Retention depends on a remarkable experience for the patient. The Retention Mailers elevate the patient experience with touch points that enhance both retention and case acceptance. The touch points are patient mailers, described below:

b) A birthday mailer sent in the month of their birthday c) An end of the year "Happy Holiday" mailer

How it Works!
This is how the New Patient Retention Mailers work! Your office receives a Retention Mailer Kit which includes all the bins and instructions on how to set it up in your office.

5 bins for the Welcome Letter and 4 Seasonal Mailers
5 bins are "Supply Bins" for Welcome, Birthdays and 4 Seasonal Mailers
Steps "To Take" for Every New Patient
A new patient comes in for the first time. The Retention Coordinator (also called the Hygiene Coordinator) takes a "Welcome
Mailer" out of the bin, writes the new patient's address on the mailer (that is already assembled), and drops it in the mail.
At the same time, the Retention Coordinator goes to the "bins" and pulls out a blank mailer for the birthday mailer and each of the seasonal campaigns (i.e., Holiday, New Years, Spring and Summer).
The address of the new patient is placed on each seasonal mailer and placed in the "Quarterly Bin" to be mailed in the appropriate month.
The client receives 500 per year of each type of mailer:
Birthday + Holiday + New Years + Spring + Summer
They are delivered once each year.
Who is in Charge of the Program?
The New Patient Retention Mailer is the responsibility of the Retention Coordinator (also called the Hygiene Coordinator).
