this). 16 2023 CHS Staff Welcome Book HOW TO MAKE A ROOM BOOKING IN KAMAR Go to Teachers – events planner – Find the day you want to make the booking, then click on select category and select the type of room you want to book.


17 2023 CHS Staff Welcome Book Click on available. This brings up the classrooms available on the day. Now click on the period you wish to make the booking. Double click on the selected green area. This enables you to choose which classroom you want to book. If there are many classrooms, you will be able to scroll down. Once you have you clicked on the classroom you wish to book, click select. If you are booking it during a time that you have a class, the group will automatically show. If you don’t have a class, you will need to type in the group then click ok. The classroom will then be gone from the available booking tab 5. You will see the classroom now in your bookings tab. If you no longer need the booking – go to ‘Bookings for [your code]’ via the events planner and press on the trash symbol. A warning will appear asking if you are sure. You are only able to delete your own bookings.


18 2023 CHS Staff Welcome Book WEB-PRINT FOR BYOD DEVICES The purpose of webprint, is to allow students to print from their personal device when it is connected to the “CHS BYOD Student” wireless network. To do this, they upload their document to the web-print website then select the printer and options as detailed below. 1. Go to the website address: http://print.cashmere.school.nz:9191 Enter your school username and password 2. Now select “web-print” from the menu on the left-hand side of the screen and then click submit job. 3. Now select a printer from the list and click “print options and account selection” on the bottom right. 4. Now select the number of copies and click “3. upload documents” on the bottom right. 19 2023 CHS Staff Welcome Book LEARNING SUPPORT - KEY POINTS Learning Support Register This is a register of students identified as having an additional learning or behaviour need, and who may require some adjustments in the way the curriculum is delivered or the way they are assessed. The register is compiled by Learning Support teachers and is updated termly. Most students will have a Learner Profile on Kamar outlining type of need, strengths, areas of difficulty, special assessment conditions, strategies for the classroom. Please use the Learner Profile as part of Class Specific Planning. A few students will also have an IEP or Intervention Plan. This is only if they receive individual teacher aide funding or receive external specialist teacher intervention. The Learning Support Register is filed on the Google Shared Drive/School-wide Admin/Learning Support. Learner Profile Students who have a learner profile on KAMAR can be identified by the red flag ( ) displayed at the top of student details screen or by the symbol which appears on rolls and printouts. Special Assessment Conditions (SAC) Support for internal assessments and external examinations. Students must have specialist evidence (provided externally or by school testing) to access the support. It must be approved by NZQA for Years 11-13. Making a SAC booking for Reader, Writer or Separate Accommodation Email HOF Student Support - Tom Wilkinson WKT with student name, form, date, subject and period/s of assessment. We will check availability and reply by email to confirm. Please plan ahead: 3-5 days’ notice is ideal. It is very difficult to accommodate next day or same day requests. SAC assessments take place in the Learning Support area - O1. Other conditions (extra time, computer) can be managed by the teacher in the classroom so do not require a booking request for internal assessments. Referrals to Learning Support You may notice a student presenting with an uneven profile of skills: they may be strong orally compared to their written work, they may be slow to read and process information, but their understanding is good or they may struggle with organisation/planning/sequencing of ideas in a process or multi-step activity. Learning Support can check it out through a process of teacher/student/parent feedback, observation and various screening assessments. 21 2023 CHS Staff Welcome Book Teacher Aide support This is to support individuals identified by the Ministry of Education or to support groups identified by the school. Ongoing Resource Scheme (ORS) Years 9-13 • Funded by Ministry of Education • For students with high physical,medical or intellectual needs who require the curriculum, resources or teaching delivery strategies to be individually adapted. These students are identified well before they reach secondary school. It applies to only 2% of the national student population. • Students will also be supported by a specialist teacher and will have an Individual Education Plan. Ministry of Education Behaviour Years 9-10 and Intensive Wraparound Service Years 9-11 • For students with significant behaviour/emotional needs (and sometimes learning needs). These students are identified well before they reach secondary school. • Students will also be supported by a specialist teacher and will have an Individual Education Plan. Ministry of Education Year 11-13 Fund • Focuses on at risk learners to support achievement of NCEA level 1 and level 2. Students are identified on the Learning Support Register or have often followed the supported learning pathway in junior school. • Also covers provision of Reader and Writer support in internal assessments and school examinations for students with approved Special Assessment Conditions. Board of Trustees Years 9-10 • Focuses on Year 9-10 supported learning classes in compulsory subjects. INDIVIDUAL STUDENT PROFILES FOR RELIEVERS As part of supporting some of our students who have specific individual management needs within the classroom we have identified the need for specific information to be available to relievers. If you teach one of the students who have a Individual Student Profile you will be notified by Tom WKT prior to the start of year or when a profile is put in place. It is your responsibility to ensure when writing relief that you include the following information with your relief instructions. “First Name Last Name has a student profile in the relief shelves - please read through this profile before taking this class. Do not take this document to class or remove it from the folder.” This statement is best written in the “Resource” section of the KAMAR Lesson Plan Template. TEACHER REGISTRATION Current registration is essential for all teachers if they are teaching at any school in New Zealand. It is the responsibility of teaching staff to ensure they are registered. Teachers cannot teach without current registration and both teachers and schools can be fined. The appropriate forms for this and other registration matters, can be downloaded from the Teaching Council website – www.teachingcouncil.nz Carla Smith, the Associate Principal, is your first point of contact if you require any assistance.


22 2023 CHS Staff Welcome Book Three months before your registration is due to expire Carla will send you an email with instructions as to how to complete the renewal process. Teachers are required to pay for their own registration costs as these are not covered by the current Secondary Teachers’ Collective Agreement (STCA) 2019-2022. PROFESSIONAL DEVELOPMENT Oversight of all Professional Learning and Development is the responsibility of the Associate Principal. Teaching staff should discuss their Professional Development (PD) needs with their appraiser/HOD and then seek approval from their HOF for any curriculum related PD. Each HOF is responsible for the PD budget of their faculty. Any PD requests that are not curriculum/faculty based, require the approval of the Associate Principal. Support staff should discuss their PD needs with their appraiser/line manager and then seek approval by emailing the Executive Officer. Once approval is received, please submit an application for leave (if required) and indicate any relief required. This is done by submitting a Leave/relief booking form (accessed from the Staff Start-Up page) and attach a copy of course information document from provider (required for audit purposes). There are further instructions on page 29 for leave/relief. EXPECTATIONS OF TEACHING STAFF The Teaching Council set the Code of Professional Responsibility and Standards for the Teaching Profession. The Professional Standards for Secondary Teachers – Criteria for Quality Teaching (set out in the STCA) provide the minimum standards for attestation and competency. The following are the guidelines of professional expectations of teachers here at Cashmere: • Positive relationships – with your colleagues and students (e.g. supportive, affirmative, clear communication, fair management of behaviour) • High expectations and standards – of yourself and students (e.g. formal dress, good behaviour, strong work ethic, reinforcement of school rules) • Focused on student learning (e.g. well planned lessons with variety, engaging activities, well scaffolded, regular feedback) • Student achievement in your class becomes personal (e.g. you care and follow up on underachievement) • Active in the wider life of the school (e.g. actively supporting the school’s vibrant co-curricular programmes) EXPECTATIONS OF THE PRINCIPAL • To promote and advance our school in the wider community (e.g. positive community perception, fostering student enrolments) • Focus and decisions made to best support student learning and achievement (e.g. staff appointment/retention/development, budget allocations, property enhancements) • Provide time (e.g. open door approach) and visible around the school (e.g. school events, class visits) • High expectations of myself and others PROFESSIONAL ADVICE With the growth of social networking internet sites like Facebook/Instagram it is timely for all staff to be well aware of their professional implications of using such public forums. The media has highlighted a number of recent cases where employees have been dismissed from their employment and even criminal charges laid


23 2023 CHS Staff Welcome Book against them due to inappropriate comments and/or content on such internet sites as Facebook. Our Teaching Council sets out very clear expectations of professional conduct. It is my strong advice that our teaching staff should not accept current students as “friends” on their social networking websites. Staff are also advised to be well aware that their comments and content on such public forums could become an employment issue if they are inappropriate. Please also refer to our school’s ‘Procedures on Professional Boundaries’ (located on our website) for guidance. CONTRACT ROOM 2023 This room can be found on the ground floor of A block. This room is to provide a supervised “time-out” for students whose behaviour has been deemed by the teacher to be unmanageable within the classroom. Students complete a set contract while in this room, to reflect on their behaviour and consequences. The teacher who issued the “red-card” to the student is then required to “contract” with the student as soon as possible to enable them to return back to class. The teacher is also required to enter the incident into KAMAR (our SMS) pastoral care section and contact the student’s parents to advise them of the incident and outcome. We do not staff the Contract Room in Periods 1 and 2. Students may still be Red Carded in these periods but are to be sent to allocated classrooms for supervision (see grid below). Each full-time staff member is allocated two duty slots and parttimers one. We need to be on duty on time and remain on duty for the whole time, to ensure the safety and wellbeing of the students. When you are to be absent from school you must note your duty times on the relief request form so that a reliever can be allocated your duty. Craig Squire (SQC) is in charge of duty. A first draft for 2023 will be emailed to all staff. Any changes need to be communicated to Craig (SQC). A final duty roster will be in place before the end of week two. The duty roster (as well as specific instructions for each area) can be accessed in Groups/Admin/Duty.


24 2023 CHS Staff Welcome Book 2023 ROUTINES AND EXPECTATIONS He waka eke noa - A canoe we are all in together Aim/Whāinga: Consistent routines and expectations from all staff enable better work habits, improved behaviour, increased productivity, and positive classroom environments. Relationships/Whanaungatanga: Underpinning these routines and expectations are strong positive relationships between staff and students. Strategies/Ngā rautaki: 1. At the start of the lesson/te tīatanga o te akoranga: • Students are welcomed and enter the class in an organised manner. Uniforms are checked. • The teacher organises where students sit. • Students have work to complete on entry to the classroom, e.g. ‘do now’/mahi tuatahi, routine or activity. • Staff introduce a clear kaupapa to establish the key purposes and learning objectives. 2. During the lesson/I runga i te akoranga: • When instructions are given students are brought to full-attention state (including transition to a working state). • Students are encouraged to use the toilet and fill water bottles before school or during break times. They need to have staff permission in the form of a note to leave the classroom and only one student may leave at a time. • Phones and earbuds/headphones need to be turned off and in bags, not on desks or in pockets. 3. At the end of the lesson/I te mutunga o te akoranga: • Staff leave time to tidy the room (kaitiakitanga) for the next class, re-cap/review the kaupapa and allow for an organised exit. • The exit is controlled by the teacher once the bell has gone. Please remember to use the MSB warning, yellow card and red card system. Staff may contact home if warnings and yellow cards are issued. Staff must contact home if a red card is issued. Please get to any contract meeting in a timely manner at the next break time.

26 2023 CHS Staff Welcome Book SCHOOL AWARDS / CERTIFICATES “COVE” Awards At our weekly Principal’s assemblies’ students are awarded the “COVE” badge and certificate in recognition for living out our school values – Citizenship, Opportunity, Vibrancy and Excellence. Nominations are collated by Heads of School and submitted to the Principal for approval, and presentation at the Principal’s Assembly. Academic Excellence Badges Early in Term 1 each year we reward those senior students who attained their Level 1 or 2 NCEA qualification with an “Endorsement with Excellence”. These top scholars are formally presented with an “Academic Excellence” badge. Principal’s Award for Excellence Students who either individually or collectively participate and achieve with distinction at the regional or national level can be nominated for this award. This includes achievement in academic areas (e.g. Cantamaths competition) and co-curricular (e.g. selected for regional/national sporting or cultural team). These “Principal’s Awards” are formally presented at the regular Principal’s Assembly. Principal’s Awards also include acts of service both within our school or the wider community. Head of School Certificate Teachers can nominate to the Head of School students who have achieved or produced excellent pieces of work in school. This may be an outstanding piece of work compared to their peer group, or even an outstanding personal improvement in a student’s quality of work and/or effort. This student receives a formal “Head of School Award” certificate to acknowledge this achievement at either the Principal’s Assembly or Head of School Assembly. Merit Certificate Teachers can award Merit Certificates within their classrooms to recognise significant student improvement in student work and/or attitude, or for notable student achievement. These are awarded at the discretion of the classroom teacher and presented within the classroom. Teachers should award these sparingly so not to diminish their value and status. Graduation Badges The graduation scores attained by year 9 and Year 10 students across Terms 1, 2 and 3 are collated for an overall graduation grade. Approximately the top 10% of students in each year level are eligible to be awarded the Graduation Excellence Badge which is formally presented at a Principal’s Assembly during Term 4. Honours Ties A specially designed school ‘Honours Tie’ is available for selected students to purchase, at a subsidized rate, from the school’s Uniform Shop. Those eligible to accept this offer are limited to students who have gained an Academic Excellence Badge and those awarded and ‘Arts Gold’ or ‘Sports Blue’ at our annual Achievers Evening. PLANNING AND ORGANISING SCHOOL TRIPS Staff need to read and be aware of the school’s procedures around education outside of the classroom (EOTC), as there are a number of issues to be addressed and covered for school trips. The following is a brief guideline of factors that need to be considered and included in trip planning: • All school trips must have prior approval by the Principal, and should be included in the school’s annual calendar. • The school’s EOTC forms must be completed prior to any school trip (e.g. RAM forms and student attendance lists to office) (Groups/Admin/EOTC trip planning info). • Trips should be funded by the students going on them and the budgeting for trips needs to include all costs, including teacher relief costs. Recovery of some of the relief costs are set at $10 per day per student and $5 per student for 1-3 periods.


27 2023 CHS Staff Welcome Book • The school can provide some hardship assistance for students – please see the student’s Head of School to confirm eligibility. • Permission forms for parents must be provided in a timely manner, and all cost paid before the trip, unless there are exceptional circumstances (e.g. late qualification for entry to a national sports tournament). • Please speak to Deputy Principal Blair Johnson (JNB) who is in charge of EOTC for further information or to view the school’s procedures. • All proposed overseas school trips require prior approval from the school’s Board of Trustees. • Staff will need to ensure that vaccine requirements information is available for students and finalise before sending trip forms home. ADMINISTRATION AND FINANCE INFORMATION BUDGETS AND FINANCIAL STATEMENTS Our financial year ends on 31st December, draft financial statements are due to the auditors by 31st March, and audited financial statements are due to the MOE by 31st May. Spending from the 2022 budget has closed, and our financial service provider (CES) is working on our draft financial statements. The reduced number of international student revenue (due to COVID-19) means we have had to continue to budget conservatively for 2023. The draft 2023 Budget has been approved by the Board of Trustees, and budget holders have been advised. Staff have also been advised of the outcome of their STAR funding applications, and Capital/ICT requests. Kirsten Dell-Hartgers DHK, the Executive Officer, oversees the budget. FUNDING APPLICATIONS Funding applications are a type of fundraising, and the funding process usually takes around 3 months from the date an application request is received. Therefore, please ensure you allow ample time for your application to be processed (eg if you require funds for tournament week in September, please have your application to Vanessa McKenzie MCV no later than the end of May). Before requesting an application, you need to submit a funding proposal to the principal for approval using the online form accessed from the staff start-up page. Then, to apply for funds you will need to provide: • Two comparative quotes from different companies. They need to be addressed to Cashmere High School and be no more than 3 months old (in some cases no less than 30days old). • A letter on official school letterhead explaining why you need the funds. This will be included in the application so be specific. • Any photos you think would be helpful for your application. • For applications for events such as tournaments/competitions you will need to provide a copy of the entry form and a list of students participating. 28 2023 CHS Staff Welcome Book ICT - SCHOOL NETWORK AND SUPPORT Our school contracts Contrast IT to provide our network management services. We currently have two Contrast ICT Technicians available on-site during term time – Addy and Princes. If you require technical help you can either email Contrast directly [email protected] or submit a request through the ‘Log IT Support Ticket’ button, accessed from the Staff Start-Up page (which should automatically load when you start your laptop). For any issues regarding e-learning and ICT in teaching, please see Associate Principal, Carla Smith (SMC). STAFF SIGN-IN / SIGN-OUT This is necessary for health and safety reasons so that in the event of an evacuation we are able to know quickly any staff who are offsite. The default in Kamar is that staff are present. If you leave the school during school hours 8.30am-3.10pm (8.30am-2.30pm on Wed) we require you to sign out in Kamar. Please click on the Kamar logo on the top right of the home page in Kamar and choose Off Site. When you do this you will be prompted to say an approximate length and a reason why you are out of school. When you return to school this button will say Sign in, and if you click on it you will automatically be signed back in. LEAVE APPLICATION PROCESS It is expected that any personal leave requirements will be arranged during term breaks to avoid disrupting student learning. There is no automatic entitlement to paid or unpaid leave during term time. Applications will be considered in conjunction with the relevant collective employment agreement. Applications for more than five days of leave (paid or unpaid) require full Board of Trustees approval. The BOT meets on the third Wednesday of each month so these need to be in to the Principal well in advance. Applications for five days or less of discretionary leave (paid or unpaid) should be submitted via the online form accessed from the staff start-up page. The following information is required: • First and last day of absence • No. of days leave required (if multiple) • Type of leave requested (teacher leave/relief, teacher leave/PD, support staff) • TEACHERS complete relief page (if required) • Type of leave – discretionary (paid or unpaid)/sick/bereavement/school trip/other • Brief description of leave type (or additional information)

As above, once approval is received, complete the Leave/Relief booking form, accessed from the Staff Start-Up page. You will need to attach information about the course (for audit purposes) when you do this. Sick Leave – Teachers are to phone Deputy Principal, Blair Johnson (phone 027 264 5660) before 8pm the evening prior, so that relief can be organized in a timely manner. If something comes up overnight or the next morning please call between 6.45am – 7.00am. Blair is supported by Emily Palamountain the Office Administrator, who looks after the relief phone during the day. Also, please let your Head of Department/Faculty know about your absence to assist with ensuring classes are well covered in your absence. If relief is not required, it is helpful if teachers can submit a notification via the online leave request form to ensure sick leave is recorded. Support Staff are to notify their line manager to ensure cover is provided if required and submit a notification via the online leave request form to ensure sick leave is recorded. Any absence of three days or more requires a medical certificate. All staff who are sick and are tested for COVID are asked to notify Craig Squire (SQC) (teaching staff) and Kirsten DellHartgers (DHK) (support staff). WORK FOR RELIEVERS Teachers are to set relief in Kamar and print this out and put it with any resources required on the relief shelves in the staff workroom (next to the staffroom) by 8am on the morning it is required. A class roll and photographs should be left with the work. A roll for form time should also be printed. If you are unable to physically set the relief yourself, please contact your HOD or HOF or “buddy” to set up your relief. This will involve you setting the work in Kamar and them printing it out with rolls etc. Relief work is to be written for each class separately. IMPORTANT: Please refer to page 20 for more information on sharing information for Individual Student Profiles Setting Lessons in Kamar Main Menu Teachers Events Planner Teacher Select the day and the period you want to write a lesson plan for. You will notice your personal timetabled subjects will appear against the relevant periods for you. To select a period, click on the little symbol to the right-hand side of the period.


30 2023 CHS Staff Welcome Book Once a lesson is selected, KAMAR will display a summary of your bookings and also your class list for that particular period you have selected. Write the relief then click on Actions to bring up the dialogue box below. It is preferred that you keep the separate student list box checked, as this will mean a list of the students together with their photos is printed in addition to the relief information that you have completed. Click Print. How to print other teachers lesson plans: Under the teacher tab, press 'Actions', then select lesson plans - your teacher code will appear by default. You can change this to any other teacher code if you need to. You can also print more than one teacher code by putting a comma between each code. Note: you can now write lessons for other teachers by clicking in the box next to the actions button and changing the name of the teacher. PAYROLL Education Payroll (Edpay) process our payroll fortnightly. The pay week is Wednesday to Tuesday. For teaching staff, the payroll start date is 28th January each year. In 2023, new teachers will receive their first pay on Tuesday 7th February for 11 days). For support staff, your first day will be Friday 27th January, unless you have been advised otherwise.

If you do not have this, see Emily PAE in the school office or [email protected] Kirsten Dell-Hartgers DHK, the Executive Officer, is in charge of payroll. Any queries regarding pay should be raised with Kirsten in the first instance. It is very important for all staff to check their pay slips and raise any queries as soon as possible. If you change your bank account, tax code or contact details (email or physical address), please inform Emily PAE, so Edpay can be advised. PURCHASES Please use an order number or staff code for all purchases on the school’s account. This is very important as we are unable to pay invoices if we don’t know who has ordered the goods. Please see Vanessa McKenzie MCV if you require an order book. If you are not the budget-holder, please ensure the budget-holder has approved the purchase. All invoices for payment must be emailed to [email protected]. Staff reimbursement requests should be submitted on a claim form via the staff start-up page, accompanied by an invoice or receipt and be approved by the appropriate budget holder. RECORDING STUDENT ATTENDANCE It is a legal and professional requirement to accurately record the class roll each and every period of the day. This is vital so we have accurate information for both the school and parents. This must be a key priority for all teachers. Staff must record all student absences electronically using Kamar. It is vital that attendance is recorded accurately every period (ideally within the first 20mins). Most relievers complete online rolls. However, in some circumstances paper copies are sent to the office (Gaynor Burgess BGG). All absence notes and any other information as to why a student is not in class (e.g. counsellor or nurse appointment) needs to go straight to student reception for processing. Each Head of School and Form Teacher gets a progressive update of students’ attendance. REPROGRAPHICS The reprographics room contains machines for bulk copying. These and other machines around the school require a 4 digit user code to access, and a department code to charge. Usage (no. of copies) is recorded using software called ‘Papercut’ and charged to departments. If you have any issues with a machine, please try to resolve it - DO NOT WALK AWAY FROM A PAPER JAM OR COPYING PROBLEM. If you are unable to resolve the issue, please inform Julia Wilson WLJ / Jill Lowe LOJ in the school office. Students are allocated $10 for printing and/or photocopying at the start of each year. Once this is used, they must buy additional credit. Staff are not to provide students with department printing codes! SCHOOL OFFICE The main reception is open from 8.00am-4.00pm daily and is staffed by Jill Lowe LOJ Mondays-Wednesdays, and Julia Wilson WLJ on Thursdays-Fridays. They are responsible for central control of the bell system, couriers, daily notices (available on school website), mail (inward and outward), and communications (telephone and emails to school community). Finance Manager, Vanessa McKenzie MCV is also based in the school office, as is Office administrator, Emily Palamountain PAE and Accounts payable administrator, Julia Wilson WLJ Mondays-Wednesdays. Principal’s PA, Bianca Edmonds EKB is located beside the school office, and Executive Officer, Kirsten Dell-Hartgers DHK, is located beside her office.


32 2023 CHS Staff Welcome Book STUDENT RECEPTION Also located in the main office, opposite the Uniform and Supplies Office, the Student reception is staffed by Jodie McKinley MYJ and Gaynor Burgess BGG. All student related enquiries should be referred here including attendance and student account queries/payments. UNIFORM SHOP AND SUPPLIES OFFICE Located opposite Student reception, the Uniform Shop and Supplies office is staffed by Rochelle Browne BRR. Regulation school uniform and sports uniform items can be purchased online via the school website and collected from the Uniform Shop between 10.00am-2.00pm Monday to Friday during term time. Hardship uniform issues should be referred to the students’ Head of School or the school Counsellors. Second-hand uniform is sold online (Buy and Sell page on Facebook https://www.facebook.com/groups/CHSBuySell). Supplies (including stationery and other consumables) not held in stock can be ordered by contacting Rochelle. Bus transport can be booked using the form available on the staff start-up page. PROPERTY INFORMATION Property Manager Nick Clapperton CPN oversees our property team consisting of two maintenance staff members Paul Beer BEP and Neil Jackson JXN, and two ground-staff members Danny Lowther LWD and John Tiso TIJ. BOOKABLE FACILITIES / ROOMS • Meeting rooms such as the Board Room, Staffroom (Administration block) and the R block meeting room, must be booked through the SOBs online booking system via the Staff Start-Up page or by going to www.sobs.co.nz. Please don’t assume these rooms are empty as they are often booked for use. If the Board Room kitchen is used please clean up after use (wash, dry and return cups/utensils). • Library Saskia Hill HLS manages the bookable library areas (breakout space, fiction and non-fiction sections). Availability can be viewed and booking requests submitted through SOBs. • Gym Peter Smith SZP manages bookings for the Gyms. Availability can be viewed and booking requests submitted through SOBs. • PAC Euan Quaid EQE manages bookings for the PAC. Availability can be viewed and booking requests submitted through SOBs. Further information can be found in the section titled Performing Arts Centre. Performing Arts Centre (PAC) The main auditorium and servery are available for booking on SOBs. Timetabled classes and school-wide calendared events take priority. External bookings can be made between 5.00pm-11.00pm on weekdays and 8.00am-11.00pm on weekends. All bookings must be made at least a week in advance. If you indicate technical requirements, you will be asked to complete a form detailing your requirements for the PAC Technical Manager (WKT). More detailed guidelines are available in Groups under Policies and Procedures/Property. Minivans We have three minivans available for school groups to use. Vans 1 and 2 are stored in the school garage. Van 3 is stored in the compound beside the grounds person’s shed. Keys are in the respective folder in the school office behind reception. The minivans must be booked through the SOBs online booking system accessed through the staff start-up page. Please note return times so any staff member who has booked in for say period 4, does in fact have it available by then. Do not leave fuel tanks empty. The fuel card is on the keyring. Fill at Z, Caltex or Challenge service stations anywhere (a pin number is required). Please leave minivans tidy and return them to their garage with lights off and doors locked.


33 2023 CHS Staff Welcome Book If you use anything from a first aid kit in one of the vans, please let the Property Manager (CPN) know so he can have it restocked. Also, report any damage to the Property Manager as soon as possible. Garage doors have automatic door openers, so do not try to forcibly open the door by hand. The light switch is at shoulder height on right side of roller door. Please advise the School Caretaker (CPN) if you require access during the weekend as the garage is alarmed separately from the rest of the school. CAR PARKING In the interests of everyone’s health and safety, staff are to only park in allocated car park spaces (not reserved/visitors) and display a staff parking sticker which can be obtained from the Principal’s PA, Bianca Edmonds EKB or Emily Palamountain PAE. Students are not permitted to park on the school premises. DISPOSAL OF FURNITURE, FITTINGS OR EQUIPMENT Anything no longer needed by a department should, in the first instance, be redeployed to another area of the school. Items valued at > $1,000 are recorded on the asset register and need to be updated when moved or disposed of. Please notify the property Manager, Nick Clapperton CPN if you wish to dispose of anything. FIRE EXTINGUISHERS These must only be used in emergencies. If used, or if an extinguisher has been tampered with, please see the Property Manager, Nick Clapperton CPN. The science faculty has designated extinguishers for their class use ie: class practical experiments. HEATING During Terms 2 and 3, most of the school’s buildings are heated by pellet-fired boiler. Some classrooms have heat pumps. Portable electric heaters are not allowed – do not bring heaters from home. If you require additional heat in an office or workroom, or you wish to bring any personal electrical equipment to school, please see the property manager (CPN), as it must be tested for safety prior to use. TE WHARE RĒHIA Teaching and Support staff may use the facility for personal use before 7.30am and after 4.30pm Monday to Friday. SOBs bookings for group classes etc take priority over staff use. Staff may use the space when it is booked by negotiation with the person supervising the booking and we ask staff to use common sense regarding equipment use in these instances. If you are planning to use the facility please have a read through of the booking processes document for more detailed information. HERE Ben Buckendahl BUB will be managing the bookings and facility so please ask him directly if you need any further clarification. Please note that there is currently an issue with the flooring so please avoid activities that will necessitate dropping weight onto the ground including barbells and medicine balls. Weight needs to be lowered to the floor in a controlled manner at this time. REPAIRS AND MAINTENANCE All requests for repairs and/or maintenance (buildings, fixtures/fittings, furniture or grounds) must be submitted via the ‘Repairs Maintenance’ button on the staff start-up page. Significant non-maintenance property requests eg structural changes to an office, can only be made as part of the annual budget process.


34 2023 CHS Staff Welcome Book SECURITY AND ACCESS At the end of each day, please ensure all classrooms are left tidy with chairs on top of the desks, and locked (doors and windows closed). In addition, when you vacate a classroom at the end of a period, if the next period teacher is not present, please lock the classroom. Always secure the projector remote in the locked box at the front of the classroom at the end of each lesson. The buildings are alarmed from 10.00pm to 6.45am every day (including weekends) – this information is confidential to staff. If you are arranging a school event outside these hours, please advise the property manager (CPN). The school caretakers lock up around 5.00pm each night so if you are in the school after 5.00pm, or during weekends, make sure lights are turned off, windows are closed and doors are locked when you leave. Rose Street entrance gate is locked daily at 5.00pm and over the weekends. Barrington Street entrance gate has a barrier arm which is closed (but not locked) on weeknights. It is however locked on Friday and Saturday nights from 9.30pm to 7.30am. If you require access during these times, advance arrangements are to be made with the property manager (CPN). Keys are available from the Property manager who maintains a register of issued/returned keys. Please return any spare/unused keys to him. Any lost keys must be reported immediately. HEALTH AND SAFETY GUIDELINES It is the responsibility of each and every one of us to identify risks in our work environment and actively manage them. We all need to take responsibility for checking our environment (including classrooms/teaching areas spaces) to ensure it is safe for our students and ourselves. • To report an issue or a potential hazard, please complete the online Health and Safety Issues Form which is accessed from the staff start-up page. • For particularly URGENT or more serious hazards e.g. overflowing toilet, major chemical spillage, gas leak etc, please phone property manager, Nick Clapperton immediately on 027 276 6747 • For general repairs or maintenance requests, refer to Repairs and Maintenance information on previous page. 35 2023 CHS Staff Welcome Book EMERGENCY MANAGEMENT Detailed Emergency Evacuation procedures will be given out in the first week of school. Evacuation points: - Year 12 and 13 students, form teachers and HOS – The Meadow - Year 9, 10 and 11 students, and all other staff – Front Field SCHOOL CLOSURE DECISIONS In the unlikely event of another major earthquake a prompt decision may need to be made about whether our school is closed or not. Other than the school’s Board only the Department of Health (e.g. in a pandemic) or Civil Defence can close a school. So, if a state of civil emergency has not been announced then it is only the Board’s decision about whether the school can close or not. The Ministry of Education, through their website (www.education.govt.nz), has provided guidelines to advise school Boards how to make this decision. SCHOOL POLICIES AND PROCEDURES As part of the governance role of our Board of Trustees we set and review policies and procedures for our school. The student ‘start’ page is http://www.cashmere.school.nz/Contact-1/Student-Start NAVIGATING BYOD WEBSITE We have a website largely developed for our Year 9 students to support them with BYOD use. The topics are mostly focused around Google apps, (including email, drive, calendar) and provides some help to solve some of the main problems that students come across when using these apps. There is also information on the start page. The website is designed to be used in Wednesday form time when there is no assembly and so that students can be directed to one topic per lesson and can work self directed. There is a check list at the end of each topic for them (or the teacher) to check if they’ve done all they need to do. The link is https://sites.google.com/cashmere.school.nz/navigating-byod/home. 36 2023 CHS Staff Welcome Book SCHOOL APP Our school has an app run through SchoolAppsNZ. This can be downloaded for free and used on a smartphone or a handheld digital device (i.e. iPad). This app is useful for communicating with students and our community, but also for the school to send alerts to staff. For information on the app including how to download, see the graphic below. The anomaly decline in 2012 was population shifts following 2010-11 earthquakes.
