Word Numbering Issue not Importing to InDesign Fix

For books with a lot of numbered lists and subheadings, try this fix if numbering is not working after import
to InDesign:
When you “place” the text into InDesign, check the “Show Import Options” box on the screen that opens to
select the file to be used. This will open the box shown below. About 2/3 the way down (look by the yellow
warning box on this screen shot), there is a box for “Convert bullets & numbers to text”. Check this. Now
all the numbers will come in exactly like they are in Word.

Footnotes and Endnotes

We cannot import endnotes from Word into InDesign as the numbering gets off and will not update
automatically. Books with endnotes must be formatted in Word.

Here is some verbiage on how to check the Word file for footnotes before importing:
As of CS6, there is no way in InDesign to convert from footnotes to endnotes or from endnotes to footnotes.
In fact, there are no endnotes. There are only footnotes. Anything that looks like endnotes aren’t really
endnotes; they just look like they are.

Importing from MS Word

So what happens when you place a document from MS Word containing footnotes and/or endnotes?

• Footnotes are converted to true InDesign footnotes according to your Document Footnote Options.
• Endnote markers are converted into independent superscripted numbers using local override superscript

formatting, and the endnotes themselves are converted into a numbered list at the end of the document,
with no connection between the markers and the numbered list.
• Strange superscripting bug: occasionally all text after a particular endnote marker will remain
superscripted throughout the end of the document when placed into InDesign. I’ve seen this on perhaps
8-10 out of hundreds of documents placed into InDesign, and I’m unsure as to why it happens. I’ve
recently learned that it happens to other people as well, so I’m mentioning it here.

Since InDesign is incapable of converting between endnotes and footnotes, it is essential that you get your
references into the proper format in Word BEFORE placing the document. Otherwise you will have to
manually create the endnotes/footnotes in InDesign via copy/paste for each note.

Spacing Issues

If an author continues to state the spacing is different between pictures and captions, or other headings,
lists, etc. areas this tip may be helpful.

Kerning should always be set to Metric. In some text, it can cause the spacing to reduce. To fix this,
change it from “metric” to “0”. This will open up the spacing in problem areas.

Color Palette – b/w interiors

When text appears different colors of black, select all text, click on the BLACK color and put 100 in the tint
box.

Apostrophes – Curved to Straight

If there is an issue with curved apostrophes facing the wrong direction, use this tip to change them all to
straight apostrophes and the problem is solved.

On the Mac press the code Cmd-Opt-Shift and tap the quote key. On Windows press the
code Ctrl-Alt-Shift and tap the quote key. This turns off the Use Typographer’s Quotes
preference without having to open the Preferences dialog box.
