AUDIT REPORT

We have audited the 2019 - 2020 fraternal year statements of financial position of the Middle Eastern
Province as of September 30, 2020 and the related statements of activities and financial reports. These
financial statements are the responsibility of the organizations Keeper of Exchequer. Our responsibility is
to express an opinion on these financial statements based on our audit.

We conducted our audit in accordance with the auditing standards attached and auditing standards generally
accepted by the United States of America. Those standards require that we plan and perform the audit to
obtain reasonable assurance about whether the financial statements are free of material misstatement. An
audit includes examining on a test basis, evidence supporting the amount and disclosures in the financial
statements. An audit also includes assessing the accounting principles used and significant estimates made
by management, as well as evaluating the overall financial statement presentation. We believe that our audit
provides a reasonable basis for our opinion.

In our opinion, the financial statements referred to above present fairly, in all material respects, the financial
position of the Middle Eastern Province as of September 30, 2020 and is in conformity with accounting
principles generally accepted in the United States of America.

create a culture where awards submissions are standard operating procedure

Key Update:

- Added a requirement that a Letter of Recommendation from the College/University Greek Life
Director/Dean or Student Life equivalent position accompany each Collegiate Chapter of the Year petition.
This additional measure ensures that chapters are aligned with assisting in the aims and purposes of colleges
and universities

- Based on the number of submissions in each category for Chapter of the Year, some categories

FOUNDERS’ DAY REPORT

We look forward to the 2022 Founders’ Day celebration which will be hosted by Durham Alumni and its
undergraduate chapters. Durham Alumni, the Province Founders’ Day Committee and the Province
Planning Committee has already begun making preparations for the 2022 J5 celebration commemorating
our fraternity’s 111 years and Durham Alumni’s 100 (2021) of service. The province celebration has now
taken on every other year format on the off year of conclave. Brothers, please plan to come and take part
of this event. More information to come soon!!!

There will be a template given to the province of records outlining a general operation of the committee in
procuring all aspects of the event with appropriate timelines. This template can be used for future use on
this event.

HISTORIAN REPORT

Most of the chapters in our province have submitted some form of their chapter history. Request
for submission of chapter history has been sent to the Polemarchs and Brothers of the chapter, I
am comfortable moving forward with the charter name and charter date at this point. A few of the
remaining chapters are currently seeking out Senior Brother initiates of their chapter as well as
reviewing their archives to provide submission with more breadth and depth. We are currently
holding on (7) of (26) Undergraduate Chapters and (5) of (23) Alumni Chapters. At minimum,
every chapter will have their Chapter name/location and charter date listed in the history book if
detailed information has not been captured or provided. Brothers Alfred M. White III, Fred Black,
C.N. “Pap” Parrish and a host of several Brothers have contributed a great deal of information,
photos and insight towards the draft of “The Story of Kappa Alpha Psi Fraternity, Inc., in the
Middle Eastern Province.”

Brothers Max Norwood and David Walton expressed their interest to assist with the Province
History book. Research is currently underway in confirming the actual founding date of our
Province. As information is confirmed, this information will be shared with the board.

An outline of the contents of the Province History book will be submitted for review by the
Province Board, Past Province Polemarchs and Sr. Brothers. After seeing the initial cover
proposals, Brother Province Polemarch Michael Brown suggested a collage of Brothers of the
Province. This suggestion is currently underway and will also be forwarded for review.

Archives
Every Chapter should behave a full set of archives to include Chapter Charter, Officer’s insignia, past
meeting minutes, our Constitution and Statutes, Chapter bylaws and Robert Rules of Order at minimum.
An executive summary illustrating the programming for the fraternal year is also encouraged, as it will act
as a template for prior years activities.

Scrapbooks

All chapters are encouraged to catalog a scrapbook of their fraternal year for record purposes. To act as a
guide, chapter can use their chapter meeting minutes to ensure that every program, event and initiative is
included. If there are any questions, on how to get started, please don’t hesitate to reach out.

LEADERSHIP & DEVELOPMENT REPORT

For more than a year now, and at the request of Province Polemarch Michael Brown, we have been
working on an initiative to review the leadership culture of the Middle Eastern Province.

It is our conviction that we are always in a position to improve as a Middle Eastern Province Board
and a Province overall so that our members may be served best. As such, we have worked to develop
a process for the leadership culture review. The process consists of establishing goals for the review,
developing data gathering protocols for the review, assessing the data, generating a brief report and
prioritizing areas for the further development of our leadership culture. We currently have our goals
and protocols in place.

Our goals are to:

1. Incorporate the wisdom of the entire Province into a strategy to strengthen its
leadership culture.

2. Discern the leadership strengths to leverage and opportunities for growth at the MEP Board
level.

3. Develop priorities areas through which the Middle Eastern Province can implement tactics to
grow its leadership culture.

Our data gathering process will consist of (1) individual interviews with MEP board members, and
(2) a survey that all members of the Province will have an opportunity to complete.

Our plan is to initiate the individual interviews with Board Members during or around the MEP
Province Meeting in April 2021, and the Province wide survey will follow shortly thereafter.

The following is a broad timeline that will guide the work of the Leadership Development
Committee:

LICENSE PLATE (NC) REPORT

The needed changes to this report will be reflected when there is a chance for this needed legislation to
have an upward modification on our states issued license plate can be heard by North Carolina Legislators.
Rep. Willingham out of Rocky Mount has picked up the torch and will have the matter reintroduced at the
earliest possible moment when things have returned to some degree of normalcy. Until that time, please
continue to enjoy this luxury… and beep a brother when you see him on the road!

MUSIC & CHANTS REPORT

This pandemic has presented challenges in many ways and yet we continue to rise above and meet the needs
of our brothers and the communities we serve. Requests were made by undergraduate and alumni alike to
teach/refresh songs and chants prior to COVID-19. A Facebook page was made dedicated to Kappa songs
and chants was created for the MEP to assist in immediately impacting this desire. It is imperative that we
collectively and individually take this time to better acquaint ourselves with songs and chants and all other
aspects of Kappa so that when we can reconvene, we can celebrate through these means.

We have placed emphasis on the Kappa Hymn and Sweetheart Song however outside of these songs our
new initiates were not educated. There is work to do internally. We as a fraternity and in this province
especially need more musicians and music minded brothers to be engaged to make sure we are “Passing a
Lit Torch”. Brothers we are also looking for consistency in HOW we sing our songs. Music is math
and science but it is also feelings. We need the same feeling across Kappadom!

1. There was to be requests for interested brothers to join in conference call meetings just prior to the
Covid-19 pandemic the desire to have a bonafide music committee this fraternal year to assist with
both chapters learning songs and location of choir members that will attend Kappa functions when
we resume face to face.
Recommendation: Was already passed by this board from a previous report to add “Music
Committee” to the list of committees for chapters to consider having representation during
certification. Now, to actually add it to the list.

2. To any and all brothers to support, by growing and learning the materials on MEP song and chant
page on FB.

3. To support the efforts of the existing committee members to record chapters’ video presentations.
(This effort helps to jumpstart all chapters singing.) This effort has already begun in Cary Alumni
which has rendered 2 songs and will be followed by Durham and Raleigh Alumni. This committee
will schedule any chapter wishing to video either a song or chant and place it on this page.

The planning team has been on several site visit in order to plan future Province Council Meeting. We
started off visiting Raleigh, NC for the 2023 PCM in conjunction with the Sigma Gamma Rho Sorority,
Inc. After extensive conversations with several properties in the downtown Raleigh area, it was
recommended to the Province Polemarch that we go with the Hilton Raleigh North Hills.

The planning committee also visited the downtown Charlotte, NC area for Province Council Meeting in
2022. The La Meridien and Sheraton were the properties we visited. The recommendation from the
Province Polemarch and MEP board was to proceed with the signing of the contract with this property.

Lastly, we are now planning the 2022 MEP Founders Day in conjunction with the Durham Alumni Chapter.
More details will come throughout the fraternity year. This will be big celebration and the excitement is
building.
We are excited about the progress that has been made with guidance from our Province Polemarch. His
vision has always been about the brotherhood and making sure everyone has a good time.

I would like to thank the planning committee members Bernard Barnes, Lee Beavers, Brian McClammy
and Steven Williams for their commitment to the success of the Middle Eastern Province meetings and
trainings.

ST. JUDE’S REPORT

Sam Coley, Chairman

Amidst the Covid-19 crisis, a downturn in the nation’s economy and the inability to congregate, making it
impossible for chapters to meet, this province which is by area one of the smaller provinces in Kappa, still
managed to campaign and not lose sight of its pledge to Kappa and the children and families of St. Jude
Children’s Hospital. Although we did not reach the $25,000 goal, we did raise $22,086. Well brothers it
is now 2022 and the same hurdles must be climbed.

Chapters responded well when asked to register on our province page for St. Jude. The month of February
was designated for personal giving which has not been previously requested. Due to some unforeseen
changes at St. Jude, the webpages were not reset. We have started our campaign much later than any other
year, which only means that our commitment and effort must be stronger than any other year and I Thank
you in advance for what you will do for these children and families.

We will look to have March Madness where the province will engage in an all-out fundraising blitz utilizing
the following virtual and face to face methods: (V)= Virtual

2. On campuses, hold a give a dollar campaign for St. Jude

(Please notice most of these activities are virtual!)

The Middle Eastern Province in conjunction with the MEP Foundation will sponsor The Second Annual

Golf Tournament benefitting St. Jude Children’s Research Hospital (TBD). Bro. Cory Locklear

will be spearheading this event and we will look to bring this outing in 2021. We are looking to gain

momentum from last year on this event which turned out to be a very nice event. We look for the entire

province to get behind this effort.

It will be reiterated to the entire province undergrad and alumni alike that ALL donations to St. Jude must
be recorded and reported to the [email protected] inbox to insure credit to your chapter. The goal
for all provinces again is $25,000.

SENIOR KAPPA AFFAIRS REPORT
Samuel Greene, Chairman

The Senior Kappas Affairs Committee has been active this fraternal year in view of the fact that we have
been limited in personal involvement due to the COVID - 19 pandemic. May God rest the souls of our
brothers who succumbed to this dreaded virus. I applaud all chapter brothers who have worked in their
communities to assist Senior citizens, Senior Kappas and Silhouettes.
Two chapters applied for the Senior Kappa Endowment Fund Grant. Durham Alumni received the grant of
540.00. Congratulations to the brothers of Durham. I encourage all alumni chapters to seek this grant next
year. The grant can be used for almost any community project.

The province honored 42 active brothers that are 80 years old plus with a very impressive lapel pin and
letter of appreciation. This will be an ongoing yearly project. Chapters should submit names of brothers
who reach this milestone to the province Senior Kappa Chairman by March 1st of each year. Chapters should
also submit names, chapter and year of initiation for brothers who reach 50 years in the fraternal year.

All alumni chapters are required to have a Standing Senior Kappa Affairs committee and chairman. The
chairman’s name, email and phone number should be submitted to the province chairman by the chapter
Polemarch. Chapter grant applications will not be considered by the SKAEF Advisory Board if there
is no recommendation from the Province Chairman.

Conference Call #2 on December 16, 2021

Our special guests were none other than the Executive Director Of Kappa Alpha Psi, Brother John
Burrell and the Director of Undergraduate Affairs Brother Trent Nettles once again. On this call the
Director of Undergraduate affairs Brother Nettles gave updates as well and the Executive Director Bro
John Burrell addressed general concerns and questions relating to insurance, Covid 19, chapter
meetings and other adjusted operations.

We continue to serve at the pleasure of the Province Polemarch while ensuring the functioning of our
chapters through maintaining good and healthy relations with our colle
