3 INTRODUCTION Archives are a record of the by-product of human activity that are maintained for their longterm value. Since they are current recordings made by people and organizations as they conduct their daily operations, they offer a clear insight into the past. A broad variety of formats are available to them, including written, photographic, moving picture, sound, digital, and analog. All across the world, both public and private organizations and people hold archives. Archives may come from a variety of places, such as the following: government (supranational, national, regional, and local), courts and judicial bodies, businesses, trade unions and workers bodies, religious organizations, universities and schools, military organizations, theatres, film makers, and performing groups, charities, campaigning groups, and volunteer organizations, communities, families, and individuals. Archives must be trusted as a reliable source for them to be valuable to society. They should have these traits in order to succeed in this. First, Originality (Authenticity). The record is what it aims to be, was produced at the time stated, and was produced by the individual named in the document. Next is reliability. Despite being written from the perspective of the individual or organization who created the document, they are truthful about the event. Then, integrity. The information is adequate to paint a complete picture. Sadly, not every archive is exhaustive. Usability is the last. The archive needs to be usable and in a convenient location. For instance, war, hurricanes, and earthquakes can all make archives unusable. Finding Aids are typically utilized by all record-keeping organizations. A finding aid is a tool that directs users to specific records, collections, or series of archive materials where they can discover information. Public and unpublished inventories, case and folder lists, card catalogs, calendars, indexes, registers, and institutional guides are a few examples of finding aids. Users can also obtain assistance from official publications that provide details on a record group, collection, or series of historical materials.
4 Finding assistance may be provided by NARA as well as other Federal agencies, publishers, and private organizations and parties. The record might contain a search aid. Finding Aids are used to both identify the different kinds of finding aids that are accessible as well as to assist users in discovering finding aids to record groups, collections, or archive resources. With regard to this, the objective of this assignment is to analyse Finding Aids for Pos Malaysia based on pertinent archive material. Accession Number: 2001/0037289W Pos Malaysia was first introduced in the 1800s and started postal services in the Straits Settlements of Penang, Singapore, and Malacca. Pos Malaysia is the main national postal service provider in Malaysia. Pos Malaysia also the sole licensee for universal postal services in Malaysia. Pos Malaysia with the history of 200 years of services has its services beyond the traditional provision of letter and parcel delivery. They also offer other services such as retail, logistics and aviation products and services. Additionally, it has transformed from being a mail delivery service that also delivers parcels to a parcel delivery service that also delivers mail. Pos Malaysia headquarters is now located at the Kuala Lumpur General Post Office (GPO), the biggest general post office in Malaysia. At the beginning of operation, Pos Malaysia operated in Dayabumi Complex. The GPO has 19 counters, including a Philately counter for stamp lovers, and is an essential part of our mail and package delivery network. Pos Malaysia has a very wide distance network. It is able to deliver to more than ten million addresses throughout Malaysia. Pos Malaysia continues to uphold its passion for establishing trust to link people and businesses for a better tomorrow as it moves forward to innovate and develop to become the top e-commerce logistics provider in the nation.

In conjunction with Independence Day in 1957, the Postal Services Department was set up as a government agency. After 19 years, in 1976 The Postal Service Department executed the postcode system. In 1992, the Postal Services Department was corporatized as Pos Malaysia. 15 years after that which is in year 2007, Pos Malaysia has restructured as government-linked company (GLC). In 2016, Pos Malaysia established a subsidiary company of Pos Aviation, Pos Logistics and Pos ACE. Day by day, the postal service is getting more and more advanced. Pos Malaysia’s Integrated Parcel Centre has upgraded and increasing the processing capacity from 112,00 to 300,000 items a day. In 2018, Pos Malaysia begins the transformation journey to make them as a dynamic postal, logistic, aviation, financial, and supply chain solution provider with the largest delivery and touchpoint network in Malaysia. A year after, Pos Malaysia started using a semiautomatic processing system to speed up the process. This can help to increase efficiency in the processing of packages and delivery to customers more quickly. In line with the progress of the digital world, Pos Malaysia has developed a system known as AskPos which is a website that allows customers to get help through live chat features. Since 1976, Malaysia has been a member of the Asia Pacific Postal Union (APPU). A governmental organization called APPU is in charge of developing collaboration between international business participants and postal administrations. The objectives of this organization are to extend and strengthen postal ties between members and encourage collaboration in the postal services industry. Through representation at meetings of the Universal Postal Union, APPU promotes the interests of its members with small and low incomes. The Malaysian government is committed to promoting the best access to postal services for its people by creating a conducive regulatory and postal development policy framework. The development of modern courier services is important to produce the best services for the customers.

This is the first post office in Malaysia that was located in Batu Gajah on the year 1886. This post office that has been established for around 100 years provides services to the area Batu Gajah and also covers the area of Papan, Lahat, Ipoh, Gopeng and Klian Lalang. When Batu Gajah has a post office and telegraph office, it can stay immediately linked by telegraph to all the colonial centres located around the state of Perak. The British as well as the locals in the area made money greatly from Batu Gajah's post office and telegraph office. The architecture and design of the post office is very interesting because it combines two architectures, namely Malay and European architecture. At the end of 1930, Batu Gajah was considered as a developing area or city because that area was complete with many kinds of facilities from various government departments.
8 2.0 PRODUCTS In Malaysia, Pos Malaysia Group is not a foreign brand. Pos Malaysia, which has a history spanning more than 200 years, has evolved from a static mail and parcel service to a competitive provider of logistics solutions, financial services, and the country's largest delivery network and contact centre. In this section, Pos Malaysia's products and additional services for consumers are detailed. Pos Malaysia's product line is divided into its related categories. Stamps, packaging, prepaid, collections, and jerseys are only a few of the products on offer. Pos Malaysia offers 245 different stamp goods at various pricing points, including stamp sheets, folder sets, miniature sheets, and more. Customers can purchase plastic from Pos Malaysia in increments of 50 pieces and 10 pieces, with sizes ranging from S to XL. There are four different sizes of Pos Malaysia boxes, starting with S, M, L, and XL. The item costs RM4.00 and is similar to Label 500g Small Packet Tracked. For shipments weighing less than 500g, this product offers a oneway, track able delivery option throughout Malaysia. For clients to use as keepsakes, Pos Malaysia also created 18 collections, including pouch bags, sling bags, fridge magnets in the shape of an arch, notebooks, key chains, and many more. The Pos Malaysia jersey is the company's most recent offering. The Pos Malaysia x MFL 2023 Football Jersey (Size XL) is a premium, all-new collection, and it costs RM90.00. This fashionable yet sporty jersey is designed for everyday use and adaptability. Pos Malaysia EFS is a fulfilment service for online retailers that enables consumers to store, pick, pack, ship, and track all of their purchases. 12 Pos Malaysia invested RM120,000.00 in Corporate Social Responsibility (CSR) projects, including corporate sponsorships and donations to non-profit and charitable organizations. Major projects include: a) The Back-to-School program distributed more than 2,000 hygiene and safety kits, including wet wipes, disposable masks, and hand sanitizers, to selected Asnaf families across the country. b) Through the 1Bulan 1Makanan program, Pos Malaysia implemented an internal food donation collaboration to help and assist Pos Malaysia B40 employees during the pandemic. c) Pos Malaysia assists the National Disaster Management Agency (NADMA) in distributing Ramadan supplies to the staff at Polis Diraja Malaysia (PDRM) and Angkatan Tentera Malaysia (ATM) in Sabah, providing personal assistance to frontline staff. Personal Protective Equipment (PPE) kits were distributed.

Pos Malaysia has been selected as the official logistics partner of the Malaysian Football League (MFL) for the Sultan Haji Ahmad Shah Cup, Super League, and TM Malaysia Cup. Stuart Ramalingam, chief executive of the MFL, said the Postal Service and the MFL had entered into an agreement for the 2022 and 2023 seasons. Pos Malaysia coordinates the national logistics of football equipment and other products weighing more than 100 tons with MFL. POS Malaysia Group CEO Charles Brewer said the postal service provides critical support to the Charity Shield Cup, Super League, and TM Malaysia Cup events with the best logistics services. He said he was honored to be the foundation of all the local football clubs offering them.
14 4.0 CONTROVERSIES AND CRITICISMS Every firm has encountered controversies as a result of organizations being influenced by the market to attain their targets for performance. This prompted controversy and criticism from the consumers. The occurrence of protracted public argument or opposition, generally involving a topic with opposing views or opinions, is referred to as a controversy. Criticism, on the contrary hand, is the act of expressing honest judgements concerning the work performed by others and often includes both good and negative remarks. In order to give more effective and efficient performance for consumers, the purpose of criticism should always be to enhance the productivity of the organization being criticized on how this problem is being handled. Controversies and criticism can be beneficial to an organization depending on the acceptance to the management. These vile viewpoints broaden the company's perspective and understanding, which foster progress by illuminating issues and providing possibilities for transformation. This also applies to Pos Malaysia, which does not make an exemption whereas involves engaging with customer complaints. 15 4.1 Staff etiquette in conducting service. Figure 13: A staff of Pos Laju was being recorded tossing parcels into cage cart. Pos Malaysia has been embroiled in controversy in May 2018, when a video concerning workplace protocol went widespread particularly revealed a Pos Laju employee violently tossing packages into a cage cart before the postal mail was sorted out at the Sungai Petani office in Kedah according to The Star (2018). “We want to assure you, our customers and stakeholders, that this is not reflective of who we are, or of our values at Pos Malaysia (Pos Malaysia, 2018)),” stated by Pos Malaysia in a Facebook post on 29 May 2018. Since then, Pos Malaysia Berhad decided to give strict instructions to the employees in addition decided to conduct an internal investigation regarding the issue. Pos Malaysia Berhad has additionally started an internal investigation and given strong penalties to the employees in its postal unit of Pos Laju who were shown in a viral video tossing items into a cage cart. Pos Malaysia indicated that continuing ahead, the organization would conduct periodic audits to ensure precise procedures for operation are being followed. 16 4.2 Image theft issue. Pos Malaysia sparked some commotion after claims of plagiarism in their recently published stamp series in Facebook post occurred (Murad.D, 2019). Romy Ocon, a 48-year-old Filipino wildlife photographer, charged the national postal service for exploiting his photographic work devoid of obtaining his authorization in a discussion posting on dpreview.com. Ocon claims that the stamp mistakenly identified the Long-Tailed Shrike image as a White-Fronted Falconet. Figure 14: The picture that has been posted by Romy Ocon as evidence of image theft. Due to the obvious differences in appearance between the two birds, the photographer described the mistake as being made with "serious ignorance." Despite the sole difference of the background and an insignificant angle of the bird, both the picture on the stamp and the initial photograph of a Shirke given by Ocon appear strikingly similar. These differences could each be readily corrected via Photoshop. Ocon thought that despite the fact that in Asia, piracy is viewed as a widespread action, he had to voice out and protect his legal status as a photographer. "I anticipate that by sharing the unpleasant incident on a number of online mediums, the Malaysian Post Office would feel pressure to take action promptly to fix the mistake." (Ocon.R, 2013). Ocon stated that he owned the initial shot's RAW data thus would be capable to easily substantiate his claim to ownership of the copyright. To further bolster Ocon's allegation, an individual on dpreview.com posted a video analysis at http://vimeo.com/78143984 (Martin, 2022). Following garnering criticism from internet users that became aware of the plagiarism allegation, the post of stamp collection had been removed from Facebook.
17 Pos Malaysia has taken measures to resolve this matter by releasing a statement to the public along with the graphic agency claiming that the stamps that encircled up on the Facebook page of the organization were drafts image. 4.3 Late deliveries and poor customer service. During the duration of the Movement Control Order (MCO) of Covid-19 infections, Malaysians have become dissatisfied with the national courier's poor performance. Pos Malaysia has received a barrage of criticism and grievances over delayed delivery and insufficient quality of services. The majority of negative remarks may be found on the company's social media accounts ranging all the way back to March 2020. The issue of Pos Malaysia's customer support channels requiring an excessive amount of time to react to inquiries have been brought up by online users. Pos Malaysia emphasizes that the organization is promoting the usage of personal protective equipment (PPE), alongside maintaining the cleanliness and physical distancing practices, to guarantee employees and consequently, customers, are adequately safeguarded against Covid19.

Every Malaysian family, company, and government has trusted the brand to send their most critical documents at every stage of their life for years. In 2015, Pos Malaysia Berhad won the Brand of the Year award for the Postal services category organized by the World Branding Forum (WBF) in Paris. Following this success, Pos Malaysia also emerged as the first postal company in the world to receive recognition from the WBF. For information, winners also being judged based on four aspects which is their brand name, consumer market research, online public voting and voting by brand figures from WBF Advisory Council. In addition, Pos Malaysia also competes with other worldwide brand company such as CARTIER, Club Med, Evian, Gucci, Herms, Hilton Hotels, IKEA and more in 2015. Besides that, Pos Malaysia also made a name for itself in the 'Malaysia Book of Records' as the mailbox that is at the highest altitude which is 3,289 meters above sea level.

In 2016, Pos Malaysia received the “A-Star” award for Quality Management Certification at the 26th Universal Postal Union (UPU) congress in Istanbul, Turkey last Monday. The award is a global recognition for them on the quality of management in processing and providing the best delivery service at an international level. The award received by Pos Malaysia Group’s Chief Operating Officer, Datuk Mohd Shukri Mohd Salleh and witnessed by Deputy Minister of Communications and Multimedia, Datuk Jailani Johari. The A-Star Award is the highest award from the UPU, an agency under United Nations to a postal operating company that achieves the highest level of quality in international mail operations. Not only that, but Pos Malaysia also received lots of awards in 2016 such as: PNB Starz Awards 2016 • First Prize: Highest Number of New Accounts, All ASNB Products (Kuching, Sarawak) • Second Prize: Highest Number of New Accounts, All ASNB Products (Kota Marudu, Sabah) • Highest Number of Transactions (Pos Malaysia Berhad) Superbrands Malaysia • 2016 Brand of the Year (Pos Laju)
20 Employer Branding Awards • 2016 Malaysia Best Employer Brand Award Next, Pos Malaysia being awarded by Frost & Sullivan for 2017 Malaysia E-Commerce Logistics Service Provider of the Year (Pos Laju). The award has been done in Hilton Kuala Lumpur Malaysia. This award is being given to Pos laju Malaysia for recognize and celebrate best-in-class companies around Asia. Following the next year until 2020, Pos Laju Malaysia has been received awards from Frost & Sullvian consecutively by year such as in 2018 they been awarded for two category which is Malaysia Project Logistics Service Provider of the Year (Pos Logistics) and another one is Malaysia Express Service Provider of the Year (Pos Laju). Pos Malaysia Chief Executive Officer, Al-Ishsal that the award was being awarded for them for appreciation of the brand’s trust. Furthermore, Pos Malaysia again has been awarded by Frost & Sullvian for Best Practices Award- Malaysia E-Commerce Company of the Year in 2022. In 2023, Pos Malaysia has been voted the 1st place for courier services category and 3rd place for warehousing as "2023 Most Preferred Graduate Employer to Work For" by Graduates’ Choice Award (GCA). 22 CONCLUSION This assignment that has been assigned to us to complete has explained how finding aids functioning. Finding aids are an effective way to convey information and material that consists in the archival institution to the users such as researchers. Before this, we never knew how it functions until we figured out about it while completing this assignment. This is because this task requires us to use finding aids in order to find the pictures and some information about the organization we have chosen. With the use of these finding aids, it can help us complete tasks easily using accurate information. Finding aids also help us to know the real history of the organization which is Pos Malaysia. The use of aids is strongly encouraged because they provide accurate, valid and relevant information. Researchers can learn more about collections and identify the resources in a collection that will be most useful for their research questions by using finding aids. Researchers can learn more about the nature and content of documentary documents in historical repositories via archival finding aids. Finding aids also help the researcher to know the archive collection that exists in the organization in more depth and broaden the searching. Finding aids also help students apply it in their learning and syllabus. Students can see that original material found in the archival institution by using the finding aids. Even though they cannot see it in real life, at least they know what the materials really look like. In this case, researchers can see the original pictures of Pos Malaysia history, early buildings and the people that involved during the establishment of Pos Malaysia 200 years ago. This clearly shows that finding aids are very important for researchers to complete their research. This matter can also increase awareness among the community nowadays about the importance of archival material to our country. We must take care of archival materials that are important to our country because before many cases of loss of important Malaysian national archival materials were taken by foreign powers that colonized our country. This is why we must protect our country’s treasures. This also can encourage us to be a better and useful society to our country.
